BOD MEETING

AGENDA

3

From the Board of Directors

Since 2009, Cloud 9 Ranch Directors have been working with a

group called SCORE, a free business consulting group of retired

professionals who help businesses with whatever a corporation

needs to help it grow and succeed. After an assessment in early

2010, SCORE recommended the hiring of a qualified General

Manager and a Ranch Manager. As a result of that recommenda-

tion, in April 2010, Coy Jackson was hired as General Manager.

Coy has worked with SCORE over the last few years and several

of their suggestions have been his main priorities that have helped

the corporation in many ways. One of the first suggestions

SCORE made was to hire two managers, one with a business

background and the other with an operational background. When

Coy was hired, he was given both tasks and for over two years

has filled the shoes of both a General Manager and a Ranch Man-

ager. It was recently decided that Cloud 9 Ranch Club, Inc.,

should put some changes into motion. Managing one of the larg-

est corporations in Ozark County is better served by hiring an-

other individual to form a two-manager team to run all aspects of

Ranch business with both managers answering to the Board of

Directors. It just came down to the hard realization that SCORE

is right, and asking one individual to wear so many hats and ex-

pect perfection in job performance is an unrealistic expectation to

put on a person as dedicated and committed as Coy Jackson has

been since the day he accepted the position as General Manager.

Because this is an employment matter, it has been discussed in

executive session meetings. To put those wheels in motion, on

July 21, 2012, in executive session, a motion was made and

adopted “to move the process forward to divide the business and

operational responsibilities between two executive positions as

SCORE recommended.” Over the next few months, the BOD will

be working with Coy and SCORE to designate the duties for a

two-manager system. The job descriptions for both positions are

being designed to get the maximum benefit for management, su-

pervisors and employees to work more efficiently with better un-

derstanding of respective chains of command and what their du-

ties will be. Our goal is to have this management structure in

place by 2013, and we can expect even greater advances in our

corporation. The Cloud 9 Ranch Directors want to emphasize

that this change is a positive one for all involved. The Cloud 9

Ranch Board of Directors is dedicated to giving the corporation

and its owners/members every opportunity to succeed and move

forward. This will take commitment and patience from everyone

as we work toward this goal.

Foggy Cave Trip a huge success !

August 4th weekend, long time member, Jerry Pusch, do-nated his time to take a group of 27 C9R members into Foggy Cave. The youngest participant was only 10 years old & the oldest was 76. This was the first time an organ-ized cave trip has been conducted at Cloud 9. The turn out was overwhelming & the day was better than could have ever been expected. During the day of caving, C9R members, from all walks of life, united to cave crawl through Foggy Cave. The day consisted of learning about safe caving practices, education on preserving the caves at C9R & lots of fun in the fellow-ship of other C9R members. The caving group went as far back as the 5th room and spent almost 3 hours exploring in Foggy Cave. The group was able to view first hand the bats, and albino salamanders that call the cave home. During the time spent in the cave, the cave explorers were able to see the markers left by the cave survey team. The KC Caving team has been working with Ranch officials in getting the caves on the property surveyed & mapped. The process of mapping the caves is very extensive and will take many months to complete. However, once com-pleted, Ranch Members will have a better understanding of the caves located on the property. One of the best fea-tures of Foggy Cave is the beautiful formations. The cavers also seen many stalagmites & stalagtites while in the cave. Jerry has promised to do another caving day over Labor Day Weekend. When the details have been worked out, more information will be put on facebook & in the 9 Lines. Special thanks to Ed Horton, Gaye Ann Pusch and Harry Hughes. Thanks to everyone that participated and made this day a huge success!

A couple of weeks ago we did a test run on a new sec-tion for the 9Lines called “Who Is That Employee?” At the July BOD meeting, one of our Directors came up with the idea (okay, it was Mag Greig) and she asked Kadye Ward to help with the interviews and writing of the articles. The rest of the BOD approved and the audience applauded. So, these two ladies went to work and the employee who agreed to be the first guinea pig was Carmen Mitchell. That’s how it all got started. Since the article ran a couple of weeks ago, the response has been overwhelming on how much members enjoyed reading it. So, we are going to take that as a YES, you want to hear more. Supervisors, Members, Directors and other employees have al-ready suggested what employees they would like to read about, so the process will go like this. Mag Greig will choose the employee to interview, Kadye will do the inter-view, write the article and send it to Mag for her approval. The article will then be given to the employee for their approval, then it will be turned into the 9Lines for pub-lication. The employee being interviewed will have the choice of whether the article is factual, humorous, serious, or a combination of all. Each employee article will run two weeks to give the ladies in charge a chance for more interviews and articles to be writ-ten. A big thanks to our Board of Directors who are making this happen, and to the employees who are allowing the membership to get to know them better.

Help Keep the Trails Clean! Carry Out What You Carry In!

Please Ride Responsibly!

It is Your responsibility to know!

Cloud 9 Ranch is a very beautiful place to ride ATV’s, camp, and fish. With nearly 6500 acres, there is something for everyone to do at Cloud 9 Ranch. Ranch members are en-couraged to ride the trails & explore the natural beauty that our Ranch encompasses. With that task also comes the responsibility of the member to know where you are on the property. The RRC has spent a great amount if time & ef-fort in producing C9R Trail maps. The maps are a tool that every member should have readily available as they explore the Ranch property. For your convenience the maps are for sale in the Trading Post. As you enjoy your time at Cloud 9 Ranch, be aware that private landowners share fence lines with the Ranch. Both Ranch Management and these Private Owners want you, as members, to be aware that cutting fences and the destruction of private property is against the law. Ranch Members who trespass onto pri-vately owned land can be prosecuted. Surrounding prop-erty owners have reported to Ranch Officials that fire rings have been built, trash (beer cans) have been left and fences have been cut by Cloud 9 Members. One landowner has also reported that since the spring of this year, nearly 2 miles of ATV trails have been blazed on their privately held property. As members, know where you are on the Ranch property, look for purple marking paint to identify property lines and avoid all areas that are marked with “NO TRESS-PASSING” signs. The Ranch has been blessed with neighbors that respect our private area, let’s return the fa-vor by respecting the rights of the surrounding property owners as well.

Budget, Budget, Budget… That is the word that is embedded in my brain right now. What are we doing with the budget? How can we make the budget more realistic? What can we do to make sure the budget is on target with the Ranch, its employees and the member/owners? The Budget Committee, the Board of Directors, and Management are all wrestling with this beast in hopes that we are moving in the right direction. I just came back from spending a week on the ranch. During that week, I talked to all the supervisors and key employees on the ranch to get an idea of what they need for 2013 and to understand their challenges. Below are a few things I learned:

If you were to start at the gatehouse and drive the parameters of all camp-grounds, you would of drove 9.5 miles. One 24 hour shift, a ranger will have drove 150 miles in season, a little less in off season. We do not have enough vehicles for all of the needs on the ranch. Did you know the phone system that the ranch currently has does not have voice mail? The newest vehicle that the ranch owns is a 2008 Chevy pickup with 90K miles on it The long cushion in a 17 foot trailer, takes three days to dry in the dryer we currently have in the maids laundry Currently the ranch mechanic maintains 71 pieces of equipment. This does not include lawnmowers, chain saws, or weed eaters. Maintenance has to monitor and maintain eight of the fifteen wells on the ranch daily (7 days a week)

Our ranch is a village and as it has been said before “It takes the entire village to maintain our Ranch” Well I must go now, the numbers are baffling and yet amazing. Amazing that the ranch is maintaining as well as it has for the past 40 years and if you just look around, things are improving every day!!! Mag Greig Treasurer, Board of Directors Member since 2007

The closing of select campgrounds will begin on November 1st, 2012. Foggy and Wilder Springs will close November 1st. Hill Country and Powder Mill will close on November 30th Lonesome Pines will remain open all year. Melody Lane (tentatively) will remain open all year. Cabins will remain open all year. Select Rental Campers will remain open all year. As a note, reservations for needed rentals from September-New Years should be booked as soon as possi-ble. This is done to defray costs of the winterization process for campers. The full rental fleet is not open during the winter months. Winter No-Move Rule-October 1st-April 15th, 2013 please refer to the rule book for further description. Rule books are available in the Ranch Office. For 30 Day Pads Only-Beginning on the Tuesday after Labor Day, Twenty con-secutive day leave becomes effective. please refer to the rule book for further description. On September 8th during Employee Appreciation Day, we will be

sponsoring an EMPLOYEE SHOPPING SPREE for Ranch em-

ployees and their families. Keeping in mind that many of our

employees will be laid off in September, we are going to try and

help bridge that financial gap for them with the help and generos-

ity of the membership.

This will happen in several ways.

GROCERY SHOPPING SPREE: (This event will take

the place of the Christmas in September done in previous

years.) On Employee Appreciation Day, there will be a

“grocery store” set up for the employees. Names of em-

ployees will be drawn for a chance to “shop.” They will

be able to win an amount of seconds to gather what they

want in a shopping bag. What we are asking is that

members donate non-perishable grocery items or house-

hold supplies to the EMPLOYEE STORE. DROP OFF

PLACE FOR THESE ITEMS IS THE NEW RANGER’S

STATION BUILDING by the gatehouse. When you are

arriving or leaving, drop your items off any time of the

day or night. SUGGESTION: Think of this event when

you are leaving the Ranch and have those items to carry

back home or you usually give to another camper. If

you want to donate money for us to do your shopping for

the items, drop off your cash donations at the Ranch Of-

fice Window or Gatehouse in an envelope marked EM-

PLOYEE APPRECIATION SHOPPING SPREE or make

checks payable to Cloud 9 Ranch with memo: Shopping

Spree. Our goal is to have at least $600 worth of grocer-

ies to spread around to as many employees as it lasts.

Your donation can help make it happen!!!

CRAFT HOUSE IS ALSO SPONSORING A BAG

SALE FOR EMPLOYEE’S ONLY. Volunteers at the

Craft House will provide “bag shopping” from the flea

market room for employees (the Craft House does not

include consignment items in bag sales). Employee will

pay a small fee and fill a bag with as many items as they

can stuff in it. Member generosity of slightly used and/or

new items can be a great buy for an employee. Take

these items to the Craft House in Wilder Springs before

the Labor Day weekend so they can be processed and

ready for the employees to browse.

Stayed tuned for more opportunities to honor our C9R

Employees at the end of the season on September 8th and

put the Chili Cook-off on your calendar.

What an interesting interview this was!!! Cole-man Smith is a quiet young man, who at first seems al-most shy. For the last two years Coleman has been a seasonal employee in the Resource Development De-partment. His first year he ran the weed-eating, but this year got “promoted” to the mowers. This Friday is Coleman’s last day as an employee this season as he returns to college on Mon-day.

The first question asked in these employee interviews is to tell a little bit about their life away from Cloud 9 Ranch. Cole-man settled in and began to tell his story. It only took a moment to realize this young man’s ambitions are much higher than his sum-mer job at Cloud 9. Cole-man is a mere 19 years old, but displays maturity way beyond his age. He’s grown up as a preacher’s boy. His father, Kevin Smith, is the Minister of Elijah Church of Christ, not far from the Ranch on V Highway. His family moved to Dora, MO when he was three. He at-tended Dora public schools. Coleman says watching his Dad all these years made him want to do a little preaching of his own. He is already filling in for area ministers from time to time; said he might further his ministry in a couple of years.

High School was a good time in Coleman’s life. He was a straight A student, played baseball, member of FFA, Beta Club and other clubs. Watching Coleman talk, you could see it was an enjoyable time in his life. This interviewer couldn’t re-

sist asking, “Please tell me you got Most Handsome.” With a contagious grin, Coleman said, “Yes, Ma’am.” “Your Senior year?” I asked. “Well, I got it three years, but you don’t have to say that.” Oh, yes, I did. A smile like that after a full day of heat, grass and smudges of dirt on his face, you bet I did. Surprisingly, living in Dora all his life, Coleman had never been to Cloud 9 Ranch; heard very little about it until after graduat-ing high school in 2011. His senior year, he was ac-cepted at Freed Hardeman College in Henderson, TN. To help out with his college costs, Coleman went look-ing for a summer job. He met a man who mentioned Cloud 9 Ranch was hiring and gave him contact infor-mation. Coleman was soon hired by Harry Bonham to work in the Resource De-velopment Department the 2011 season, then off to college he went. Harry told Coleman if he wanted to come back this season, just to let him know and he had a job. Coleman maintained a 3.5 GPA his first year at Freed Harde-man, in communication/broadcasting studies. Cole-man remarked, “Not sure exactly where I’m headed yet, but my passion is tele-vision broadcasting.” He’s made several films and vid-eos on his own. Coleman’s family are not Ranch members so you

don’t see very much of him around here after work, but says he’s been a guest on the Ranch a few times since he started working. He enjoys riding on the backwoods trails, deep into the wooded ar-eas where there’s not as much traffic and noise. He called it “exploring.” He plans to return to work next season if things work out, but he’s looking for-ward to one day being a Cloud 9 owner more than working as an employee. You can tell this young man is going places, that is certain. When Coleman was asked if he could tell Cloud 9 members one thing, what would it be. Cole-man hesitated, but it was obvious he had something to say. After explaining one goal of these inter-views is to let the mem-bership know what it is like to be an employee, Coleman opened up, “I would like to tell members we are good workers on the grass crew. We work hard and don’t try to make people upset, or try to cause problems. Mistakes happen, but we really try to do our job the best we can. It’s a funny feeling not knowing when some-one is coming toward me whether they are upset, mad, going to ask a ques-tion or say something nice. We get all of them during the day when we are just trying to do our job.” Our conversation turned to his private life -- he’s got a girlfriend in Kansas City, MO, just dat-ing for now. He really en-joys singing and playing his guitar; playing with a band from Arkansas for a few years, Coleman

added, “I try to be a musician and play every chance I get; I’m booked around Christmas in Lakeview, AR to do some Country and Bluegrass.”

The interview ended

talking about Coleman’s faith

and his ideas for the future are

bright. He is a counselor at

and enjoys working with chil-

dren. I asked Coleman his fa-

vorite Scripture. There was no

Death is so happy when you know where you’ll go.

And Kita, dear Kita, for you this is so.

Your Ted has been waiting since he went away.

But now you are with him, you’re together to stay.

I’m sure God smiled as He led you in.

With your newly healed body; you are sitting with him.

We are all so happy but, still we are blue!

And much liquid love is being shed for you.

You are the definition of friend.

AND I’M NOT READY FOR YOUR LIFE TO END.

Who can I talk to? For you listened to me.

And who’s going to make me laugh and dance, as you did all three.

And how many can say, “many dogs know their name?”

Animals sense goodness and their lives won’t be the same.

How many boys had a mother like you?

And all of the grandkids will miss you, too.

We all want to be like Jesus, I know this is true.

But if anyone came close, I KNOW IT WAS YOU!!

Bingo News

Each year Judy Sweetin and the group of friends and helpers she has, work very hard to bring fun to the Employee Appreciation Dinner that is held at the end of the season. This year is no different, with all of Judy’s hard work, a little more help is needed. Judy is asking that willing members pitch in to help pro-vide the needed cakes for the two cake walks that will be held during the Labor Day weekend. This year in addition to the 2 cake walks, members will also be able to purchase cakes for $10 each if they do not want to participate in the cake walk. Again, the proceeds from the cake walk are for expenses incurred for employee appreciation.
