homegrown software to produce documents, and most of them were printed. Then, we chose OpenText StreamServe. The big advant- age is that we can integrate very well with what we have and it’s much more flexible. When we had to change a document in SAP® to get a good printout, it was quite a job, and now with StreamServe it’s much easier,” explains Fransen.

The team at Marel reports that selecting StreamServe was easy. They were shown the solution at an ERP event and realized it was exactly what they were looking for.

“We were very impressed by the ease of use and especially by the easy connection to SAP—and those were the main reasons for choosing StreamServe,” states Fransen.

“We find it’s much easier to send one docu-ment to a printer now, but we can also be even more flexible and send it to two other places. For example, you can make a printout of something, and at the same time you can create an entry in a database for a shipment agency. That would have been much more difficult just with SAP. StreamServe adds much more flexibility.”

faster, more efficient processesMarel communicates with customers in many ways via paper, email, fax, and even Electronic Data Interchange (EDI). The types of documents used include produc-tion papers, assembly papers, and bills of material, as well as sales invoices, sales orders, purchase orders, and drawings, and StreamServe helps with all of this.

“We use StreamServe, for example, with purchase orders. Before, when we had to purchase something that needed a draw- ing to go with the purchase order, we had to print out a purchase order and then log on to the other system, print out a drawing, put them in an envelope, and send them to the supplier. Now we get the purchase order from SAP, and StreamServe looks at the purchase order, sees if there are any drawings available in the Product Lifecycle Management (PLM) system, and adds those drawings automatically to the purchase order. Then the purchase order is sent off through email,” says Fransen. “That saves a lot of time.”

“It’s even protective in some cases. If some- one tries to order something from a drawing that has a wrong status or has not been released, StreamServe checks the status and sends an email to the purchaser saying, ‘Okay, you want to purchase this, but watch out: the status is wrong.’ And that’s very helpful,” adds Fransen.

The main stakeholders are Sales, Production, and Purchasing, but Marel uses the solution throughout the entire internal organization, and Fransen reports that the users “are quite happy with it.”

easy implementationImplementing the OpenText solution was so easy that the team at Marel continues to expand its use. “Installing StreamServe and getting the first documents out is not that difficult, but I don’t think it’s ever finish- ed; it’s an ongoing process. Documents have to be changed; a new document has to be added. So it’s really never finished,” says Fransen.

“The ROI is very difficult to capture, but we are so much more efficient because of StreamServe,” states Fransen. “It saves at least 50 percent of the time we would’ve spent on certain processes, and that’s a worthwhile savings.”
