DEVELOPEffective collaboration and review

The Vimago platform centralizes content management, user collaboration and custom reporting. Managing projects is facilitated especially when the contributor and user base is geographically dispersed.

Content Management

Workspaces and Project Management

Users have their own Workspace in Vimago from which to organize their content production. It is here that projects can be set up, managed, monitored and contributed to.

Permissions

Projects will often involve more than one user. The project owner can ensure effective collaboration by attributing viewing and editing permissions to other users, as required at each specific stage of the project.

Content

The project is designed to hold materials relating to a common topic or theme. The content in a project can be created or imported.

News items and custom HTML pages can be created from scratch using the editor within the Workspace.

Users can import existing content such as Word documents or Excel and PowerPoint Files either individually, via mass upload or in a zipped package.

A specific import setting for eLearning lessons created with ATS or alternative authoring software facilitates the transfer of lessons.

Alternatively external URLs can be referenced and web pages displayed from within the platform.

Content owners can manage their content in bulk with functionality to mass import, mass edit (editable fields), mass publish/unpublish and mass delete.

Versioning, History and Tracking

Vimago has a built-in versioning system, which is automatically active on all content items. Information such as when a document was created, when it was edited and by whom, and when it was published or unpublished can be viewed in the item history. In the event of inaccuracy, content can be rolled back to any previous version.

Publishing to the Library and Permissions

All content is published to a Content Library making it visible and searchable to those it is shared with. Who can view and/or edit the published content is dependent on the end user role and associated rights – not all content will be viewable or editable by all end users. This is an effective way of targeting users and ensuring they have access to material that is directly relevant and useful to them.

The published content is kept separate from the source file which can continue to be worked on after a version of it has been published. This is especially useful during system or process upgrades when features may be changed in the source documents and published at go live weeks later.

A piece of content can be published to multiple locations without duplicating the source file. Each published version inherits the permissions of the folder location it is published to.

Indexation and Taxonomy

All content that is created or added to the Content Library is automatically indexed for the full text search capability. Not only are document titles indexed, but the text within the body of a document (eg: PDF) is also indexed and ranked according to its importance in the document, meaning relevant results are displayed when a search is conducted.

In addition, each piece of content that is uploaded or created by a user can be tagged as belonging to a particular category. These categories can be applied to content throughout the Content Library and are useful for viewing content items of a particular type, purpose or theme, regardless of their physical folder locations.

Course Management

Content owners can group content into courses based on learning paths they define. These courses can comprise multiple types of content (PDF, Quizzes, Software simulations) and are SCORM 2004 compliant so can be exported for use in external CMS / LMS.

Workflows & Tasks

Workflows for content production and maintenance are automated within Vimago. Approval and feedback workflows facilitate collaboration and review amongst colleagues and managers, with contributors alerted as and when the status of the workflow has progressed.

As a project progresses work may be required from different users, utilizing skill sets from across the organization. In this case a task assignment workflow can be used to request input from the various contributors, guiding them through the required task while keeping other users aware of the status and progress.

A localization workflow can be used to guide and track the translation of content items. Geographically dispersed contributors are alerted when steps have been completed or when their input is required.

ReportingReports are available to certain roles within Vimago to keep track of and analyze a multitude of variables.

Pre-defined reports cover the most common needs including content development and end user access and performance. Custom reports can be created and saved for frequent use based on specific requirements and variables.

Reports can be pinned to the dashboard for monitoring, and they can be exported if required for data analysis.

Multilingual Content

Vimago has a built-in capability to manage multilingual content from the Content Library. If a document exists in multiple languages, the user will only see the language(s) that they have selected using filters.

Real Time CollaborationCommunication is one of the key success factors for all projects; It needs to be clear, concise and all contributors must be able to refer to the latest version of the project content. Vimago facilitates team collaboration in multiple ways.

Messaging & Chat

A built-in chat functionality allows users to see who is online and chat in real-time. Discussions can be opened to multiple users and files can easily be attached meaning geographically dispersed users can collaborate easily with files staying within Vimago to ensure version control. The exchanges are recorded and accessible to the participants for future reference.

Whiteboards

The whiteboard is a collaborative way of giving feedback on a content item. It is a convenient method for teams to annotate suggested changes or provide additional information during revision stages of content development. Users can access and contribute to the whiteboard both simultaneously or asynchronously and it has the advantage of avoiding the misinterpretation that often occurs with plain text feedback.

Whiteboards are stored in Vimago and utilize the same versioning and history features as other content items.

DEPLOYContent distribution via the cloud

With Vimago, content is cloud based to facilitate storage and access. Users have multiple ways to access the content; via the web, directly in-application, offline on a tablet, or through an external LMS.

Web Access

The Dashboard

Each end user has an online personal dashboard from which to access and organize their content. Their user role determines what content can be accessed so that only relevant information is viewable. The dashboard is widget based, meaning the user can customize their space to suit their needs.

Accessing Content

All content that is viewable by the user can be accessed via the Library tab on the dashboard.

Content is labelled either “Seen”, “Updated” or “New” so that at a glance, users can keep track of what items they have accessed and any changes in their library that may be important to them.

All content has a star ranking next to the title so that users can see how others rated the content. Whilst viewing the item there is also the option to leave comments for more detailed feedback and discussion around a document.

If users have documents or lessons that they access regularly, they have the option to either add them to the Library Favorites widget on their dashboard or pin shortcuts to the item directly to the dashboard for easy, immediate access.

Content is automatically bookmarked when in progress meaning that if a user is interrupted part-way through, when they go back to it, they resume from their last action.

Keep Up-To-Date

Users are informed of new content in the What’s New widget.

There is also the option to subscribe to alerts on specific items of content to be informed of any changes. The alerts are signaled by a flag in the notification panel.

Performance and Scoring

Statistics on how the user has interacted with the system are summarized in the user history which can easily be accessed from the notification panel.

Profile

Users have a profile that shares basic information such as job role, last connection date, contact details, languages spoken and their photo with others in the company. The administrator can add or remove custom fields specific to their organization.

Search Filters

There is a search bar within the dashboard that allows users to look for content. The search function is dynamic and not only does it look at document titles and associated tags but it also scans the body content to give the best possible results.

Searches can be refined to target specific areas such as Library or Users, and filtered by key words such as Author or Department.

In-Application AccessAs well as accessing content directly through the web platform, Vimago can integrate seamlessly with the target application environment.

Integration with Target Application

A small application (the application listener) is installed on the end user machine. After the user has logged on, it integrates silently with the target application to provide in-application enhancements.

Search Content

The same full search capabilities in the web platform can be accessed directly within the application. The user can either type in a search term if they are looking for a specific piece of content, or ask for help and the user’s current screen is analyzed and relevant results are proposed based on the context.

eNotes: Pushed In-Application Assistance

While using the target application, information is pushed to users in context via eNotes. The eNotes sit on top of the target application and are either screen level messages, or notes attached to specific elements (e.g. edit fields or drop downs).

Screen level eNotes can either be floating or modal. Floating eNotes allow users to continue to work and explore the screen while using the information in the eNote. Modal eNotes must be read and acknowledged before the user can continue working in the application.

Task Synopsis and Guidance (ePSS)

When a user has difficulty completing complex tasks they can choose to be guided through the process using the synopsis function. This is a set of

instructions that is synchronized to the user’s current screen and helps them decide on their next action. The area concerned in the target application will automatically be highlighted for convenience.

Content Feedback

All users can give a star rating and comment on the content accessed through the in-application support system. This is collated on the cloud so that feedback is captured irrespective of where it was accessed or reviewed.

Offline and Tablet Access

Dedicated App for Online / Offline Access

An iPad application is available for download. Users can access content over a network connection or download it to consult offline.

An additional native Windows app provides equivalent functionality for users accessing content on tablets, Windows PCs or laptops. The content can either be viewed directly via streaming or downloaded for offline access, giving the user the freedom to review content at their leisure, re-syncing automatically next time they go online. This application can also be utilized by Training Managers, allowing them to set up a pre-determined training path, with the content downloaded in advance to be run locally, becoming less dependent on bandwidth or environment.

The user’s access and score, ratings and feedback are sent back to the Vimago platform for centralized tracking.

Access via External LMS

Dynamic Links

Vimago can work in conjunction with an existing LMS.

Dynamic links allow the full content management process (updates to the source, publish, storage and tracking) to be handled by Vimago, and removes the time and effort spent maintaining content in the external LMS.

The end user continues to use their usual LMS as normal, however in the background the LMS is actually using the

Automated Business Improvement (ABI) offers businesses the opportunity to leverage the benefits delivered by their applications whilst reducing associated risks, lessening errors and ultimately enhancing the business performance.

ABI has the ability to improve the benefits of a target application without having to redeploy it.

Blocking Access

With ABI, managers have the ability to control access to the target application, based on certain criteria, to limit users to the processes that are directly relevant to them. This is especially useful for new recruits who may not have completed training and could pose a risk on the full system. By restricting their access, and hence application use to solely what they have been trained on, managers are protecting the business from costly mishaps. The restriction is set dynamically so that for example the user access is granted automatically once training has been completed and achievement is above a certain threshold.

Field Alerts

Visual alerts can be triggered automatically in response to user data entry in fields within the target application. Alerts can be used to reduce data input errors as they highlight the problem to the user for correction before submission. They are triggered if the data entered does not match certain criteria, or is outside of set boundaries. This capability can also benefit any situation requiring user notification on data entry or data display.

Field Definitions

By using field definitions, managers are able to provide information to users directly at specific points in an application. Definitions can be added to explain what the field function is, as well as inform users on changes to regulations and policies to ensure compliance.

Pushing Scripts

Targeted, relevant, time-limited business campaigns can be set up to be triggered on certain actions. Relevant business propositions and scripts can be pushed to application users based on context, role and timeframe. This is especially useful for up-sell and cross-sell initiatives as it provides information that the user may not be aware of.

Scripts may also be used to improve the capability delivered by the original application. For example, the value of an amount displayed in the application could be automatically converted to the currency of the user in a post-it overlay. Or a credit check of an applicant could be automatically triggered in the same overlay when the applicant’s national insurance number appears on the screen.

Data Integration

ABI enables external IT systems to be integrated for use from within the target application to provide additional information in-context or to extend the capabilities of the system being used.

One example of this is ensuring data consistency when it is accessed or created. Wrong or conflicting data can be compared and potential data integrity problems highlighted directly on the screen for immediate action.

Reporting

Reports can be run to monitor and analyze the alerts triggered by users in order to identify further training needs, or changes to the target application.
