1 Licence Agreement

The Oyez Legal Software Licence Agreement - OyezForms

NOTE:  THIS OYEZ LEGAL SOFTWARE PRODUCT IS PROVIDED AND MAY ONLY BE RETAINED AND USED IF THE CUSTOMER AGREES TO AND ACCEPTS ALL THE TERMS AND CONDITIONS CAREFULLY.  IF YOU DO NOT ACCEPT ALL OF THESE TERMS AND CONDITIONS, PLEASE RETURN THE MANUAL AND THE UNOPENED DISK PACKAGE TO OYEZ AND/OR DO NOT CLICK ELECTRONICALLY THE [I AGREE] [PURCHASE] BUTTON IN RELATION TO THE LICENSED PROGRAM (AS DEFINED BELOW).  OPENING THE FORMS DISK PACKAGE AND/OR CLICKING THE [I AGREE] [PURCHASE] BUTTON WILL BE DEEMED TO CONSTITUTE ACCEPTANCE OF ALL OF THE TERMS OF THIS LICENCE AGREEMENT.

1.1 LICENCE AGREEMENTUpon the opening by the Customer of the Forms Disk Package and/or clicking electronically the [I agree] [purchase] button in relation to the Licensed Program, Oyez Straker Business Services Limited (Oyez which expression shall include its subsidiaries, agents, successors and assigns) thereupon grants and the Customer accepts, a personal, non-exclusive, non-transferable licence to Use (as defined below) in the United Kingdom the computer program and the Forms contained therein (the Licensed Program) and associated documentation, operating instructions, manual and other associated documentation (the Documentation) in whatever form delivered with or pursuant to this Licence Agreement under the following terms and conditions.1.1.2  This Licence Agreement entitles the Customer to:1.1.2.i load, install and Use in accordance with the provisions of Clause 1.3 of this Licence Agreement solely for the Customer's own professional business purposes the Licensed Program on a single personal computer (PC), or on a single computer system (the System) as specified in the order form (and if the Licensee's System is multi-user by the number of users specified by the Customer in the order form or as is determined by Oyez by way of its PC and System user identification system); and1.1.2.ii   (where the Customer has contracted to receive the maintenance and update service) receive such new updates (if any) of the Licensed Program as Oyez may provide under the maintenance and update service. 1.2 ACCEPTANCE OF THIS LICENCE AGREEMENTThe terms and conditions of this Licence Agreement are deemed to be accepted by the parties as follows:

1.2.1  by Oyez upon (i) dispatch/delivery by Oyez of this Forms Disk Package and/or (ii) despatch electronically of the offer to purchase the Licensed Program to the Customer direct or to Oyez's agent as the case may be; and1.2.2  by the Customer by (i) breaking the seal of this Forms Disk Package containing the Licensed Program and/or (ii) clicking electronically the [l agree] [purchase] button for the Use of the Licensed Program on the PC or the System whereupon this Licence Agreement shall immediately become effective. 1.3 USE OF THE LICENSED PROGRAMFor the purposes of this Licence Agreement Use shall mean and include: 1.3.1 utilization of the Licensed Program by copying, transmitting or loading the same into the temporary memory (RAM) or installing into the permanent memory (e.g. hard disk, CD ROM or other storage device) of the PC or System for the processing of the PC or System instructions or statements contained in such Licensed Program;1.3.2  copying the Licensed Program which is in machine-readable form for Use by the Customer on the PC or System for the purposes only of understanding the contents of such machine-readable material and for back-up provided that no more than two (2) copies will be in existence under any Licence Agreement at any one time without prior written consent from Oyez or as otherwise permitted by the applicable law;1.3.3 merging the whole or any part of the Licensed Program in machine-readable form into another software program;1.3.4 storing the whole or any part of the Licensed Program on the PC or System or other storage unit or disk;1.3.5  utilizing (but not copying) the Documentation relating to the Licensed Program;1.3.6   using the licensed program to reproduce forms solely for the customer's own professional business purposes.

1.4 TERMINATION1.4.1   Oyez may terminate this Licence Agreement forthwith if the Customer fails to observe any of the terms and conditions of this Licence Agreement upon giving the Customer written notice to that effect.  1.4.2  Oyez may terminate this Licence Agreement forthwith on written notice if the Customer, being a body corporate shall have a receiver, administrator or administrative receiver appointed over all or any of its assets or if a petition is presented for its winding up or enters into or proposes any composition or arrangement with its creditors, being a firm or partnership or sole trader shall be dissolved (other than for the purposes of retirement or accession of individual partners) or commit any act of bankruptcy or have a receiving order made against him or suffer any similar process of insolvency.1.4.3 Oyez or the Customer may terminate this Licence Agreement by giving the other three months written notice.1.4.4  In the event of the termination of the Licence Agreement 1.4.4.i the Customer will destroy the Licensed Program and all updates, upgrades or copies in whole or in part, in any form including partial copies or modifications of the Licensed Program received from Oyez or made in connection with this Licence Agreement and all Documentation. 1.4.4.ii all rights granted to the Customer under this Licence Agreement shall cease; 1.4.4.iii the Customer shall cease all activities authorised by this Licence Agreement; and 1.4.4.iv the Customer shall immediately pay to Oyez any sums due to Oyez under this Licence Agreement. 1.4.5. Termination by either party in accordance with this Clause 1.4 shall be without prejudice to any other rights or remedies of that party accrued prior to termination. 1.5 THE CUSTOMER'S UNDERTAKINGS1.5.1 The Customer undertakes not to perform any of the acts referred to in this Clause 1.5.1 except to the extent and only to the extent permitted by this Licence Agreement.  The Customer undertakes:1.5.1.i  not to copy the Licensed Program (other than for normal System operation and as specified in Clause 1.3 above) nor otherwise reproduce the same Provided that the Customer may copy the Licensed Program for back-up purposes or incidentally, in the course of converting the Licensed Program in accordance with 1.5.1.iii below;1.5.1.ii  not to translate, adapt, vary or modify the Licensed Program;1.5.1.iii  not to disassemble, decompile or reverse engineer the Licensed Program Provided however that in the case of decompilation, the Customer may incidentally decompile the Licensed Program but only if it is essential so to do in order to achieve interoperability of the Licensed Program with another software program of or used by the Customer (Permitted Purpose) and provided the information obtained by the Customer during such decompilation is only used for the Permitted Purpose and is not disclosed or communicated to any third party to whom it is not necessary to disclose or communicate such information without Oyez's prior written consent and is not used to create any software which is substantially similar to the expression of the Licensed Program nor used in any manner which would be restricted by the laws relating to intellectual property rights.

1.5.2  The Customer undertakes:1.5.2.i  to maintain accurate and up-to-date records of the number and location of all copies of the Licensed Program;1.5.2.ii to supervise and control Use of the Licensed Program in accordance with the terms of this Licence Agreement;1.5.2.iii  to ensure that its employees, agents and other parties who will use the Licensed Program are notified of this Licence Agreement and the terms hereof prior to such employee, agent or party using the same;1.5.2.iv  to reproduce and include the copyright notice of Oyez or such other party as may be specified in or on the Licensed Program (the Owner) on all and any copies, whether in whole or in part, in any form, including partial copies or modifications of the Licensed Program made herein;1.5.2.v  not to provide or otherwise make available the Licensed Program in whole or in part (including, where applicable, but not limited to program listings, object code and source program listings, object code and source code), in any form to any person other than the Customer's employees or as specified in Clause 1.5.2.iii above without prior written consent from Oyez; 1.5.2.vi to ensure that the number of users of the Licensed Program does not exceed the number specified in the order form; and 1.5.2.vii  within 14 days after the date of termination or discontinuance of this Licence Agreement for whatever reason, to destroy the Licensed Program and all updates, upgrades or copies, in whole and in part, in any form including partial copies or modifications of the Licensed Program received from Oyez or made in connection with this Licence Agreement and all documentation relating thereto.

1.6 PAYMENT1.6.1  The Customer will pay to Oyez the Licence Fee and all other charges which fall due under this Licence Agreement which charges may be varied from time to time on one month's written notice by Oyez or as otherwise invoiced by Oyez from time to time. The Licence Fee will be determined according to the number of users of the Customer that Use the Licensed Program as specified in the order form or that actually Use the Licensed Program whether or not determined by the Oyez user identification system. 1.6.2 Where applicable VAT and any other taxes, duties or levies will be paid additionally by the Customer at the rate prevailing at the date of invoice.1.6.3 All sums due under this Licence Agreement will be paid by the Customer within 30 days of receipt of invoice.1.6.4 If the Customer fails to pay any amount payable by it under this Licence Agreement, Oyez shall be entitled (but not obliged) to charge the Customer interest on the overdue amount, payable by the Customer forthwith on demand, from the due date up to the date of actual payment, after as well as before judgement, at the rate of [4]% per annum above the base rate for the time being of [Barclays Bank PLC]. Such interest shall accrue on a daily basis and be compounded quarterly. Oyez reserves the right to claim interest under the Late Payment of Commercial Debts (Interest) Act 1998. 1.7 WARRANTY1.7.1 Oyez warrants the disks or other media containing the Licensed Program to be free from defects in materials and workmanship under normal Use by the Customer.1.7.2  Subject to Clause 1.7.1,the Licensed Program is provided without warranty of any kind, either expressed or implied or statutory, including, without limitation, implied warranties or merchantability and fitness for any particular purpose. 1.8 ASSIGNMENTThe Customer shall not assign or otherwise transfer all or any part of the Licensed Program or any rights under this Licence Agreement without the prior written consent of Oyez.  1.9 LIMITATION OF LIABILITIES1.9.1  Oyez shall not be liable to the Customer for any loss or damage whatsoever or howsoever caused arising directly or indirectly in connection with this Licence Agreement, the Licensed Program, its use or otherwise, except to the extent that such liability may not be lawfully excluded under English law.1.9.2  Notwithstanding the generality of Clause 1.9.1 above, Oyez expressly excludes liability for indirect, special, incidental, economic or consequential loss or damage which may arise in respect of the Licensed Program, its use, the System or in respect of other equipment or property, or for loss of profit, business, revenue, goodwill or anticipated savings.1.9.3 In the event that any exclusion contained in this Licence Agreement shall be held to be invalid for any reason and Oyez becomes liable for loss or damage that may lawfully be limited, such liability shall be limited to the Licence Fee paid by the Customer for the Licensed Program.1.9.4  Oyez does not exclude liability for (i) death or personal injury to the extent only that the same arises as a result of the negligence of Oyez, its employees, agents or authorised representatives (ii) damage or liability incurred by the Customer as a result of fraud by or the fraudulent misrepresentation of Oyez its employees, agents or authorised representatives.1.9.5 The Customer acknowledges that no representations were made prior to entering into this licence. The Customer agrees that, in entering into this Licence Agreement, it did not rely on any representations (whether written or oral) of any kind or of any person other than those expressly set out in this Licence Agreement (if any). The Customer shall have no remedy in respect of any representation (whether written or oral) made to it on which it relied in entering into this Licence Agreement and the Supplier shall have no liability otherwise than pursuant to the express terms of this Licence Agreement. 1.10 COPYRIGHT, PATENTS, TRADE MARKS AND OTHER INTELLECTUAL PROPERTY RIGHTSThe Customer acknowledges that any and all of the copyright, trade marks, trade names, patents and other intellectual property rights subsisting in or used in connection with the Licensed Program including the Documentation are and remain the sole property of Oyez and/or the Owner.  The Customer shall not during or at any time after the expiry or termination of this Licence Agreement in any way question or dispute the ownership by Oyez and/or the Owner thereof.

1.11 CONFIDENTIAL INFORMATION1.11.1  All information, data, drawings, specifications, logic, descriptions, models, documentation, software listings or source or object code which Oyez may have imparted and may from time to time impart to the Customer relating to the Licensed Program (other than the ideas and principles which underlie the Licensed Program) is proprietary and confidential.  The Customer hereby agrees that it shall use the same solely in accordance with the provisions of this Licence Agreement and that it shall not at any time, during or after expiry or termination of this Licence Agreement, disclose the same, whether directly or indirectly, to any third party without Oyez's prior written consent.1.11.2  Subject only to the specific, limited provisions of Clause 1.5.1 above, the Customer further agrees that it shall not itself or through any subsidiary, agent or third party use such confidential information to copy, reproduce, translate, adapt, vary, modify, decompile, disassemble or reverse engineer the Licensed Program nor shall the Customer sell, lease, license, sub-license or otherwise deal with the Licensed Program or any part or parts or variations, modifications, copies, releases, versions or enhancements thereof or have any software or other program written or developed for itself based on any confidential information supplied to it by Oyez.1.11.3  The foregoing provisions shall not prevent the disclosure or use by the Customer of any information which is or hereafter, through no fault of the Customer, becomes public knowledge or to the extent permitted by law. 1.12 FORCE MAJEUREOyez shall be under no liability to the Customer in respect of anything which, apart from this provision, may constitute breach of this Licence Agreement arising by reason of force majeure. 1.13 GENERAL1.13.1  This Licence Agreement sets forth the entire agreement of the parties relating to the Licensed Program.  1.13.2  Failure or neglect by either party to enforce at any time any of the provisions hereof shall not be construed nor shall be deemed to be a waiver of that party's rights hereunder nor in any way affect the validity of the whole or any part of this Licence Agreement nor prejudice that party's rights to take subsequent action.1.13.3 No term of this Licence is intended to confer a benefit on, or to be enforceable by, any person who is not a party to this licence.1.13.4  This Licence Agreement shall be governed by and construed in accordance with the Laws of England.  1.13.5  If any provision of this Licence Agreement is ruled invalid under any law it shall be deemed modified or omitted to the extent necessary and the remainder of this Licence Agreement shall continue in full force and effect.1.13.6  Any notice required to be given pursuant to this Licence Agreement shall be in writing, and shall be sent to the other party marked for the attention of the person at the registered address set out for such party in this Licence Agreement. Notices may be sent by first-class mail or fax. Correctly addressed notices sent by first-class mail shall be deemed to have been delivered 48 hours after posting and correctly directed faxes shall be deemed to have been received upon receipt by the sender of a printed confirmation of successful transmission.

2 Overview2.1 Oyez Electronic Forms

OyezForms is a program, which simplifies the filling in, and production of forms as required by such bodies asthe Registrar of Companies, the Land Registry and the Courts, and the Oyez copyright forms.

An image of the actual form being completed is displayed on the user’s screen and the program enables theuser to complete each required entry in a WYSIWYG manner using a variety of editing features.

Completed forms can be stored, retrieved and printed. Printing produces the form and the filled in informationin a single pass onto plain paper. Simplex or duplex printers can be used for producing double-sided forms.

An extensive library of legal forms is available for use with the package and where necessary these formshave been approved by and licensed from the controlling authority. Contact Oyez Legal Software for thelatest list or if there are forms you require that are not on the list.The program uses a number of standard Windows features such as, Cut and Paste. This manual assumesthat the user will be familiar with the basic features of Windows and only provides an explanation of the basicfeatures specific to this product. The user who is unfamiliar with Windows should refer to the appropriateWindows manual in the first instance.

It is recommended that you spend some time reading this manual in order that you should fully acquaintyourself with the basic features of the system. Additional information on these basic features and all theadvanced features can be found in the on-line help which provides context sensitive information when the F1key is pressed. The on-line help provides a more comprehensive and up-to-date source of information onthe features of OyezForms whilst this manual is primarily intended as a guide to getting started.

2.2 System Requirements

The OyezForms system requires the following minimum configuration:

An IBM compatible PC with Pentium or higher processor

At least 32 megabytes of memory (64 megabytes or higher is recommended)

A hard disk drive with at least 100 megabytes of free disk space

Microsoft Windows 98/NT4/2000/XP/VISTA (NT4 will require service pack 6 or above)

An HP or HP compatible Laser Jet Printer capable of 300dpi output with a least 2MB of onboard memory (4MB or above is recommended)

Consideration should be given to the non-printing margin area generated by a printer. While OyezFormscan ‘shrink’ a printed form to avoid any ‘clipping’ around the edge of the final output, use of this featureshould be kept to a minimum.

3 Installation3.1 Before You InstallOyezForms can be installed in a standalone capacity running independently on individual PCs, or as aserver based program with users attached across a network. As a rule, the higher the number of users, thegreater the benefits from a centralized installation. However, in order to successfully install and maintain anetworked copy of the software, access to competent network administration is essential.

If the package is to be shared across a purely peer to peer network (i.e. without a dedicated file server whichwe do not recommend), consideration should be given to the acting servers working stability and performanceunder additional demand. As a rule of thumb it should be the newest PC available.

3.2 Checking for Previous Installations

As with any windows software, it is extremely important to uninstall any existing installations of OyezFormsversion 8.xx before proceeding with a fresh install. Failure to do so can result in the program malfunctioning.

Note: This is also applies to any demonstration CD that has been loaded on the PC.

To uninstall previous installations:

3.3 The Auto Install Menu

To aid installation, the OyezForms CD-ROM is shipped with an auto-generating user menu. This will appearwhen the CD-ROM is placed in your computers drive. It is possible to browse the directories on the CD-ROM(See Appendix) by selecting the Explore option. A link to the OyezForms website is also available.

This dialogue controls the content and behaviour of a fill-in field.The Initial Font and Alignment Options enable each individual field to be stylistically independent.

3.4 Stand-alone Installation

Within the installation menu select the STANDALONE VERSION prompt. Alternatively browse to the\Standalone\[directory on the CD and double click on the setup.exe icon.

The Install Shield program will launch and present the license agreement. Once accepted, the option tospecify the destination directory will appear:

By default this will be set to C:\Program Files\Oyez\Oyez Legal Forms. It is recommended that this pathis kept in order to speed technical support procedures from the telephone helpline. Click NEXT>.

Program files will now be copied to the local drive. After this is complete the Install shield will prompt for thecomputer to reboot. In order to do this click FINISH.

Shortcuts to the program, it’s help file, and the ‘online forms catalogue’ will now be available in theStart>Programs>Oyez Legal Forms menu.

3.5 Installing the Core Network Program

Installing a network shared version of OyezForms is a two stage process:

Initially, the core program structure is loaded to a network server. For a directory illustration, see ‘The corenetwork file structure’ in the Appendix. The ‘setup’ subdirectory is used for the second step of attachingsubsequent users from their workstations.

The core program requires all OyezForms users to have Read access to the entire oyez directory structure(this is strongly recommended for the application directory itself). Additionally, the following rights are requiredto the entire \Library subdirectory structure and the user defined ‘User’ directory (specified during the usersetup process or in TOOLS>OPTIONS):

Novell: Read Write Erase Modify File ScanNT: FullControl

Note: Because OyezForms ships with the most up to date versions of several Microsoft code libraries, westrongly recommend having NT Service Pack 6 or above installed on recipient workstations. Any userattachment at Service Pack 3 levels should be carried out on a ‘test’ machine.

Note: At no point is it necessary to reboot the server. We do not advise (or support) attaching theserver ‘to itself’ as a user during the lifetime of the software.

3.6 Core Network Program

It is recommended that the software is loaded to the server from a workstation using a mapped network driveletter that is common to all OyezForms users.

Having logged onto the network with the necessary access rights, place the OyezForms CD in the appropriatedrive. Select Network Install option within the auto generating menu. Alternatively, browse the distribution CDto the \Network\ subdirectory and run the Setup.exe file.

The InstallShield will launch and after a welcome screen will present the license agreement. Click NEXT> toread information on network installing. Click NEXT> again.

By default, the target directory path will be C:\Program Files\Oyez\Oyez Legal Forms. It is possible to changethis by using the Browse facility. A directory destination can also be typed directly into the box (if it does notexist a ‘create now?’ prompt will appear).

Upon clicking NEXT>, the core program files will be copied from the CD. After completion the screen willprompt with a FINISH button.

At this point no reboot is necessary either at the server or locally.

3.7 Attaching New Users to the Core Network Program

Once Installed on the server, the Oyez program directory will contain a \Setup subdirectory containing aSetup.exe file. To add an extra user, this file needs to be run from the new user’s computer.

If a network drive has been mapped to the oyez directory, the Start>Run menu option can be taken from thedesktop.

E.g. F:\ Oyez\Oyez Legal Forms\Setup\Setup.exe

Once run, the New User welcome screen, followed by license agreement and instructions screens willappear. Click NEXT>.

The Destination Directory screen will now appear. This allows you to specify the location of the attachedusers personally created files (their saved forms, unique pinboard data etc). Again, the local drive default ofc:\Program Files\Oyez\Oyez Legal Forms\User\ can be altered either by using the Browse option or typingthe desired destination directly into the box. Click NEXT>

The Installation program will now copy a number of Shortcut and .dll files into the local PC’s Windows\Systemdirectory and prompt for a reboot. To do this click Finish.

The local workstation will now have Start Menu shortcuts to the program file, help file and forms catalogue file(all on the server).

3.8 Automating User Installation (MSI)

For the larger networks, with expert administration support, it is possible to automate the attachment of Users.An MSI command line, for example, could be inserted into a user’s logon script.

E.g. You will need to target the setup.exe file located in the OyezForms setup subdirectory with additional switches:

F:\oyez32\setup\setup.msi /qn /norestart

3.10 Windows XP/2000 Professional PC - General Notes

General Notes

Users are restricted and can only operate the computer and save documents. By default they are unable to install programs or make changes to system files and settings. They will have similar rights as a heavily restricted user under Windows NT4.

Power Users are able to modify system files and settings and install programs, which writeto the system registry. A Power User has similar rights as an old Windows 98 regular user.

We recommend that you have Oyezforms version 9.00G or above for any Windows 2000 install.

Also, we strongly recommend that installs be performed by Network Administrators or by staff who have sufficient Windows XP/2000 knowledge or experience.

3.11 Windows XP/2000 Professional - Standalone Install

We recommend installing and running Oyezforms as a Power User as Users will not have Write/Modify permission to any local directories. Please see General Notes above.

Should you wish to install and run Oyezforms as a User, then you will need to do the following:

1. You will need to temporarily give the User Administrative rights.2. With full rights, run Oyezforms setup.exe as the User as normal.3. After reboot Right Click select Properties and then Security on the

C:\Program Files\Oyez\Oyez Legal Forms folder and give Usersand/or Everyone Write and Modify rights. Users will already haveRead & Execute/List Folder Contents/Read rights by default.

4. We also recommend that you give Write and Modify rights to C:\Winnt\Fonts. This isso the font files (ye0*.ttf’s) can be installed to help prevent 'legal form font's' error message.

5. Run Oyezforms so that oyez keys can be added to the system registry. 6. Exit Oyezforms.7. Log back on as Administrator and disable Admin rights for the User.

3.12 Windows XP/2000 Professional - Network Install

Ensure that Active Directory has been installed and configured accordingly on the Windows 2000 Advanced Server, and the user is a valid user logging onto the server, not locally onto itself.

This is all done on the Windows2000 Professional client PC.

1. You will need to temporarily give the User Administrative rights2. Run Oyezforms Core network install as normal. 3. Point the destination location to a mapped shared folder on the server, which Users have Full Rights to.

(As like a normal network install) E.G O:\Oyez32.4. Browse to the Oyez setup folder on the server (E.G O:\Oyez32\Setup) and run Setup.exe, taking all the

defaults through the installation.5. After reboot Right Click select Properties and then Security on the

C:\Program Files\Oyez\Oyez Legal Forms folder and give Users and/or Everyone Write and Modify rights. Users will already have Read & Execute/List Folder Contents/Read rights by default

4 Initial Program SettingsOnce the package is licenced and ready for use, a few minutes need to be spent on initial configuration settings totailor the software’s behaviour for each user. These can be modified in the program’s Options dialogue box, (TOOLS>OPTIONS). The settings here are unique to each user, their current state being stored in the \user directoryspecified in the general tab.

4.1 The Options Dialogue

General TabCovers the default paths to the users unique files (initially, this will reflect the path entered during installation). At this level,the location of saved forms (.olf files) and the user directory (containing pinboard, customised forms etc) may be separated.If networked destinations are specified, it is important to remember that the user must have both read and write access tothese locations. New destinations can be specified using the browse option or typing directly into the path. If the directory specified does not exist a prompt will appear to create it. A further prompt will inform the user that settings will only take effecton restarting the program.

The Main Program Path indicates the path to Oyezfrms.exe. If displaying C:\Program Files\Oyez\Oyez Legal Forms,then a Stand Alone version of the software is running. If pointing to any other location then a Network version is running.

The Licence path indicates the path to the licence file Oyezform.lic.

Styles TabThe unit of scale displayed in the forms interface may also be specified here.

The styles tab allows the user specify the default font to be used on each new form. It is important to set anypreference before a form is opened in order for it to take effect. By clicking on Select, the list of availablesystem fonts appears, and options for size, colour and emphasis are available. Simply highlight the desiredsettings and click OK.

The appearance of the on-screen fill in fields can be set (this will not effect print outs) by selecting the radiobutton to the right of the appropriate choice.

Suppressed fields cannot usually be edited. They tend to be those that autofill text stored in databases.By selecting ‘Enable suppressed fields’ the user can overtype any field’s contents within a form.

By selecting ‘Allowing tabbing between pages’, any form will automatically jump from the final fill in field ofone page to the first field of the next page when the user strikes the tab key.

Many forms require the input of a high proportion of unique (non-dictionary) words, this may cause problemswith the spell checker in active mode. You can disable this feature by removing the tick from ‘Enable active

spell checking’ in the TOOLS>OPTIONS Dialogue.

Print TabControls the printed output of forms. This is central to the successful use of OyezForms, receiving authoritiesdemand high quality results in submissions and poor printed output may lead to a forms rejection. Any mandatorystipulations for a successful submission are flashed in a warning box when the particular form is opened, thesemay include; paper weight, colour or double sided output.

Select ‘Use duplex printing if available’ to take advantage of any automatic double sided printing your printermay support. If your printer only provides one sided output select ‘Use manual feed if available’ to facilitatefeeding the reversed form by hand on every other side.

All commercial printers produce an unprintable area around the margins of an A4 sheet - an unavoidableconsequence of gripping and guiding the paper accurately during the printing process. By default, the softwarewill flash a message (removable by selecting ‘Suppress unprintable warning messages’) drawing the usersattention to this fact.

In order to overcome any ‘clipping’ at the edge of a form, a size reduction feature (globally acting on all forms)reduces the final printed output to the percentage specified. In general, a setting of 96% should eliminate anypotential problem and remain acceptable to receiving authorities.

The Initial Printer will by default look to the Windows default printer. If the Windows default printer is not suitable forprinting Oyezforms, and there is another printer elsewhere on the network that is suitable, then use the drop down arrow provided to select the desired printer. The software will need to be restarted for the changes to take effect.

4.2 Entering Practice Details

OyezForms support automatic entry of repeated data such as the practice office address, telephonenumber etc. This information can be entered and maintained through the Practice Details dialogue:

With no forms open, click ADMIN>PRACTICE DETAILS. A dialogue will open with labeled fields to receiveyour practice details. Simply fill the relevant areas and click Update. Forms will now automatically import thisdata into the correct fill in fields

4.3 Supporting Multiple Sets of Practice Details

Database TabContains the path to Oyezform.mdb and other databases, which provide address information on various receiving authorities such as Land Registry.

If multiple departments or offices, with different address requirements use a single network copy of the software, different practice databases can be maintained at the user level by ticking Use a personal copy of Licensee.mdbfrom ‘User Files’. Once ticked, go to Admin>Practice Details and complete the relevant areas and click Update. A personal copy of Licensee.mdb will be created in the path as displayed in Tools>Options>General>Path to User Files.

5 The OyezForms Interface5.1 Why OyezForms is not Microsoft Word

The function of the package is to reproduce traditionally printed forms as faithfully as possible. The methodadopted by receiving authorities is to create graphically sophisticated documents that required the precisionof a manual typewriter to fill accurately. Such layouts cannot be recreated in the text based ‘line by line’ basisof word (boxes need to be ticked, clauses deleted whist preserving the overall rigid formatting).

OyezForms composes an on screen representation of the paper form for the user to fill in without having towork ‘blind’ at a typewriter.

5.2 Launching the Software

The software creates a set of shortcuts in the START>PROGRAMS facility:

5.4 Interface Features

The Application Title Bar This contains the title ‘Oyez Legal Forms’, the Oyez form name open (andcurrently selected) followed by any name assigned to the file by the user if saved.

Scroll Bars These standard windows element allow the user to move around the form when using highermagnifications on screen (tabbing also moves the form image automatically as required).

The Edit Toolbar Navigation features such as next/previous first/last page/field selection and zoom, controlactivated by clicking on these buttons.

The Formatting Toolbar This contains controls to the formatting of user inserted text; font, size, emphasisand colour.

The Tab Ruler The user may alter the fine location of tab stops by clicking and dragging on the red markers.This is enabled by selecting VIEW>RULER.

The Status Bar This displays the current field and page number, along with hints and a help prompt.

Types of field

There are 5 types of field that the effect the form:

Blue - Allows user to enter text

Blue - Auto Fill ready filled with data - Usually suppressed

Green - ListBox Allows user to select a value from a drop down list

Red - Strikeout repeats first character entered throughout the field

Turquoise - Expandable fields FlexiForms only (see Land Registry frorms)

6 Loading, Saving, Opening and Exiting Procedures6.1 Loading a New Blank Form Template

Select FILE>NEW (or use the new button on the toolbar). The New Dialogue will appear:

The left hand side of the dialogue will display the root library directory with the following subdirectories (if theydo not appear, double click on the library folder)

This dialogue, unlike the save and open dialogues is actually a simplified representation of the librarystructure and does not support right button explorer actions such as new folder creation. The ‘true’location of the user directory (as seen by explorer) is set in the ‘Paths to user files’ window in the optionsdialogue (see section 4.1) and should be unique to each user.

The Master directory contains labeled sub-directories organising by range the form templates importedfrom Oyez distribution media, this will probably include the majority of titles filled in by users.

The Custom directory is intended to provide group access to form templates that are modifications on themaster library originals. {See section 9.4 on creating modified templates.)

The User directory offers a ‘private’ location for personalized templates, files stored here will only be accessibleby the user who created them.

The ‘Show all revisions (including early releases)’ tickbox will included previous revisions of current forms in thelistings (useful for admin tasks), by default this is not ticked.

To open a form, simply highlight its title in the right hand listing and click OK. It is possible to open more thanone form template at a time.

The blank form is now ready for filling in. The title bar of the window will show the Oyez title of form template,followed by “untitled” as a file name has yet to be assigned by the user.

Form Info - When selected form history will be displayed via www.oyezforms.co.uk (Internet connection required)

EFIS Home - Will open main EFIS section on www.oyezforms.co.uk (Internet connection required)

6.2 Saving Completed Forms

Filled in forms can be saved for future reference by using the FILE>SAVE menu option.

If the form in progress has never been saved before, the SAVE AS dialogue will appear (in windows all initialsaving actions require a name to be specified) and the form name will default to ‘untitled’:

The directory location will be that specified in ‘path to saved form files in the TOOLS>OPTIONS menu.

Select FILE>SAVE (or use the save button on the toolbar), if the form has been saved before click the savebutton on the command bar.

Specify a file name and, if necessary, a directory location in the dialogue

Click OK. The form will be saved with an .olf extension.

Note: When a form is saved any customising features (e.g. added fields, pages etc) are also saved in the.olf file and will be present when the form is opened for future use.

6.3 Opening a Previously Saved Form

Select FILE>OPEN (or use the open button on the toolbar)

A standard Windows open file box will be displayed showing the contents of the folder last used, or thedirectory specified in ‘path to stored completed forms’ if the software has just been opened.

Type the filename of the previously stored form you wish to retrieve or select the name from the list. If youtype a filename that contains wild cards (e.g. *.*), the list box will be updated to show files with matchingnames.

Choose OK and the completed form will be loaded and displayed on the screen.

Note: It is possible to open more than one previously completed form at a time. To specify the active formwhen more than one is opened click on the >WINDOW menu and select from the numbered list ofcurrently open forms.

If a User Form Warning or a User Page Warning message exists, it will be displayed. Choose the OK buttonto remove the message. See Properties for more details.

Note: If an original font is no longer available a suitable alternative will be substituted. Reinstall the missingfonts to restore the original format, (see Windows documentation on installing fonts).

6.4 Closing an Open Form

If more than one form is open select the form you wish to close.

Select FILE>CLOSE (or use the cross in the top right corner of the form window)

If the form has not been saved since changes were last made a warning message will prompt for action.Click YES to save changes, NO to disregard changes, and cancel to continue editing.

6.5 Exiting OyezForms

Select FILE>EXIT

If the currently displayed form has not been saved since it was last changed, a warning message will begiven. Choose the Yes button to save the form and exit, the No button to abandon the form and exit, or theCancel button to resume editing.

7 Completing a FormOyezForms has been designed to combine the rapid filling of a form with ease of use. Several options existat any time for navigation but it is anticipated that users will find greatest efficiency from using keyboardroutes when navigating through a form. Once opened a form will always display itself with the first field of thefirst page active (i.e. highlighted with the flashing cursor ready to input text).

7.1 Changing the Forms Magnification Level

Choose the required image magnification from the list; 50,75,100,200. For an image where the form isscaled to the fixed size specified. Selecting ‘Fit to width’ scales the image to fit the width of the screen. ‘Fit topage’ scales the image to display the whole form on the screen.

When the magnification level is changed, it is retained when changing to another page of the form. A newlyloaded form has a magnification of 100% unless the previous form was viewed at fit to width. The fit to widthcalculation is only performed when the option is selected or when a new form is loaded. It does not occurwhen the window size is changed or the page is changed.

7.3 User Warnings

When you open a form that has a warning message associated with it a dialogue containing the messagewill flash up. It may be dismissed with the OK button.

Similarly, if you move to a page which has no fields that require filling in, a warning message to the effect willbe displayed on the status bar at the bottom of the window. The Status bar display can be turned on and offusing the Status Bar command on the View menu.

If you move to a page which is a duplicate of an earlier page, a warning message will be displayed on theStatus bar at the bottom at the bottom of the window. The filling in area on the duplicate page are automaticallysuppressed to prevent data entry. You can see the appearance of the duplicate by using the print previewfacility available from the file menu.

Individual fields may also be configured for displaying self help messages on the Status Bar.

7.4 Selecting the Active Font

By default, the each field will be set to fill with the default font specified under theTOOLS>OPTIONS>STYLES dialogue.

At any point, the active font may be changed from within the Font Selection Dialogue:

Select the Font face, style and emphasis required and click OK.

OyezForms allows any aspect of the font to be changed any number of times within a field. When ever fillingin begins in a new field the default font will be restored. By use of the appropriate dialogue the default font canbe set for a field, a page, the form, and for OyezForms in general.

7.5 Placing Tabs in Fields

Select VIEW>RULER. This will display the Tab Ruler underneath the Toolbar:

This feature adapts its display width to display the spacing of tabs in the currently selected fill-in field. Bydefault tabs will appear on this at 2cm spaces.

To add a tab Simply click on the ruler where you want the tab to appear.

To remove a tab Click on the tab and drag it upwards and off the ruler

To move a tab Click on the tab and drag it horizontally to the desired position

7.6 Suppressed Fields

Fields that receive auto fill data from the practice details database (see section 4.2) do not require anyediting from the user and default to being suppressed. In this state they cannot be accessed and tabbingskips over them to the next enabled field.

If you wish to access any of these fields then select ‘Enable Suppressed fields’ in the Styles tab of theTOOLS>OPTIONS dialogue.

7.7 Selecting Data from a List Box

1. Tab to the ListBox2. Select INSERT>PICK FROM LIST or Right mouse click and select PICK FROM LIST3. A drop down list will appear, scroll down (or strike the key corresponding to its first letter) and

click on the exact entry required. The name will appear in the field and any linked data will alsofill into related fields.

Note: It is possible to invoke this feature more than once for a particular field.

7.8 Using the Pinboard

The Pinboard allows the user to store commonly used ranges of formatted text for rapid insertion into a formwhen necessary. Unlike windows clipboard, the Pinboard can store multiple entries that survive the shutdown of the computer.

To add text to the pinboard:

1. Type the text you wish to store in a field

2. Highlight the text

3. Select EDIT>ADD TO PINBOARD. The first line of the text will now appear in the pinboards list ofcontents.

To insert text from the pinboard:

1. Select the position within the field you want the text to be entered

2. Select INSERT>PICK FROM PINBOARD

3. The Pinboard will appear listing the first lines of the currently stored entries

4. Double-click on the entry you wish to insert into the field.

Deleting entries from the pinboard:

1. Select INSERT>PICK FROM PINBOARD

2. Highlight the entry you wish to delete

3. Press the Delete Button on your keyboard

Note: The pinboard can be displayed as ‘floating’ on screen by right clicking on the Toolbar area andselecting Pinboard from the hovering list.

7.9 Spell Checking

Oyezforms ships with a full version of Sentry Spelling-Checker Engine (Copyright 1996 by Wintertree SoftwareInc). This feature supports its own comprehensive help facility (click on the help button). It is possible toconfigure the spell checking engine to actively check every word a user types by selecting ‘Enable Active SpellChecking’ under the ‘Styles’ tab of the TOOLS>OPTIONS Dialogue. (See section 4.1). For exhaustivehelp on this feature click the Help button.

To invoke the spell checker when not active select TOOLS>SPELLING... when in the field to be checked.

7.10 Expandable Forms

A New feature where unlimited lines of text can be typed into a field which then expands accordingly.Expandable forms support standard Windows Copy and paste techniques. Various Land Registry titlesare available.

7.11 Self Calculating Macro’s

Macro’s have been incorporated within Oyezforms to save time when completing forms that requirenumeric calculations. Macros are intelligent enough to calculate VAT rates and uplift percentagesand are available in relevant forms from the following ranges: Legal Aid - CLS, Civil Procedure, Divorce,Inland Revenue/Inheritance Tax.

To turn Macro’s ON

1. Exit form, go to TOOLS>OPTIONS>MACROS2. Select ‘Enable form macro’ tick box3. Click OK

8 Printing and Emailing from OyezForms8.1 Printing a Form

Printing should be attempted only after the software has been configured via the Options Dialogue.

1. Select the form you wish to print

2. Select FILE>PRINT (or press Ctrl+P or Alt F P).

3. Choose OK to begin printing.

For the first print of the current session, the print dialogue box will target the Windows Default Printer (asassigned at the system level by START>SETTINGS>PRINTERS). If you wish to change the printer, selectfrom the available installed printers in the printer drop down list. The status, type and location of the selectedmodel will appear under the list. Once a new printer is selected, subsequent print dialogue boxes will defaultto it for the remainder of the session or another printer is targeted.

By default, the software will print all pages of the selected form. If you wish to limit the output range enter thefirst and last desired pages in the ‘from’ and ‘to’ boxes below.

Should you wish to divert the output to a Printer (.prn) file, select the ‘Print to File’ tick box. A browsingdialogue box will allow you to specify the location the file is created in.

Note: The software defaults to displaying a printer margins warning message, this can be removed in theTOOLS>OPTIONS dialogue (see section 4.1)

8.2 Setting up the Printer

A selected printers settings can be accessed by pressing the Properties button in the Print Dialogue Box. Atabbed dialogue will appear that reproduces the controls available via START>SETTINGS>PRINTERS in theWindows operating system. The precise options displayed will vary according to the capabilities of the printerselected. Characteristics such as paper size, paper source etc. can be changed here and will remain alteredfor the duration of the working session. When the software is re-opened the Windows defaults will reapply.

8.3 Emailing a Form

Non-OyezForms users may now view your completed forms on-screen by means of a viewing module that you may send with any email. The File>Send command will open up a new mail message and automaticallyattach the OyezView.exe and the relevant .ofv file. Please note that you must be running V8.02G or later.

1. Send the form including the Oyez Viewer (OyezView.exe). Intended for recipients who DO NOT have OyezForms.The current form is converted to a compressed print ready image (similar to a fax). When OK ispressed the form is attached along with a special view and print program to an empty email message.Your email client program is then activated to enable you to address and send the email. The recipientcan only view or print the form.

2. Send the form only No Oyez Viewer (OyezView.exe). Intended for recipients who DO NOT have OyezFormsSame as option 1 except the viewer is not attached to the email.

3. Send the form as an .olf file.Same as the File>Save As option within a form. This allows a recipient to edit as well as view and print theform. The recipient must have Oyezforms licensed for the form being sent and any other required resources (e.g. fonts)

4. Save the form for future sending, viewing or printing.This allows the current form to be converted and saved as a print ready image that can be manually attached to an email, i.e. Oyezforms does not try to activate your email client program.

We recommend the use of MAPI compliant email clients/servers. Customers who run Groupwise or Lotus Notes areadvised to use the last option within File>Send as this saves both the OyezView.exe and .ofv file to the HD (Hard Drive)for manual attachment.

9 Customising Form Templates9.1 What You Can Alter

It is possible to add extra fields and pages to a form. All fields are fully dynamic and allow for anyproperty to be redefined. The backdrop image representing the printed paper of the form itself cannot bein anyway amended, although by adding fields and suppressing them, fixed background text can be ineffect achieved in a custom form. Once created, a customised form can be saved as a permanenttemplate for repeated future use.

9.2 The Save in Library Command

Once a form has been amended, the following actions can be taken to save it for future use:

1. With the form active, select FILE>SAVE IN LIBRARY.

2. You are asked if you wish to remove any text in the forms fields. Selecting no will save this text and re-inputit when the amended template is reopened - this may cause problems in fields that have autofillproperties assigned to them.

2. The Save in Library Dialogue will now appear:

This dialogue allows the name, description and administrative category (including the creation of new ones)of the form to be altered. The revision number of the form allows the software to determine the relative age oftemplates and generally should not be altered. The user can also select from the Custom or User libraries asa final destination for the form, and password protect it if they so wish.

4. Click OK to complete the task. If a customised template has not been stored in the chosen categorybefore, a prompt will request confirmation of its creation.

5. The form will disappear from the screen and now be accessible as a template in the relevant directory.

Forms saved to the Custom Library can be accessed by all users attached to a networked copy of OyezForms.The User library is unique to each user (its true location being set by ‘path to user files’ in the TOOLS>OPTIONSdialogue). This arrangement allows for both collective and personal amendments to be accessible within asingle networked installation. For a standalone installation of the software, the Custom and User librariesserve the same function.

9.3 Manipulating a Forms PagesIt is possible to Cut and Paste and pages (including those added with the Append Blank Page command)within the layout of a form. The EDIT>CUT PAGE, >COPY PAGE, >PASTE PAGE and >REMOVE PAGEcommands enable these actions. It is also possible to combine pages from different forms in this way -usefulwhen continuation sheets are given different form titles by receiving authorities. If pages are pastedinto a form, they are included by the FILE>SAVE command and will be present when a stored form is re-opened.

To Append a Blank Page:

1. Select INSERT>APPEND BLANK PAGE. The page will appear as the last page on the form.

3. Select EDIT>CUT PAGE and EDIT>PASTE PAGE to move to alter its position in the form.

9.4 Manipulating a Forms Fields

Normally a field will appear transparent and be ready to receive a text input when highlighted. Double-clickingon any enabled field will toggle its state from this Input Mode to Edit Mode. In Edit Mode, the fieldwill appear shaded with square ‘drag handles’ at intersections and midpoints of its sides. Moving (byclicking and dragging) and resizing (by clicking and dragging on the square drag handles) can nowoccur. Once a satisfactory size and position is established, double clicking will toggle the field back toInput Mode.

To add a field:

1. Select INSERT>ADD FIELD.

2. The field will appear in shaded Edit Mode:

3. Move and resize as required.

4. enter a value in the ‘Previous Field ID’ box in the fields properties to locate it in the tabbing sequencebetween fields.

4. Double click to ‘lock’ the field in its new position in Input Mode.

To delete a field:

1. Double click on the field to toggle it to Edit Mode.

2. Right click on the field and select ‘Remove field’

3. Click yes to the removal confirmation. The field will disappear.

Modifying field attributes:

1. Select the field you wish to modify.

2. Right click on the mouse and select Properties from the floating menu. The Field PropertiesDialogue will appear - see following sections.

3. Right click on the mouse and select Properties from the floating menu. The Field PropertiesDialogue will appear - see following sections.

9.5 Form Properties

The General tab controls the size, position and sequencing of a field.

The field ID is a unique number that identifies the field to the software and any other automating package(such as a case management system). In general, caution should be exercised in amending this, as it maylead to unpredictable results with data infilling and the fields access sequence.

The ‘Previous Field ID’ locates a field in the tabbing between field’s sequence. If a new field is created, thisbox will be blank and the field will appear last in the access order. By setting this to an existing fields ID,anchors a new field in order.

The LPI (Lines Per Inch) box sets the vertical spacing of text lines entered into the box by a user.

The Position box allows the relocation and re-sizing of a fill in field on a page (this can also be achieved bydouble clicking on a field see section 7.2)

The Self Help Message Box can be edited to create a message that flashes up on the Status Bar at thebottom of the page (see section 9.5).

This dialogue controls the content and behaviour of a fill-in field.

The Initial Font and Alignment Options enable each individual field to be stylistically independent.

The Max Characters box limits the number of keystroke inputs into a field, if the AutoSkip box is alsoticked the next field will automatically become selected when this figure is reached. Setting MaxCharacters to 0 will allow any number of inputs.

Selecting Automatic Strikeout will repeat the first character entered throughout the whole field - whichwill now be bordered in red (this can be moderated with the Max Characters feature). Pressing backspacewill delete all characters at a single stroke.

Pre-select text will cause any existing text in the field to be highlighted, useful for rapid deletion or overtyping.

Selecting Suppress will remove the field from the access sequence. This is often used to protect the data infields that are pre filled. Suppressed fields can still be accessed if ‘Enable Suppressed Fields’ is ticked in theStyles Tab in the TOOLS>OPTIONS dialogue box.

Exclude from spell check can be used in conjunction with ‘Active spell checking’ to remove repeated spellingqueries in fields commonly containing unique words (address boxes etc.)

Fields can be added with the Bordered feature enabled, this would allow the creation of a signature box in asection of a form.

The Tabs area dialogue allows the user to specify exactly the location of tab stops. Remove buttons allow forindividual or all tabs to be removed from a field. It is possible to create a new tab stop by entering its locationin the ‘Tab Stop At’ box and clicking ‘Set’. OyezForms only allows for the creation of left justified tab stops.

Note: Settings altered here will effect the Ruler feature display and vise versa.

9.6 Linking Fields to Access Databases

OyezForms has been designed to allow for the flexible linking of data stored in Microsoft Access (.mdb)databases. Fields can be configured to refer to specific table entries based on field titles or previous infillresults. When a user adds data to their clipboard or enters their companies ‘Practice Details (seesection 4.2) they are actually modifying data entries in such a database. The software ships with thefollowing databases:

Licensee.mdb Practice details (altered via ADMIN>PRACTICE DETAILS

Pinboard.mdb Unique to each user (altered via EDIT>ADD TO PINBOAD)

Mastlibr.mdb Tracks the importation of forms (altered during import procedure)

OyezForm.mdb Holds data on receiving authorities (alterable only within Microsoft Access)

Custlibr.mdb Holds data on titles in the Custom Library (altered during Save in Library)

Userlibr.mdb Holds data on titles in the unique User Library (altered during Save in Library)

In forms shipped from Oyez, it is the OyezForm.mdb and Licensee.mdb that are referenced by Fields inStandard form templates. The software can, however, reference any created .mdb file if correctlyconfigured. The following sections assume some familiarity with Access Database terminology.

The Prefill tab dialogue serves to locate data for direct filling into a field as a form is initialized. The aboveexample should be viewed in conjunction with appendix .

The ‘Database’ window shows the path to the Access database containing the data required. The ‘Connect’enables browsing to a fresh another file.

The ‘Table’ drop down list will display for selection all data tables available within the .mdb database.

The Filter Field box allows you to enable a field (vertical column of data) to act as a designation list for data ina second field in the table specified by the ‘Show’ list box. Once a specific ‘Filter Match’ value in this first (i.e.filter) field is specified, the software will auto fill the value in the same row (horizontal range of data) of thesecond ‘Show’ field into the Fill In field each time the form is opened.

Available ‘Filter matched’ can be obtained by pressing the ‘Query button’.

The pre-filling of a field is an event that cannot be modified by the user, it assumes set data is required for aform each time it is opened. A range of set options (including linked data) can be inputted via the List Boxfeature. This is controlled by the List Tab:

As with the Prefill dialogue, the ‘Database’, ’Table’ and ‘Filter Field’ control the .mdb, table and drop listfield to be referenced.

The ‘Filter Match’ box defaults to the ‘*’ value. This indicates all entries in the Filter Field will be availableto the drop down list. By pressing the ‘Query’ button, the list box will display the data available. If one ofthese is selected, the list function on the form will only display that particular entry. This may be usefulin saving a users time if they only submit to one particular receiving authority, for example.

‘Show in List’ controls which data actually appears in the drop down list (it is possible using this feature toseparate the list appearance from the actual Filter field data).

The ‘Insert Text From’ box specifies the field that contains the data inputted to the field after the user selectsa Filter from the drop down list.

Often, it will be desirable to have more than one field respond to the actions of a user selecting from a dropdown list. This is possible my means of the On Match Dialogue Box:

The ‘Search Text’ area specifies the page number and field ID that will be reference in this particularprefill activity. The text contained within this field will be checked against the contents of the defineddatabase field during the infill action.

The ‘Database’ and ‘Table’ fields function as with other prefill events, defining the file source for the new textfill data.

The ‘Insert Text From’ box defines the source that the new fill in text will be taken from.

The ‘Search Field’ designates the field in the specified table that will be searched for a match with the text inthe ‘Search Text’ field. It is possible to search a separate data table and providing that the designated‘Search Field’ contains a match for the Search Text’. If no match is found, no text filling will take place.

10 Admin TasksThe Admin menu facilitates the administration of the forms package. This menu is only available when thereare no forms displayed.

10.1 Licensing OyezForms

In order to obtain a license you will need to call Oyez’s helpline on Tel: 020 7556 3201 with the written detailsof your license agreement to hand. Support staff will guide you through the licensing process.

1. Select ADMIN>Licence...

10.2 Importing New Forms

Importing the forms allows the program to trace the copying form templates to the \Library\Masterdirectory and update and it’s index of current revisions.

Note: If the template files are simply copied within explorer to the master library directory, the software willbe unable to display a list of the most up to date revisions and the forms will not be accessible.

For standalone installations the form templates will have to be imported on each PC. For a network copy ofthe software the task need only be completed once; the data being diverted to the central \Library\Master\directory on the server. In both cases the distribution disk(s) need to be stored in a safe location - makingback up ‘image’ files is recommended.

Regardless of the media the form templates are to be imported from, the same dialogue box controls theimportation procedure. It is enabled by selecting ADMIN>IMPORT NEW FORMS.

To import from the original distribution CD:

1. Insert the CD in the correct drive2. Use the Browse button to locate and select the OyezForms CD-ROM Icon. Click OK.3. A list of the form templates ordered will appear in the dialogues central window.4. Click SELECT ALL, then IMPORT.5. Once the templates have been imported to the Master Library (this may take several minutes on

older CD drives), click DONE to exit the dialogue.

To import from a diskette:

Most editorial EFIS updates only contain a relatively small amount of data and will be supplied on 3.5 “diskette. By default, the import window will check the a:\ drive (anticipated as the most common drive source)for updates. If the diskette is already inserted before selecting ADMIN>IMPORT NEW FORMS the contentswill automatically list in the large central window. Otherwise Browse to it. Click Select All and then Import.The data will be copied to the master library. A prompt for more disks will appear if extra disk exist then click‘Yes’ and insert when prompted. Repeat this procedure until all disks are completed; then click ‘No’ to theprompt and ‘Done’ to exit the dialogue.

To import from an emailed source:

Form templates will be emailed in compressed form - see appendix 12.6.

10.3 Defining Practice Details

OyezForms support automatic entry of repeated data such as the practices office address, telephonenumber etc. This information can be entered and maintained through the Practice Details dialogue:

With no forms open, click ADMIN>PRACTICE DETAILS. A dialogue will open with labeled fields to receiveyour practice details. Simply fill the relevant areas and click Update. Forms will now automatically import thisdata into the correct fill in fields

10.4 Library Maintenance

This dialogue allows the user to administer the ranges of forms within the software’s available collection.Individual titles can be added or removed, or previous revisions of a form deleted.

1. Select ADMIN>Library Maintenance…

The right hand window offers browsing facilities to select the range of forms (including those in custom oruser libraries) to be administered. When a ranges directory is selected, a complete record of title details willdisplay in the larger left hand window. The title, description, revision date and windows explorer file name (ofuse in advanced trouble shooting) will be displayed for all revisions of each form in the range.

Once a form revision is highlighted, the administrator has the option to delete it by pushing the Delete button.

New form revisions can also be imported by pressing the ‘Import Forms to Master Library’ button. This actionis the same as selecting ADMIN>IMPORT NEW FORMS

After maintenance is complete click the Done button.

10.5 Password Protecting the Admin Menu

You may wish to remove the risk of misuse use of this menu area by requiring a user to provide a passwordto access its features.

Type your chosen password (this will appear as astrixes on screen) Select the ‘Confirm Password’ box andretype the password. Click OK. If your second attempt didn’t match the first, a warning will appear, click OKand attempt the procedure again.

10.6 Configuring Active Library

Customers running Version 9 of OyezForms can now benefit from fully automated library management.Once configured, this version will automatically contact our server, and synchronise your form titles against ourcentral database. A broadband internet connection is highly recommended

Obsolete titles will be removed and new ones downloaded. V9 is aware of 'early release' forms and will promptif a choice between a currently live revision, and a forthcoming release exists.

To configure, please follow the instructions below:

1. In OyezForms go to Tools>Options>Import tab2. Tick the bottom tick box ‘Allow form updates…’ - Figure 13. Go to the ‘Active Library’ tab4. Specify when you’d like OyezForms to check for updates/prompt5. Enter your Oyez Account ID (as shown on accompanying letter)6. 12 Appendix12.1 Advanced Navigation Keystrokes

Arrow keys Removes the selection from any text and moves the insertion point in the indicated direction.

Shift+Arrow Drops the selection anchor (if it is not already dropped) moves the insertion point and selectsall the text between the selection anchor and the insertion point.

Ctrl+Left Arrow Moves the insertion point to the beginning of word to the left.

Ctrl+Right Arrow Moves the insertion point to the beginning of word to the right.

Shift+Ctrl+Left Arrow Drops the selection anchor (if it is not already dropped) moves the insertion point to thebeginning of the word to the left and selects all the text between the selection anchor and theinsertion point.

Shift+Ctrl+Right Arrow Drops the selection anchor (if it is not already dropped) moves the insertion point to thebeginning of the word to the right and selects all the text between the selection anchor andthe insertion point.

Home Removes the selection from any text and moves the insertion point to the beginning of theline.

Shift+Home Drops the selection anchor (if it is not already dropped) moves the insertion point to thebeginning of the line and selects all the text between the selection anchor and the insertionpoint.

Ctrl+Home Places the insertion point before the first character in the filling in field.

Shift+Ctrl+Home Drops the selection anchor (if it is not already dropped) places the insertion point before thefirst character in the filling in field and selects all the text between the selection anchor andthe insertion point.

End Removes the selection from any text and moves the insertion point to the end of the line.

Shift+End Drops the selection anchor (if it is not already dropped) moves the insertion point to the endof the line and selects all the text between the selection anchor and the insertion point.

Ctrl+End Places the insertion point after the last character in the filling in field.

Shift+Ctrl+End Drops the selection anchor (if it is not already dropped) places the insertion point after thelast character in the filling in field and selects all the text between the selection anchor andthe insertion point.

Shift+Del If text is selected, cuts the text to the clipboard.

Ctrl+Del Deletes the entire contents of the fill-in box.

Shift+Ins Pastes( inserts) the contents of the clipboard at the insertion point.

Ctrl+Ins Copies selected text to the clipboard but does not delete it.

Shift+Tab Moves editing to the preceding field. Ignored if at the first field.

Ctrl+Tab Selects the next form window if multiple forms are loaded.Using the Mouse

Shift+Single Click Position the insertion point and extends the selection from the selection anchor to the insertionpoint.

12.2 The Installation CD-ROM

The above diagram shows the files shipped on the distribution CD. By default, the standalone andnetwork installation files are placed in labeled subdirectories as are 31/2" diskette image files for astandalone installations. Form templates are placed in the root of the CD (see importing new form -section10.2).

12.3 Reading Data from the CD-ROM

Given the range of available CD-ROM drives compatibility problems can occasionally arise. If data transferproblems are encountered during an install, try making the following temporary change to your system (Windows 98/Me only):

1. Select START>SETTINGS>CONTROL PANEL

2. Select the Performance Tab, then File System and click the CD-ROM Tab

3. Change the ‘Optimise Access Pattern’ to ‘No read ahead’.

4. Select Apply and OK. You will be prompted to restart your PC

12.5 Creating a Desktop Shortcut to OyezForms

Many people prefer to see a shortcut on the desktop rather than use the start button to run the software:

1. Click on Start, and highlight Find and select Files or Folders...

2. In the Named: box, type oyezfrms.exe (note: no second ‘o’ in OyezForms).

3. In the ‘Look in:’ box select the drive the software was installed to .

4. A single file should appear.

5. Right button click on the icon, and from the floating menu select Create Shortcut You will be promptedthat the shortcut must be placed on the desktop, select Yes You should now have a shortcut to theOyezForms software residing on your desktop.

All paper types can be obtained by contacting your local Oyez Distribution Center.

12.6 Receiving Emailed Form TemplatesForm templates can be emailed direct to you and should arrive within 15minutes of our sending.

Individually supplied forms will be attached to the email as .lfm files without any compression.

Larger numbers (say 4 or above) of forms will be compressed and bundled into a self-extracting files. This reduces the number of email attachments and lowers the file size to speed up download times.

To extract the contents of a compressed email attachment under Microsoft Outlook (other email packages may vary slightly)

1. Double click on the file attachment

2. Select ‘open’ from the menu that appears

3. The self-extractor dialogue will open:

4. Set the destination you wish the form templates to be extracted to (by default the dialogue will show the floppy drive)

5. Click unzip - the form templates will appear in the directory specified above.

6. Import as usual by Browsing (within the Import New Forms Dialogue) to the directory containing the .lfm form templates (see section 10.3 Importing New Forms)
