1 Introduction

This is the Call for Proposals (CfP) to be a participant in the Proof of Concept Showcase at the MEF18 event that will be held at the JW Marriot LA Live in Los Angeles, CA USA. The MEF18 event runs from 29 October – 2 November 2018, and the Proof of Concept Showcase runs from 29 October – 31 October.

2 Proof of Concept Showcase

MEF18 focuses on enabling agile, assured, and orchestrated communications services for the digital economy. Emerging “MEF 3.0” services provide an on-demand experience with user- and application-directed control over network resources and service capabilities. They are delivered across a global ecosystem of automated networks powered by LSO, SDN, and NFV.

With a target audience of 1,000+ attendees from 275+ companies and 35+ countries, MEF18 is the premier networking event of the year for senior professionals who are driving industry innovation.

MEF18's program builds upon – but is not limited to – the MEF 3.0 transformational global services framework, which has been warmly embraced by leading service providers, technology vendors, open source projects, and standards organizations who are collaborating to accelerate industry transformation.

MEF18’s content, networking, and special activities are designed to appeal to executives and other senior experts from communication and cloud service providers; enterprises; government organizations; network technology suppliers; systems integrators, open source projects, standards organizations; industry and financial analysts; investors; the press; and others.

The 5th annual Proof of Concept (PoC) Showcase will feature live service and technology demonstrations involving dozens of companies. The PoCs will provide valuable insight into how agile, assured, and orchestrated services can be delivered across automated, virtualized, and interconnected networks in accordance with the MEF 3.0 framework.

The Showcase will include two types of PoC demonstrations: those proposed specifically for MEF18 and, for the first time, demonstrations of collaborative MEF 3.0 Implementations projects that are in continuous development by MEF members throughout the year.

Team approaches are encouraged: service providers and network and service orchestration technology providers coming together to showcase the results that can be achieved when the innovators in our industry collaborate.

Participation will be limited to a maximum of 16 demonstrations involving partnering groups or individual companies. A small panel will assess submissions, and up to 16 submissions will be selected.

Cost for participation will be on a cost-recovery basis. See the Costs section below for more information.

3.1 Showcase Topic Suggestions

The following are just a few of many possible ideas.

Demonstrations of MEF 3.0 characteristics of agile, assured, and orchestrated services across multiple provider networks and/or multiple technology domains.

Use of LSO principles and APIs to deliver connectivity services across multiple implementations of different SD-WAN vendors.

Demonstration of the integration of 5G front/mid/backhaul and network slicing in end-to-end connectivity services using LSO principles and APIs.

Demonstration of service assurance based on Big Data Analytics service telemetry principles. Demonstration of Security as a Service (SECaaS) as an overlay to SD-WAN and other MEF 3.0-type services. Demonstrations of the readiness and implementations of open LSO APIs based on the LSO Reference Architecture

(MEF 55). Automated end-to-end service delivery over physical and/or SDN and NFV reference implementations

demonstrating MEF’s initiatives. Interactive, live demonstrations of Carrier Ethernet services utilizing LSO, NFV elements, and/or SDN management,

with connections to remote labs and live sites. Ethernet Access services delivered and managed across multiple service provider domains monitored by vNID

functionality, etc. Demonstration of application-aware network services (e.g. for Real Time Media sessions) orchestrated using LSO

principles. Demonstrations that combine new dynamic, bandwidth-on-demand or performance-on-demand services with

cloud-based applications. Other ideas that show collaboration, partnership, and innovation designed to accelerate the deployment of MEF

3.0 services.

4 Showcase Format & Location

The MEF18 Showcase format will consist of on-demand presentations at the participants’ booth inside the PoC Zones. The Showcases will take place during lunchtime and cocktail networking times. In addition, and new for this year, the Networking Hall Theater will rotate slide presentations for each PoC (limit of 5 slides per PoC).

The Showcases will largely consist of live remote demonstrations with on-site presentations at each PoC Booth.

The center of the Networking Hall will be the focus and presentation points for the MEF18 Showcases with network connection to live working networks, labs, and demonstration areas within the partner locations. The adjacent Networking Hall Theatre will feature slide rotations highlighting the PoC Showcases, along with the Awards presentation on Wednesday.

4.1 Notes and Guidelines

The goal is that on-site labs or costly equipment transportation or staging should not be necessary to execute the Showcase.

Each Showcase will have a presenter connected to a remote lab or other remote location. MEF will make available network connections to link to remote lab areas and remote interviews. The participant presentation space features two large flat screen monitors, graphics display area, and power. This

is exclusively available to Showcase participants. This will be a Showcase for innovation, not for canned presentations or competitive product pitches. Broad partnerships among services providers, enterprises, government organizations, cloud providers, co-location

organizations, equipment manufacturers, test and service assurances companies, software or systems integrators are preferred. If you need assistance in finding partners to work with, please email MEF18 Proof of Concept Showcase Manager, Tom Dickson, at [email protected] .

5 Support and Marketing

MEF or third-party partners will:

Provide all pre-event technical support and guidance as well as on-site logistics and technical support Provide graphic support to create consistent demonstration presentations. Provide special PoC pre-event and on-site support staff to handle logistics, etc. Highlight PoC participants and their topics on the MEF18 PoC Showcase page. Create and distribute a PoC press release highlighting PoC participants and their topics. Provide a MEF18 PoC Showcase summary document at MEF18 for use by press/analysts. Facilitate briefings (alongside MEF) with MEF18 media partners for potential articles – this includes encouraging

press/analysts to visit the Showcase early on the opening day, immediately following an afternoon press conference.

Create and distribute a press release announcing the PoC Awards.

6 MEF Awards 2018 for Proof of Concept

The MEF18 Proof of Concept Awards recognize the PoCs that best demonstrate agile, assured, and orchestrated services delivered across automated, virtualized, and interconnected networks. These services can be based on open and/or closed source software, commercial and/or open source hardware, SDN and/or proprietary NMS/EMS, and NFV in support of connectivity services (L1, CE, IP, or SD-WAN) and/or L4-L7 services.

All selected MEF18 PoC participants are eligible to compete for the PoC Awards. A panel of independent judges that include experienced industry analysts will review the participant’s Showcase and score the PoCs based on a set of criteria that include innovation, demonstration quality, validated use cases, and business requirements, alignment with published and draft MEF 3.0 specifications, and the use of LSO principles and reuse of work from other industry organizations collaborating with MEF.

Four awards will be given:

Each MEF18 PoC Showcase participant will need to fill a half-page submission form prior to the event in support of the judging. Submission forms will need to be submitted at least ten days prior to the start of the MEF18 PoC showcases at the MEF18 event, along with their slides for the Networking Hall Theater. Additional information will be provided after the Call for Proposal.

7 Press Release, Press and Analyst Material, and Website information

For the promotion of the MEF18 PoC Showcase, there will be press releases, press and analyst briefings, and a webpage on the MEF18 website. To promote your PoC, each team will be required to provide supporting material. Please refer to the Proposal Submission Section below for detailed information.

8 Costs

The cost for sponsor participation is solely to recover the costs of construction of the Showcase area, supporting logistics, management and technical support, Internet connections, and other Showcase-related items.

The cost will be $10,500 per participating group or individual organization ($8925 for Super Early Bird Sponsors and $9450 for Early Bird Sponsors). There is no additional sponsor fee required, but a minimum of Bronze Level sponsorship of MEF18 is needed for all participating vendors. This does not apply to Enterprise or Service Providers participating in a Vendor PoC.

o All parties listed as part of the Call for Proposal and Submission Form will be automatically invoiced for the cost of the Proof of Concept Showcase. Those who are not already MEF18 sponsors will be enlisted as a Bronze level sponsor and invoiced for sponsorship and PoC participation if they are selected.

MEF will subsidize the remaining costs of the Showcase and management support.

9 Contract

A formal agreement to participate is required. The agreement can be found in Section 16 of this Call for Proposal form. Completion of Section 16 is mandatory to submit a Call for Proposal.

The Showcase will be part of the MEF18 Networking Hall area. Therefore, in compliance with the hotel networking space requirements, the agreement includes the standard clauses required for participants of the event.

A copy of the Sponsorship Agreements (Section 15) and Proof of Concept Agreements (Section 16) are provided and will need to be completed and attached to the submission form. One Sponsorship (if not a MEF18 Sponsor) and Proof of Concept Agreement per PoC team member.

10 Timelines and Submissions

Submissions are now open. Final deadline for Submissions: 29 June 2018. Early submissions are highly encouraged. Selection of participants will be confirmed by 24 July 2018. Press release announcing selected participant and start of MEF18 PoC pre-event marketing plan: 5 September

11 Proposal Selection

A small panel will assess all proposals, and selected candidates will be notified as soon as possible.

12 Proposal Submission

12.1 Submitter’s Information

12.4 Alignment with Standards and Open Source Work

State the main alignment in the Showcase.with standards work in the MEF and elsewhere, and reuse of open source code? (Please refer to the judging criteria in Section 6)

12.5 Description of the Proof of Concept Showcase Interactive Presentation

Describe the nature of the Showcase in terms of on-site presentations, connectivity requirements to remote sites, and remote presenters etc. Pure non-interactive presentations will not be considered. Describe what the viewer will experience. If useful, include a network diagram. The goal is for each Showcase to be described in a five slide rotation, with on-site presentations at the adjacent PoC booths that are part of the Showcase space.

12.6 Proposal Pre-requisites

What special technical requirements do you, the proposer, require? Some of these are listed in sections 12.4 and 12.5 above but should be specifically indicated here. Examples might be 10 Mbps Carrier Ethernet feed, support for VPN connection to a remote site, connection to another MEF18 booth, etc.

12.7 On-Site Equipment

The intention is to avoid shipment and set up of on-site equipment where possible. Do you have any specific requirements in this area? As stated in Section 4.1, Proof of Concept demonstration should be connected to a remote location where supporting equipment should reside. On-site equipment should be housed in/on the PoC booth counter. Equipment housed outside of the PoC booth will not be accepted.

12.8 Marketing Content – PoC Title and Descriptions

As mentioned in section 7, content is required to promote your PoC Showcase. Please provide the following information. As a PoC tends to evolve as it is being developed, this content can be revised. Final dates for revision will be provided with the acceptance email.

15.1 Terms and Conditions

1. DEFINED TERMS. The term “Event” means MEF18, scheduled to be held 29 October – 2 November 2018 (the “Event Dates”) at JW Marriott LA LIVE (the “Event Facility”), Los Angeles, California in the United States. The Event is owned, produced and managed by MEF. As used herein, the term “MEF” means, collectively, MEF Forum, and each of its members, officers, directors, agents, affiliates, representatives, and employees. The term “Sponsor” means, collectively, (i) the company or person that applied for networking hall space rental and agreed to enter into this contract upon acceptance by MEF in the manner stated below and (ii) each of its officers, directors, shareholders, employees, personnel, contractors, agents, representatives and/or invitees, as applicable.

2. CONTRACT ACCEPTANCE. This contract shall become binding and effective only when it has been signed by a duly authorized representative of Sponsor and MEF. MEF may refuse acceptance of any proposed contract in its sole discretion.

3. ASSUMPTION OF RISKS; Releases. Unless directly caused by the gross negligence or willful misconduct of MEF, Sponsor expressly assumes all risks associated with, resulting from or arising in connection with Sponsor’s participation or presence at the Event, whether within the venue or otherwise, including, without limitation, all risks of theft, loss, harm, damage or injury to or of any person (including death), property, business or profits of Sponsor, whether caused by negligence, intentional act, accident, act of God or otherwise. Unless directly caused by the gross negligence or willful misconduct of MEF, Sponsor has sole responsibility for its property and any theft, damage or other loss to such property (whether or not stored in any courtesy storage area), including any subrogation claims by its insurer. Neither MEF nor the Event Facility accepts responsibility, nor is a bailment created, for property delivered by or to Sponsor. Neither MEF nor the Event Facility shall be liable for, and Sponsor hereby releases all of them from, and covenants not to sue any of them with respect to, any and all risks, losses, damages and liabilities whether described in this paragraph or not; provided, however, this release shall not apply to loss or damage suffered by Sponsor directly caused by the gross negligence or willful misconduct of MEF.

4. QUALIFICATIONS OF SPONSOR. MEF, in its sole discretion, determines whether a prospective sponsor is eligible to participate in the Event. Eligibility is generally limited to persons or firms that supply products and services to the telecom industry. Applicants may be required to submit a description of the nature of their business and the items to be exhibited. MEF reserves the right to restrict or remove any exhibit that MEF, in its sole discretion, believes is objectionable or inappropriate.

5. EXHIBITOR CONDUCT. Ethical and dignified conduct is expected of all sponsors. Sponsors are responsible for the conduct of their representatives and employees including service personnel and others hired as contractual employees at the Event.

6. SPONSOR RESTRICTIONS. During the dates of the entire Event, no Sponsor may conduct or promote any competing event, display, or social function during event hours that would result in drawing attendees away from the networking hall space or convention activity.

7. LISTINGS AND PROMOTIONAL MATERIALS. By exhibiting at the Event, Sponsor grants to MEF, for the term of this Agreement, a fully paid, non-transferable, non-exclusive license to use, display and reproduce the name, trade names, logos, product names of Sponsor in any directory (print, electronic or other media) listing the companies exhibiting at the Event and to use such names in MEF materials relating to the Event. Sponsor may request in writing that any portion or all of such use be subject to sponsor's prior approval. MEF shall not be liable for any errors in any listing or descriptions or for omitting Sponsor or any other sponsor from any directory or other lists or materials. MEF may also take photographs of Sponsor’s booth space, exhibit, guests, and personnel during, before, or after the open hours of the Event and use these photographs for any promotional purpose.

8. ADDITIONAL HOTEL CHARGES. The Sponsor agrees to be liable for any additional hotel charges incurred through Sponsor's use of the meeting rooms/suites/networking hall space and other hotel space or facilities, and the cost of any food and beverages ordered by Sponsor. These costs are to be settled directly with the hotel or external supplier.

9. INSURANCE. Sponsor shall, at its own expense, secure and maintain through the term of this Agreement, including move-in and move-out days, the following insurance coverages: (a) workers’ compensation insurance; (b) comprehensive general liability insurance with limits not less than $1,000,000 per occurrence, $2,000,000 in the aggregate, combined single limit for bodily injury and property damage, including coverage for personal injury, contractual, and operation of mobile equipment, products and liquor liability (if applicable); (c) automobile liability insurance with limits not less than $500,000 per occurrence, combined single limit for bodily injury and property damage, including coverage for owned, non-owned and hired vehicles, including loading and unloading operators (if applicable). The coverage shall be primary with respect to any other insurance maintained by MEF or the Event Facility and shall be written on an occurrence basis. Claims made policies are not acceptable. The liability insurance policies shall name as additional insureds the MEF, the Event Facility, and their respective subsidiaries, affiliates, officers, directors, employees, agents and representatives, and shall provide that coverage shall not be reduced or cancelled without 30 days prior written notice to MEF. If requested, copies of additional insured endorsements, primary coverage endorsements and complete copies of policies or certificates of insurance satisfactory to MEF shall be furnished to MEF showing currently effective insurance coverages issued to Sponsor, as required by this Agreement.

10. OUTSIDE EXHIBITS/HOSPITALITY SUITES. Sponsor is prohibited, without express advance written approval from MEF, from displaying products/services and/or other advertising material in areas outside its booth space such as, but not limited to, parking lots, hotel lobbies, lounges, corridors, sleeping rooms, etc. as well as conducting tours of its display when the Event is not open to attendees. Sponsor shall not operate hospitality suites during hours in which the Event is open or when any MEF-sponsored activities are being held. Sponsor is prohibited from hosting hospitality functions during official Event hours. All requests for a hospitality suite or public function space at the Event location during official Event hours must be made through MEF. If Sponsor

cancels or fails to occupy the exhibit space (networking hall space) during official Event hours, Sponsor shall remain liable for any payments made or charges owed to the hotel or applicable venue, except to the extent such space is rented to another sponsor at the Event.

11. CONTRACTOR SERVICES. MEF has contracted, on an exclusive basis, with official contractors to provide certain services for the Event. Service companies other than the official contractors will not be allowed to perform any of these exclusive services. Non-exclusive services may be performed by sponsor-appointed contractors within certain guidelines. If Sponsor intends to use an outside contractor to perform any services related to Sponsor’s participation in the Event, Sponsor should first advise MEF of such intent and obtain a determination from MEF that the proposed services are not of a kind that may only be performed by an official contractor.

12. HOLD HARMLESS AND INDEMNIFICATION. Sponsor agrees to indemnify, defend, and hold harmless MEF and the Event Facility from and against any and all third party claims, demands, suits, liabilities, damages, losses, costs (including attorneys’ fees) and expenses which result from or arise out of or in connection with (a) any negligent act or omission or willful misconduct committed by Sponsor or any of its employees, agents, or contractors; (b) any breach or default by Sponsor in the performance of its obligations under this Agreement; (c) any violation or infringement by Sponsor of any applicable law or ordinance or the rights of any party under any patent, copyright, trademark, trade secret or other proprietary right, and (d) any libel, slander, defamation or similar claims resulting from the actions of Sponsor.

13. LIMITATION OF LIABILITY. Under no circumstances shall either party be liable for any lost profits or any incidental, special, indirect, punitive or consequential damages whatsoever for any of its acts or omissions, whether or not appraised of the possibility of any such lost profits or damages. MEF makes no representations or warranties, express or implied, regarding the number of persons who will attend the Event or regarding any other matters.

14 AMENDMENTS. a) MEF reserves the right to alter aspects of the event or venue due to unforeseen circumstances, provided that Sponsor will not be adversely impacted beyond the adjustments affecting other participants except due to factors beyond MEF's reasonable control. b) All measurements shown on the floor plan are believed to be accurate; MEF reserves the right to make such modifications as may be necessary to meet the needs of sponsors and the networking programs, provided that notwithstanding such modifications, MEF shall provide Sponsor with reasonably similar accommodations.

15. CANCELLATIONS.

(a) Requests for cancellation must be in writing and shall become effective upon receipt by MEF. After contract signing, until June 30, 2018 in the event of cancellation by Sponsor without cause, MEF will retain or shall be owed a cancellation fee equal to 50% of the invoiced amount; if written notice of cancellation is received by MEF after June 30, 2018, MEF will or shall be owed a cancellation fee of 100% of the original invoiced amount.

(b) If Sponsor desires to cancel an attendee pass, MEF must receive written notification 60 days prior to the start date of the Event (by October 29, 2018). No refunds can be given after this date. A substitute delegate can attend in replacement at no additional cost.

(c) In the event of any cancellation, whether by Sponsor request or for non-payment of sponsorship fees, Sponsor will be responsible for all non-cancellable charges incurred for branded items and signage previously approved by Sponsor.

(d) No refunds will be given for failure to attend.

(e) In the event of cancellation of the Event by MEF, MEF will endeavor to inform all sponsors and attendees a week before the Event is due to take place, although Sponsor should be aware that this is not always possible. All Event fees paid will be reimbursed in full. MEF shall not accept liability for any consequential loss and shall have no liability to reimburse any other costs that may have been incurred by Sponsor, including transport costs, accommodation etc., unless the cancellation constitutes a breach of this Agreement by MEF.

(f) Any cancellation fees payable by Sponsor under this Section 16 shall be reduced by the extent to which any replacement revenue is received by MEF for the same booth space that was sold to Sponsor.

(g) The above cancellation terms shall apply regardless of the execution date of this Agreement.

17. GOVERNING LAW, SEVERABILITY. This Agreement shall be governed by the laws of the State of California. The invalidity or unenforceability of any provision of this Agreement shall not affect the validity or enforceability of any other provision.

18. ATTACHMENTS. This Agreement includes Appendix A attached hereto and made a part hereof.

Addendum to “MEF18 Sponsor Agreement”

This Addendum to the MEF18 Sponsor Agreement (the “Addendum”) is effective this 17 April 2018 (the “Effective Date”) between the MEF Forum, a California, non-profit corporation (the “MEF”) and (the “PoC Participant”).

16.1 Introduction

PoC Participant has entered into a Sponsorship Agreement with MEF to participate in the MEF18 Event to be held at the JW Marriott LA LIVE in Los Angeles, California from 29 October –2018 through 2 November 2018 (“the MEF18 Event”) . This addendum applies to those companies that have been selected to participate, as part of a team of companies, in the MEF18 Proof of Concept (PoC) Showcase. The PoC Showcase will be located in the conference exhibition area and will be featured at selected times during the main conference.

PoC Participants will work directly with MEF or other MEF contracted resources for marketing activities and for the coordination of all technical aspects of the demonstration, including preparation and on-site coordination at the MEF18 Event.

All terms and conditions as stated in the MEF18 Sponsor Agreement shall apply to this Agreement and are incorporated herein by reference. This Agreement shall also be subject to the following additional terms and conditions:

(a) FOCUS OF PARTICIPANT SHOWCASE: The technical focus areas of the individual PoC demonstration have been defined by PoC Participant, or by the lead company in the application process. Any additions, modifications, or omissions require advance approval by MEF or its project management representatives. MEF, at its sole discretion, may accept or decline such requests.

(b) PARTICIPANT CONTENT AND EQUIPMENT: MEF requires that any materials for presentation, demonstration or display be submitted in advance for approval by the MEF or its authorized representative, according to the project schedule. MEF reserves the right to reject any participant content that MEF finds, at its sole discretion, to be objectionable and/or not in the spirit of the PoCs goals and intent.

(c) EQUIPMENT, SOFTWARE AND REMOTE RESOURCES: PoC Participant is required to provide identical equipment, software or remote resources such as cloud-based services for the duration of the MEF18 Event. It is mandatory that such items were included in the preparation phase.

(d) TECHNICAL PERSONNEL: PoC Participant agrees to make available qualified personnel to participate in scheduled preparation activities necessary to ensure the correct functioning of the particular PoC showcase.

(e) ON-SITE LOGISTICS. MEF (or other MEF contracted resources) will coordinate all activities associated with the PoC demonstrations. Each PoC Participant is however required to setup and test its showcase during the remote preparation phase. PoC Participants will have the same obligations at the MEF18 Event, including showcase tear down.

(f) MEF PROVISIONED MATERIALS, FACILITIES AND SERVICES: MEF will provide a PoC showcase environment including one PoC “station” per team. The station will be inclusive of electrical power, audio, video and Internet access. No modifications to the station by the PoC Participant are permitted without prior consent by MEF or other MEF contracted resources. The overall PoC showcase area will contain signage and graphics, including PoC descriptions, participant recognition and other content where appropriate. MEF will provide template(s) for selected presentation materials to be used at specific times as identified by MEF.

(g) CONDITIONAL ON PAYMENT. Payment of the entire fee must be received no later than 10 calendar days prior to commencement of the MEF18 Event. MEF reserves the right to cancel this agreement and deny the PoC Participant any allocation of space within the PoC Showcase area if full payment is not made by the time specified herein.
