BACKGROUND INFORMATION

The office of Continuing Education and Workforce promotes life-long learning by extending the resources of Florida Keys Community College. Self-supporting programs which build on the strengths and expertise of Florida Keys Community College faculty, adjunct staff and community subject matter specialists. The office of Continuing Education and Workforce develops and offer non-credit continuing education offerings that are responsive to the professional/career development and personal enrichment needs of individuals as well as business and industry.

BACKGROUND INFORMATION

The Purchasing Office continually maintains a list of assets of the College and updates the lists when items are no longer of value. Property is disposed of when items are broken, antiquity or obsolete and are taken off the fixed asset listing.

FKCC Board of Trustee Faculty Council Report: January 23, 2012  

It is almost midterm, and faculty and students alike are busy preparing for upcoming exams.  We have noticed a change in the student’s attitudes this semester.  They are a group of eagerly engaged students who seem hungry for knowledge. This we welcome as well as appreciate.  We also appreciate Dr. Tyree stepping up to the call to answer the need for a more watchful eye on retention and recruitment efforts.   The faculty believes that Dr. Tyree made an excellent choice in Gavin McKiernan as the new director of Enrollment Management.  Gavin was amazing as the QEP Coordinator and we are certain she will thrive in this new role.  Faculty members are also interested in increasing enrollment by pursuing grant opportunities for applied undergraduate research.  These efforts are vital to the health of our college.   Another vital need of our college is improved technology in the classroom. Many classrooms rely on wireless technology to access the Internet, because there are no wired drops in the classrooms. Many instructors wish to access the Internet in class for many reasons, one being the ability to use Desire2Learn, our learning management system. In most cases, the wireless access is so slow that the technology is rendered useless. Instructional time is precious and it cannot be wasted waiting for data to download.  The faculty hopes that this is a priority in the college’s upcoming budget.  Lastly, the faculty is very interested in the Presidential Search.  It is worth noting that there was a strong faculty presence at the last committee meeting.  Faculty members hope the new President is committed to applied undergraduate research.  Respectfully submitted,  Dawn Ellis FKCC Faculty Council President

_____________________________________________________________________________________Date:  February 15, 2012 To:      Board of Trustees From: W. Jean Mauk Subject:  Vice President Business and Administrative Services Report _____________________________________________________________________________________  Vice President’s /Controller’s Office The annual financial audit is still underway, requiring explanations and provision of additional information to the audit staff.  The beginning of the legislative session in Tallahassee has also resulted in additional information requests for the Florida Division of Colleges staff.  The next few weeks will see the beginning of the annual budget preparation for FY 2012‐13.  Florida Keys College Campus Foundation  The Lagoon Landing full time resident count remains at sixty eight for the spring term.  We have provided accommodations for a full time faculty member of the Key West Charter High School for the last two weeks of February.  We have also begun receiving inquiries from students who will be attending courses held by RYCAM on the campus in March.    The bond council responsible for preparing the trust indenture for the bond agreement is working with the underwriter to revise the document.  Several items in the agreement need revision for clarity and improved operations.  Business  Office The Business Office completed production of 123 W2s, 23 1099s and 1520 1098T tax forms for employees, vendors and students during the month of January.  The office was also busy with spring registration and student checks for financial aid recipients.   Purchasing and Plant Operations Lagoon Landing – We have 36 new applicants for the fall 2012 semester. A student governance committee is currently being formed. Lagoon Landing’s student government committee (LLSGC) provides a student voice regarding the community environment and contributes to the overall governance of the residence hall. LLSGC explores and initiates educational, social, and recreational programs on campus and also influences Housing policies.   Marine Technology Building – This project is currently on hold pending review of PECO Fixed Capital Outlay Reversions by Governor Scott. A report is due from Tallahassee by the end of February.  Student/Testing Center – Construction is scheduled to be complete by the first week of March. The furniture is currently being stored at the vendor’s warehouse in Miami and will be released for delivery early March.  

Public Safety Air Handler ITB– The Invitation to Bid Legal Notice for the replacement of the air handler in the public safety building was posted online and in Key West Citizen on January 8. A mandatory pre‐bid conference will be held on January 30 at 1:00pm. All bids are due by February 13, 2012. The public bid opening is scheduled for 3:00pm on February 17.  The project will be re‐evaluated for hold pending the bid amounts.  Maintenance – The maintenance staff continues to perform necessary campus wide preventative maintenance. Under the leadership of Greg O’Flynn the maintenance staff continues to provide a high level of professional service to the entire college community.  Greg and staff are currently reviewing options and cost for additional security cameras and janitorial services.  

 

Public Safety Building – Room P221 is currently being converted to be utilized as an IUTS (Instruments Underwater Training Systems) designated room. Furniture has been ordered. Flooring, electrical and painting is scheduled for March completion.  An evaluation of the roof was recently completed by a representative from Foam King Roofing. A quote for the necessary repairs is currently being prepared for FKCC’s review.   Information Technology Office IT Director, Bryan Gilchrist, has been asked to serve on the Sungard Technical Advisory Board. Sungard provides software services to colleges  and  universities  nationwide. They have also invited Bryan to attend their annual summit meeting at the end of the month.  Due to his efforts to assist Sungard on various issues and understanding our limited financial resources, Sungard has offered to pay his expenses for this trip.  The department has worked on various projects over the past month including:  

• Completed Academic Works interface for student scholarships • Mobile app for student info @ Apple Store • HR Health Check‐up for Banner • Digital Transport Adapters for Lagoon Landing Cable TV • Upgrading Banner Enrollment Management • Telephone Work new Student Success Center • Preliminary contact for IUTS electrical/data work • Repair/Maintenance of wireless access points • Technical assistance on office relocations • Testing Center computer Prep • Intern mentoring for computer science program student • Computer Lab security review and maintenance • Software installations • PBX maintenance • Continued e‐mail migration to live.edu • Created Faculty Profile template for website • Continued work with various departments on website updates • Work‐student mentoring • During the past month the local Help call line received 650 calls, most from students seeking 

assistance

Memorandum DATE: February 21, 2012 TO: Board of Trustees FROM: Brittany Snyder SUBJECT: Provost Report FKCC students are heading into mid-term exams for many 15-week courses. The spring term continues to move forward. The College is currently putting the finishing touches on the 2012-13 Annual Schedule. The units within Academic Affairs have a variety of initiatives in progress. The following are some highlights: Quality Enhancement Plan The excitement and positive energy continues with the Island TIME courses and the Student Success Center (SSC) in Key West. The SSC is active with an average of 65 weekly scheduled appointments so students can complete quizzes/tests for the Island Time courses. In addition, the Wall of Success has begun with our exciting and well received announcement of the SSC Students of the Month for January 2012; Marissa Quint and Thomas Rossano. Our Island Time instructors nominate the students and the SSC tutors select the winners. With the great support and guidance from our Island Time instructors and SSC tutors/lab assistants, the students are transitioning onto a pathway of success.  Passport Acceptance Agency Since April 26, 2011, the Passport Acceptance Agency has processed 816 applications. Continuing Education The Office of Continuing Education and Workforce will move in March into the newly renovated facility next to the Campus Café. FKCC received a donation of circuit training equipment and began offering circuit training monthly enrollment, which began February 1, 2012. We currently have 15 members signed up and approximately 10 employees. Learning Resource Center (LRC) The reading discussions for the “Let’s Talk About It” grant have been successful with about 10-16 attendees. Many of them are community members using our library for the first time. The attendees have mentioned how much they are enjoying the discussions with Sharon. Sharon Farrell and I are discussing the possibility of turning this into an annual event and tying it to our civil war community celebrations. We partnered with the librarians from the Monroe County Public Library and hosted a workshop on how to use Overdrive, their eBooks console. Our students, faculty and staff have access to use the console as per our reciprocal agreement. There was standing room only with over 27 patrons attending and summarizing that they would most likely attend another workshop. They also mentioned on their survey that they would like to see our library offer eBooks through Overdrive. The Director met with Phyllis Pope, the Media Specialist for the Key West High School and reviewed eResources available to the Dual Enrolled students as well as open source resources accessible to all students in the state of Florida. Our eResources are paid with legislative funds and only accessible to students currently enrolled at FKCC. Visiting guest author, Bonnie Doerr presented on the process of writing and getting published to the English comp students of Hiliary Parmentier with other students and faculty attending. Our current gallery exhibit, “A Day in the Life… a collection of photographs” is coming to an end on February 29th. Our next show, “Images & Inspirations” by Amanda Johnson and “Drawing in Space” by Jim Racchi will run March 5 through April 13, with the opening reception being catered by the Key West High School culinary students on March 14th from 5:30-6:30.

Institutional Effectiveness/SACS Dr. MacWilliams and Julie Bailey will be working with QEP Coordinator, Nadia Hall and VP of Business and Administrative Services, Jean Mauk on our written response to SACS. We plan to complete our drafts by March 16, prior to spring break and have our consultant Dr. Jones review our responses by April 6th. FKCC’s response is due to SACS before April 20th.
