Revitalised Education Program Chief Ambassador Report

ContentPilot–Morethan1,200membersfrom168clubsaroundtheworldarecurrentlyparticipatingintheContentPilot.79districtsareinvolvedacross23countries.Aminimumof6membersfromeachclubhavebeenassignedtocompleteandprovidefeedbackoneachprojectwithintheRevitalizedEducationProgram.Todate53projectshavebeenreviewed.ThreehigherlevelprojectsfromLevel5havenotbeenreviewed.AllprojectshavebeencoveredintheContentPilotwithsomemembersallocatedtoLevel1projects,otherstoLevel2etc.throughtoLevel5.TheContentPilotwillcontinuethroughtotheendofDecember.ThefeedbackfromtheContentPilothasbeenextremelypositive.Memberswhohaveparticipatedcanseethevalueofthenewprogram.Allparticipantshavebeengivingfeedbackforallprojects.SomehavecommentedthattheexplanationofthespeechdevelopmentprocessisbetterthanitisintheCompetentCommunicatorManual.Suggestedareasforimprovementinclude-

• Clarity of assignments –What domembers need to do to complete the project? What is theintentionoftheproject?

• Evaluationsforms–Basicallytheformsneedtobeimproved.• Additional instructionalmaterials–Moredetail is required regarding theVLE (Virtual Learning

HowwedothingsnowwillbedifferentintheREPbutnotanyharderthanthecurrentprogram.

ChangeManagement–320,000membersaroundtheworldwillbeinvolvedwithinchange.AmbassadorsneedtohelppeopletounderstandthebenefitsandreduceanyanxiousnessabouttheREP.ChangeManagementisthestructuredprocessforleadingpeoplethroughchange.Ifdoneeffectively,ChangeManagementwillhelpmemberstofeelpartofthechangeandtoacceptandsupportthechange.Reactionstochangesare–

• Denial–Peoplequestionwhythechangeisnecessary.Becausethecurrentprogramhasexistedforalongtime,itneedstobemodernisedtoallowforrobustlearningandsomemberscanapplytheskillstheyarelearning.

• Resistance-Peoplebecomepessimistic.Rememberthebrandrefreshin2010?Somemembersresisted the change,but eventually theybecamecomfortablewith it. Weneed tobeable toidentifywhattheresistanceistothechange.

• Exploration–Atthisstage,membersbegintoaskquestionsandbegintoseethatthechangecanbegood.Theyrealisethattheskillsandcompetenciestheyareusedtoarestillthereinthenewprogrambutinadifferentformat.

• Acceptance–Adecisionismadethatthechangecanwork.

OurtasksasChiefAmbassadorsandAmbassadorsareto-• Createawareness-Peopleneedtobemadeawareofthechange.(About60%ofthemembersare

REPtohelpclubleaderslearn.ThePhasedRollOutwillcommenceinthesecondquarterof2016with10districtsatatime.Thiswilltakearound10monthswith10districtscomingonboardeachmonth.

7. When all districts are on the program, the transition period of 2 years will commence. It isexpectedthattheendofthecurrentsystemwillbeinJune2019.BythatstagetheREPwillbefullyoperationalacrossalldistrictsaroundtheworld.

TherearenoexpectedchangestheTimeline(anupdatewillbegivenin2016).BythenthecriteriaforDistinguished Toastmaster will be defined, recognition will be explained and the final review of theContentPilotwillbecomplete.JanVecchioChiefAmbassadorDistrict70/90International Director ReportTOPIC12015StrategicPlanToday,ToastmastersInternationalhasmorethan330,000membersparticipatingin15,400clubsaroundtheworldeachweek.Theorganizationstandsatan-alltimehighinmembershipandclubsasaresultofstrongleadership,anexceptionalproductanddisciplinedplanning.Toensurethatwecontinuetofocusontheorganization’scoreideology–representedthroughthemissionandcorevalues–andthefutureweenvision,wemustmakedecisionsandtakeactionsthatshapeandguidewhoweserve,whatwedoandwhywedoit.Thisprocessbeginswithstrategicplanning.InanorganizationaslargeasToastmasters,withmorethan100,000leadersfromtheclubtointernationallevel,strategicplanningisn’tjustnecessary,itisvitaltoourlong-termsuccess.Effectivestrategicplanningarticulatesnotonlywhereanorganizationisgoingandtheactionsneededtomakeprogress,butalsohowtheorganizationwillknowifitissuccessful.Fromthisplanningprocess,adocumentemergesthatisusedtocommunicatetotheorganization’sstakeholdersthegoals,theactivitiesneededtoachievethosegoalsandalloftheothercriticalelementsdevelopedduringtheplanningexercise.Thestrategicplansetsthecourseforallofus;whetheryouareamember,aclubleader,adistrictleader,aninternationalleaderorastaffmember,weallhavearesponsibilitytodoourparttostrengthentheorganization,worktowardacommongoalandleverageourcorevaluesofintegrity,respect,serviceandexcellencetofosterourmissionsandachievesuccess:

2010StrategicPlanInAugustof2010,theBoardofDirectorsintroducedafive-yearstrategicplanthataddressedfourareasoffocus:

Nearlyalloftheobjectivesofthe2010StrategicPlanwereaccomplished,however,somewillcarryovertothe2015plan.Theseinclude:

- FocusonCollegesandUniversities- RevitalizedEducationProgram- GlobalLogistics

2015:Future.Envisioned.In2014,astheintendedlifespanforthe2010StrategicPlanwasdrawingnear,theBoardofDirectorsembarkedonstrategicplanningandthedevelopmentofanewdocumenttoreleasein2015.Theprocessbeganbyreflectingonourcoreideology,whichistimelessandthefutureweenvisiontobethefirst-choiceproviderofdynamic,high-value,experientialcommunicationandleadershipskillsdevelopment.Morevividly,thefutureweenvisionisforToastmasterstoberecognizedbyourmembersasrelevantandinvaluabletotheirpersonalandprofessionalsuccess:

• EmployersrecognizeToastmastersInternationalasanessentialcomponentoftheiremployees’professionaldevelopment.

• Throughourclubs,weprovideavibrant,growingandsuccessfulcommunicationandleadershipdevelopmentprogram.

• Clubmembersreceiveahigh-quality,customizedexperienceinasupportiveenvironmentthatrespondstoindividualandcommunity-specificneeds.

ThisisthefirstfinancialreportforDistrict90.AfinancialreporttotheendofMarchwillbemadeavailabletoallDistrictCouncilmembersattheDistrictCouncilmeetingtobeheldonSaturday30thApril.OnthefollowingpagesaretheFinancialReportfortheSixMonthsEnded31stDecember2015,AvailableFundsat31stDecember2015,theNarratives(abriefexplanationforbudgetdiscrepancies)andtheSemi-AnnualConferenceReport.TheMid-YearAuditwasheldonSaturday23rdJanuary2016.Theclaims,statementsandrelevantfinancialsupportingdocumentationfortheDistrictwereprovidedtotheAuditCommitteeChair,IanLipskiACG,ALB.Ianandhisteamconductedathoroughauditofalltransactionsforthesix-monthperiod.Someclaimswerequestionedandadvicewasgiventoassistinstreamliningtheaccountingprocess.AllclaimshavebeenauthorisedbytheDistrictDirectorandeithertheProgramQualityDirectorortheClubGrowthDirectorexceptinthecasewheretheclaimantistheDistrictDirector,whichrequiressignatureofbothsub-Directors. The December reports were signed by the District Director, FinanceManager and allmembersoftheAuditCommitteeandsenttoWHQon11thFebruary2016. AllclaimsandsupportingdocumentationwerepackagedandsenttoWHQon12thFebruary2016.InFebruaryIsubmittedaReimbursementRequestfordistributioncostsrelatingtoNewMembersKits($1,189.10)andaRequisitionforDistrictFundsfor$US20,000tofundthenextsixmonthsoftheyear.Bothrequestsremainoutstandingatthedateofthisreport.2015-2016BudgetThere are a number of expenditure areas showing an underspend compared with the budget. Theunderspendrelatestotimingofclaims(mainlyintravel)andthemarketingandpublicrelationsportfolios.Itisanticipatedthatexpenditurewillbeincurredinthenextfewmonthsinbothportfolios.TheSemi-AnnualConferencesurplushasbeenappliedtocoveraone-offallowanceforlodgingforAreaandDivisionDirectors,attendingtheSemi-AnnualConferenceandwhoseclaimsweresubmittedby31stDecember2015.GratitudeThankyouto–

District Director’s Report

Althoughweare less than threequartersof theway throughourToastmasters yearaswewriteour“annual”reports,andstilltwomonthsawayasweholdourannualconference,IcanhappilysayIamverypleasedinthewayournewDistrictiscompletingitsfirstyear.OurDistrictMission,whichrequiresustobuildnewclubsandsupportallclubsinachievingexcellence,underpinstheDistinguishedDistrictProgram(DDP),justliketheClubMissiondoesintheDistinguishedClubProgram(DCP).LiketheDCP,theDDPisanexcellentreferencetohowwellwearedoingasaDistrict,reflectinghowwelltheDistrictismanagedandhoweffectiveourleadersareatalllevelsinhelpingmembersachievetheirownpersonalgoals.Andsothebestreflectionofthisistherecordofmemberachievement.ProgramQualityDirectorMichaelreports,asatMarch,thereweremorethan400awardsattainedbymembers.ThisisaverygoodresultforaDistrictoursizeandwillincreasedramaticallyasmoremembersstrivetocompleteprojects.Memberachievementthenreflectsonclubachievementwhichcanalreadybeseenwithsomethingliketwothirdsofourclubs,ormorethanahundred,intherunningforDistinguishedwiththree,four,fiveormoregoalsalreadyachieved.Atthisstageoftheyear,aclubwiththreepointscaneasilyreachfiveormoreaswellasthequalifyingnumberof20plusmembersoranetgrowthoffiveintheyear.Ontheclubs’front,asClubGrowthDirectorShirleyindicates,wearelookinggoodandmayevenreachour President’s Distinguished number as your Management Committee set as our District goal for2015/2016.IncreasingournumberofclubsandmembersextendstheToastmastersopportunitytosomanymorepeople,thatiswhyclubgrowthandincreasedmembershiparesuchimportantpartsofwhatwedo.WehaveallbenefittedinsomewayfromourinvolvementinToastmasterssoweshoulddoeverythingwecantomakethatopportunityavailabletoothers.ThesecondaryaimwithourDistrictgoalsthisToastmastersyearwastosetabenchmarkforfutureyears.Notjusttodowellin2015-2016buttolaythegroundworkforDistrict90toachieveinyearstocome.AndIbelievesofar,wearecertainlydoingthat.Butwedoneedthehelpofallmembers…tokeepexistingclubshealthyorworktomakeclubshealthy…tokeepthemomentumfornewclubsgoing…tokeepaskingpeople along to our meetings so we can increase membership… and maintain contact with currentmemberssotheycontinuetheirmembership.Duringtheyear,webeganintroducinga“CareforMembers”subtheme.FollowingthetragiclossofScottTristlatein2015,manymembers,includingyourDistrictManagementCommittee,weremovedtotakestepsthatwouldallowanyoneinachallengingsituationtogethelp.There are many pressures in our society and members of Toastmasters are not immune to those.Pressuresthatmayhavestemmedfrombullying,orchildabuse,ordomesticviolence.Toprovidemoresupport,wehavebegunrollingoutaseriesofworkshopsthatwillhelpmembers,andourclubanddistrictleadersinparticular,understandanddealwithpressuresoflifeandleadership.

Program Quality Report

Atthetimeofgoingtoprint,theDistrictlookslikefinishinginabetterpositionthanwhenwestartedtheyear.Havingmoreclubsandmembersnowthanatthebeginningoftheyear,isanexcellentpositiontobein.Asweenterthehomestretch,itisatimetoreapthefruitsofeveryone’shardworkthroughouttheyear.ClubOfficerTrainingRoundTwoClub Leadership Traininghasbeen completedand results arebeing compiled. So far, theresultsaredownonRoundOneCLTfigures,from83%to67%.However,itisexpectedthatthesefigureswillimprovesomewhatassomeAreasareyettoregisterthenumberofofficerstrained.InterimTrainingresultsare:

In theotherDivisions,someAreasarecurrentlyfinalisingtheircontests.TheseAreaandDivisionContestsarewherethetrainingandleadershipskillsofourAreaandDivisionDirectorsbecomesareality.OurplanthisyearwastohaveallAreaandDivisionDirectorssubmittheactualcostsfortheircontests.Wearestillworkingtowardsachievingthisgoal.ThankyoutoourBudgetsOfficer,RegStewartforallhisworkinmonitoringandadvisingAreaandDivisionDirectorswiththeirbudgetaryrequirements.MemberAchievementsMembersarecontinuingtoachieveandobtainrecognitionfortheseachievements.Todate,District90has224Communicationawardsand175Leadershipawards,including14memberswhohaveachievedthe Distinguished Toastmaster Award - the highest educational award a member can achieve inToastmasters.Inaddition,wehave19TripleCrownrecipients.Thisisoutstanding!!ThesuccessandachievementsofourmemberswillensureweareontracktoreachtheDistrictDistinguishedgoalintheeducationandleadershipawards.


AnnualConferenceOur inaugural District 90 Annual Conference at Rooty Hill RSL has been themed as ‘Bring it Home’ -encouragingyoutoutiliseyourToastmastersskillsinallaspectsofyourlife.ConferenceChairmenAliciaDenisandSeanLeise,haveworkedextremelyhardtoensurethisconferenceisthesuccessthatitis.ItneedstobepointedoutthatSeanhasbeenaToastmasterforlessthan12monthsandhasembracedleadershipbytakingonco-chairmanshipofanAnnualConference.ThankyoutoSeanandAlicia.Over these three days,we have the pleasure of hearing educational presentations byDavidGriffiths(multiple District 70 speech champion), Steve York (hostage negotiator) and Mark Hunter (WorldChampion of Pubic Speaking). Thank you to David, Steve and Mark for your contributions to ourConference.Thankyoutoeveryoneforbeingatthisyear’sConference.Withoutyou,wewouldnothaveaConference.SuccessionPlanningAreaandDivisionDirectorshaveworkedhardtoencourageToastmasterstotakeupleadershippositionswithinourDistrictforthecomingyear.WeareplanningourfirstArea/DivisionDirectortraininginmid-JuneandexpectallDistrictOfficerrolestobefilledbythistime.Finally,ontheearlymorningofSaturdaythe12thMarch, IhadthegoodfortunetobeinterviewedbySusie Elerman in the studios of 2GB Sydney, about the benefits if Toastmasters. The nerves quicklydisappearedandthetimeendedupgoingquitequickly.ThisexercisetaughtmethattheskillsthatweallhaveasToastmastersarehighlyrespectedandsoughtoutwithinthecommunity.Weshouldtakeeveryopportunitythatcomesourway.Imustsaythat5minutesbeforetheinterview,Iwasnotthinkinglikethis. Club Growth Report

At the time of writing this report, it is too early to report on the final result of club numbers andmembershipgrowth.Itisimportanttonotethatwearerelentlessinthepursuitofmembershipandclubgrowth by developing appropriate programmes for ourmembers so theywill be better equipped toperformtheirroles.Theseprogrammesinclude:

1. Incentiveprogrammes.2. TraintheTrainer,VPMandVPPRWorkshops,SalesandMarketingSeminarsandSponsors,

MentorsandCoachesWorkshops.3. Seminarsandworkshopstohelpup-skillourmembers.4. AseriesofworkshopsonLeadershipChallenges.

TheClubGrowthteamisworkinghardinrevivingandrebuildingclubs.ItisworthwhilementioningthetwoMacquarieUniversityclubsandforustobeawarethatMQandMGSMhavesomeuniquechallenges:

• AlthoughtherescueoperationforMQhasbeensuccessful,thereisalengthyaffiliationprocesstogothrough.AffiliationapprovalforMGSMwassubmittedinDecemberandisstillpending.

• NoexistingmemberinMQwasawareoftherequirementtoaffiliatewiththeStudentUnion.• Thetransientnatureofuniversityclubsmeansthatthe‘knowledge’mayleave,resultinginalack

oflongtermcontinuityofexperiencedmemberstodrivetheclub.• Nonstudentsarepermittedtobemembers,howevernon-studentsmaynotexceed25%oftotal

membershipoftheclub.• Nonon-studentmemberispermittedtoholdaclubofficerrolemeaningtheclubsfacea

challengeintheiron-goingabilitytoconductclubbusiness.Toovercomethechallengesandtoensurecontinuity,itisimportantto:

• Keepthestudentmembersinformedsothattheyhavetheknowledgeonhowandwhattodoandtakeownershipoftheclub.

• Placeatleastonenon-studentmentortoguidetheclub.ThementormustbeaToastmasterwhoiswillingtostaylongterm,trainthesuccessorsandunderstandstheuniquechallengesoftheclub.MQcurrentlyhas2coachestohelpinitsrebuilding.

My recommendation is that mentors continue for anadditionalsixmonthsormore,toensurethestabilityofthecorporateclubs.SimilartoUniversityclubs,


thereshouldalwaysbeoneortwonon-staff-memberToastmastersbased intheclubtoassist. Atalltimes,itisimperativethatmentorsunderstandthecultureofthecorporationsandthewaytheywork.Goingbacktobasicsiscrucialforthesustainabilityofclubsingeneral.Wetrainourmemberstomentornewmembersnotjustonthefirstthreespeechesbutalsointheclubofficerroles.District90offerstwotrainingopportunitiesperyearforclubofficers,howeverthesetrainingsessionsaloneareinsufficienttofullytrainandsupportclubofficersintheirrole.Myobservationisthatsuccessfulclubsaredirectlylinkedto a goodmentoringprogram. At the JanuaryDistrict Leaders training (inNewZealand)wehad theopportunitytomeetwithotherDistrictsinRegion12and14.Thegeneralconsensuswasthatgoingbacktobasicswasabsolutelynecessaryforaclub'shealth.Therewasalsoagreementontheimportanceofmentoringandincreasedemphasisonmentoringandtrainingtoequipthementorswiththeskillstheyneed.District90isplanningtomaketrainingavailableforDivisionandAreaDirectorsandmentors,sotheywillbewell-equippedtohelpclubs.InmyjourneyasaToastmasterandespeciallyinthiscurrentrole,Ihavebecomeacutelyawarethatthereare many challenges in leadership which could affect our mental health and therefore affect ourperformance.OurDistrictplanstoofferworkshopsdesignedtohelpmembersbecomeawareof,andrecognisethesignsthatmayindicateamemberisunderstress,andtohelpusallbecomemoreeffectiveleaders.OurlifeasToastmastersisinextricablefromourpersonalandworklife,soitiscrucialthatweareabletohelpourmembersinwaysotherthanthetraditionaltrainingwereceive.InmyopinionthiswouldbeaworldclassactivityandafirstforToastmastersonaglobalbasis.IfeelIhavegrownintheroleofClubGrowthDirectorandithasgivenmeaddedbeliefandconfidenceinmyself. Our mission continues to provide accessible resources and training throughout our division, byencouragingandbuildinginter-clubandinter-areacommunityandsocialinteractions.Thiswas showcasedmost recently, atourDivisionConteston the13thofMarch.ThehighqualityofspeechcontestantsalongwithahealthyattendancefromallAreasandotherDivisionsinDistricts90and70madethecontestphenomenal!Iwouldliketoacknowledgethe greatwork of our Area Directors this year: Stephen Thatcher(Area 12), Richard Crisp (Area 15), Pieta Beggs (Area 23), ScottJohnston(Area21)andTonyMiller(Area24).Thanksgo toBrianPriorACGALBandStephenNeedsDTMfor theirassistancewithArea15projectsrecently.Towelcome the festive season,we presented the second ‘Super Saturday Seminars’ on Saturday 5thDecember,which incorporatedCLTandaneducationalon ‘GivingEvaluationswithoutNotes’byTomWilde DTM. Our seven Advanced Club Leadership Training (CLT) sessions held during December toFebruary,ensurednearly80%ofourclubshadat least4officerstrained.Thefocuswasprovidingthevalueofclubofficernetworking,throughsharingofqualitystandardsandbrainstorming.We have identified our greatest challenge – membership building. 2015-2016GoalsforDivision:Subjecttomembershipnumbers,OxleyisontracktoattainDistinguishedstatus.Membershipnumbersat mid-March are up compared with the beginning of the year. Thefinancialburdenonclubswillalsobereduced.Manyruralclubshavelimitedfundsandaskingthemtosharethecostsoftwocontestscanbeahugeask.Havingjustonesetofcontests,willreducethedrainonclubbankaccountsandthedrainonmembers’pockets.IbelievethatthisreducedfinancialstresswillbeofbenefittoAreaandDivisioncontests,withmorememberswantingtoattend.

Byholdingjust3contestseachyear,District90openstheopportunityforaYouthContestaspartofaYouthShowcase,shouldthisbedecided.ThiswillallowDistrict90GavelClubmemberstheopportunitytobenchmarktheirskillsthroughcompetitionwithothers.

District 90 is a brand new district. It is time for us to forge a path for ourmembers to theWorldChampionshipofPublicSpeaking,torecognisethechallengesthatourDistrictfacesandofferthebestchancesforimprovementinskilldevelopment.

The recent Semi-AnnualConference (held inNorthernDivision)has set aprecedent forDistrict 90 tooperateonadecentralisedmodel.TheToastmastersClubsofTamworthhaveproven,throughtheirverysuccessful firstDistrict90Semi-AnnualConference, thatholdingconferences ina locationoutsidethemajormetropolitanareasofourDistrict (Sydney,CentralCoastandNewcastle) ispossibleandcanbesuccessful. Inverell and Inverell Breakfast Toastmasters Clubs have also proven this, by successfully aDistrict69AnnualConferenceintheirtown.

District90hasanumberofclubslocatedbeyondthesemetropolitanareas,inplacesasdiverseasDubbo,Taree,Narrabri,Tenterfield,LithgowandBellingen.ByhostingDistrictconferences,theseclubswillbeabletopromoteToastmastersintheirowntownswithamuchbiggervoiceandtoaconsiderablywideraudience.Invitationscouldbesenttolocalcommunitymembers,leadersandgroupstocomealongandseewhatitisthatmakesToastmastersunique.Thisinturnwilllayapathtoincreasedmembershipandpossiblymoreclubs.

District 90 Council Meeting and Voting Proxies Voting members of the District 90 Council are the Club Presidents, Vice Presidents Education, and the members of the District Executive Committee: District Director, Program Quality Director, Club Growth Director, the Immediate Past District Governor, Public Relations Manager, Administration Manager, Finance Manager, Division Directors, and Area Directors.

Either the Club President or the Club Vice President Education may designate, in writing, any active member in good standing of the Club to act as a proxy or proxies, and cast one or both ballots of the Club at the District Council meeting. In the event that one of those Officers is not in attendance at the meeting and has not designated, in writing, an active member of the Club to act as proxy or proxies of the Club at any Council meeting, the other Officer in attendance may cast two votes. The intent is to assure that every Club will be able to cast two votes.

A written proxy, to be valid at a District Council meeting, must contain the following details:

(a) District number

(b) Description of event

(c) Date and location of meeting

(d) Club name and number

(e) Name of Club representative, or proxy holder

(f) Signature of authorisation of Club Officer and Office held, and(g) The date the credential/proxy is signed.

It must be delivered personally, by mail, by fax, by email, by electronic transmission, or by other reasonable means to the Club member who will hold the proxy. The Proxy Form below may be used for this purpose. The proxy holder must present the proxy in paper form (i.e., print out an E‐mail) to the Voting Rights Desk. If the proxy does not bear a handwritten signature, it must have the typed name of the Club Officer(s) giving the proxy or some other indication that the Club Officer(s) authorised the proxy to be given. A proxy holder cannot transfer or assign a proxy to someone else. A valid proxy delivered to the proxy holder is revoked only if the Club Officer who gave the proxy takes one of the following subsequent actions: he or she destroys the proxy, cancels the proxy in writing, issues another proxy authorised at a later date, or actually attends the District Council meeting.

Each member of the District Council, or Club proxy for the Club President or Vice President Education as authorised above, in attendance is entitled to one vote. Any active member who carries the proxies of both the Club President and the Vice President Education from the Club is entitled to two votes; and any such Toastmaster who is also a member of the District Executive Committee is entitled to three votes. All other Toastmasters shall be limited to a maximum of two votes, regardless of the number of Clubs to which they belong. A Toastmaster belonging to two or more Clubs may cast one vote for each of two Clubs, but again is limited to a maximum of two votes. (The maximum number of votes that any Toastmaster may cast is three, regardless of the number of Clubs to which that Toastmaster belongs.)
