Club Discipline

5 Count

Group leader starts counting to 5.

All leaders and clubbers must be quiet before 5 is reached.

3 Count

Given if a particular child is being a discipline problem

1 count—clubber is being warned that he is being a discipline problem and needs to behave.

2 count—clubber is taken aside and talked to by the club director.

3 count—clubber is taken aside and talked to by the commander and parents are called.

Coach Responsibilities The main responsibility of a coach is to disciple a clubber to finish his book by listening to sections and build-ing a relationship with him. We want every clubber to make connections with two adults at Awana: their Small Group Leader and their Coach.

Pray regularly for club, clubbers and leadership

Arrive at 5:50 to pray with your group.

Spend time getting to know each of the clubbers in your group!

Working down your list of clubbers, take each Clubber out of their group and ask them if they have any

sections to complete. (Each week, start with another clubber so the same clubber doesn’t always go first

or last.) Then listen to these sections.

Manage your time! Let your room director know if you are running behind.

Give each clubber 1 coin for being present, 1 coin for attending church, 1 coin for bringing their Bible, 2

coins for each section, 2 coins for a parent signing any section, 5 coins for bringing a friend, and 10 coins

for completing their book. Note: Kindergarten does not use coins or participate in the nightly team com-

petition.

Fill out a record slip identifying the sections that were completed.

Make sure they stop at the secretary to deposit their coins and turn in their record slip. If they are a

Sparky that completes a jewel, have them give their uniform to the secretary.

From 6:00-6:15, listen to verses during the Express Lane time in your room.

At express lanes, listen to verses and sign the section, fill out a record slip for them to give to the

secretary, and give double coins (4) for every section.

Contact each of your clubbers at least twice each month (the 1st and 3rd weeks). Make sure to talk to

their parents first to let them know who you are and ask permission to call their child.

Send birthday postcards to each of your clubbers on their birthday.

Game Time Team Captain Responsibilities

Pray regularly for club, clubbers and leadership

Arrive at club by 5:50 to pray with your group.

Assist with setting up and tearing down the game square

Know and understand the rules to the games being played that night

Be prepared to demonstrate how each game is played

Prepare the next group of clubbers to play the game

Help the clubbers to understand the rules to each game

Stand with team and cheer on clubbers as they participate in games

Participate in theme nights

Small Group Leader Responsibilities A Small Group Leader leads his or her group of clubbers through the night. They will be the adult that spends the most

time with a clubber. The priority of a small group leader is to build relationships with their assigned clubbers for the

purpose of discipleship.

Pray regularly for club, clubbers and leadership

Arrive at 5:50 to pray with your group.

During Small Group Time: Prior to Wednesday, review and complete the sections your group will be working through.

For T&T:

Ask clubbers the questions from their book and ask them to share what they wrote.

Ask clubbers any discussion questions from the leader’s guide.

For Sparks:

Read the story from the clubbers’ book.

Ask the clubbers questions about the story you just read.

Guide the clubber through their activity sheet.

Help the clubbers learn the verse(s) if they haven't already memorized them.

Confirm their understanding of the Scripture they have studied and memorized.

Discuss ways they can apply the Scripture and Bible Study/Story to their lives.

Use the Prayer Journal in the book and pray with your group each week.

During Large Group Time: During large group time, clubbers will sit with you by group.

Help the speaker to maintain order by telling clubbers to be quiet (and sit between misbehaving or talkative club-

bers if necessary).

Don’t sit or stand in the back of the room.

During Game Time: During game time, pick a color line to stand on each week and be a cheerleader for the clubbers on that line.

Fill in for any missing team captains.

Don’t stand off to the side. Be involved in the games.

(Women) Help escort clubbers to the bathroom.

Secretary Responsibilities

Arrive at 5:50 to pray with your group.

Check-in (6:00-6:20) When you arrive, you will check-in the clubbers in your assigned rooms.

Leaders can check their children in before 6:00, all others need to wait until 6:00.

Room 201 & 205-207 will accept leaders’ children before 6:15, but all other parents must wait in the

hallway until 6:15.

When giving nametags, for Sparks and T&T, put a red, blue, green, or yellow color team sticker on the

clubber nametag keeping the teams balanced for each boys and girls, give the parent their pick-up tag ,

and put the third nametag in the white book.

Guests will come directly to your room. You will fill out a guest nametag and color team sticker on

it. When giving a guest nametag, write the guest’s name and parent’s phone number in the white

book. Then send the guest to the room director who will assign them to a group and a coach.

A guest can visit as many times as they want.

Guests will receive entrance booklets, but do not give a guest a regular book. They only get a book,

book bag, and uniform once they have registered in the lobby at the registration table (and have a com-

puter printed nametag).

After check-in, make sure to give the Club Director their stickered sheets from the white book because

they need to keep the sheets with them in case of emergency.

For Sparks and T&T Secretaries Only When a clubber comes up to you, make sure they put their coins in their correct color bank.

Collect the record slip from the clubber and enter the completed sections into Approved Workman.

For a Sparky that has completed a jewel, collect their uniform and put the jewel into the wings (make

sure the uniform has the clubber’s name on the back).

At the end of the period, weigh the banks and record the points. Give the points sheets to club direc-

tor, so that they can announce the winning team at the end of the night.

Give the club director the awards to be handed out at the end of the night (patches and/or Sparky uni-

forms).

Make sure that the treasure box is filled and refill it from the treasure box in the basement.

For Cubbies Secretaries Only Help the director prepare the craft and set out the snack.

Have the patches ready to present to the clubber on patch award night.

Cubbies Leader Responsibilities

Arrive at 6:00 to pray with your group.

At 6:15 pm we will start accepting children.

You and another leader will be at a table with 5 to 6 children. You will have these same children all year.

Handbook Time

This is the first section of our night! Cubbies will be coming in around 6:15pm. This is the time they are to

remain at the tables. They are to say their verse(s) to you during this time. You will need to sign their

book on the leader signature line and record any verse(s) they said on the record sheet. We will also have

playdoh, blocks, etc. to keep them occupied at their table.

This is a GREAT time for them to take a trip to the bathroom! (Only 2 clubbers can be in the bathroom at

one time…2 girls or 2 boys (Do NOT mix genders!!) The bathroom door needs to be monitored by a fe-

male leader while a child is in the bathroom!

Flag & Music Time

We will recite the Pledge of Allegiance and the Pledge to the AWANA Flag. During our music time, we will

sing the Cubbies song and a selection of music provided by our music leaders. The clubbers love it and are

typically engaged. Try to keep the children focused on the music. This is also a GREAT time for bathroom

breaks!

At the end of our music time, we will split into two groups. Green and Yellow tables will go to 208 for Bi-

ble time and Red and Blue tables will go out to the play ground for game time. At 7:10pm they will switch

(Red and Blue will go in for Bible time and Green and Yellow will go out for game time). Purple tables will

be assigned to either rotation.

Bible Time

During this time the Bible teacher teaches a Bible lesson to the Cubbies. Leaders need to be sitting with

their color groups so that we do not have disruption. This is a very important (Perhaps the most im-

portant) time of our night. There will be NO bathroom trips during this time!! They have already had sev-

eral opportunities during the night to go to the bathroom so this should not be an issue.

Game Time

While one class is at Bible time, the other class is outside playing for our game time. Again, Red and Blue

tables will be together and Green and Yellow will be together.

Snack/Craft time/Award Time

Snacks will be at each table ready for when the class returns from game time or Bible time. Please pray

with the clubbers at your table before they eat! Please encourage your Cubbies to clean up after them-

selves when they are finished with their snack and craft. This is a good way of teaching them responsibil-

ity at a young age!

They will have a simple activity sheet/craft to keep them busy until their parents come. You will need to

assist as needed.

On award nights, we will also be handing out awards during this time.

Passing a Section

All parts of a section must be recited without looking at the book—including all verses, their references, and an-

swers for oral questions. All writing must be completed before the section can be signed off.

No more than two helps per section. Each help should be no more than three or four words.

T&T Clubbers should always complete the current night’s sections first and then catch up any missed sections.

Sparks must do sections in sequence except for the Bring-a-friend and Missionary sections.

Extra credit sections can be completed any time.

How to Contact a Clubber on the Phone

Pick a time specific time of the week to make all of the calls to your clubbers. Sunday evenings between 7

and 8 would be a good time because clubbers will be home from Children’s choir and most likely will not be

involved in sports during that time.

Script for a first call to a clubber

Talk to the parent first:

All: Hello, my name is _______________ and I am [clubber’s name]’s [coach/Small Group Leader] in

Awana.

Coach: That means that I will be meeting each week to listen to [him/her] recite [his/her] verses each week

and pray with [him/her].

Small Group Leader/Cubbies Leader: That means that I will be guiding [clubber’s name] through the differ-

ent activities during the club night.

All: I would like to get your permission to call [clubber’s name] every other week during this time. [Parent

response]. I would like the chance to meet you one Wednesday evening before club starts. Just have

[clubber’s name] introduce me to you. [Parent response]. May I speak to [clubber’s name].

Script for subsequent calls to a clubber

Hello, this is _______________ and I am [clubber’s name]’s [coach/Small Group Leader/Cubbies Leader] in

Awana. May I speak to [clubber’s name].

Hi [clubber’s name], this is _______________ , how are you tonight?

Do you have any prayer requests?

Have you started work on sections _____ for this Wednesday.

Don’t forget this week [list this week’s theme night or special event].

I look forward to seeing you on Wednesday. Bye.

Club Director Responsibilities The club director is in charge of their assigned club for the night.

Arrives at 5:45 to make sure everything is ready and stays until 8:30 when all of the clubbers are picked up (choir

clubbers are dropped off in the nursery).

Pray with the leaders in your room at 5:50.

Is the up front person for your assigned club: makes announcements, recognizes those who received awards that

night having them select an award from the treasure box, and announces the winning team.

Makes sure that all of the clubbers and Small Group Leaders get to where they need to be at the right time

throughout the night—acts as the time keeper for their club.

If a Small Group Leader is missing, shifts clubbers or Small Group Leaders around to make sure groups are covered.

Answers parent questions.

Handles any discipline problems.

Trains any Small Group Leaders that are not quite doing what they need to.

Contacts your Small Group Leaders once or twice a month to encourage them and pray for them.

Attends the 4 quarterly directors meetings.

Assigns Small Group Leaders to listen to sections after weekend services on the club’s assigned week.

Cubbies Room Director Responsibilities The cubbies room director is in charge of their assigned room for the night.

Arrives at 5:45 to make sure the room is setup for the night.

Pray with the leaders in your room at 6:00.

Is the up front person for your assigned room: makes announcements and recognizes those who received awards

that night.

Makes sure that all of the clubbers and Cubbies Leaders get to where they need to be at the right time throughout

the night—acts as the time keeper for their room.

If a Cubbies Leader is missing, shifts clubbers or Cubbies Leaders around to make sure tables are covered.

Answers parent questions.

Handles any discipline problems and refers persistent problems to the Cubbies Director.

Trains any Cubbies Leaders that are not quite doing what they need to.

Arrives at 5:45 to make sure everything is ready and stays until 8:15 when all of the clubbers are picked up (choir

clubbers are dropped off in the nursery).

Sparks/T&T Room Director Responsibilities The room director is in charge of their assigned small group room for the night.

Arrives at 5:45 to make sure the room is setup for the night.

Pray with the leaders in your room at 5:50.

Manages the coaches who are assigned to the room.

If a coach is absent, makes sure that the position is covered, either by a fill-in, by reassigning clubbers to other

coaches, or by covering the position yourself.

Makes sure coaches fill out the paperwork correctly, and trains them how to do it correctly.

Retrains coaches who are not doing something correctly.

Contacts your coaches once or twice a month to encourage them and pray for them.

Assigns new clubbers to a group and a coach and gives out VIP wrist band to 1st time visitors.

Assigns coaches to listen to sections after weekend services on the room’s assigned week.
