Collaborative Partnership with YASH Allowed Company to Transform MSDS Authoring Process

The main challenge of this initiative was to create 100% accurate MSDS’s within shorter timeframes and with zero tolerance to quality process flaws. As this was the first time the client was outsourcing the MSDS authoring activity, one of the significant factors of a successful partnership was the ability for YASH to define, create, and refine current process documents, along with associate training material. YASH was able to extract the data necessary such as standards and regulations and finalize and publish a MSDS. This process was complex as there were language and country-specific regulations in addition to all the variations of chemical make-ups and interaction formulas.

A certain degree of change management had to be conducted on the client side to get the internal team and stakeholders trained to work in a distributed environment. The adoption of new processes and the proposed effectiveness of those processes was a concern, along with potential risks and any mitigation plans that should be put into place. YASH worked in collaboration with the client’s information security team to define the appropriate level of system access in the SAP systems, as well as the peripheral document-based communication that would be the key to ensuring the new processes were kept in accordance with all audit and statutory mandates.

YASH built its delivery infrastructure utilizing YASH’s offshore SAP resources. YASH initially started the project with filling in six of the 15 sections of an MSDS and within the first quarter after the transition, YASH delivered 3000 successful and complete MSDSs. YASH used the client-standard Ariel tool to expedite the SDS creation process, as it reduced the time spent on analysis of regulatory information. Ariel would compare all components of the standard composition against predetermined North American regulatory lists and provide a summarized report of each component as if they already appeared on these lists. The report was built by regulatory lists, not by component, and used Microsoft Access to create these reports.

By ensuring that every product and deliverable went through multiple stages of review, YASH was able to enhance the accuracy, completeness and timeliness of the MSDSs. A peer and quality group review ensured product quality control. Periodic audits to verify compliance as well as management reviews for validating proficiency levels and appropriate processes ensured process quality control.

Streamline Authoring Gave Client Ability to Produce 1000 MSDSs per Month

During the authoring initiative, YASH produced an average of 1500 complete material safety data sheets per month for the client. YASH expanded the MSDS authoring infrastructure, enabling it to meet current and future authoring needs in a scalable model. The client realized significant cost reductions due to effective utilization of YASH’s offshore team for authoring and quality review. Consistent MSDS content resulted in improved compliance, reduced risk and decreased liability through process automation.

In addition, the client has realized a positive impact on its product lifecycle by being able to bring a new product to market faster by having YASH address all regulatory restrictions early in the product development stage. This way excessive regulatory research time and possible threat of stopped shipments can be eliminated, and the company can quickly expand into new markets.
