Section1:FormattingTableswithintheThesisorDissertation

GeneralFormattingGuidelines• BesurethatallinsertedtablesarelabeledwithaTITLEandNUMBER

o Example:Table1.TotalNumberofGraduateStudentsfrom1986–1997• Thenumberingforeachtablemustbeconsecutive,pertherequirementsofyour

chosenstyleguide.o Numberingcanbefromthebeginningofthedocumentorfromthestart

ofeachchapter.• Yourcasingchoicesmustbeconsistentandmatchbetweenallofthetablelabels

andshouldfollowtherequirementsofyourchosenstyleguide.o Forexample,ifyourtitlesareinALLCAPSinyourtext,theywillneedto

beinALLCAPSinyourlistoftablesandthroughoutyourothertabletitles.TheruleappliestotitlesthatareTitleCased,lowercased,orJustcapitalizethefirstwordofyourtitle.

• Ifatableislandscapeoriented,thetable’slabelandpagenumbermustbelandscapeorientedtomatch.

• TABLESMUSTBECLEARLYDELINIATEDFROMTHETEXT.Thiscanbedonebydonelinebreaks(minimum2linebreaksor2double-spacedlines),borders,oradelineationthatisapprovedbyyourstyleguide.Thetitleanddescriptionoftablesareconsideredpartofthetableandmustbeclearlydelineatedfromthetextaswell.

• Tablesembeddedintoyourdocumentmustfitonasinglepage.Youcanusesmallerfontsizeontables,butitcannotbebelow8pointsize.Iftheembeddeditemdoesnotfitwithinyourtextonasinglepage,itmustbereasonablysplitormovedtotheappendix.Youcaneithergiveeachtableitsownappendixoryoucancreateasingleappendixcontainingmultipletables.

• Unliketherestofyourdocument,thedescriptionsandtitlesoftablesembeddedinyourdocumentcanbesingle-spaced.

• Youmustusethesamefontstyleastherestofyourdocument.Asnotedabove,thefontsizecanbesmallerthantherestofthefontsizeinthedocument.

InsertingaCaptionforaTableinMicrosoftWord:UsingthisfunctioninMicrosoftWordenablesyoutoensurethatthereisconsistencyamongtabletitlesthroughoutyourdocument.ThesecaptionswillalsothenenableyoutoautomaticallycreateaListofTables.REMEMBER:Alltablesneedtobeformattedidenticallywitheachother.

1. Findyourfirsttableinyourdocument.2. Positionyourmousecursoratthebeginningofthetable’stitle/description.Go

totheReferencestab.

3. Onthistab,selectInsertCaption.ThisislocatedinthecenteroftheReferencestabundertheCaptionssection.

4. Amenuwillpopupandlooksimilartotheimagebelow.

5. Makesuretheword“Table”isdisplayedintheLabelsection.Ifitdoesnot,clickonthedownarrowintheLabelsectionandselectitfromthelist.

6. Whenthecaptionfiguresays“Table1,”clickOK.7. Thelabel“Table1”shouldappearinfrontofyourcaption.Youwillnoticethat

Wordhaschangedthelabelanddescriptionofyourtabletoitsdefaultsettings.

8. YoucanchangethecaptionformattingstylebygoingtotheHometab.ThereyouwillseetheStylessectionintheribbon.Inthelowerright-handcorneroftheStylessection,youwillseeanarrow.ClickonthearrowtobringuptheStylesmenu.

9. Clickanywhereonthecaption(labelordescription)andthisdisplaystheCaptionsoptionintheStylesmenu.

10. Clickonthedownarrowlocatedtotherightof“Caption.”

11. ChooseModify.12. Thisiswhereyoucanmodifythefontstyle,fontsize,thepositionofthelabel

anddescriptions(e.g.,centered,left-aligned),andthelinespacing(e.g.single-spaced).

13. Onceyouhavefixedthestyleofthecaption,clickOK.Thecaptionforyourtable

shouldreflectthesechanges.Fromhere,allcaptionsforyourtablesshouldlookthesame.

14. Toinsertacaptionfortherestofthetablesinyourdocument,followtheabovesteps.

15. Theonlychangeisthatinsteadofmakingsurethelabelis“Table1”(Step7above),thenumbermustbechangedtoaccuratelyreflecttheorderoftherespectivetable.

• Itmustbelabeledas“ListofTables”• TheListofTablesismandatoryonlyifthereare5ormoretablesfoundinthe

document.However,youcanchoosetohaveaListofTablesifthereare4orlesstablesinthedocument.

• RegardlessofwhetheryouarerequiredtohaveaListofTablesorifyouchosetohaveaListofTables,alltablesincludedinyourtextandappendicesmustappearinyourListofTables.

• Furthermore,ifyouchosetohaveaListofTables,youareboundbyalllistformattingrulesandyoumustincludealltablesonthelist(foundinboththedocumentandtheappendices).

• ThepagenumberslistedintheListofTablesmustmatchthepagenumberastheyappearinthetext.

• ThelabelandnumberforeachtablelistedintheListofTablesmustmatchexactlyastheyappearinthetext.

• Thelabelisconsideredtobethefirstsentenceafteryourlistedtablenumber.ThissentencemustmatchverbatimbetweentheListofTablesandthetext.

• YourcasingchoicemustalsomatchbetweenyourtablelabelinthetextandintheListofTables.

o Forexample:ifyourListofTablescontainsTable4b:OatmealConsumedfrom1820-1851;thecorrespondingtablelabelinthetextshouldbeTable4b:OatmealConsumedfrom1820-1851.

• TheformatusedforyourListofTablesmustmatchtheformattingstyleofyourTableofContents,ListofFigures,andanyotherlistsincludedinyourfrontmaterial.

ThismethodisalmostidenticaltohowyouwouldmanuallycreateaTableofContents(seeTableofContentsManualandManualforFormattingtheFiguresandtheListofFiguresintheThesisorDissertation)inMicrosoftWord.OntheListofTablespage:

1. MakesureyouhavetheHeading“ListofTables”onthepage.Besurethatitfollowstheformatforallothermajorheadingsthroughoutthedocument(SeeHeadingsandSubheadingsManualforhelpwithformattingmajorheadingsusingtheStyleguidesinMicrosoftWord.)

2. Typethefirstentry.Remember:a. TableNumberandLabelb. Makesurethefontstyle,fontsize,andcasingmatchbetweentheListof

Tablesandthetext.3. PressTabandthentypeitsrespectivepagenumber(Remember:makesurethe

pagenumbermatchesexactlybetweenthedocumentandwhatislistedontheListofTables)

4. ThenselecttheTabstopcharacter.InordertoshowtheTabstopcharacter,clicktheHometab.ThenclickShow/Hideintheparagraphgroup.

5. Clickthearrowfoundatthebottomlefthandcorneroftheparagraphgroup.6. ThislaunchestheParagraphDialogBox.ClicktheTabsbutton.

Section4:HowtoCreateaListofTablesAutomaticallyinMicrosoftWord

AddingcaptionsviatheCaptionssection(underReferencestab,enablesyoutoautomaticallycreateaListofTablesinMicrosoftWord.Makesurethatyourcaptionshavebeenproperlyinsertedandmodified.Iftheyarenot,thenitwillcauseissueswhenyoutryandcreateyourListofTables.

1. GotoyourblankListofTablespage.2. HitentersothathaveablanklineunderneaththeListofTablesheading.3. ClicktheReferencestab.SelecttheInsertTableofFigures,foundintheCaptions

section.4. TheTableofFiguresmenuwillappear.Yoursshouldlooksimilartotheone

below.5. Makesurethecaptionlabelsays“Table.”6. Inordertomodifythefontsize,fontstyle,andmakesuretheListisdouble-

spaced,clickonthemodifybutton.ThiswillbringupanotherStylemenu.ClickmodifyagainandthiswillbringuptheModifyStylemenu.

7. Onceyouhavemadethenecessarychanges,clickOK(allthreemenus).8. TheListofTableswillbegenerated.

Remember:SimilartotheTableofContents,youcannotfixanymisspellingsorspacingproblemsontheListofTablesitself.Instead,youwillneedtogotothecaptionitselfandmakethecorrections.YouwillthenneedtoupdatetheListofTablestoreflectthechanges.UpdatingtheListofTables:TherearetwooptionstoupdatetheListofTables.

• FirstOption:ThefirstisthatundertheModifyStylemenu(Step6above),youcanclick“Automaticallyupdate.”Thiswillensurethatanychangesmadetothetables(captionspellingortheirplacement)willbeautomaticallyupdatedontheListofTables.

• Secondoption:1. NavigateyourmousetotheTableofContentsitself.Right-clickwithinthe

TableofContents.Itwillturngreyandtwomenuswillappear.2. Selectthe“UpdateField.”Anothermenuwillappear.3. Choose“Updateentiretable”andclickOK.ThiswillupdateyourListof

Tablestoreflectanychangesyoumayhavemadetothetables’captionsorplacementinthedocument.
