Proof of concept core componentsThe proof of concept is comprised of three core elements which can be modified and extended as required by the client.
IntroductionSteljes is committed to providing a first class technology evaluation and user adoption service to its enterprise clients.
The following document outlines the key components of this service which can be customised to the specific needs and ambitions of the client with an understanding that the scalability of this offering is key to ensure maximum return on investment (ROI).
Objective
The objective of a proof of concept is to support an organisation to adopt and implement technology successfully, considering:
The environment requirements of the building •
or workspace
The integration and installation requirements•
The necessary engagement required to ensure •
the technology is embedded in work processes
and adopted by users. We often find that our customers have experienced unsuccessful technology deployment projects in the past simply because the focus has solely been on the technology. Our proof of concept service supports you in understanding the necessary internal requirements to support wider deployment, which may not have been considered in previous projects.
Rental ServiceWe provide a first-class rental service of the latest interactive collaboration technology. The technology is delivered to site, installed by qualified engineers and then at the end of the proof of concept is removed from your office location. All transport costs are covered in the service.
In the case of SMART Freestorm™ visual collaboration solutions, the technology hardware is delivered on a sturdy mobile stand, so there is no need for physical installation. The rental period can be for any length of time but no less than one month to ensure your objectives are met and evaluated within a reasonable timeframe.
The rental period can be extended if required. As the technology is already ‘in situ’ this is a cost effective way to extend the trial with other potential user groups.
The technology can be purchased at the end of the proof of concept period or returned without obligation. If you choose to purchase the technology, a discount on the purchase cost may be available to proof of concept customers.

Technical Consultancy One of the key reasons why organisations may want to undertake a proof of concept is to understand how it will integrate within existing IT infrastructure or complement other unified communications and collaboration technologies. Our technical consultancy service will allow you to understand the technology in greater depth, from both a hardware and software perspective, and establish technology standards or compliance. For example, the proof of concept can be used to explore the elements shown in the diagram below.
The proof of concept includes one day’s technical consultancy as standard however this can be extended, depending on the nature of the integration requirements, on a per day basis. The consultancy is provided by an experienced Enterprise Technical Consultant with relevant networking and integration qualifications and could cover:
SMART Meeting Pro™ software and SMART hardware
SMART Meeting Pro specifications for hardware •
SMART Meeting Pro hardware compliance testing•
SMART Meeting Pro licencing, deployment •
and management.

User Adoption ConsultancyProbably the most important aspect of the proof of concept service is the time spent with the potential end user audience to understand how this technology will improve productivity within your organisation. Successful technology deployments depend on early engagement with the end user, empowering them to embed technology into their day to day work processes.
Steljes understands that customer needs are different. At the heart of any successful SMART enterprise implementation is continuing consultancy offering key review points and opportunities for re-assessment. As part of the proof of concept, the engagement will include the following:
Initial pre-installation engagement to complete a •
thorough needs analysis. This will establish how
you wish to use the technology, what benefits
are expected and which business functions will
be expected to use the technology. The session is
an opportunity for you to establish a successful
adoption and integration timeframe and to focus
on the wider behavioural change, to which it
may be aspiring, within the organisation. This
may simply be around effective meeting room
management or a more specific business function,
for example, the lean management team. It is also
a crucial opportunity for Steljes to discuss training
needs for the organisation and will form the basis
of the initial training proposal
Agreement of proof of concept objectives •
and ROI measures
One day’s training with the chosen user group(s)•
Agreed end of adoption timeframe review. This •
will give you the opportunity to review the success
of the adoption against the agreed ROI measures,
and its implementation.
Training ServicesWith 25 years’ experience of introducing innovative collaboration technology to organisations across the UK and Ireland, Steljes recognises that training is critical to the implementation of new technology. We can offer a number of additional courses to further support the proof of concept or beyond. All of these courses can be customised specifically to the needs of the client, which can be established at the initial consultation and subsequent review meetings.
All training is carried out by SMART Accredited Training Consultants. The SMART Freestorm visual collaboration core courses currently available are:-
1. Foundation essentials
Familiarisation (half day) – Introduction to the •
SMART collaboration solution and introduction to
SMART Meeting Pro software
Technical (1 day) – SMART certified technician •
course which is beneficial to those facilities
and support teams who manage and support the
in meeting room technology.
2. In context (lunch and learn, early bird and drop-in workshops) These short sessions provide employees with ample opportunity for consolidation of knowledge and bite size learning opportunities. These workshops aim to fit around the working day and provide least disruption to daily routine, whilst focusing on best practice and use with other software packages and applications specified by the client in the needs analysis.

3. Super user masterclass (1 day)
This course provides thorough training for the SMART collaboration solution on-site champion. This nominated person(s) will be given a deeper understanding of the technology, both hardware and software, and collaborative meeting practice. It aims to establish an on-site knowledge base who will assume the role of SMART super user within the organisation.
End User PrerequisitesDue to the size and weight of some of the technology used in the proof of concept we would need to confirm that the proof of concept will ideally be undertaken at ground floor level, or that a suitable service elevator is available to transport the items safely and securely between required floors.
The following will need to be confirmed to the Steljes rental team by the customer in advance of the delivery date:
Entry requirements to site •
(e.g. any security requirements)
Access information•
Weight restrictions and dimensions of service •
lifts (if required).
ProcessPre-proof of concept engagement
An invitation is extended to key stakeholders to 1.
visit a Steljes demonstration facility where all the
latest technologies are ‘in situ’. You can review,
test and try out the SMART solutions prior to the
on-site proof of concept. This is useful if not all
stakeholders are available during the proof of
concept period

Once proof of concept is agreed
The Steljes Rental team will contact you to arrange •
