1. Introduction

1.1 About Cloud Print

Cloud Print is designed to provide a connection between KYOCERA devices and Google Cloud Print,

allowing users to print documents quickly and easily from their Google Docs or Apps via their phone,

tablet, Chromebook or PC.

Cloud Print also utilises any built-in authentication to provide secure print release, meaning any

documents printed via Google Cloud Print are not released until the user logs in. Cloud Print works with

other print management software such as PaperCut, Equitrac and Safecom.

1.2 This Guide

This document describes the components, functions, installation requirements and setup steps required

to deploy Cloud Print effectively.

1.4 Licensing

Cloud Print requires the purchase of a software license from an authorised KYOCERA partner.

The software can be evaluated, free of charge, during a 30 day trial period. The application will stop

working when the trial period expires and requires a license key to be entered for continued use. Once an

initial 30 day trial has been enabled and completed, the MFP cannot be configured for an additional trial.

Once licenced and activated on a device, the licence is non-transferable.

2. Installing Cloud Print

Cloud Print consists of one application that requires installation on a supported MFP.

2.1 Files Required

CloudPrint-1.xx.pkg

2.2 MFP Setup (Authorised KYOCERA Service Technician required)

1. Ensure that the MFP is updated to the latest available firmware level.

2. The MFP must be connected to a network port and link lights must be active.

3. The MFP must have at least one empty application slot (under System Menu > Applications).

2.3 Installation on HyPAS capable MFPs

1. Copy the CloudPrint-1.xx.pkg file to the root directory of a formatted USB flash drive.

2. At the MFP control panel, open System Menu/Counter >Favorites/ Application.

3. Log in as Administrator when prompted. The default login name is Admin and the default

password is Admin (Note: Enter capital A when entering ‘Admin’ as both the login name and

password fields are case-sensitive).

4. Press “Application” button.

5. Press the “Menu” button.

6. Press the “Add” button.

7. Insert the USB flash drive into the MFP.

8. A list showing the application will appear.

9. Select Cloud Print and press Install.

10. After installation, press “End” to return to the Applications screen.

11. Select Cloud Print and press “Menu.”

12. Press “Activate.” The MFP will prompt for an Activation Mode. If a license key is available, select

“Official” and press “Next”. Otherwise, press the “Trial” button for a 30 day trial installation. After

30 days the trial button will be disabled. Once the Trial button is disabled, a license must be

purchased from an authorised KYOCERA dealer.

13. If the “Official” button is pressed, the MFP will prompt for a license key. Enter it using the keypad

and press the “OK” button.

Note: License key can only be obtained from authorised KYOCERA dealers.

14. After Cloud Print is activated successfully, it can be executed from the main Application screen

(opened by pressing the Application key on the control panel).

2.4 Installation on HyPAS enabled MFPs

1. Copy the CloudPrint-1.xx.pkg files to the root of a clean USB flash drive.

2. At the MFP control panel, open System Menu > Applications.

3. Log in as Administrator when prompted. The default login name is Admin and the default

password is Admin (Note: Enter capital A when entering ‘Admin’ as both login name and

password fields are case-sensitive).

4. Press the “Add” button.

5. Insert the USB flash drive into the MFP.

6. A list showing the application will appear.

7. Select Cloud Print and press “Install.”

8. After installation, press “Close” to return to the Application screen.

9. Select Cloud Print and press “Activate.” MFP will prompt for a license key.

10. Press “Activate.” The MFP will prompt for an Activation Mode. If a license key is available, select

“Official” and press “Next”. Otherwise, press the “Trial” button for a 30 day trial installation. After

30 days the trial button will be disabled. Once the Trial button is disabled, a license must be

purchased from an authorised KYOCERA partner.

11. After Cloud Print is activated successfully, it can be executed from the main Application screen

(opened by pressing the Application key on the control panel).

UPGRADE NOTE: For HyPAS MFPs with existing Cloud Print versions (1.x):

Cloud Print can be upgraded via the HyPAS system menu; insert a USB drive with the new package file

and the MFP will detect that a new version is available. This method will eliminate the need to enter the

license key activation code on the MFP. Once the upgrade has been completed, the MFP needs to be

powered off and on again.

If the original package file is uninstalled on the MFP prior to installing version 2.x, you will have to re-enter

your license key activation code after installation.

2.5 Registering a printer with Google

1. Open the Cloud Print application from the MFP home-screen and type the name for a printer that

will be registered with Google Cloud Print and click on the “REGISTER” button.

2. The application will initialise the registration and then print out an invitation to register the printer

to Google via a web browser.

3. Go back to your PC and open the web browser and enter the URL provided on the invitation, and

sign in to your Google account using your login credentials.

4. Once logged in, click on the “Finish Printer Registration” button.

5. The Cloud Print application will print a successful registration completion confirmation page and

re-direct to the applications’ main page.

6. Once the printer is registered, you will see it in your list of printers under “Manage your Printers”

in your Google account.

7. Once the registration process is complete, the application will pop up the registration completion

message.

8. By default, the printer mode will be Manual Print in the application, so the printer will initially

appear offline in the list.

9. The Cloud Print application will then show whether there are any jobs pending, if no jobs are

pending it will state “No print jobs available”.

3. Administrator settings The Administrator settings allow the Administrator to set the printing mode to Manual Printing or

Automatic Printing. The administrator can also Delete or Update the printer.

1. To access the settings from the main screen of the Cloud Print application, please use panel keys

“C1234”.

2. Select the desired PRINT MODE from within the Printing Mode tab (Auto/Manual) and click on

the SAVE SETTINGS button.

3. Restart the MFP by turning it off and on again.

4. To delete or update the printer, click on the Delete/Update Printer tab.

a. To update the printer, type a new name for the printer or leave as its existing name and

click on the UPDATE button.

b. To delete (unregister) the printer from Google Cloud Print, click on the UNREGISTER

PRINTER button.

c. A confirmation message will be displayed, click on YES to unregister it. If you didn’t

intend to unregister, click NO to cancel.

5. To display current user jobs in Manual printing mode, click on the Authentication tab.

a. The default Authentication mode is “None” and fetches all users’ jobs in the queue. The

“Local” and “External” mode only fetch the current user jobs from the queue.

b. In “Local” authentication mode, the user accounts must already be created in the MFP,

when in External authentication mode, type all the required information.

c. Use the TEST CONNECTION button to test the connection to the server after typing the

Server Name or the IP and LDAP Port. This will pop up the Successful message,

otherwise check the Server Name or IP and LDAP Port.

d. Once the TEST CONNECTION returns successful message, type the rest of the field and

use the TEST LDAP button that will display the corresponding email address, otherwise

the error message will be displayed on the screen.

4. Printing via Cloud Print

4.1 Adding jobs to the printer

Print jobs can be added to the printer from either Google Cloud Print or from any Google Apps in the

same way whether it is in Manual Print or Automatic Print mode.

To add jobs from Google Cloud Print: 1. Click on the Print button, then select “Upload file to print”.

2. Next, click on “Select a file from my computer”, select the file and click on the “Open” button.

Select the required printer and click on the Print button.

3. Select the required printing settings (e.g. colour/black and white, duplex, etc), and click on the

Print button.

4.2 Printing jobs from the MFP

4.2.1 Manual Printing Mode

The print jobs are automatically added to the print queue. To view and print the jobs from the Cloud Print

application, click on the FETCH button, and the jobs will be displayed in the jobs list.

The below figure displays two print jobs in the queue, the first one was added via Google Cloud Print and

the second one from a Google App.

To print the job, select the print job from the list, the PRINT button will become enabled. Click on the

PRINT button, the document will then be printed by the application.

4.2.2 Automatic Printing Mode

Once the user adds the print jobs to the print queue, either from Google Cloud Print or via a Google App,

the application will start to automatically print the job. There is no need to start the application.

4.2.3 Remote Admin Settings

The Administration settings of the Cloud Print application can be applied remotely. The steps to apply

changes are:

1. Open the web browser from the PC.

2. Type the IP address of the MFP, where the Cloud Print application has been installed.

3. Type Admin as a username and Admin as a password and click on Login button.

4. Click on “Links” from the left menu.

5. Now click on the “HyPAS device online” link.

6. In next page type Admin as username and Admin as a password and click on OK button.

7. In next page, click on Settings button for the Cloud Print application.

8. Make changes to the application settings and click on SAVE SETTINGS button.

9. Restart the MFP.
