The launch of FileFinder Anywhere has had a dramatic impact on our business. Orders are up 20% in the 12 months since it was announced, and new clients are signing up and existing clients upgrading on what seems a daily basis. More to the point, feedback from users has been terrific. The upgrade process is quick and simple for clients on FileFinder 10 (a little more involved for clients on our legacy platform!) and users love the suite. A new Desktop platform with superior LinkedIn integration. A new Outlook App. Mobile access. The only Outlook Web App in the market. Significant browser access. Faster and easier to use than FileFinder 10 – and available virtually anywhere – it is a unique offering to the Search industry. In order to further streamline user adoption of FileFinder Anywhere, we now offer a brand new training strategy along with new Monthly Training Clinics, free for all supported clients. These sessions have been structured by our new training manager, who joined us from Egon Zehnder International. Find out all about the new sessions on page 6. We are also making the product available to more clients. On November 1st, we add a new regional cloud Hub in South America. This joins our existing Hubs in the US, Europe, Asia and Australia and ensures that our clients around the World can benefit from our hosting services without suffering excessive latency. Welcome to the September 2015 edition of the FileFinder Client Newsletter.

Where have the past six months gone? After almost 20 years at Dillistone Systems, I can’t remember a busier or more exciting time.

The launch of FileFinder Anywhere has had a dramatic impact on our business. Orders are up 20% in the 12 months since it was announced, and new clients are signing up and existing clients upgrading on what seems a daily basis.

More to the point, feedback from users has been terrific. The upgrade process is quick and simple for clients on FileFinder 10 (a little more involved for clients on our legacy platform!) and users love the suite. A new Desktop platform with superior LinkedIn integration. A new Outlook App. Mobile access. The only Outlook Web App in the market. Significant browser access. Faster and easier to use than FileFinder 10 – and available virtually anywhere – it is a unique offering to the Search industry.

In order to further streamline user adoption of FileFinder Anywhere, we now offer a brand new training strategy along with new Monthly Training Clinics, free for all supported clients. Upgrading to

Is FileFinder Anywhere a Cloud hosted application?We allow our clients to have the choice. FileFinder Anywhere may be hosted in the Cloud; we use a range of Cloud hosting facilities, including both Microsoft Azure and Amazon Web Services, and these may be found in five countries across four continents. However, subject to suitable technical specifications, clients may also host the product themselves. FileFinder Anywhere also supports data synchronization for clients with multiple offices. Further details on our Cloud hosting facilities are available upon request. If you choose to host internally, additional fees apply for the SSL certificate.

What will upgrading to FileFinder Anywhere cost?If you are currently using FileFinder and have a valid support or subscription contract, we will not charge license fees for either FileFinder for Desktop or for the desktop element of FileFinder for Outlook.

In terms of time taken to do the upgrade - if you are currently using FileFinder 9 or earlier, the upgrade is a fairly significant process and may take a number of days. However, if you are currently using FileFinder 10, the process is relatively simple and will typically take in the region of half a day (although it may take longer under certain circumstances). Whichever version you are upgrading from, we will charge for the time taken to do the work and for any training.

FileFinder for Browser is an optional add-on with a subscription payable. The subscription includes the cost of FileFinder for Mobile and the plugin for the browser/iPad element of FileFinder for Outlook.

Which version of Outlook do I require?If you are using FileFinder for Desktop only, you will require the desktop version of Microsoft Outlook (versions 2010 onwards). If you are using FileFinder for Browser, you will require the Outlook Web App, which is part of Office 365. To be clear, users using FileFinder on the Desktop do not need Office 365 – this is only required for users wishing to manage emails through the browser. Please note that the cost of Office 365 is not included in the cost of FileFinder Anywhere.

Can I use FileFinder for Browser without FileFinder for Desktop?No. Currently, approximately 70% of the functionality within FileFinder for Desktop is available in FileFinder for Browser, so FileFinder for Desktop is required. We anticipate the addition of functions to FileFinder for Browser over time, but certainly functionality such as the Research Zone and Web Profiles cannot currently be delivered through a browser for both technical and legal reasons.

Can I use FileFinder on my Mac?Yes. FileFinder for Browser works on a range of browsers, including Safari. Emulation software is not required. If you wish to run FileFinder for Desktop, you will require an emulation tool such as Bootcamp. As mentioned above, at least one user will require FileFinder for Desktop on a PC.

How can I upgrade to FileFinder Anywhere?The demand for FileFinder Anywhere is high and we implement the product on a first come, first served basis. If you would like to upgrade, please have a look at the next page to see your upgrade options at a glance and contact your Account Manager to start the process.

– Frequently Asked QuestionsWhat is FileFinder Anywhere?FileFinder Anywhere is a suite of complementary tools designed to allow your users to access your FileFinder database from virtually any device. All of the tools connect to the same database, which means that any change on one device is immediately available on the others. The product is made up of four tools, three of which are FileFinder for Desktop (an upgraded version of FileFinder 10), FileFinder for Mobile (a cut down browser app optimized for small screen devices) and FileFinder for Browser (a cutting edge HTML5 web app that delivers approximately 70% of the core product functionality through a browser). FileFinder for Outlook, the fourth tool, offers two new Outlook Apps that allow you to manage your business data without leaving Outlook. One of the apps is designed to sit inside the desktop version of Microsoft Outlook; the other is designed to sit within the browser version of Outlook.

Upgrading to Upgrade Options

for current FileFinder 10 clientsOption 1: Upgrade to the latest version of FileFinder 10 (v10.8.9)

Cost: FREE of CHARGE for clients with a current support, development or ASP contract

Version 10.8.9 includes some significant speed and stability improvements over earlier versions of FileFinder 10.

Option 2: Upgrade to FileFinder Anywhere

Cost: Software (including the new Outlook plug in) is FREE of CHARGE to supported or hosted clients. Implementation time may vary, but £425 / €575 / $650 is typical for smaller clients. The Browser enhancement is an additional £10 / €12 / $15 per user, per month if required.

for clients using FileFinder 9 or earlier releasesFileFinder 10 and FileFinder Anywhere are on an entirely new technology to FileFinder 9 and its predecessors.

As a result, companies wishing to upgrade need to fill in the Site Survey and the Upgrade Qualification Forms. The upgrade process also requires data mapping for data migration, which is followed by the test data migration and then the live migration. Training is also required. Once we have reviewed your site survey, we can provide a quote. Please note that a support contract is mandatory for upgraders.

FileFinder Anywhere is the latest version of FileFinder. In addition to benefitting from speed and stability enhancements, users of FileFinder Anywhere can benefit from our entirely new Outlook add-in (provided free of charge) and a number of other product updates.You also have the option of upgrading to the Browser version of FileFinder, which enables users to access key business information through a browser on virtually any device, including the Apple Mac and the Chromebook. Our brand new Web App allows clients with an Office 365 account to access FileFinder via Office 365’s version of Outlook.

NewTraining structure

Dillistone training structure is changing from July 1st, 2015 from existing 3 hour classes to 2 hour sessions. We are excited about the primary benefit of the shorter duration which is easier for users to absorb. All sessions are delivered by experienced FileFinder trainers with hands on attendee participation.

The basic classes will be broken into Sessions A, B & C each lasting 2 hours followed by a 2-hour Admin session for FileFinder database administrators.

Session APeople and Company Modules; this session is designed for entering good quality data, importing LinkedIn profiles of Executives as well as importing information from Companies’ websites. This section also covers how to run People and Company reports from the system.

Session BAssignment Module; this session is all about managing Assignments from Business Development stage, Opening an Assignment, Attaching Job Specifications, Proposals or any other relevant documents to be sent out later to Candidates (Bulk Emailing as well as creating new Email Templates), Managing Candidates and Sources from Long List Stage to Placement as well as Recommendations provided by Sources and Creating Status Reports for Clients. This session is designed for all users at any Executive Recruiting Firms and any Corporate Recruiter who is using FileFinder.

Session CImporting Data in Bulk, Running Queries to Build Re-usable Lists, Research Zone for various websites and Overview of Outlook Add-In. FileFinder

Historically, interaction with company information and applications primarily took place in the office typically using a Windows PC or Laptop owned and controlled by the company. An employee requiring access to the company database would do so from their work PC or laptop with a desktop installed application. Managing their inbox was done through the Outlook desktop client. Access outside of the office usually required an installed VPN connection. Browser e-mail clients did exist but typically they were nowhere near as powerful as their desktop equivalents and couldn’t interact with any other company applications.Today a number of different trends have radically altered this picture. The ubiquity of online access means that communication is now highly portable. The rise of powerful mobile devices means that the Windows OS no longer dominates and consumption of data is no longer just from the Office PC but instead from Home PCs, Macs, Tablets and phones. To remain competitive companies need technical solutions in place to meet the demands of a highly mobile, always connected business environment.We believe that the war for talent is increasingly global and that, as such, executive recruiters need to be able to interact with clients and candidates, around the clock from any location. The FileFinder product suite has been created specifically to support executive recruiters and to allow them to be productive no matter where they are based or what devices they have with them.

Having been the ‘coming thing’ for a number of years browser based applications can now offer the same richness of experience as their desktop equivalents. Delivery through the browser is now becoming the prevalent delivery model for line of business applications. If we look at the CRM space for example, the CRM software market is fundamentally shifting with Gartner predicting a tipping point this year with more than 50% of CRM deployments being SaaS deployments rising to 80-85% in 2025. The vast majority of CRM software is now delivered in a browser.If we look at the advantages of SaaS delivered browser applications it becomes clear why we are seeing such a shift in the CRM space and we can see how closely the FileFinder suite offers the same advantages.

Runs on any OS/Device: Browser applications will run on anything that has a fully-functional browser whether this be a PC a laptop or a tablet or a Mac.

Ability to work from anywhere: As long as employees have internet access, they can work from anywhere and indeed at any time.

Ease of deployment and update: Browser based applications are simpler to deploy and much easier to keep updated to the latest version.

Security Desktop applications frequently require local data to work efficiently. If confidential data is stored on an employee’s lap-top, it is difficult to ensure that this information is properly secured.

Reduced Capital Costs: As the processing is taken away from the desktop less capital investment is required to update devices.

If we look at how FileFinder Anywhere matches-up: Runs on any OS/Device: FileFinder for browser supports Chrome, IE, Firefox and Safari for Macs meaning that it can be run across multiple devices. No desktop software is required and nothing needs to be installed. So for example it will run just as well on a Mac as it will on a PC or laptop. For smaller screen devices our Mobile product will work on Android phones, iPhones, Blackberry phones and Windows phones.

Ability to work from anywhere: As long as employees have internet access they can use FileFinder. Critically our FileFinder Office 365 Outlook app allows employees to manage their e-mails straight from their inbox and to interact directly with FileFinder recording e-mails, replies, importing candidates and linking them to assignments for example. While Outlook for desktop Add Ins only work on Windows, Office 365 Add Ins are available across multiple devices whether this be a Mac, a PC or an iPad meaning that busy executives can immediately deal with their inbox and capture this information in FileFinder.

Ease of deployment and update: No install is required for our Browser or Mobile products so when the FileFinder server is upgraded all users automatically get the latest release.

Security: While with FileFinder we have always strived to keep minimal data stored locally (FileFinder Anywhere for Desktop does not store any confidential information locally) many desktop applications in our space still do store significant amounts of data on the local machine with obvious security implications. Browser products do not store data locally.

Reduced Capital Costs: Our Browser version has a very light footprint meaning that users do not need to upgrade hardware to use it. Don’t have the latest version of Android on your phone? No problem, you can still use our mobile application.

The FileFinder product suite has been a significant piece of Development and we feel that it is at the cutting edge of technology in our space. We continue to invest heavily in research and development to ensure that our clients have the tools to support them now and allow them to adapt quickly in a rapidly changing landscape.
