1. Access to SEMS

Logging into SEMS URL: https://sems.sls.com.au

Please Note: Access to SEMS is assigned by the SLSA IT Helpdesk.

If you have already been assigned access, please login using your Members Area login details

Can’t login to SEMS or Need Access Please email [email protected] and provide the following information: -

• Name of club

• Full name of the Officer at the club who requires access to SEMS to do entries.

• Please Note: to be assigned SEMS functions the user must have an active Members Area log in account.

2. Entering Competitors by Team Contest

1. When you log into the SEMS system it will open on the Home Page and a list of events will be displayed.

2. Highlight the Event that you wish to add entries to. eg. Australian Youth Championships and click Open (located bottom left of screen).

3. The screen will display all the contests being held in this Event. Highlight (click on) the TEAM contest name that you wish to place your entries in and click ‘Open’ (located bottom left of screen)

1 On the next screen click the ‘Teams’ sub-menu tab. 2 Click ‘Add’ (located bottom left of screen) to create a team name. The system defaults to Alphabetical team names

NOTE: you must create the team name before you can add team members 3 Highlight the team name you want to add members to and click ‘Edit’ (located bottom right of screen).

4 By default, a list of eligible entrants will display. To add a competitor, highlight their name and click the + to move

them into the team.

5 Surf Boat Contest Roles

It is a requirement to identify who the surf boat sweeps are when assigning competitors to a surf boat race. The system will pick up those competitors that qualify for the contest role of either a rower (general competitor) or a sweep. When the Choose Role pop up screen is displayed Clubs must assign a competitor to the Surf Boat Sweep role or the general competitor role.

Surf Belt Contests The system will also ask clubs to identify which competitors are playing the role of either the Surf Belt Swimmer (general competitor) or a linesman.

6 Continue to add competitors to the team. You will be able to

view on the right-hand side: - a. Team Name – you can edit the team name if required. b. See the number of competitors entered and total number

required for the contest c. The teams are marked as incomplete until all team members are

entered. You can save an incomplete team and update later. d. The Role assigned to each member of the team. 7 Click ‘Done’ to the save the team

3. Entering Competitors into Solo Contests

Highlight the solo contest that you wish to place your entries in and click ‘Open’ (located bottom left of screen) from the Contest – Lists page.

1. Select the ‘Entrants’ option in the submenu box, see image below:

This will take you directly to the competitor entry screen for the chosen solo contest. The system will search and list all

your club members that qualify for the contest and event.

2. To enter competitors (into solo contest) highlight the desired person

3. Click the “+” sign to add them to the contest, they will now appear on the right-hand side.

4. Alternatively, you can highlight the competitors name and drag them across to the right- hand side of the screen.

5. Once you have entered your competitors, don’t forget to click the ‘Save’ button in the bottom left to ensure the entries

are saved. See below

4. Entering Competitors by Name

Entering competitors by name is just another way to make your solo contest entries.

Note: if you wish enter competitors into a Team Contest by name using the ‘Participants’ tab you need to create the

team name first. How to do this is detailed in Section 2 of this user guide.

1. From the Contest – Lists screen click on the ‘Participation’ menu tab.

2. Ensure that ‘all contests’ has been selected and you tick the checkbox ‘Meet Criteria’ and ‘Not Entered’.

3. The system will then display all eligible club members.

4. Click on the name of the competitor that you wish to ADD, highlighting their name

5. Click on the Add button and the system will display all eligible contest that the competitor is able to be entered into.

6. Using the checkboxes, tick the contest

that you wish to add the competitor

into and then click ADD

7. Adding Ironperson Handlers

To assign a Ironperson Handler follow these instructions Note: You must add the competitor to the contest first before you can assign a handler to the competitor.

From within the Event – click on the contests - lists.

Highlight the Ironman contest, and click the open button (located bottom left of screen) and click ‘Entrants’

1. A list of your Ironperson competitors will be listed on the right-hand side of the screen

2. Highlight the competitor that you wish to assign a handler to

3. Choose the handler from the eligible Candidates list (on the left-hand side of screen) and highlight the name

4. Click on the ‘>’ button to assign.

5. You will see that an Assistant has been assigned along the same line as the competitor

6. Hit the ‘Save’ button when finished

8. Member is Not Displaying in Qualifying Member List

The default display is for qualifying members that are eligible to be entered into a specific contest. If a member does not display untick the ‘Qualified’ Box for team entries or ‘Qualifying Members Only’ for solo entries.

To view why a member does not qualify for a contest click on the red NO next to the person’s name and a pop up will display why this member does not qualify for a contest. (Please note the popup will go away when you move your mouse). Club Officers are unable to add 'non-qualifying competitors' to contests.

9. Entry Reports

To run a report of your entries, click the ‘Reports’ menu tab and select your report type from the drop-down eg. Full Competitor List. You can also select the option to include the names of all team members in the report.

Reports can be run for All Contests or for individual Contests.
