Build Up Information

All Space Only Exhibitors must send a copy of this handbook to their Contractors. So that:

1. They are fully aware of the build up and break down Instructions.

2. They are aware that our lease ends at 10pm on the Tuesday and all displays must be out of the venue

by that time.

All Contractors must complete Form 02 with their full details.

In previous exhibitions we have had quite a number of Exhibitors arriving very late on the last day of build up.

Please ensure that you arrive with enough time to set up your stand within the times stated below as it is not

possible to extend beyond these times. Security staff need to be paid while anyone is on site and their hours need

to be agreed many months before the event:

1. The Hall will be locked up completely by the times stated below and NO Exhibitor will be allowed in or

can arrive after this time. This is strictly enforced at EventCity.

2. Ample time for build up is provided and every effort must be made to comply with these instructions.

All Exhibitors must set up their stand on either Friday or Saturday. We do not allow any exhibitors to set up on

Sunday morning.

PLEASE READ THE FULL EXPLAINATION ON THE BUILD UP PAGE

If you have any queries concerning the build up regulations or the exhibition in general please contact our Sales

office shown above.

Build Up Information

Unlike other Exhibition Organisers, we request that ALL Exhibitors / Contractors complete the Build Up Timetable on

the following page. This information is vital to ensuring that your stand is ready for your arrival with all shelving,

lighting etc in place. It also helps us to control the loading areas in order to ensure a fast and efficient build up for

you. This system has been in place for many years at our other events and has proven to be very successful.

Space Only Exhibitors / Contractors

You may arrive from 12 Noon on Thursday 6th September 2012 to commence

building your stand. It may be possible arrive earlier by prior arrangement.

Shell Scheme Exhibitors / Contractors

You may arrive from 8am on Friday 7th September 2012 as your shelving will not

be in place before this time.

Completion of the Build Up Timetable on the following page is MANDATORY as this will ensure that your stand will

be ready for your arrival.

General Information

Hall Security

EventCity has an excellent team of Security who are present in the hall whenever there are stand builders,

contractors, exhibitors, visitors and cleaners inside the show. In addition, 24 hour CCTV is in operation within the

hall. As a result, the venue is much more secure and safe than most other exhibition venues. We do recommend

however that you do not leave personal items such as mobile phones, laptop computers, MP3 players or personal

handbags and briefcases unattended.

Cleaning

We pride ourselves on our attention to detail within our show and the cleanliness of the carpet (both gangway

and stand carpets) is of paramount importance to us. We have a large team of housekeeping staff who

continually clean the hall both during build up and during the open days of the show. There will be a team

available on each morning prior to the show opening to ensure that the carpet looks as fresh as the moment it was

laid. We can only vacuum the carpets when there are no visitors in the hall.

Night Sheets

If your night sheet is LOCKABLE, our housekeepers will not clean your stand until the night sheet has been removed.

This is to protect your stock. As a result, may we request that you arrive 30 minutes prior to the show opening

(Sunday—Tuesday) to enable the housekeepers to access your stand and vacuum it. We can only vacuum the

stand when there are no visitors in the hall.

If you night sheet is only fitted with clips, our housekeepers will clean your stand, but under supervision in order to

protect your stock,

Please arrive 30 minutes before the opening of the show (Sunday—Tuesday) to ensure that night sheets have been

removed. This will ensure that the hall is ready to be opened to visitors. Due to health and safety requirements we

are unable to open the show to visitors unless ALL night sheets have been removed and stored securely.

Break Down Information

Breakdown will commence at 5pm on Tuesday 11th September 2012.

A very serious view will be taken if any exhibitor breaks down before this time as it contravenes Health & Safety

Regulations.

Any Company violating this instruction will be barred from future shows. At previous events we have seen stands

breaking down while buyers are still writing orders on adjacent stands, this is not only extremely discourteous to

other exhibitors, embarrassing to buyers, but also means you are unable to maximise your sales potential at the

show. Many exhibitors have reported to us in the past that their best show order was written at the close of the

show

It is important that all Contractors are provided with a copy of this handbook so that they are fully aware of the

procedure.

Our tenancy of the venue ends at 10pm on Tuesday 11th September 2012 and all exhibits MUST be removed. Any

company whose stand has not been completely removed will be charged £20,000 by the venue in violation of our

contract with them. In addition all items remaining will be destroyed (including space only stands) by the venue

and further charges will be made to cover their additional costs of removal.

If you have any queries concerning the breakdown regulations or the exhibition in general please contact our of-

fice as shown below.

Stand Design

All Space only contractors must submit a detailed floor plan and risk assessment prior to the show.

When designing large stands we must keep the sides open to the aisles. Closed sides can cause a claustrophobic

situation for other exhibitors and does not enhance the appearance and ambience of the show.

Space only stands must be built with a back and side walls where other stands are adjacent, otherwise the

organiser will erect shell scheme walls at a cost of £57.00 per panel payable on-site prior to commencement of the

exhibition, exhibitors will not be admitted to their stands until paid in full.

No part of your stand may be over 3.5 metres in height (this applies to signage and flags etc).

Prior permission must be sought from the organiser and it may be necessary for a local planning officer to inspect

such installations prior to the opening of the show.

Please submit a copy of the proposed floor plan if you intend to use panel slot as we may need to reinforce

adjoining walls.

If you require any advice on stand design, please contact our design office on +44 (0)161 430 8878.

The shell scheme is Octanorm, the same system being used at the N.E.C. Full details of Octanorm and accessories

available are included in this handbook. These contain sufficient detail for you to design your stand layout but

would point out that support poles are required every 4 metres. These should be indicated on your floor plans.

Questions and Answers:

Q. I have a stand at the show in shell scheme. What is Octanorm?

A. A modular system of aluminium poles and beams holding fomex infill panels. These form the walls of

the stand.

Q. What is the fascia constructed of?

A. This is formed of the same system. 175mm deep.

Q. Is there a Ceiling?

A. There is an open grid ceiling of 70mm steel beams fixed diagonally over the stand.

Q. What is the height of the underside of the ceiling?

A. 2.430m

Q. What is the finish of the wall panels?

A. White fomex vinyl panels.

Q. What size are the wall panels?

A. 2.5m high and 990mm wide is the overall size of the panels. The exposed panel is 2.340 high and

950mm wide. The poles are 40mm in diameter projecting forward 18mm.

Q. How do I fix to the wall panels?

A. You cannot fix anything heavy to the wall panels because the fomex will not take nails or screws.

Lightweight poly board or card panels can be fixed with double sided tape or Velcro. Support

brackets and chain packs may be used to hang heavier items.

other services.

reserve the right to re-sell any stand not fully paid for by the due date. Payments received from exhibitors who subsequently default in any way will not be refundable unless the Organiser

specifically agrees to this. Payments due in respect of late bookings must be made prior to the exhibition. In the event of late payment of cheques, or dishonoured cheques, the Organiser

reserves the right to charge an administration fee of £25.00. Payment in full is due by 14th July 2012. The Organiser reserve the right to charge 4% interest above the bank rate on the total

stand price for exhibitors who do not adhere to the above payment schedule.

5. Shell scheme of a standard design will be provided for all exhibitors unless otherwise agreed. Please refer to the appropriate form, supplied by the shell scheme contractor.

6. Exhibitors or Contractors who cause damage to stands, carpeted areas, or the venue will be charged.

7. Exhibitors must restrict their display to the actual stand area. Exhibitors must not “overflow” in to the aisles, and exhibitors’ sales activities must be similarly restricted to the actual stand area.

Exhibitors must not “wall-off” any otherwise open area of their stand perimeter without the approval of the Organiser.

8. Exhibitors are prohibited from introducing any form of publicity material – poster, signs etc. – to any area which is not part of their stand, unless specifically agreed with the organiser. Exhibitors

must not play music on their stands or use microphones to the annoyance of other exhibitors. Background music may be played, but the Organiser reserves the right that it be discontinued.

Exhibitors must inform the Organiser if they intend to play music on their stand, and must pay to the Organiser the appropriate ppl fee on demand.

9. The exhibitors shall keep the Organiser and the venue indemnified in respect of i) any loss or damage to the property of the Organiser or the venue, and ii) all claims and demands of third

parties (including servants, agents and sub contractors of the Organiser and the proprietors of the building and their servants, agents and sub contractors and members of the public) in

temporary gas or electrical fittings, be installed or used in the hall without the prior written permission of the Organiser, who shall be at liberty at any time to remove such articles from

therefore ensure that appropriate ramps are included as part of the stand design if platforms are used.

carrying out that obligation by reason of unavoidable cause. In such an event the Organiser shall be under no liability to the exhibitor and the exhibitor shall not be entitled to any refund of

monies paid for the stand.

happening of any such events.

15. The Organiser reserve the right to cancel, postpone or change the date and/or location and venue of the exhibition or of any exhibitor’s stand, and shall be under no liability in respect of any

expenditure, liability or loss incurred by the exhibitors. Exhibitors should indemnify themselves against such risk in respect of any loss they are likely to incur as a

contract.

24. Interpretation and Alterations

particular cases. Should any question arise whether provided in these terms or not, the decision of the Organiser shall be final. The Exhibitor undertakes not by any act or omission to do

anything which would lead to the cancellation by The Ricoh Arena of its contract with the Organiser. The descriptive headings in these regulations are for reference only and are not part of

the contract.

25. This contract may, at the absolute discretion of the Organiser be assigned to a third party.

26. The exhibitor expressly acknowledges that no representations, whether oral or in writing express or implied, have been made concerning the amount of business to be gained from the
