I. Chapter and University Activities (200 points) This category includes activities which improve, advance or promote the development of the university, the local chapter and its students. Examples include, but are not limited to, local chapter meetings, pledge activities, initiation activities, administration of faculty/course evaluations, student mentoring activities, academic exhibits or projects and university service projects. Each activity (text and pictures) must be documented in a copy of the following one page form, an activity cannot be documented more than once each semester/quarter (a maximum of twice per year) and a maximum of twenty activities may be submitted. 1 - Chapter and University Activities Name of activity: Initial Officers Meeting for Fall 2008 Date(s) of activity: 8/28/2008 Number of members involved: 6 Number of students impacted: 40 Documentation of activity: At the beginning of each semester, Alpha Pi Mu holds the first officer’s meeting to discuss and plan all the events for the upcoming semester. This meeting is considered very important because it allows each officer to express their opinion towards the upcoming events and activities. The following is the minutes from the fall 2008 first officers meeting : • Call meeting to order • Discuss Fall 2008 calendar prepared by Seng.

o Possibly changing pledge mixer to 9/26/08 o Possibly changing location of mixer to Dr. Bukkapatnam’s clubhouse

• Discuss process for choosing and pledging new members • Discuss election of Spring 2009 officers

A nomination meeting is held each semester to present students who have met the academic requirements and have become eligible candidates for acceptance into Alpha Pi Mu. The members of Alpha Pi Mu then hold discussions for each individual and vote for each on the basis of leadership, ethicality, sociability, and widespread interest. If at least three quarters of the membership does think that an individual meets these requirements, then he or she will be invited into the Alpha Pi Mu pledge class. Emails were sent to remind all members of the meeting and invite faculty to the event. Alpha Pi Mu provided pizza, chips, cookies, and drinks for the event. The pledge mixer was held on the Oklahoma State University Campus in the Vogt room to inform new Alpha Pi Mu (APM) candidates about the organization and the initiation process. The mixer also provided an opportunity for fellowship between APM members, APM candidates, and the Oklahoma State University (OSU), School of Industrial Engineering and Management (IEM) faculty.

The following candidates were present at the pledge mixer:

5 - Chapter and University Activities Name of activity: Fall 2008 Signing Party Date(s) of activity: 10/2/08 Number of members involved: 25 Number of students impacted: 40 Documentation of activity: The signing party marks the beginning of pledge week activities. The pledges are required to obtain signatures from both IEM faculty and existing APM members. This process can be as easy as having your friend who is an APM member sign your packet, or as complicated as “chasing down” a graduate student whom you have never met before. The signature process provides a great opportunity for new candidates to meet many new people in the department. Whether it be a faculty member or a fellow student, it is amazing how this process brings everyone together.

In order to aid the pledges in the signature acquisition process, a signing party was held on Thursday of pledge week. It was held for one hour in the IEM office during the lunch break. All members, faculty, and pledges are encouraged to come. Chips, drinks, and snacks are provided to make the signing party more enjoyable.

6 - Chapter and University Activities Name of activity: Fall 2008 New Member Initiation Date(s) of activity: 11/11/08 Number of members involved: 17 Number of students impacted: 40 Documentation of activity: It is customary for the Oklahoma State University initiation ceremony to be held at Bennett Chapel on the OSU Campus. The initiation ceremony is taken very seriously by all Alpha Pi Mu officers, as extensive effort is made to strongly adhere to the ritual of Alpha Pi Mu. For the Fall 2008 initiation ceremony, the following members portrayed the parts of Alpha, Pi, Mu, and Gamma:

After the initiation ceremony, everyone who attended is invited to celebrate with the new members over dinner. Pizza is provided and it is a great time of fellowship with the new members. Each Fall semester the College of Engineering Architecture and Technology sponsors a mentor program pairing upper-class engineering students with freshmen engineering students. Matt Meeker, The Alpha Pi Mu secretary for Fall 2008 and president-elect for Spring 2009 was one of these success coaches. As a success coach, Matt mentored 25 freshmen on the resources available at OSU. He shared his experiences with them and for those interested he told them much about the field of Industrial Engineering. The semester long mentor program left both Matt and the freshmen impacted. It gave Alpha Pi Mu exposure as a society developing strong leaders within the college. Some of Matt’s students are pictured below:

Liew -First meeting of the Spring 2009 semester -Thomas distributed officer responsibilities manuals to all and explained them briefly. Thomas also provided officers with officers contact information and officers meeting schedule. Dr. Bukkapatnam suggested presenting the schedule in tabular form. -Thomas handed last year’s financial statements to the new treasurer K. L. Liew. Officers also discussed about the prediction of expenses for the next fiscal year. -Officers discussed about the outside funding from Rainy Day and AFAP. K. L. Liew explained the application procedure and other details of funding. -Matt handed past material to the new Secretary, Somadatta B. Karanjekar. -Somadatta is going to order a new plaque as soon as the name of webmaster is finalized. -Venue of initiation was unanimously decided as Hideaway Pizza. -Thomas put forward the idea of organizing some new events this semester. Officers discussed organizing events in collaboration with IIE. Two possible events discussed were welcome party and Guest Lecture of outside experts or OSU alumni from industry. The essence of topic for Guest Lecture should be ‘What IE really is’. -Nomination meeting will be on January 22nd 2009 in EN 316 from 11:45 to 12:30. Somadatta will order Pizza and Thomas will take care of lemonade and water. We have some good wafers in stock, plates and glasses can be taken from the department.

o Officers decided to hold steadfast on requirement of 9 faculty signature citing the attendance of 10 faculty members at the mixer and the week allotted to pursue faculty signatures.

o Required member signatures was set to 10 based upon mixer attendance. o 2 pledges packets were denied based upon lack of faculty signatures

� Omer Beyca, Sahij Singh Gadu o Thomas will send emails to those that did not make requirements telling them to pick up a

refund of their membership fee of $50. o Thomas will email 5 members who will receive their packet back to correct mistakes and

pursue additional member signatures. • KL has prepared an application for CEAT Student Council Rainy Day Funds and will submit it. Matt

will attend the interview along with any other officers that wish to. The interview will be Monday, 2/23/09, in the late evening.

• TA/RA/Leader Award Feedback from IEM faculty meeting o We have been given the go ahead for further development o APM will present the revised guidelines at the 3/28/09 faculty meeting o There was a general request for more detailed guidelines, especially grading criteria o The awards should be more student driven – the judging committee shall consist of equal

numbers of faculty and APM members/officers o Faculty expressed concern of being overwhelmed with multiple requests for

recommendation letters at the same time. � A form letter will be created that the faculty can fill out with a space for additional

comments. � The letter will act similar to an evaluation. It will have a grading scale for questions

with even number of ranking options. • Each ranking option should have detailed description of what is to be

considered that level of performance. • Dr. Nazemetz has offered to aid in the development of the weighting

criteria.

In order to have sufficient funds to accomplish the numerous activities planned by Alpha Pi Mu, the officer team decided to apply for Rainy Day Funds. These funds are awarded by the College of Engineering Architecture and Technology Rainy Day Committee. The officer team spent several hours discussing upcoming expenses and working on an application that met all restrictions for the Rainy Day Application. The College of Engineering Architecture and Technology Rainy Day Committee conducted panel interviews to determine how much funding to award to each applicant. The treasurer, KL Liew and president-elect, Matt Meeker, of Alpha Pi Mu represented Alpha Pi Mu at this interview. The representatives were questioned as to the purpose of their organization and the planned use of the funds. Because of the foundations of Alpha Pi Mu as students who have shown exceptional academic interests, abilities and leadership in the field of industrial engineering we were awarded $750 even though we only requested $515. The email from the Rainy Day Committee is shown below.

Each year every recognized student organization at OSU is able to apply for AFAP funding. This is a highly competitive application process and Alpha Pi Mu officers spent several hours planning the budget for the school year of 2009 – 2010. This application was submitted to the Student Government Association - AFAP Committee for further review. Two Alpha Pi Mu officers attended the interview on behalf of Alpha Pi Mu. The treasurer, KL Liew, and the president-elect, Matt Meeker. KL and Matt defended the application put forth by Alpha Pi Mu and described in detail what the funds would be used for as well as the purpose of Alpha Pi MU and it’s role within the university. Below are summary of the Alpha Pi Mu application for AFAP, and a copy of the email awarding Alpha Pi Mu $150 for the 2009 – 2010 school year, as well as inviting us to interview for the possibility of more funding.

The Oklahoma State University Chapter of Alpha Pi Mu recognized the need to present professional documents, awards, and other materials. The officers decided to investigate an embossing seal that could be used to present more professional looking documents. The officers worked with their advisor and emeritus faculty to develop several designs for a seal. Two of the officers traveled to local companies to research manufacturing capabilities and gather quotes. The officer team developed the seal shown below.

After the webmaster graduated in the fall of 2008, Alpha Pi Mu was left without someone knowledgeable in website development. Knowing that this must be fixed, the officers contacted the former advisor of Alpha Pi Mu who had helped to develop the original Alpha Pi Mu website. Dr. Allen Schuermann agreed to meet with several of the officers. Giving up a day of their spring break, president Thomas Hong, president-elect Matt Meeker, and Dr. Schuermann met on Friday, 3/20/09 to learn how to use website development software. Dr. Schuermann’s continued cooperation with Alpha Pi Mu is an example of the excellent Alumni relations that we have strived to create. Dr. Schuermann’s valuable insight has allowed the officer team to quickly take control of the website and update it to reflect current activities.

One of those events was the Industrial Engineering and Management Halloween party. This was a great event for Alpha Pi Mu because it gave current members a chance to meet many of the freshmen and sophomore industrial engineering students and speak with them about the purpose of Alpha Pi Mu. We provided pumpkins and carving tools and allowed those present to form teams. The team consisted of undergraduate students, graduate students, and faculty. At the end of the evening a prize was awarded to the pumpkin voted best carved. The pictures below are from that event.

The IAB is a wonderful organization of industry professionals who meet on a semi-annual basis to discuss industry trends and curriculum with our faculty. The goal of the IAB is to be the industry “eyes and ears” for our department and faculty in order to keep our program up-to-date and industry focused. The dinner is attended by IAB members and students only; no faculty members are allowed. This provides an opportunity for candid feedback concerning the School of Industrial Engineering and Management (IEM). The members of Alpha Pi Mu attend this event and input valuable comments that can aid in the betterment of the IEM program.

3 - Betterment of the Field of Industrial Engineering Name of activity: Industrial Advisory Board Luncheon Date(s) of activity: 11/21/08 Number of members involved: 8 Documentation of activity: As mentioned in 2 – Betterment of the Field of Industrial Engineering, each semester our department hosts a group called the Industrial Advisory Board (IAB). The IAB’s purpose is also found in the previously mentioned section. The luncheon, sponsored by Alpha Pi Mu, is held mid-day on Friday and gives students a chance to talk with members of the IAB in an informal, relaxed atmosphere. Students enjoy the chance this luncheon gives them to discuss the Industrial Engineering profession with someone who is currently employed in the field of Industrial Engineering. 4 - Betterment of the Field of Industrial Engineering Name of activity: IIE/Alpha Pi Mu Welcome Back Party Date(s) of activity: 2/3/2009 Number of members involved: Documentation of activity: Alpha Pi Mu teamed up with the Institute of Industrial Engineers to host a welcome back party at the beginning of the Spring 2009 semester. This gave the students a chance and faculty a chance to spend time together outside of the classroom setting. This opportunity was great for developing student to student and student to faculty relations and promoting the goals of Alpha Pi Mu. Alpha Pi Mu sponsored the “cookie assembly line” portion of the evening. This event exhibited basic industrial engineering techniques as the student attempted to assemble the most cookies possible in one minute. After each round the student-faculty teams analyzed their process and made improvements. At the end of the evening the winning team received a special prize, but everyone went home with plenty of cookies.

Of those in attendance, 5 were members of Alpha Pi Mu. These members represented OSU very well. One of the Alpha Pi Mu members, Marcus Concienne, competed in the Technical Paper Competition and received first place. He will be traveling to Florida to the national conference to represent OSU, IEM, and Alpha Pi Mu. We are sure he will do an excellent job. 6 - Betterment of the Field of Industrial Engineering Name of activity: Alpha Pi Mu Student Award Development Meeting Date(s) of activity: 3/7/2009 Number of members involved: 5 Documentation of activity: During the Spring 2009 semester, the officers of Alpha Pi Mu spoke with the faculty of the school of Industrial Engineering and Management (IEM) and recognized a need for student awards to honor outstanding work within the school. With this in mind the OSU Chapter of Alpha Pi Mu began to plan what would eventually become known as the Alpha Pi Mu Student Awards. These awards would be open to anyone within the School of IEM The officers decided upon 3 awards that would be given out each semester. The three awards are as follows:

1) Outstanding Teaching Assistant Award 2) Outstanding Research Assistant Award 3) Student Leadership Excellence Award

With the three awards decided upon, the officer team began countless hours of research and development working towards well crafted awards. Based upon fundamental criteria similar to those of Alpha Pi Mu (scholarship, leadership, ethicality, sociability and widespread interest) the executives had a meeting on 3/7/2009 to compile all individual development and to compose a draft of all materials to be presented at the monthly faculty meeting for their input. In interest of promoting healthy relations between the Alpha Pi Mu students and the faculty, the officers thought it important to include the faculty as much as possible in the development of the awards. 7 - Betterment of the Field of Industrial Engineering Name of activity: Alpha Pi Mu Student Award Presentation to Faculty Date(s) of activity: 3/28/2009 Number of members involved: 5 Documentation of activity: On March 28th, 2008 two officers of Alpha Pi Mu presented our development regarding the awards to the faculty at the monthly faculty meeting in the School of Industrial Engineering and Management (IEM). The faculty expressed great appreciation for the work that Alpha Pi Mu had put forth and noted that they agreed entirely that awards such as this were needed to honor the excellent students within the IEM program. After over an hour of discussion, the Alpha Pi Mu representatives left the meeting with the entire faculty backing their efforts. The following is an excerpt from the notes given by the faculty.

• All three awards should be awarded this semester. • TA / RA of previous semester does not include summer semester. • ‘Student should be on campus’ is good, as the part - time or on - line students are generally not

involved with TA / RA activities. A student enrolled in Stillwater campus and is a TA for Tulsa campus is rare and should be allowed in that case.

• The number of faculty recommendations as three are more for RA award. The number of recommendations should be standardized for TA / RA / Leadership awards.

• The award name should be changed to OSU IEM – APM Student Teaching Assistant Award, other modifications are welcome.

• The recommender should not be anonymous and APM officers should take great care of confidentiality.

8 - Betterment of the Field of Industrial Engineering Name of activity: Alpha Pi Mu Student Award Finalization Date(s) of activity: 3/30/2009 Number of members involved: 5 Documentation of activity: On March 30th, the officer team met a final time in regards to the awards. At this meeting we finalized all of the materials as well as the evaluation materials to be used by the judges (see 6 - Betterment of the Field of Industrial Engineering for the material list). Upon completion of this work the officer team had dedicated over 100 hours to the development of these awards. Following this meeting the officers, with the help of the faculty began promoting the awards. The flyer shown below was used for promotions. The Alpha Pi Mu officer team arranged a partnership with the Industrial Advisory Board (IAB) so that the awards could be presented in front of a crowd of students, faculty, and industry personnel.

The College of Engineering Architecture and Technology (CEAT) Student Council (STUCO) is one society that benefits from the involvement of Alpha Pi Mu members.

The CEAT Student Council has been expanding the reach of the college with the CEAT Freshman Council and the CEAT Ambassador Program. The CEAT Freshman Council is selected in the fall, and serves as a training and leadership tool to twenty of our college's aspiring freshmen. Our newest addition, the CEAT Ambassador Program, serves in the high school relations department by presenting some of the best our college has to offer too many prospective Cowboys. One of the largest activities in the spring semester is CEAT Week. The entire week is dedicated to celebrating the accomplishments of the students in the College of Engineering Architecture and Technology. The members of Alpha Pi Mu volunteered throughout the week to help make it a success.

Involvement by Alpha Pi Mu members in such activities help not only to promote the field of Industrial Engineering but also encourage those individuals to strive for excellence so that they too can be commended as leaders in their field. 2008-09.

During the past year, OSU’s Alpha Pi Mu chapter turned in an outstanding performance, unprecedented in the

recent years. It has significantly enhanced its already strong engagement with the school of Industrial

Engineering and Management, the College of Engineering, Architecture and Technology, as well as the

community at large. The officers and members continue to provide academic, professional and community

leadership among our undergraduate as well as graduate students in multiple ways, and have brought repute

to our school in many different ways. As you may have gathered the APM chapter during the past year has

sponsored multiple activities, including several social events, professional meetings involving the industry and

academe, web Blogs that describe IE experiences to those considering IE as an option, active participation in

research activities, which have taken a substantial upswing in the last couple of years, and last, but not the

least, the institution and coordination of Outstanding Student TA, RA and Leadership Awards in our school. The

chapter has also coordinated scholarship awards (through the national program). Teaming with other student

organizations the chapter has undertaken some community activities, which given the limited time availability,

is truly admirable.

Very pertinently, the recent activities of OSU’s APM chapter have drawn the attention and interest of every

cross section of students from our department, and have made every bright and active student in the

department to aspire for a membership in our chapter. As a consequence of this broader interest, we now

have a diverse team of officers and active members who provide an excellent balance of views representing

the diversity of the department in terms of gender, ethnicity, level of education, and area of specialization.

The Chapter looks forward to build on these outstanding initiatives and collection of activities during the next

year. The Oklahoma State Chapter of Alpha Pi Mu is privileged and proud to submit this report.
