To our colleagues

Therefore, we need to be able to communicate effectively with them

Decide on the best approach with this handy chart

When communicating

Face to face is good, but throw in a whiteboard and it becomes the best way to communicate

Your approach may need to vary depending on your situation

Since we are in the Digital Age, let us start with Emails

Emails are no different from normal mails, so make sure that there is proper spelling, grammar and punctuation

Check that you have actually attached items

Respond within 24 hours if you canLeave an acknowledgement note if you are away or not able to reply soon

Specify the urgency or importance if necessary

Keep the subject field short, brief and relevant to your content

This helps to catch the attention of the

recipient

DO NOT TYPE EVERYTHING IN CAPS!

As much as you need to stress your message, having all caps decreases the legibility of your content

Instead, use bold, underline and italics to make your point.

Too many colours distract the readers from the content of your message

If your email is too lengthy, consider other communication

channels

When sending emails to Internal parties,

Avoid sending non-business related emails

Use ‘Reply All’ only if it requires the attention of everyone

Indicate if an action is required or if the email is for information using ‘FYI’

When sending emails to External parties,Remember to be formal

Remove unnecessary message thread to

prevent leakage of confidential information

Proofread your email before you hit ‘Send’You don’t want to end up like Tom…

If you are the Meeting Host, prepare the

meeting materials before the meeting

State the agenda of the meeting clearly and ensure that all attendees are clear of the agenda

If you are attending the meeting, be punctual

If you cannot contribute or learn anything in the meeting, quietly

excuse yourself from the meeting. We call this the Two-Foot rule

Meetings are expensive, make sure they are fully utilized.

Sometimes Emails are too slow, so we use Instant Messaging.

When using Instant Messaging,

Set the appropriate status availability so others know if you are away or busy and will not be able to reply as quickly

Ensure that you are sending the message to the right person

before you hit ‘Send’!

When using Instant Messaging,

Do not rush others to reply!

Avoid jargons if speaking to external parties

And most of the time, we use the telephone to communicate. We need to be professional on the phone as well.

While on the phone,

Speak clearly and in pace easy for the caller to understand

Listen attentively and repeat important information Of course, be

polite at all times. Thank the caller too!
