Maintaining a National Treasure

Yosemite National Park spans nearly 1,200 miles of California’s High Sierra region. With over 1,000 buildings, bridges, lodges, and camping facilities, over 250 miles of paved and gravel roads, and thousands of miles of hiking trails, maintaining this national treasure is not an easy task.

Known for its majestic scenery featuring breath-taking waterfalls, deep valleys, high mountain peaks, and more than can possibly be described, Yosemite National Park plays host to over 4 mil-lion visitors yearly, with each one expecting noth-ing less than an amazing experience.

The sheer size of Yosemite means that Delaware North Companies (DNC) Parks & Resorts requires a sophisticated maintenance solution.

Initially, DNC relied on a manual maintenance system to manage the parks maintenance, which quickly proved to be cumbersome, time-consum-ing, and full of limitations. Recognizing the need for a maintenance system capable of capturing information, planning and analyzing data, and reporting on maintenance activity, DNC sought a solution to replace their manual management process.

A legacy system appeared to provide what was needed, but soon showed limitations in function-ality and as a result, DNC soon turned to CHAMPS

for help and put a plan in place to address their pressing maintenance needs. By implementing the CHAMPS system, DNC was able to set goals for more proactive maintenance in order to help elim-inate the costly aspects of deferred maintenance.

The initial implementation involved establishing asset and equipment codes along with the con-struction of a master equipment list, which now serves as the core of the system that tracks and manages activities like painting, carpet replace-ment, and similar ongoing maintenance activities of the park.

“We rely on the CHAMPS system for all of our work order activity, which includes over 7,000 individual PM work orders scheduled weekly, monthly, bi-annually and annually,” states Steve Ullmann, Director of Facility Services. “Because of the large number of assets we maintain, the system generates over 30,000 work orders a year including planned, routing, and emergency work orders”.

Maintenance work at Yosemite is performed by a crew and staff and nearly 100 people and includes project managers, schedulers, inventory control specialists, systems administrators, and IT person-nel. All crew members are specifically identified in the system for tracking work accurately and effec-tively which allows DNC to continually analyze the performance of their workforce.

Most of the work at Yosemite is centered around maintaining critical assets and equipment, all of which is completely tracked in the CHAMPS system. This allows DNC to document work per-formed on over 400 buildings and critical systems related to these buildings, including roads, side-walks, and pathways. Because of this comprehen-sive structure of the work order system, anything and everything related to maintenance is cap-tured and logged.

As expected, the CHAMPS work request is rou-tinely used in daily operations, allowing DNC to generate a work request for any type of work at any point in time. In addition, robust reporting tools allows unit managers to review and evaluate jobs even if they’ve already been completed. Costs

associated with orders - including labor, materials and spare parts - is included in each report for detailed analysis.

Given the remote location of the Yosemite offices and buildings across the sprawling park grounds, inventory levels must be accurately maintained and work orders must be carefully planned.

“We can’t just run out and grab a part from a local supplier if we’re out working on a job that is 100 miles away from the nearest dealer,” states Ull-mann. “The CHAMPS system gives us up-to-date inventory balances and a valuation of our mate-rials. This allows us to instantly know where we stand with our spare parts and when we are near a re-order point”.

At the close of each year, DNC leverages the CHAMPS system to generate reports and data for planning and budgeting purposes. These reports help determine what staffing and supporting re-source needs are required for the next fiscal year based on historical data that has been collected over the course of the year. to perform an in-depth analysis of all the main-tenance activities that have been performed at the park, all of which is essential in satisfying the National Parks Service’s requirements for demon-strating that all maintenance is being done prop-erly and on time.
