Introduction

We plan to release the first mobile friendly version of the Wild Apricot backend - aka admin view - in 2013.

It will be released as a Web App, which means it will be compatible with both Apple devices (e.g. iPhone, iPod Touch, iPad) and Android based mobile devices.

In the first version, we plan to support the core viewing/editing features of events, contacts, and members, plus some new mobile specific features.

Preview notes

In the following slides, we will demonstrate our current mobile designs as a set of scenarios.

In these scenarios, we will walk you through how an administrator would use the mobile version of Wild Apricot to accomplish various tasks.

In this particular presentation, we will focus on the tasks related to attendee management (e.g. check in attendees, add new attendees, etc).

We will review other scenarios (e.g. adding contacts, editing registrations,etc) in separate future presentations.

Scenario 1

Checking in an attendee who doesn't have an outstanding balance

Before an event begins, many of the attendees have paid their registration in advance.

As they arrive, the admin needs to quickly find them in the attendee list and and check them in to record their attendance.

After finding the right attendee, the admin taps on the check-in circle to record their attendance.

Scenario 2

Checking in an attendee who has an outstanding balance

Background

When an event begins, some of the attendees may not have paid for the event registration yet.

Therefore, when they arrive, the admin will need to look them up and decide if they want to check them in with or without payment for any outstanding balances.

The admin finds the attendee and taps on the check-in circle.Because they have a open balance, an "action sheet" of choices appears.

From the options, the admin selects "Check in with payment" which brings up the payment recording screen.

From the payment recording screen, the admin can select a tender, add notes, and select which invoices to record payments for.

Once the admin taps Save, the attendee will have their payment recorded and be checked in.

Scenario 3

Adding a new attendee to an event

Background

During an event, some attendees may arrive who have not registered for the event yet. These new attendees could be existing contacts/members or brand new attendees who are not in any of your contact lists (e.g. members, newsletter subscribers, etc).

In this case, the admin will need to manually enter their contact details and event registration details.

This will open the new attendee registration wizard.

From here, the admin can select an existing contact or add a brand new contact.

The first step of the wizard is filling out contact details.

After all details are entered, the admin taps on Next to continue to the Event Registration step.

From the event registration step, the admin can fill out registration details and event fields.

All fields will be mobile friendly so they are easy to complete.

Once the admin has finished the registration step, he can tap on Next to continue to the confirmation step.

From the confirmation screen, the admin can review entered details and go Back to correct any mistakes or tap on Save to finalize the registration.

Once the admin taps Save, the attendee will be added to the attendee list where he/she can be checked in. (We have decided to keep that separate for now to simplify design and development.)
