5.1 Clare emphasised the importance of the Club’s Constitution – a set of binding rules and
principlesoutlininghowtheClubshouldberun
5.2 He confirmed that ongoing changeswithin theClubnecessitated reviewing theConstitutioneach season. This past season had been no exception. A ‘change tracker’ document hadalready been circulated and reviewed, outlining proposed changes to the Club’s existingConstitution.
5.3 Ablockvotecoveringallof theproposedchanges to theexistingConstitutionbutexcluding
the2017/2018ScheduleofFeesandCharges(thesubjectofitem8ontheAGMagenda),wasthenheld.ThevoteforchangestotheClub’sConstitution,aspreviouslyoutlinedwaspassedunanimously(23votesinfavour,Oagainstand0abstentions)However,SylviaLevickpointedout that thewording relating to sibling discountswasmisleading and required clarification.ClareJoneswillensurethatthishappens.
5.4 ClareconfirmedthatthechangeswouldbemadetotheConstitutionoverthesummer,with
thenewreleaseofthedocumentpostedontheClubwebsiteandforwardedtoSurreyFA.
6. SECRETARY’SREPORT(seeappendix2)6.1 16yellowcardsreceivedthisseason.
6.2 Otherfinesforfailuretocompletematchcards,failuretohaveateamregisteredintimefor
the startof the seasonand failure toprovideenoughnoticewhencancellingagame totally£340,allofwhichwasavoidable.

7. TREASURER’SREPORTANDAPPROVALOFACCOUNTS
7.1 ClareprovidedanoverviewofhertenureasTreasureraftertakingoverfromPeterHorncastleinOctober2016.Whilstthisisnotaroleinwhichshehasanyexperience,theClubhasfaredwellfinanciallythisseason,despiteincreasedpitchcosts.
7.2 This season we have achieved 100% collection of registrations and have a high match fee
collection rate, although there are some gaps here again this year, which need to beinvestigatedfurther.
7.3 Onlinepaymentofmatchfeeshasbeenhugelyhelpful.
7.4 Bankbalanceat5/6/17is£25,209.50,withchequestothevalueof£510.22stilltobecashed.
WearecurrentlyincreditwithGuildfordBoroughCounciltothetuneof£1,994.40.
7.5 Finally, Clare noted that the Financial Accounts available for the meeting had alreadyundergoneindependentscrutinybytheincomingTreasurer,PaulYoung,andhadbeensentbyemail to all relevant parties. A vote was then taken as to whether ‘the income statementpresented accurately reflects the Club’s trading activities for 2016-2017’. Votes wereunanimously‘For’(noabstentions/votesagainst).

10.4 SallyHortonconfirmedthatshehadsecuredapitchatSSPfornextseasonfrom6-7pm.
10.5 Clare Jones was asked to outline how the Club Sec role would work next season and
advisedthatateamwouldfulfilltheroleandfurtherdetailswouldbecommunicatedwhenitwasclearwhowouldtakeresponsibilityforwhichClubSecretarytasks.
10.6 AngelAburtoaskedaboutnewkit fornextseasonandBrianadvisedthiswouldbedealt
withatapre-seasonmeetingforallManagers,whichisyettobearranged,butwouldlikelybeattheendofAugust.
10.7 TherewasmuchdiscussionaboutpaymentplansandensuringtheClubsfinancesremained
good as a result of efficient match fee and registration fee collection. It was decided thatonlineregistrationfeepaymentwouldbeofferednextseasonandClareJoneswouldalterthePRFtothiseffect.
10.8 Muchdiscussion then followedregardingmatchkitand thosepresentwereadvised that
SeanCrookeandAlexOsbaldestonwerelookingatbespokekittoensurethattherewerenovariations across the club in terms of home and away kit due to certain styles beingdiscontinued.Moretofollowregardingthisissue.
10.9 TheAGMthenclosed.
10.10 Andi Scanlan then chaired brief committeemeeting inwhich he thanked both past and
newvolunteers.Hestatedthatthetasknextseasonwouldbeto‘steadytheship’,whilsttryingtomaketheClubruninamoreefficient,easierandsustainableway.
10.11 Trophy Day on 11th June was discussed and it was confirmed that Fraser Horne would
supplyallneededfortheHotDogstall,ChrisiLiesickewasorganizingaraffle,ClareJoneshadorganizedarota,andthetuckshopladieswereorganizedwiththetuckshopsideofthings.
10.12 Therewas also a brief discussion regarding bank signatories. It was decided that in the
interim,ClareJoneswouldremainasignatory,withAndiScanlanandPaulyoungwouldalsobemadeasignatory,withPeterHorncastleandMargaretWickhamremovedassignatories.

By doing this we havecreatedmorespaceatNorthmeadandlesswearonthegamepitch.Iwouldliketoextendmythankstoalltheplayersandparentsfortheseasonandhopethattheyhave enjoyed it. I look forward to seeing everyonenext season.My thanks to the sponsors for
theirkinddonationsandhelpthisseason.Thankstotheparentswhohelpputupgoalsanddobitsand pieces to ease the pressure on the Managers and Coaches. Thanks to the Managers andcoaches who give up their time to run the teams, not only on match days but for training,tournamentsandchasingaroundafterplayers.However, none of that would be possible without a committee.
