Personal opinion:

I believe we would be better served if we had a

committee of members work on the rules. Members issues could be forwarded to this committee We

could have a short statement in the news letter that there will be a rules committee and ask for volun-

teers. It not something that needs to be done right away.

close and again we have had such

great Camp Hosts this year. As was

mentioned last month, Gert Watrous

was our solo Camp Host for the

month of November. At the same

time, she hosted her own group in

the Park. Hats off to you girl,

you did a great job!

the wonderful and lovely

Fellow Members:

May I be one of the first to wish you and your

loved ones a very Merry Christmas! December came

quickly and Christmas is only weeks away. Once

again the activities at our Park have been happening

quickly at the holiday time. The Thanksgiving

Dinner was a tremendous success as always with

many members attending along with friends and

family. Facilitating the dinner was Gert Watrous, our

current Camp Host. A big thank you is extended to

Gert for her leadership and hard work. Also,

tremendous thanks to Howard Boos and Larry Orth

for their efforts to cook the turkeys, the hams, the

outstanding dressing, and the mashed potatoes and

gravy. It was a monumental job, but with Howard at

the helm, the results were outstanding. The side

dishes that members enjoyed Thanksgiving Day were

all brought by members. How blessed we are to have

such talented and helpful individuals sharing in our

park activities. Thanks also to Kim Moore and

Cherri Armer for their efforts in not only getting the

Thanksgiving Dinner off to a good start, but also

facilitating the Craft Fair.

The new board had their first regular meeting

on November 19, 2011, in the Clubhouse.

Approximately 35 memberships were represented at

the meeting. There was a tremendous amount of

work to get done and lots of tasks for the future. I am

personally gratified to see each Board member

willing to take on their assigned tasks and work as a

unit to accomplish the goals for the park during 2012.

Additionally, a special thank you is extended to all

those members who gave up a day of recreation in the

park to fold, stuff, seal, post and mail the dues letters.

They were all troopers at getting the dues letters into

the U.S. mail that day.

Have you noticed the work being done on the

inside of the cabins? If you have not “taken a peek”

inside the cabins, now is the time. There was much

more work required on the cabins than what had been

completed on the outside. The inside of the cabins

remained much the same as they were when the units

were purchased over twenty years ago. The Board

had discussed at length the most efficient and cost

effective path to upgrading and remodeling the

interiors of the cabins. Then Steve volunteered to

“redo” one of the cabins on his own. Steve has a

very educated eye toward color and texture and paint.

He and Jose began to tackle Cabin 51 as a test case.

The results were amazing. He had sent a photo of

Cabin 51 to my cell phone and asked that it be kept

quiet as a surprise to the Board upon their return to

the park. I was so surprised, that I sent him a

message back saying, “Are you sure this is one of our

cabins?” Needless to say the staff has been given the

assignment of completing each cabin separately.

Each cabin needs different types of attention. Some

will require new appliances and others will require

actual carpentry work. The work thus far has been

overwhelmingly positive. So much so that the Board

recommended that the park refrain from referring to

the units as “cabins” and begin to call them

“cottages.” This small change is a positive first step

in describing the upgrades.

Lots of Christmas decorating is in the works.

Steve and the staff members are working toward

completing the decorating. It is their intent to enter

the park once again in the Pismo Beach contest for

the business with the best Christmas decorations. We

won an award from Pismo Beach City Council for the

best decorations in the City last year. From the look

of things, our park is definitely in the running again

this year.

Your Board is working hard to provide the

best possible stay for you and your loved ones when

you are in the park. This includes not only the

upgrading of the buildings, repairing of the roadways,

putting technology in place wherever it will make

your stay better and keep you better informed, and

providing equipment to staff to make their jobs more

efficient and cost effective. It also includes fund

raising and providing various activities for you and

your family to enjoy while vacationing in Pismo

Beach. Your input in this endeavor is invaluable.

Please take the time to let the Board or the staff know

if you have a great idea!

As a heads up to all members, it appears that

work on the roads will commence in February

2012. The schedule has not been completely

nailed down as of this writing, but should take

final form in January. The work will be part of

Phase I of the road maintenance and

replacement and will include pouring cement on

the approach to the park through the entrance

and up to the office ramp. The work will also

include a new cement porch and ramp on the

office and a widening of the radius on the north

side of the entrance. This widening of the

radius will make those dreaded right turns out of

the park much easier with more turning space.

New entrance lighting, railing and landscaping

will be part of Phase I. The road project will be

done in phases based upon the income derived

from the sale of park memberships only. The

park will not be closed during the road upgrade,

however, it will require some accommodation

for members coming and going. Check with the

office or watch your newsletter for upcoming

announcements as to entering and leaving the

park before your next stay beginning in

February 2012.

As we approach the Christmas Season,

let us allow the peace of the season to permeate

our lives both at the park in Pismo Beach and at

our various homes. May we resolve to follow

the Christmas example of the One who set the

perfect standard for living as we move forward

as park members and as a corporation with a

common interest during 2012.

Called to order: Executive session: 9:33 AM

Chair, Vicki Ketchie, called the meeting to order.

Supervisor were also present for part of the meeting.

Larry File:

Larry File went over the park’s current insurance coverage.

The package covering the buildings and liability is special

form and the coverage on the buildings is based on

replacement cost.

After discussion it was decided that we should check into

what the current replacement cost would be for the cottages

and the office. Larry will check into this and report back to

the Board in January.

Critique of Annual Meeting:

Very few members were upset by the voting.

The set up was good. It was suggested that there be isles in

the middle of the rows next year. There were concerns

about the sale of memberships by the park. Concerns about

the repairs of the buildings were also voiced.

Vicki read several letters she received from members after

the meeting.

Furniture:

The new furniture for the cottages, loft and clubhouse has

been received and put in place. It all looks very nice.

Review of Office Hours:

Vicki suggested that the office open at 8:00 am, but the

telephones not be answered until 9:00 am.

Susan made a motion that the office open at 8:00 am and

the telephones do not get answered until 9:00 am. The

motion was seconded by Cherri. Susan polled the Board

members for their vote: Larry – yes; Kim – yes; Howard

– yes; Cherri – yes; Mark – yes; Vicki – yes; Susan – yes.

Motion passed unanimously.

Thanksgiving Day Dinner:

Howard reported that he and his volunteers will be doing

the turkeys, dressing and potatoes. The rest is pot-luck.

Dinner will be served at 1:30 pm.

Kim made a motion that there be a 50/50 drawing at the

dinner; seconded by Mark. Passed.

Kim made a motion that PCRV’s portion of this drawing

and all future 50/50 drawings be earmarked for a fund to

purchase an ice maker. The motion was seconded by

Cherri. Passed.

Treasurer’s report: Mark reported that there is $145,822.90 in savings. This

figure includes the membership sales of $75,000.00.

Total cash in bank $376,927.18.

Approximately $60,000.00 - $70,000.00 may be needed to

pay the end of year bills. 3% of the balance not needed

for bills will be put in the reserve account. The remainder

will go towards the road repairs.

Mark advised the Board that we currently have two (2)

checking accounts; an operating account and a general

account. He, Vicki and Inger will determine if we need to

keep two (2) accounts and how best to use them or if they

should be combined into one (1) account.

Roads:

Gary advised the Board that there should be

approximately $75,000.00 to roll into next year. He has

received a bid for the first phase of the road repair work as

follows:

Concrete street to gate including curb & gutter and

Sidewalk—$22,402.80

Concrete to stop sign at office—$39,400.20

Concrete ramp & deck at office entrance—$3,850.00

Color & stamp—$600.00

Railings to match other park railings—$800.00

He will request two (2) other bids for the above work.

The above, front section will be Phase I; valley gutters will

be Phase II; asphalt will be Phase III and any change in the

roads will be Phase IV.

Cherri made a motion that $1,500.00 be set aside to have a

surveyor come in and map out the entrance of the park

property. Mark seconded the motion. Motion passed

unanimously.

Larry made a motion that we spend up to $75,000.00 to do

the front roads including everything up to the stop sign by

the office; seconded by Kim. Susan polled the Board

members for their vote: Larry – yes; Kim – yes; Howard–

yes; Cherri– yes; Mark – yes; Vicki – yes; Susan – yes.

Motion passed unanimously.

Adjourned for a break: 11:45 AM

Reconvened: 12:13 PM

Defining Groups:

There seemed to be some confusion on what constitutes a

group – five (5) camp sites versus group of three (3)

renting cabins and/or loft.

Larry made a motion that a group be defined as three (3) or

more, up to fifty-seven (57) in off season, with one (1)

cabin always available for members; seconded by Howard.

Passed.

After discussion the following decisions were made:

Groups may make their reservations one (1) year in

advance.

A deposit must be received ninety (90) days prior to

reservation date.

Cancellations must be made sixty (60) days prior to

reservation date.

Cherri made a motion that groups be assigned sites at the

rear of the clubhouse, eastward and in appropriate site

based on size of rigs; seconded by Larry. Passed.

Susan made a motion that effective 1/1/12, if groups want

to use the clubhouse a use fee of $50.00 per day be

charged, payable upon arrival; seconded by Howard.

Passed. (Rule Change)

Parent/Child versus Primary/Secondary Gate Fees:

Susan made a motion that members pay $10.00 gate fees

and children pay $20.00 gate fees; seconded by Larry.

After discussion the above motion was withdrawn.

Cherri made a motion that the first person eligible on a

membership that comes into the park pays the $10.00 gate

fee; the second eligible person pays double ($20.00) when

both are in the park during the same time. Susan polled

the Board members for their vote:: Larry – yes; Kim –

yes; Howard– yes; Cherri – yes; Mark – yes; Vicki – yes;

Susan – no. Passed. (Rule Change)

Property Tax Appeal:

Vicki reported to the Board that Ann Wilson advised her

that she can take care of pursuing an appeal for a

reduction in the property tax for the park. This item will

be kept on the calendar until we hear from Ann.

Office Supervisor Report:

Inger reported on memberships, training classes,

DigitalRez, newspaper ads, site maps and upcoming

activities.

Inger mentioned that she had a suggestion/request from a

member regarding the possibility of members being able

to make three (3) week reservations during non peak

season at the time they initially make the reservation.

After discussion the Board decided against it.

Larry made a motion that Cherri check into Randy

Anderson providing music for the Valentine’s Day dance

at a cost not to exceed $300.00; seconded by Mark.

Passed.

New Year’s Eve Party:

Kim and Cherri will work on plans and obtaining raffle

prizes.

Operations Supervisor Report:

Steve gave a report on the work that has been done to date

on cabin 51. Total cost for all work done so far is

$775.00.

He also reported on the urinal, hand rails, carbon

monoxide detectors, heater in office and the telephone

upgrade.

Charter Cable:

Mark made a motion to switch the telephone service and

Wi-Fi to Charter Cable and authorized Vicki to sign the

contract with the caveat that Holiday RV will approve

access. Larry seconded the motion. Susan polled the

Board members for their vote. Larry – yes; Kim – yes;

Howard – yes; Cherri – yes; Mark – yes; Vicki – yes;

Susan – yes. Passed unanimously.

Cabins:

Cherri made a motion to amend the name of cabins to

cottages and all correspondence and paperwork be changed

to cottages; seconded by Kim. Passed

Continuing Work on Cottages:

Howard made a motion that Steve continues work on the

cottages, including windows, one cottage at a time;

seconded by Larry. Passed.

Office Heater:

Steve had reported that an inspection of the heater in the

office indicates that it could be dangerous and unsafe. He

had a bid to have a new furnace installed for $3,598.00.

After discussion Susan made a motion that we spend a

maximum of $3,600.00 to replace the furnace in the office.

Steve is to obtain two (2) more bids prior to proceeding;

Howard seconded the motion. Passed.

Park Radios vs. Cell Phones

Cherri made a motion that Mark purchase six (6) radios at

a cost of $250.00 each, to be assigned to the park staff and

camp host with a contract that includes “if lost they may

be responsible for the cost”. Motion was seconded by

Susan. Passed.

Rules:

The Board members reviewed the current rules.

Mark made a motion that we increase the guest rate to

$32.00 per night; seconded by Larry. Susan polled the

Board members for their vote: Larry – yes; Kim – yes;

Howard – yes; Cherri – yes; Mark – yes; Vicki – yes;

Susan – yes. Passed unanimously. (Rule Change)

Susan made a motion that we accept the rules as

changed; seconded by Howard. Susan polled the Board

members for their vote: Larry – yes; Kim – yes; Howard

– yes; Cherri – yes; Mark – yes; Vicki – yes; Susan –

yes.

Unanimously passed.

Approval of Minutes:

A motion to approve the minutes for the following

meetings was made by Susan; seconded by Larry.

Approved.

Treasurer’s Report:

Mark reported that total income for October was

$70,701.06; $22,500.00 of the total was from membership

sales. Total expenses for October were $49,923.36. Net

income for October was $20,777.70.

A total of eighteen (18) memberships have been sold to

date.

Mark made a motion that the treasurer’s report be

approved; seconded by Susan. Approved.

Operations Supervisor Report:

Vicki went over Steve’s report. She advised the members

present that if Holiday RV approves access the Board has

voted to change the telephone system and Wi-Fi to Charter

Cable. This change will save the park money.

Office Supervisor Report:

Vicki gave Inger’s report.

Old Business:

Thanksgiving Dinner Plans:

Howard said dinner will be at 1:30 pm on Thursday. He

and his volunteers will be do five (5) turkeys, two (2)

hams, dressing, potatoes, gravy and rolls. The rest of the

meal is pot-luck. He asked for volunteers to meet at

11:00 am on Wednesday for prep work.

Property Tax Appeal:

Vicki explained what is being done to hopefully lower

PCRV’s property taxes. Ann Wilson is going to

represent us.

New Business:

New Year’s Eve:

Cherri announced that the festivities will begin at 8:30

pm. Members need to bring an appetizer to share and

beverages. Coffee will be provided. Keith and Connie

Stubbs will provide the music. There will be prizes for a

raffle. Tickets for the big prize will be $10.00 each.

Kim said there will also be a 50/50 raffle. The PCRV

portion of the money will go to the ice maker fund.

Wi-Fi Change:

Vicki advised those present at the meeting that we are

waiting for Holiday RV’s decision regarding access to

the Charter Cable that is on their property before we go

ahead and change the telephone and Wi-Fi to Charter.

Cherri made a motion that if Holiday is agreeable that we

go ahead and make the change. The motion was

seconded by Mark. Susan polled the Board members for

their vote: Larry – yes; Vicki – yes; Mark – yes; Cherri–

yes; Kim – yes; Howard – yes; Susan – yes. Motion

passed unanimously.

Executive Committee Decisions:

Mark made a motion that the Executive Committee

decisions be accepted; seconded by Susan. Passed.

Road Repairs:

Vicki reported that we should have $75,000.00 available to

use for Phase I of the road repair work. This includes the

entrance of the park to the end of the office at the stop sign,

replacement of the ramp and porch at the office, all in

stamped cement. This will cost around $63,000.00. We

Relay for Life at Pismo Creek RV

May 1, 2012

Sitting in the office one day I was reflecting

on how many phone calls we had received that week

from our members who were calling to delay their

vacation with us because someone in their family had

recently heard the words, “You have cancer.”

Cancer touches all our lives in so many ways.

It is scary, frustrating, painful, sad and infuriating. It

changes everything. It is easy to give in to a feeling of

helplessness when you watch what it is capable of.

However, as helpless as we may feel, we can do

something about it. We can fight back.

One of the ways I have found to fight back is

to Relay. To Relay for Life. Actually, Relay for Life is

the name of the signature fundraising event for the

American Cancer Society. It looks like this, one day/

night of the year people from all walks of life come

together for 24 hours to Celebrate cancer survivors,

Remember those who have lost their battle with

cancer and to Fight Back against this deadly disease.

They forms teams, raise money and walk around a

track for 24 hours. “Cancer never sleeps so for one

night, neither will we.”

I am putting together a mini Relay event for

our park; just 12 hours set aside for us to come

together to CELEBRATE, REMEMBER AND

FIGHT BACK!

Change in Phone Hours:

Susan made a motion that we change the phone hours.

The office will open at 8:00 am but the office staff will not

answer telephones until 9:00 am; Howard seconded the

motion. Passed.

Continue work on cottages:

Larry made a motion that Steve continue work on the

cottages; seconded by Cherri. Passed.

Suggestion Box:

Susan read the comments that were received in the

suggestion box.

Director’s Reports:

Howard Boos – Special Projects:

Howard advised those present that all of the electrical

work at the entrance of the park needs to be redone.

Cherri Armer – Social Activities:

Cherri announced that the Thanksgiving craft fair will be

held Saturday from 11:00 am – 2:00 pm. Donations are

being accepted for table space.

In February a Valentine’s sweetheart event is planned and

includes the melodrama on Sunday and dinner & dance on

Monday.

Kim Moore – Fund Raising:

Kim said they will be decorating 0764 for New Year’s Eve

and asked for volunteers.

There will be a 50/50 raffle during the valentine’s event.

Larry Orth – Insurance:

Larry reported that the park’s insurance agent attended the

executive meeting and went over our insurance coverages.

We possibly need to increase coverage on the cottages and

office.

Susan Hernandez – Camp Hosts:

Susan announced that there are camp hosts scheduled

through May. We need more hosts and all corporate

members are encouraged to apply to be a camp host.

Other Business:

Dogs are still an issue. Members need to keep them off

the grounds and take them to the dog runs and clean up

after them.

We are thrilled to announce that our Saturday

evening keynote speaker will be Jon Dunn, who

is considered one of the primary experts on field

identification in North America.

Every Martin Luther King weekend over 450

birders visit Morro Bay, California, a Globally

Important Bird Area, to see, photograph, and

learn more about birds. Over 200 species are

usually sighted during the Festival weekend.
