Historic Downtown Plano Association Meeting Minutes November 2, 2015 9:00 AM event1013 1. Call to Order introductions Mona Crider, HDPA President 2. Old Business a. Financial Report Barbara Minchillo, HDPA Treasurer i. As of End of September 1. Cash on hand $21,564 2. Liabilities $10,066 a. Funds for ED position 3. Expenses $985 a. Quickbooks & Block Party b. Police Report Officer Chris Semrau i. No major issues going on. 8 total arrests in the downtown area, none of which were major. ii. Parking is still an issue. Remember that if you’re parked on 15 th or K Ave., the officers are ticketing. Be sure to let new employees know about the parking passes and where they work and where they do not. iii. Doing a lot of work in the park to make sure there aren’t any issues with people coming up from DART. iv. Be mindful of safety. Lock your doors, hide your belongings, and take your keys, always. Don’t get too comfortable and remember to call 911 if there are any questionable things going on. v. No issues at Steinfest from a police perspective. Everyone was on their best behavior. c. Event Schedule Lisa Ringle, HDPA Executive Director i. Steinfest briefing 1. Est. 2,000 people in attendance. 2. Tickets were used for food and drink purchases. 3. Strong alcohol sales. 4. Retail sales of mugs and tshirts. Learned a lot about that side of things and will try to do more in the future. We still have some glass mugs and tshirts left, so please purchase if you’d like. You can purchase to resell in your stores. 5. There is a survey on the website and the HDPA Facebook page. Please take time to fill it out. 6. Weather ended up working out in our favor. 7. Press picked up on all of the activities at the event (keg bowling, stein dash, etc.) and gave a great response. 8. Great coverage from Plano Magazine, Community Impact, Plano Profile, DMN, Dallas Observer, and Plano Star Courier. 9. Things being considered for next year: Day of the week, tightening the footprint, shortening the event time, adding more vendors, etc. 10. We must focus on sponsorships for next year in order to make a net profit. 11. Vendors should be ready today (11/3). 1. We  will  hold  our  annual  Dine,  Drink  &  Shop  event  alongside  Dickens  in  Downtown  Plano  (December  4,  2015,  6-­‐10  PM)  

2. Merchants/Restaurants  offer  discounts/coupons  good  on  Tuesday,  December  8.    

3. We  will  stuff  100  bags  with  the  coupons  and  hand  them  out  at  Dickens  for  attendees  to  come  back  to  downtown  Plano  and  redeem  the  coupons.    

4. All  participating  restaurants/merchants  will  also  donate  15%  of  their  net  sales  for  the  day  back  to  HDPA  to  help  add  funds  to  the  bottom  line  to  begin  fundraising  for  2016.  

iii. 2016  Event  Schedule  (All  dates  are  still  tentative)  1. Calendar  dates  will  be  finalized  in  the  coming  weeks.    

a. Poker  Tournament-­‐  March  25,  2016  b. Night  Out-­‐  May  22,  2016  c. ArtFest  (formerly  Chalk  It  Up)-­‐  September  10,  2016  d. Steinfest-­‐  October  22,  2016  

2. Depending  how  we  end  2015  financially  and  potential  sponsorships  in  2016,  we  could  possibly  look  into  hosting  a  music  series  in  McCall  Plaza,  but  right  now,  that  is  not  a  for  sure  thing.  

d. Advertising/Promotion  Updates  i. Website-­‐  www.visitdowntownplano.com  

1. Ken  Wesley  (Supreme  Dream  Photography)  has  been  contracted  by  HDPA  to  maintain  and  edit  the  website.  

2. In  the  coming  weeks,  we’ll  add  a  live  music  schedule  to  the  website.  If  you  want  to  add  your  store’s  live  music,  you  will  need  to  submit  those  calendars  to  Ken  Wesley  every  two  weeks.  

3. We’re  also  adding  an  “In  The  News”  section  to  cover  all  of  the  press  HDPA  &  Downtown  Plano  has  been  getting.  

4. Revising  the  gallery  placement  on  website  ii. Kiosks  

1. First  putting  focus  on  kiosk  between  Angela’s  and  La  Foofaraw.  We  put  the  new  information  up  prior  to  Steinfest,  but  due  to  poor  paper  quality,  the  paper  couldn’t  withstand  the  humidity  and  had  to  be  taken  down.  We  are  getting  the  same  artwork  on  plexi/board  to  give  a  more  permanent  option.  

2. We’ll  also  have  a  “Coming  Events”  section  that  will  be  updates  twice  each  month.  HDPA  members  will  have  first  priority  on  events  that  get  posted.    

iii. Street  Flags  1. Four  versions:  Eat,  Shop,  Relax  &  Play  that  will  be  put  on  the  light  posts.    

3. New  Business  a. Guest  Speaker-­‐  Erick  Pascoe,  Critical  Mass  Plano  

i. Casual  bike  ride  held  in  cities  nationwide  on  the  last  Friday  of  every  month.  The  point  is  to  remind  motorist  that  bicycles  are  vehicles  entitled  to  use  city  streets.  Plano’s  critical  mass  is  also  a  fun  way  to  meet  people,  hoping  to  attract  a  friendly  crowd  that’s  happy  to  spend  a  couple  of  hours  exploring  together  without  knowing  the  destination  point.  The  ride  is  slow  enough  to  welcome  riders  of  all  skill  levels  and  ends  at  a  different  bar/restaurant  each  time.  

ii. First  Date:  Friday,  November  6,  2015  iii. Meet  up  starts  at  7  PM;  Ride  starts  at  8  PM  iv. Location:  Historic  Downtown  Plano  v. Target  Audience:  Plano’s  cyclists  groups  and  anyone  interested  in  a  fun,  friendly  show  

ride  through  the  city  streets  with  the  destination  point  being  a  local  bar.  vi. Shinola’s  involvement:  To  provide  back  patio  to  display  Shinola’s  lineup  of  bicycles,  have  

musician  or  DJ  play  music  for  meet  and  greet  hour  and  overall  venue  to  start  bike  ride.  

vii. Budget  (based  on  50-­‐100  riders):  Musician  or  DJ  $150-­‐$250,  t-­‐shirts:  $400-­‐$750,  water  bottles:  $300-­‐$400,  Fliers/Posters:  $200-­‐$400  

viii. Target  Sponsorships:  Shinola  Detroit,  Urban  Crust,  Urban  Rio,  Kelly’s  Eastside,  The  Fillmore  Pub,  Vickery  Park,  Brix  Bar  &  Grill,  Angela’s  at  the  crosswalk,  Lockhart  BBW,  Plano  Cycling  &  Fitness,  REI  Plano.  

ix. T-­‐shirts,  water  bottles,  etc.  featuring  the  downtown  logo  and  “Critical  Mass”  logo  to  act  as  marketing  effort  behind  the  events.

b. 2016  Voting  i. Board  of  Directors  

1. We  had  a  lot  of  people  apply  to  be  on  the  board.  We  used  the  guidelines  set  in  the  bylaws  (member  in  good  standing  of  HDPA  for  at  least  one  year)  in  order  to  complete  the  slate.  

2. Once  votes  are  counted,  the  final  vote  and  list  of  2016  board  members  will  be  sent  out.  

ii. Meeting  Schedule  1. HDPA  Board  Meetings  (4  PM;  locations  will  be  sent  out  with  the  meeting  

agenda)  a. January  4,  April  4,  July  11,  October  3,  October  24  

2. General  Meetings  (9  AM;  event  1013)  a. January  5,  February  2,  March  1,  April  5,  May  3,  June  7,  July  12,  August  

2,  September  6,  October  4,  November  1
