DRAAS – WITHOUT THE COST AND COMPLEXITY

The move to the cloud is accelerating. But, is it ready for your business? One of the primary drivers for growing cloud usage is Disaster Recovery as a Service, or DRaaS. Research firm MarketandMarkets says companies will spend $1.42 billion on DRaaS in 2015 and over $11.92 billion by 2020. And Forrester reports 19% of enterprises consume DRaaS today, with another 22% planning to adopt DRaaS soon. Fueling DRaaS, and organizations of all sizes to take the cloud plunge, is the ability to move virtualized workloads to the cloud. Despite easier movement of VMs offsite, IDC warns

“DR remains a highly complicated endeavor where missed elements and details can derail a recovery or significantly extend the recovery time. IT organizations need to “sweat the details” when it comes to DR.”

Veeam customers share IDC’s concerns. In a recent cloud survey of Veeam users, while over half of customers are interested in cloud services, 61% have no workloads in the cloud at all. Their primary concerns about cloud adoption are security, pricing and the ability to manage and monitor data in the cloud.

FOR MODERNIZATION

Currently, 81% of organizations have either modernized or are planning to modernize their data centers – with a further 16% planning to do so within the next 2 years (Figure 1). But what’s driving them to invest so heavily in new technology?

Increasingly, IT leaders are drawn in by the prospect of:

• Always-on operations With end users demanding 24/7 access to data and applications, global customers demanding service when it suits them and the “Internet of Things” keeping everyone and everything permanently connected, the modern business never turns off. In an always-on business, there is zero tolerance for downtime.

• Empowering a mobile workforce The 9-to-5 workweek is a thing of the past. Today’s employees and teams need constant connectivity to data, applications and each oth-er. Giving a workforce the freedom to be productive anywhere and at any time can completely transform the way a business operates.

• Lower operational costs for IT By minimizing downtime and

giving all users constant access to data, businesses can cut time spent on day-to-day data administration tasks and system maintenance and significantly reduce operational costs.

• Innovating faster than competitors To get ahead of competitors in increasingly saturated markets, businesses are looking to boost agility so that they can react quickly to new opportunities. THE INVESTMENT HOTSPOTS

Data center modernization is a hugely popular trend in organizations across the globe. But what exactly does this mean to them? And where are they investing their IT budgets? In Figure 2 below, you can see which modern technologies companies are considering among the top priorities for their data center to invest in.

• Server virtualization Server virtualization is the biggest area of investment, with 97% of companies increasing or planning to increase their spending on it. Virtualization provides the foundation for infrastructure consolidation, rapid provisioning and mobile working – three major capabilities that enable always-on business operations.

• Storage upgrades It’s not surprising to see heavy investments in storage upgrades. With data volumes growing every day and more and more businesses unlocking the power of analytics, one of the biggest challenges IT teams are facing is efficiently storing and enabling fast access to huge quantities of data.

• Data protection and disaster recovery With greater volumes of data, comes a greater risk of downtime and data loss, the cost of which can be extremely high. Stronger data protection and disaster recovery capabilities are needed to comply with regulations, avoid the high cost of data loss and downtime and to ensure that companies can meet tough recovery time and recovery point objectives (RTPO™).

• Cloud computing The Cloud is gaining popularity as an IT platform – granting better business agility, the simple extension of services to remote devices and by helping cut costs with subscription-based software pricing modules. For modern businesses, the cloud provides an easy way to get the tools and IT services they need for less, while cutting capex (capital expenditure) costs.

So how can enterprises bridge the availability gap? The answer lies with modern availability solutions that help not only to meet the demands of the always-on business, but also help businesses to exceed expectations. Modern availability solutions deliver high-speed recovery and data-loss avoidance and help companies achieve recovery time and point objectives of less than 15 minutes for all applications to effectively improve data availability.

In Figure 5, see how much lower downtime costs are when working with 15 minute RTPOs, and how vastly different these costs are compared to the huge costs companies reported before – less than half of the industry average at $38,444 per hour.

THE COST OF THE AVAILABILITY GAP

Even with all of these above new functions and capabilities in place, investing in new IT does not guarantee increased availability. In fact, 82% of organizations have identified an “availability gap” between the demands of business users and what IT can currently provide. If a company can’t deliver close to 24/7-access to business-critical applications, it will lose revenue and the competitive advantage associated with being an always-on business.

Every instance of downtime costs money due to lost business, lost productivity, lost data and customer-service interruptions. On average, companies say it takes 1.33 hours to recover mission-critical applications after an unexpected failure, and 3.97 hours for non-mission-critical apps (Figure 4). While this doesn’t sound like a huge amount of time, those downtimes cost an average of $82,664 per hour (Figure 3), and the average organization has to handle 13 such incidents every year. These outages cost companies more than $10 million per year in downtime and data loss with, potentially, $2 million in unrecoverable data.

This is a colossal hidden cost of having insufficient IT capabilities. It’s also money that could be better spent adding value to the business, driving innovation and acquiring new technologies that deliver competitive advantages.

REMOTE AND BRANCH OFFICE DATA PROTECTION BEST PRACTICES

INTRODUCTION

We’ve all heard about fantastic new data-center technologies, but all too often it looks like these technologies only seem to apply to the largest organizations with a wealth of centralized resources. Because data doesn’t just live in the data center, we often face daily challenges when data is put to use in the field at remote branch offices (ROBOs).

Business and IT leaders need to recognize the unique needs of ROBOs. For instance, teams based in remote offices need constant, reliable and fast access to essential data, without sacrificing data security and integrity. A challenge for IT leaders is how to ensure that data is highly available, even without a dedicated local IT team to govern and

control it. The Veeam Data Center Availability Report 2014 1 reveals that, each quarter, organizations only test an average of 5.26 percent of their backups. This means that the vast majority of backups are not verified and could fail. It is even more so the case at ROBO locations.

The good news for dispersed branch offices ROBOs is that it’s now easier than ever – with the help of the right solutions – to extend data-center backup, replication and availability capabilities all the way out to the edges of an entire organization.

The modern data center has three key attributes:

Each of these attributes is critical to a ROBO’s success. However, because of each ROBO’s specific needs, there are no real roadmaps for building and implementing architecture for a remote office.

Virtualization has had a huge impact on ROBOs. From reduced equipment footprints and lower setup costs, to simpler management workloads and faster deployment of new services, virtualized environments have become the natural choice for remote branch offices.

Modern storage systems have also made life a lot easier for remote branch offices. Whether it’s a new solution rolled out to serve every branch or a solution that’s just deployed onsite, new storage solutions are helping ROBOs store – and more important, backup and replicate – their data more intelligently.

The cloud is now a suitable option to move and store backup and replicated data, despite leased private lines are often a significant performance bottleneck to perform this.

BACKUP BEST PRACTICES FOR THE BRANCH OFFICE

Many organizations struggle to select the best solutions for onsite and offsite availability because there really isn’t a “one-size-fits-all” approach for remote office architecture. Organizations often end up choosing between taking onsite backups, writing backups offsite or doing replicas both onsite and offsite – instead of considering how they could utilize them all.

The 3-2-1 rule is highly versatile and can address just about any failure scenario imaginable by ensuring that all data is both backed up in multiple locations, and also quickly recoverable. This approach means that companies don’t have to worry about getting locked into any particular technology or specific vendor and can stay flexible as their IT environment evolves and expands.

Replicas are more suitable than backups in true disaster situations, when the RTO needs to be reduced to a minimum and all production loads need to be moved to another site in the least amount of time possible. Replicated VMs are inventoried and ready-to-run VMs in their own

Unfortunately, the best solutions for a remote office rarely line up to what most companies can afford to implement. It’s widely understood and accepted that replication grants the greatest availability benefits for ROBOs because of the fast recovery times, but budgetary constraints often just allow for the use of backups.

NOT AN OPTION

Downtime saps the energy from organizations. Every minute of lost productivity drains revenue. Meanwhile, competitors get a head start, when they should be left far behind. Availability of applications and data have a direct impact on its top and bottom-line performance for modern businesses. The result? There is absolutely no tolerance for downtime today.

To reduce unplanned downtime to an absolute minimum and keep businesses operating smoothly, a secondary site for disaster recovery (DR) is vital. When disaster strikes, organizations need off-site, ready-to-go replicas of all critical apps and data, so they can get back up and running quickly.

But setting up and maintaining a separate DR site is expensive and time-consuming, which is why cloud-based Disaster Recovery-as-a-Service (DRaaS) presents such a compelling alternative.

Thus far, DRaaS has mainly been seen as a way for SMBs (small-to-medium-sized businesses) to utilize real DR capabilities. Tight budgets and limited staff were constraining SMBs from maintaining their own remote sites, so DRaaS has helped them overcome this challenge. Now, industry trends confirm that enterprises start to enjoy DRaaS without extra complexity and high cost implementation. A recent 451 Research Market Monitor report estimates revenue for DRaaS market at $546m in 2014, and expect it to hit $694m this year and exceed $1bn in 2017.

DEFINING DRAAS

While various forms of subscription-based, DR services have been around for quite a while, true DRaaS is still largely undefined. The Forrester Wave gives one of the clearest DRaaS definitions as “services that enable customers to failover their on-premises infrastructure to a multi-tenant, cloud environment that they purchase on a pay-per-use basis.” The defining characteristic of DRaaS is when organizations rent an allocation of CPU, RAM, storage and networking resources at a shared facility to replicate and recover their data, rather than building and maintaining a dedicated, private DR site.

For SMBs and SMEs with moderate-sized IT environments and without the necessary in-house resources, DRaaS is an affordable way to benefit from an effective DR platform.

However, for larger enterprises with complex infrastructures and larger data volumes spread across disparate systems, DRaaS has often been too complicated and expensive to implement.

WHY CHOOSE DRAAS?

DRaaS adoption is speeding up, and the most popular reasons to consider DRaaS are a lack of DR site (80%) and lack of DR expertise (75%)(see Figure 2).

For IT leaders challenged to increase resiliency without increasing costs, DRaaS could soon be seen as an essential piece of the modern data center puzzle. By overcoming traditional cost and complexity issues, large IT organizations can start to realize the many benefits of DRaaS, including:

• Fast recovery — If a disaster occurs, every second your system is down means you are losing money. DRaaS can enable you to restore normal operations in minutes, rather than hours or even days.

• Cost control — Building and maintaining a remote DR site is expensive and complex. DRaaS eliminates the need to run your own DR site, reduces CapEx (capital expense) and provides predictable OpEx (operating expense) costs with pay-as-you-go pricing models.

DRaaS adoption is rising fast across organizations of all sizes. This rise is confirmed by the recent Veeam Data Center Availability Report conducted among 760 enterprises, where 70% of respondents said they had already invested in or they planned to invest in DRaaS.3

It’s not just that DRaaS is more cost-effective than traditional DR, now setting it up is much less complex, with minimal downtime and minimal impact on users. Bottom line? DRaaS offers a simple way to meet today’s demand to deliver always-on services.

With mature DRaaS offerings, smaller organizations no longer need to struggle without in-house DR expertise. Larger organizations no longer need to waste money on secondary DR sites that require expensive capital acquisition, with little return on investment when the site is not used.

As more and more customers are interested in DRaaS, service providers estimate4 that 56% of high interest is among their current customers and 72% is among their target market (see Figure 1).

If IT is so important to modern businesses, surely CIOs should be at the heart of business strategy – so why aren’t they?

Often, CIOs struggle to build effective working relationships with other CXOs, which makes it difficult to align IT with business strategy. When strong relationships are formed, CIOs will know what leaders from across the business are planning next – and they’ll be in a position to have a hand in steering that planning process.

It’s also important for CIOs to be able to communicate the benefits of technology investments, instead of getting bogged down in technical specifics rather than business value. After all, line-of-business leaders don’t care how the infrastructure fits together – they just want it to work!

Forging these strong working relationships is vital if CIOs are to get away from the commonly-held view of CXOs that the IT function impedes the business rather than empowers it. If you want evidence of this view,

look no further than the CIO magazine survey (see Figure 2), which found that 54% of line-of-business executives think IT is an obstacle to the business. However, in the age of cloud, mobility and customer power, IT is now central to every part of the business, and CIOs ought to be an essential figure in the boardroom. Effective, flexible and resilient technology is critical to the stability and profitability of the business, so there’s a clear opportunity for CIOs to educate their CXO colleagues on the benefits IT can bring to their plans.

THE PLACE OF CIO

The CIO position was introduced over 30 years ago, and one might think that all hierarchical challenges were resolved during that time.

However, the ideal reporting structure continues to be a surprising point of debate. While most companies have the CIO report directly to the CEO, 33% still report to the CFO or COO (see Figure 3).

There is surprising rationale as to why CIOs still do not report to the CEO: IT is either seen as a cost-driver which needs to be “controlled” by the CFO, or as a backend operations and systems group, that supports sales and marketing, run by the COO.

Both perspectives are “old school” given that, in this day and age, IT should be considered a key competitive differentiator completely independent of the industry and the size of the company. It doesn’t matter if you run a larger technology business or a mid-sized retail chain, IT can enable you to be a market leader.

CIOs need to take initiative and showcase the strategic value they bring to the business. First, they must build relationships with board members to learn about their goals, then they can show CXOs how IT will help them turn their strategic vision into effective action.

THE VEEAM SOLUTION

Trend Micro chose Veeam® Backup & Replication™ for data protection and DR. “As our virtualization footprint grew, we found that our open source solution for backup couldn’t scale accordingly,” said William Dalton, Director of Corporate Technology at Trend Micro. “Backup was slow, leaving us no choice but to back up priority VMs only. Recovery was also slow and difficult. We didn’t have confidence in our ability to recover, and we had no way to replicate VMs for DR. Every day we worried about compromising business performance.”

The company faced another challenge—complying with an industry regulation that requires Trend Micro to validate the recoverability of backups. Trend

Micro has thousands of VMware vSphere VMs in four datacenters and 103 offices across three continents that support business operations and more than 5,500 employees.

“We needed an enterprise solution that met all of our needs,” Dalton continued.

“We considered backing up our VMs with the legacy tool we use to back up our physical servers, but that option was quite expensive and provided only limited functionality. We needed features and functionality that would let us get the most from virtualization.”

As a security company, Trend Micro couldn’t afford to continue with a backup solution that failed to meet the company’s needs and prevented it from being an always-on business. That’s why Daniel Kaiser, Staff Engineer at Trend Micro, and his colleagues evaluated alternative backup and recovery solutions. Their goal was to find a single solution that provided the following: fast and reliable VM backup, replication and recovery; easy restore for applications they planned to virtualize including Microsoft Exchange and SQL Server; and self-service recovery for designated users.
