The challenge:With more than 500 locations and tens of thousands of employees worldwide, this pharmaceutical giant was spending afortune on its on-premise fax infrastructure.A total of 24 fax servers were supportingthousands of users in an obsolete environ-ment that posed a number of financial andoperational issues:

1. The company was over-spending on thesupport and maintenance of its fax servers and all of their required hot backups.

2. The IT team was devoting so much timeto managing the servers, other vital technology initiatives were being put on the back burner.

3. The fax servers were impossible to manage centrally, creating a fragmented fax function that could not be aligned with the company’s communications strategy.

4. The servers were always either under-sized (in an attempt to save money) or oversized (extra ports in anticipation of peak periods) – never “right-sized.”

5. Employees in remote areas of the globe couldn’t be supported by the servers and had no fax capability at all.

6. Users were periodically experiencing downtime and functional issues that were unacceptable for a global leader.

7. The company was looking at a major upgrade to their fax server infrastruc-ture – since support was being discontinued, they were faced with a forced upgrade.

The solution:In 2008, the company began exploring alternatives to on-premise servers, and, after a thorough review, chose a tandem of outsourced services from EasyLink:

DESKTOP MESSAGING allows employeesto send and receive faxes electronically, directly within their existing email accounts.

PRODUCTION MESSAGING is astraight-through processing (STP) solutionthat automates the creation and delivery of outbound transactions originating inback-office systems.

With EasyLink’s hosted services, the company quickly began decommissioning its fax servers and associated telecom infrastructure. The hosted model wasmuch more affordable – no capital equip-ment costs and the company paid EasyLinkon a transaction basis only for the servicesused. Today, the bottom line speaks for itself:

• Cost savings of $1 million+ a year

• Average savings per fax = 70%

• The company’s IT team offloaded fromthe entire fax function

• Fax aligned with the business goals and strategic direction of the company

• Superior records-keeping, auditing, and archiving – EasyLink provides the company with a complete audit trail for every transaction that passes through its network

A HOST OF BENEFITSAs the pharmaceutical company’s designatedglobal electronic fax provider, EasyLink replaced all 24 fax servers worldwide withits outsourced services. Since EasyLinkmaintains a fully secure, redundant networkthat utilizes multiple data centers, users areassured of optimum uptime and capacity tohandle any spikes in volume.
