Woodford County Schools Winter Break Energy Shutdown

Checklist

Please help in our efforts to conserve energy, protect the environment, and save money by doing the following prior to leaving for Winter Break:

Turn off ALL non-essential computers, monitors, printers, scanners, and other peripherals

Turn off and unplug TVs, DVDs, VCRs, Projectors, and all other non-essential classroom/office electronic equipment

Turn off, empty, and unplug refrigerators if possible

Shut off all other classroom appliances (ovens, microwaves, coffee pots, radios, etc.)

Make sure all windows are closed and locked and blinds are pulled down

Tip: Use switchable power strips when possible to make shutting

Energy Management Plan

Heating Ventilation and Air Conditioning – HVAC

Summer thermostat settings occupied periods 73 ºF

unoccupied periods 80ºF.

Winter thermostat settings occupied periods 69ºF

unoccupied periods 60ºF.

Thermostat and Vent Obstruction - vents must be clear of obstructions

Windows, Doors, and Outside Openings - must be kept closed

Gym exhaust fans are to be turned off when the air conditioning unit serving that area is operating.

Every member of the school district should assume responsibility for enacting these requirements.

Break and Weekend Shutdowns

A best effort shall be made to place buildings in setback mode (heating at 60ºF degrees and cooling at 80ºF) during all break periods.

Two checklists shall be supplied to all schools in the district

Once the Principal has verified that the proper actions have been completed an email shall be sent to the Energy Manager and/or Director of Maintenance for record keeping purposes.

At the end of the last day of the school week all faculty and staff members shall verify that the areas and rooms they work in are left in an energy efficient state with lights, computers, monitors, printers, peripherals, projectors, TVs, etc. all turned off.

Custodial Best Practices

Custodians must ensure that lights are off in all unoccupied areas and they should listen and look for devices that are unnecessarily left running so that they can turn them off.

Head Custodians have the responsibility to ensure that the entire facility is left in as energy efficient state as possible on all off hours including break periods, weekends, holidays, and after school hours.

Head Custodians must complete all assigned Energy Shutdown Checklists and return them to the principal.

Building Resource Management

Personal Refrigerators and Other Personal Devices

The use of personal refrigerators is highly discouraged

Personal refrigerators that are in use in the district shall adhere to the following conditions. They are to be cleaned out and turned off for Fall Break, Christmas Break, Spring Break, and Summer Break, where applicable.

Refrigerators, microwaves, and coffee makers shall be subject to approval for usage and placement by the building administrator.

All personal devices should be Energy Star designated.

Space Heaters - Whether they are purchased by the school district or are personal property, two issues affect the use of space heaters in buildings — fire safety and energy efficiency. All space heaters must be approved for fire safety as classified by the National Fire Protection Association. No liquid fueled space heaters (e.g., kerosene heaters) may be used. Some electric space heaters also pose an unacceptable fire hazard. All space heaters must meet the following four specifications: Heaters must (1) be UL approved, (2) have elements that are protected from contact, (3) be tilt-proof (when tipped over, heater goes off), and (4) be thermostat-controlled.

The issue of energy efficiency is also important — electric space heaters are a very costly means of heating. If a member of the school district feels that a space heater is necessary for adequate warmth, this may indicate that the central heating system needs repair.

Maintenance should be consulted if the central heating system is incapable of meeting comfort requirements. Space heaters should never be used to offset excessive air conditioning. Excessive cooling of a space below the summertime Temperature Guidelines should be reported to Maintenance so that air-conditioning levels can be adjusted.

Vending Machines – All vending machines installed should be energy-efficient models with the Energy Star Label if possible.

Vending Miser units should be installed on older existing vending machines when possible.

Where applicable, vendors should be requested to disconnect lighting in existing machines.

Scheduling - Classes, meetings, and other school activities should endeavor to minimize energy use. Evening activities should be concentrated in the fewest areas possible, and where appropriate, the areas used should be those that already have a late night temperature setback.

Student Sustainability Team for each school.

Principals should sign and publically post the Sustainability Pledge Form that is a part of the School Sustainability Team Plan and Timeline document.

Each school shall appoint one employee to be the Sustainability Champion and lead the Student Sustainability Team.

The School Sustainability Team Plan and Timeline document shall be provided to each school near the beginning of the school year by the Energy Manager after it has received approval from the District Energy Team.

Each Schools Sustainability Champion shall attend a two-hour training session when offered and also represent the school at the District Energy Team meetings.

The Sustainability Champion will maintain a Sustainability Notebook that contains a record of all team meetings and accomplishments.

Each Student Energy Team shall provide a monthly update report on the Sustainability Web Page link for their school.

Communications

Each school will be responsible for establishing an Energy Conservation/Sustainability awareness campaign annually.

Community Outreach

Each school is encouraged to incorporate a community outreach project annually. Each school will be able to decide how they would like to see this project implemented and awards may be given to the best project for each school level.

Current Year Goals

Student Teams - The goal for the current school year is to have Student Sustainability/Energy Teams established at all schools and for each of the teams to follow the Energy Team Plan/Timeline that has already been established.

Usage reduction - The goal for the current year is to reduce the usage district wide by a minimum of 4% from the 2010/2011 school year.
