SUBCONTRACTOR RESPONSIBILITIES The following is a broad outline of the key operational protocols and procedures that will relate to the engagement of your services at A J GRANT.

Client Contact and Customer Service Subcontractors, and any entity engaged by them, are required to treat all clients and their representatives with courtesy and respect at all times. A high level of customer service will be maintained through communications undertaken in a timely manner that ensures they are regularly kept informed on the status of the job. The job Supervisor should also be informed of job status including any delays experienced in meeting agreed outcomes.

Personal Performance Management It is a fundamental company practice that Subcontractors, and any entity engaged by them, remain aware of how they are performing according to a set of agreed standards and outcomes. We believe it is important that prompt and accurate feedback is provided when either poor or good performance is observed. Any disputes or grievances arising in the course of this contract should also be addressed quickly. If these are unable to be resolved through appropriate channels, A J GRANT can appoint an external facilitator to formally assist the parties to a resolution. Don’t sit on issues – raise them quickly and responsibly so they can be dealt with properly. You and any entity engaged by you, will be required to comply with certain rules and regulations regarding your personal behavior and anyone under your direct control. It is important that you are aware of these rules, as failure to observe them may result in a review of your contract situation. In certain cases, evidence of the following misconduct could lead to instant termination of your contract:

Intoxication and/or illicit drug on the job or where use affects the performance of duties.

Unprovoked insubordination or abuse to colleagues, management, associates or clients.

Knowingly submitting false records of hours worked or other service related information.

Proven dishonesty in connection with the business – stealing product, merchandise, property, information or money belonging to A J GRANT, a client or an individual.

Willful destruction or neglect of property and equipment.

Disclosure of confidential information to unauthorised persons.

Breach of Occupational Health & Safety policies and procedures that increases the risk of injury to yourself and others.

Refusal to comply with a proper direction.

Deliberate actions against the intent of the company.

Illegal possession or sale of drugs on company or client premises.

Defrauding or attempting to defraud the company including misrepresentation and falsification.

Continual failure to perform duties as required.

Quality Assurance All services provided by the Subcontractor, and any entity engaged by them, must at all times meet Australian industry standards of quality and safety. The Subcontractor, and any entity engaged by them, must:

Comply with all laws and regulations applicable to your business including licensing and registration requirements.

Ensure all work methods and procedures are up to date with industry Codes of Practice

All materials used conform to relevant legislation and Australian Building Standards.

A J GRANT will monitor Subcontractor performance in regards to costs, quality, customer service, compliance and competitive behaviour. A formal evaluation and performance review process will be implemented from time to time which will ask clients to rate service received on a set of agreed criteria that focuses on:

Site tidiness

Effectiveness of communication process

Client interaction

Job delivery – timeliness and punctuality.

Attendance

Quality of work

Presentation and Image Subcontractors representing A J GRANT must ensure that the standard of attire and general presentation of staff meets minimum standards that address:

Practicality

Safety

Business image

Confidentiality It is essential that information relating to any business and operational aspects of A J GRANT is treated confidentially. This covers information about A J GRANT and any of our clients. This is not to be discussed with anyone outside of those immediately concerned. In positions where your duties specifically provide access to such information, you may be required to sign an additional confidentiality agreement as part of your contract.

Smoke Free Environment The Occupational Health and Safety Act requires all employers to provide a healthy working environment. In support of this outcome, A J GRANT have determined that “No Smoking” will be permitted inside any of its own offices, buildings (including toilets), or vehicles. We will require Subcontractors, and any entity engaged by them, to be aware of, respect and abide by the wishes of clients in regarding to smoking on each job.

Care of Property & Equipment Subcontractors, and any entity engaged by them, are required to maintain and be responsible for items issued, or made available to them, for the completion of their duties. Any faults or malfunctions must be reported immediately. At times you may be required to “sign off” for specific equipment issued to you.

Personal Harassment At A J GRANT we will not tolerate any form of emotional, physical or sexual harassment. If you experience any form of harassment, first make it clear that such behaviour is totally unacceptable. If the harassment continues, bring the matter to the attention of your supervisor.

Company Communications All jobs, tasks and services contracted to be provided to a client will be notified through a Purchase Order. In general, A J GRANT will endeavour to keep all its Subcontractors informed about significant activities and events of consequence in the company. Any person approached to make a comment about A J GRANT’ activities should pass the enquiry on to the Company Director. All public relations and media contacts will be handled in this manner.

Grievance and Dispute

A grievance may be about anything which a subcontractor feels affects them unjustly or unfairly. The grievance may be about discrimination, harassment or any other contracting decision or behaviour which appears unfair or unjust. How will you grievance be handled? If you come forward with a grievance it will remain absolutely confidential, excepting those who are necessarily involved (such as witnesses and respondents). It is essential that you also maintain confidentiality in order to avoid gossip and potential defamation proceedings. In the interest of all parties, each complaint will be dealt with in as short a time a sis possible. Based on your documentation and the various interviews, a decision will be made on the appropriate course of action.

Contract Administration All contracts will be reviewed annually, or at the completion of the specified period. Contracts will be renewed subject to a satisfactory assessment against Quality Assurance outcomes. All invoicing is to be completed no later than 3 working days after the completion of works. One Invoice will be accepted per job unless alternative arrangements are made or scheduled progress claims have been negotiated. All Invoices are to follow the standard A J GRANT format. All variations have to be authorised by an A J GRANT supervisor prior to the commencement of works. No variation will be paid without prior approval.

Occupational Health & Safety At A J GRANT, we take the issue of managing Occupational Health and Safety very seriously. The health, safety and wellbeing of everyone involved with our business is important to us. The Subcontractor, and any entity engaged by them, must:

Comply with all laws and regulations applicable to your business.

Ensure any employees of the Subcontractor carry out all services safely and comply with relevant OH&S procedures.

Ensure any employees of the Subcontractor carry at all times a valid and current General Induction Card

Ensure any employees of the Subcontractor are adequately trained in matters of OH&S on a continuous basis.

Subcontractors, and any entity engaged by them, should ensure that they have in place Work Methods statements to cover the major tasks and responsibilities undertaken in delivering services to the client.

Occupational Health & Safety Policy

The Management of A J GRANT holds in high regard the safety, welfare and health of its personnel. Recognising this, we will constantly work toward:

Minimising risks in our work sites;

Maintaining safe and healthy working conditions;

Consistently adhering to site operating practices designed to avoid injury and illness;

Conscientiously observe all Federal, State and company regulations. Responsibility for safe operations rests ultimately with the Company Director. However, it is delegated through all levels of the company as well as to its Subcontractors and forms an integral part of their performance accountabilities.

Principals Responsibility

Each supervisor will be responsible for maintaining an effective program of accident prevention to suit the need and requirement of the job. The program will include:

Maintenance and development of safe working conditions;

Safety awareness training;

Proper use of equipment for the job at hand;

Encouragement of safety suggestions with prompt consideration being given;

Safety issues raised as a regular agenda item in meetings;

Enforcement of all safety rules and regulations;

Investigation of all accidents, incidents and near misses with appropriate reports highlighting issues and resolution options and strategies.

Ensuring SubContractor systems and methods

SubContractors Responsibility

Subcontractors, and any entity engaged by them, are also responsible with regard to sharing in the development of a safe work environment. The exercise of maximum care and sound judgment for self and others is important. Subcontractors, and any entity engaged by them, will be required to assist by ensuring that:

No job is to be considered completed until the person has followed every precaution and safety rule required to protect all people involved throughout the operation;

Unsafe conditions, equipment or practices are reported as soon as possible;

Equipment is used in a safe and proper manner at all times.

Systems and methods of work comply with minimum legislative requirements and industry “best practice” benchmarks.
