SAP stands for Systems, Applications and Products in Data Processing.

It is an enterprise-wide software application with modules based on business areassuch as finance, sales and materials management.

These SAP modules are fully integrated and share common data.

A password can consist of:

Six to eight charactersLetters a - z, A - Z

Punctuation, but not with "?" "!" or a blank space.

desktop, double-click it to

access the SAP Logon

dialogue box.

Click the desired server option

and click the Logon button to

access the SAP logon screen.

When logging on for the first time, you

need change it.

English is the system language.

You may be able to start the system in

another language. But as you have to

maintain special language tables for

certain screens, it will not work for all

transactions.

The toolbar contains a series of

common function icons

If an icon appears “greyed-out”, the

function is disabled for this particular

screen

Equivalent to the <Enter> key on your

keyboard

Saves and posts data

Returns you to the previous screen or

function

Exits out of a transaction or menu level

Cancels any data you have entered in a

screen and returns you to the top level

screen of the current function

Provides help for the current field.

<F1> key is the equivalent.

SAP is customized to display information that XXXX considers valid for some data

entry fields. This information is contained in lists

If a field has a list, only those selections in the list are valid for the field

To determine if a list exists:

Click inside the field.

If a list is available, orwill be displayed

Click to process the search.

If only one code matches your selection criteria, a list is not displayed. The

code defaults into the field.

If a list is displayed, scroll through the selection until you find the right code.

Double-click on the entry. The code is automatically entered in the field.

To narrow a list, you can use a search string

For example: “=s.*insurance*” is a search string

The equal sign (=) tells the system you are using a search

The “s” search identifier means search for vendor by description

The “*insurance*” means search for all vendor names with the word “insurance” in

them

Summary of Key Terms

Session

Window where the user can process a certain task. When you log on to

SAP, it opens a session.

You can open up to six sessions at the same time (recommended up to 3

sessions).

The number of the opened session is displayed on the status bar.

Status bar

Extends along the entire width of the lower edge of the window. SAP uses

one of the output fields of the status bar to display messages issued by the

primary window. Other fields in the status bar provide information on the

system status.

Transaction code

Sequence of four alphanumeric characters that identify a transaction in

SAP.

To call a transaction, enter the transaction

code in the Command field and press <Enter>.

Match code

Allows you to locate the key of a particular database record (for example, an

account number) by entering information contained in the record.

SAP then displays a list of records matching the specifications.

Report

Executable program that allows users to read and evaluate data in thedatabase. You can either display the output of a report on the screen or send it

to a printer.

You can also save it, so that it can be displayed as often as you like. It is

important to be able to do this, because reading

large volumes of original data can impair performance.
