Role Statement

This role provides strategic, advisory and executive support to Divisional Executive. It undertakes project assignments as directed by Divisional Executive. It supervises administrative support staff.

Duties and Responsibilities

1. MANAGEMENT1.1 Manages the Divisional Executive assistant support.

2. BUSINESS AND EXECUTIVE MANAGEMENT2.1 Prepares reports for the Divisional Executive Director on Departmental and Divisional

policies, procedures and initiatives2.2 Manages the collation of agenda documents and other items for the Divisional

Executive’s attendance key management and strategic meetings2.3 Arranges appropriate follow up action on outcomes of key meetings in discussion with

the Divisional Executive2.4 Assists with the preparation of corporate submissions, business cases, etc2.5 Manage the business and daily activities of the Divisional Executive Prepares meeting

agendas and minutes

3. COMMUNICATION3.1 Contributes to Divisional communication initiatives and stakeholder/issue management3.2 Ensures effective communication through appropriate communication strategies and

systems, and liaison and consultation with internal and external parties and ensures the provision of accurate and timely information

3.3 Communicates clear and consistent messages around the Department’s strategic and operational direction to guide and inform staff

3.4 Contributes to the marketing and public relations of initiatives led by the Divisional Executive

4. PROJECT MANAGEMENT AND IMPLEMENTATION4.1 Undertakes project assignments for the Divisional Executive4.2 Undertakes research projects for the Divisional Executive

5. PRODUCTIVE RELATIONSHIPS5.1 Establishes and maintains productive relationships and an extensive network of

contacts with internal and external stakeholders5.2 Fosters and develops collaborative partnerships between stakeholders and the

Essential Work-Related Requirements (Selection Criteria)

1. Highly developed verbal and written communication skills.2. Effective interpersonal and negotiation skills.3. Well developed conceptual, analytical and problem solving skills.4. Proven high level of planning and organisational skills.5. Good understanding of Public Service Administration, Policy and Procedures.

Desirable Work-Related Requirements (Selection Criteria)

1. Possession or progress towards a tertiary qualification in a relevant discipline and/or knowledge, skills and experience in a similar role.

2. An ability to work non-standard hours at short notice.3. Willingness to undertake travel throughout the state.4. Previous experience and knowledge of Executive Service Protocols.

Essential Eligibility Requirements / Special Appointment Requirements 1. Appointment is subject to a satisfactory National Police Clearance.2. Candidates possessing international qualifications must provide assessment by the

Overseas Qualification Assessment Unit (OQU) from Department of Workforce Development and Training WA or OQU assessment from another state for approval as an equivalent by the Executive Director, Department of Commerce.
