    Part 1

    Z-LessonsMonthly Embellishment & Training for

the Sorors of New Jersey “Building on the Principles of Zeta

    While Blazing New Paths!”

During the March 29 webinar, we learned that the minutes from our meetings are a source of authority, as they

reflect the official actions taken by the body. It is important to elect a Recording Secretary that is organized,

hard-working, intelligent and an excellent writer. The secretary is arguably the most important officer as she is

responsible for organizing, assimilating and disseminating information within the organization and is the high-

est ranking officer after the President and Vice President(s).

    The Recording Secretary:

    1. Records the proceedings of the sorority and take minutes at each

meeting, keeping a file of the same and incorporating any written

    reports.

    2. Ensures that the minutes reflect what was done, not what was said.

    3. Keeps a record of members in attendance at each meeting.

    4. Records motions and corrects the minutes as necessary.

    5. Brings all governing documents and past minutes to every meeting.

    6. Assists with voting.

    7. Makes minutes available for inspection by financial members.

    8. Sends a copy of the minutes from the prior meeting to all financial members in advance of each meeting.

    9. Maintains an open line of communication with the President, making sure the President is aware of any

motions that have not been acted upon.

    10. Assists with the general supervision of the chapter.

    11. Is familiar with all handbooks, forms, policies and procedures of Zeta Phi Beta Sorority, Inc. and

    Parliamentary Procedure.

    12. Is mentally prepared for the job – sets personal goals and objectives for her term of office.

    13. Serves as a member of the Executive Board, attending meetings and preparing minutes.

    AMENDING A MOTION

This month’s submission for embellishment addresses the steps to amending a motion.Below are examples to assist you with the process.

During debate, one may move to amend the pending motion. Remember that there are 3

    basic processes of amendments.

Let's amend this sample motion:  "I move that we buy a new sign."

You can move to amend by Inserting  words or paragraphs.   I move to amend by Inserting the phrase " “not to exceed $50 dollars" “ at the end of the motion.

You can move to amend by Striking out  (not deleting) words or paragraphs.   I move to amend by striking out the word "“new”.

You can move to amend by Striking out and Inserting words or paragraphs. One can evenamend by Substituting  (Striking out and Inserting) entire paragraphs or the complete motion. I move to amend by Striking out the word “sign” and Inserting the word “billboard”.

You can also amend the amendment, before it is voted upon: But you can only amend theInserted or Struck out   words. You cannot  amend a separate part of the main motion not cov-ered by the amendment that is currently being discussed!

The difficult part is remembering that the more urgent motions cannot be amended:   Adjourn, Question of

Privilege, Orders of the Day, Lay on/Take from the Table, Previous Question, Point of Order, Appeal, Parlia-mentary Inquiry, Suspend the Rules, and Reconsider.

NJ Zeta’s Healthy Living Corner - Submitted by Soror Kristal Miller

    Eating Clean

Eating Clean  is lifestyle choice that originated in the 1960’s with the introduction of

processed food. This lifestyle choice is slowly making its way back into the mainstream,

especially with so much talk about the obesity epidemic we are facing in the United

States. Eating Clean is a basic concept, which can be hard to practice with our always,

on-the-go, got-to-get-done-yesterday, Zeta Lifestyles! The concept promotes a balanced

diet of healthy, whole, unprocessed foods in your daily eating and avoiding processed

foods as much as possible. So basically, that means making smarter food choices, delaying gratification and

passing on the McD’s fries. Although few, there are fast food franchises that offer clean eating menu choices.

To Eat Clean you need to practice the following principles:

    1. Choose whole, natural foods; and avoid boxed, bag and packaged foods which are usually (not

    always) processed.

    2. Avoid refine foods, and choose unrefined foods. Examples of unrefined foods include brown

rice, natural honey, fruits, vegetables and beans.

    3. Include carbohydrates, fat and protein in every meal. Protein is especially important, because it

helps curb hunger and build muscle.

    4. Move! Include some form of physical activity in your daily routine. Physical activity will help

with weight management, bone and muscle health, but most importantly ……..HEART

    HEALTH!

    5. Be mindful of your daily intake of fat, sugar and salt; that includes watching your consumptions

of drinks high in sugar, calories and artificial colors.

    6. Portion Control! Eating five to six small meals per day; filling up on vegetables instead of meat

    and bread.

On April 16th, for the first time ever, Eta Omicron Zeta Chapter joined with Sigma Zeta Zeta Chapter for anAll White Affair, Rededication Ceremony. While HOZ was the host this year, SZZ was receptive and com-mitted to this new spin on sisterly bonding between the chapters. After the ceremony, the Sorors continuedwith embellishment at Grillstone Restaurant in Scotch Plains. This whole experience allowed for us to spend-ing time getting to know Sorors outside of the individual chapters. Both chapters are looking forward to com-ing together again with SZZ as the host next year.

     HOZ Reclaims A Charter Member

Soror Ywana Felder finally comes home after years of inactivity. While HOZ was-

n’t her first home, her connection to it is just as sweet. Soror Felder is a Charter

member of Zeta Lambda Chapter at Kean University. She is joined by a number

of ZL Sorors but no one is as special to her as her chartering sister Soror Dana

Hobbs, who was recently reclaimed as well. HOZ is thrilled that Sorors are not just

coming home but coming back to our chapter in which they have a rich history.

Soror Felder’s daughter just became a member of our illustrious sorority.
