Chapter 1. Introduction
1.1 Scope of the Document After the first mission launching the preparation activities in the Combined Coudé Laboratory which took place beginning of July 2014, and during which the plates for the Vacuum Vessel and the Front-‐End Unit were installed, a second installation mission took place in August 2014, to install the Front-‐End structure and the Coudé Train L11 interface plates, which also are the closing frames of the incoherent light ducts . This document lists the actions undertaken at Paranal by the consortium, during this visit of August 2014. It lists also the various points addressed during meetings, with actions items decided and decisions taken.

Chapter 2. Generalities This section presents generalities concerning the visit made at Paranal in August 2014.
2.1 Scheduled period The mission extended over the period from August 20th to August 29th. Some people attended partly the mission, due to their schedule or to the need of their presence. This is indicated in the composition of the team hereafter.
2.2 Teams The team attending this “plate installation” mission in Paranal was composed, for the consortium, by:

Chapter 3. Minutes This visit intended to be focused on two subjects, the installation of the structure of the Front-‐End and the installation of CT interface plates in the CCL, called L11 frames. Nevertheless, some discussions were foreseen on other subject like the Coude Train CREs and some still open points concerning the scheduling of next activities, in Europe and in Paranal. The daily work had as usual to be scheduled daily to take into account the presence and availabilities of the Paranal contact persons, and the constraints of the Paranal operations. During his presence, GLC attended the 9:00 and 16:30 daily meetings to coordinate with Paranal activities. After his arrival, GAv took avier this task. In between, DME ensured the interim. At the end of every day, we had a debriefing meeting to summarize the addressed points, the conclusions, agree on the conclusions to be reported in the minutes and to prepare the plan for the next day. This daily work is reported in these minutes. They are therefore presented chronologically, with inclusion of the meetings minutes, when relevant.
3.1 Wednesday August 20th

• Our material arrived one day in advance, on Tuesday 19th. GLC received it and managed the unloading and transportation to the CCL.

• Got their security material at the warehouse • We have been assigned two cars, number 75 and 159. The 159 is missing, borrowed by the
contratists. We got the 99 instead. • GoPro timelapse camera installation (DME) • Unpacking of the FEU structure (MRI, MAL, MMI). Test how to manipulate it with portable
crane. • Calibration of the Laser Tracker (LT), which was preliminarily warmed up by GLC. • Realigning of the coordinate system • Reacquired the central pin and some plates’ holes. • GLC and ACA had a meeting with Mario Tapia (MTA)
• Manufacturing of the CT interface flanges. • The flanges for P5, P6, P7 L10 and light duct cover were presented and detailed to MTA. • Mario remarked the need for tolerances to define the manufacturing strategy as well as to
estimate the manufacturing time. • This information is mandatory before moving forward. • The material to be used (St 1.0038/S235(JR)) is available in Chile, or at least an
equivalent one. There is even some stock for P5 and P6 flanges (to be replaced if used). • For the profiles in P7 and L10 flanges, MTA provided a catalog with the profiles existing
in Chile and the CT team will adapt the design to those profiles if the decision to manufacture them in Paranal is taken.
• MTA gave an estimation of required men-‐hour for the manufacturing of the parts: o P5 15 to 20 men hours o P6 15 to 20 o P7 35 to 40 o L10 116 to 138 o Cover 20 to 24 o Others 20 to 25
• Considering the worst case and a 10% contingency we obtain 300 men hours for the manufacturing of these parts in Paranal.
• The procurement of the materials might take 1 month, but some parts might start earlier due to existing stock.
• The drawings will be detailed with all required tolerances for a more accurate estimation of manufacturing time.
• The painting of the parts (black mate) can be done in Paranal. The option for the surface treatment shall be taken later considering what, fulfilling the requirements, is more appropriate to be done in Paranal.
• The manpower in the workshop is tight. • Only 15% of their resources can be dedicated to projects. • And this must be shared by all projects. • Therefore it might be more efficient to hire some contractors, possibly well known
personnel that already worked in the workshop. • Mario / Matteo to give indication on that. • They should be contracted on a monthly basis.

• MPO remarks that threaded holes in the ducts would be preferable to stud welds for attaching the covers, as they are curved.
• Route the cabling of the P7 below CR ceiling rather than above inner track floor. This implies not to prepare the cables now.
• SGU remarked that the change of Gerardo periscope from prisms to mirrors should have been also presented to him, as a reviewer of the optics, and as he will have to make the maintenance of that. To be followed and clarified with GLC.
• The front cover of P6 was discussed and the problem of the possible omission to remove it after intervention was mentioned by MPO. There should be either something automatic or a clear procedure to be put in place for this.

• Perpendicular iron rod into the holes non removable so decision taken to shorten sleeves because it will not be possible to remove this iron to 9.5 cm.

3.11 Things raised pending on decision or investigated during the mission
• Keep under control the hole drilling strategy: hybrid solution was chosen (12 mm holes and mechanical sleeves where possible, 16mm holes and chemical ones in case of iron)

Hybrid solution is not working due to the low accuracy of drilling with normal driller, we decided to come back to the full 16mm solution for the UT1, UT2 and UT4. UT3 is only a closing frames, positioning is not sensitive, so we used it for the tests and will leave an hybrid solution.

Chapter 4. Conclusions of the mission The preparatory work for ESPRESSO in the Observatory infrastructure is multifold and touches a lot of different locations in the Observatory. Mainly the Combined Coudé Laboratory (CCL), the incoherent light ducts to the four UT, the four Coudé Rooms (CR) and the structure of the four UTs. This mission intended to touch only the CCL and to achieve the following goals:
• Install the front-‐end structure, align it. • Use the rotary stage of the toggling mechanism to shine the alignment laser in the ducts to
precisely define the center of the L11 flanges. • Mark and drill the holes for these flanges and install them.
These three goals were fully achieved. Several Change Requests (CRE) were submitted to the Observatory to adapt the infrastructure of the CCL. They were approved in early summer 2014, and several have already been achieved by LPO staff before the first mission in July: modification of the lights, relocation of the fire extinguisher. In addition, LPO civil contratists have prepared a plastic separation of the CCL to allow civil work to be done cleanly and without dust contamination of the present instrumentation. Several others have been achieved during the July mission and this one. The remainings will be achieved in September by LPO staff and contracted enterprise (pouring resin on the ground of the CCL), and after the installation of the thermal enclosures foreseen in November (separation of the lights located in the 1T part of the laboratory). This mission was very fruitful, and we must thank all the involved people, consortium staff members that prepared properly the mission, found alternatives when problems were encountered and just did the job with efficiency and professionalism.
