Oracle Retail VAR Applications

The following restrictions and provisions only apply to the programs referred to in this section and licensed to you. You acknowledge that the programs may contain third party software (VAR applications) licensed to Oracle. Depending upon your product and its version number, the VAR applications may include:

(i) the MicroStrategy Components developed and licensed by MicroStrategy Services Corporation (MicroStrategy) of McLean, Virginia to Oracle and imbedded in the MicroStrategy for Oracle Retail Data Warehouse and MicroStrategy for Oracle Retail Planning & Optimization applications.

Release Overview

This document contains the release notes for Balance 7.0.0. These release notes cover new features and enhancements for this version, the resolved issues that were identified in previous versions, and current issues as of the release date.

The main focus of the version 7.0.0 release includes enhancements to Audit Trail, No Poll and Bank Reconciliation, customer access to Trans Add/Edit configuration, and Query Tracking.

This release also adds support for new platforms including Windows 7 (64-bit) and Oracle 11g database.

Balance 7.0.0 Implementation Guide

01/2011 The Balance Implementation Guide describes the installation

and configuration of all components of Analytics. This includes Balance Desktop and database setup information. This guide also explains how to upgrade Balance from the most recent prior versions, including key considerations and upgrade advisements specific to version 7.0.0.

Balance 7.0.0 User Installation Guide

01/2011 The Balance User Installation Guide provides basic instructions to install and configure the Balance Desktop application. This is intended to assist with local installations of the Balance client on end users’ computers.

Balance Training Guide

01/2011 The Balance Training Guide instructs and demonstrates the use of the Balance Desktop application. This guide is used during User Training Courses and as a reference tool to help users perform the Balance application functions. The guide provides a product overview as well as instruction on accessing the Balance application, resolving audit concerns, reviewing and posting general ledger totals as well as navigating and utilizing Bank Reconciliation and Liabilities Management. Lastly, the guide is used to instruct on managing and running Balance queries, scheduling of queries, reviewing other query options, and setting up audit users.

Features

This section includes a brief summary of the enhancements/improvements and new features for Balance version 7.0.0.

Audit Trail

Added Transaction Lines (BAL70-26)

Audit trail has been enhanced to track when a new line has been added to a transaction in Trans Add, Trans Edit, or History Edit.

Transaction Add & History Edits (BAL70-29)

Audit trail has been enhanced to track when a new transaction has been added and when a transaction has been modified in History Edit.

Note ID (BAL70-30)

The user notes that are added during Transaction Edit can now be referenced in Audit Trail reporting.

General Ledger (BAL70-32)

When records are posted to the GL, the post user and post date are now captured.

No Poll (BAL70-36)

When No Polls are accepted by the user, the user modified and date modified are now captured.

Audit Trail (BAL70-47)

The Journal Header database view was modified to get the proper note ID from the missings transaction table to enable note tracking.

Audit Trail Reporting (BAL70-74)

Four new queries have been created:

BALANCE TRANS ADDS- This report captures the audit trail for transactions adds through Balance.

GL AUDIT TRAIL- This report captures the audit trail for General Ledger.

NO POLLS - AUDIT TRAIL- This report captures the audit trail for No Polls. It shows a list of all stores where the No Polls were accepted by the user.

USER NOTES- This report shows the notes added by a user in Balance.

Also, ADC AUDIT TRAIL and BALANCE TRANSACTION JOURNAL were modified to include note ID and version for linking purposes.

No Poll

System Live Date (BAL70-33)

A new database field has been added to the Store and Register Master tables to capture the system live date. This new field will be used by the No Poll procedure to make sure that only those stores that are considered live (system live date is less than or equal to the transaction date) are reported as no polls.

Partial Polling (BAL70-34)

A new Polling status (P) has been created for partial polls to indicate that some, but not all of the registers in a store have been polled. This status is only valid when the No Poll level is set to Register.

Update Existing No Polls (BAL70-35)

If a store is closed through the Store Closing Maintenance screen after the No Poll procedure has already run and detected the store as a No Poll, the No Poll status for the store is set to be accepted and cleared from the Trans Audit Summary window.

Bank Reconciliation

Aggregate Tenders (BAL70-38)

A new check box, Check All, has been added to the Bank Reconciliation window if the Bank Reconciliation level is set to Tender. If Check All is selected, all rows on the store side are selected for reconciliation (Reconciliation Status = R). If Check all is not checked, all rows are reset (Reconciliation Status = IA). The check box is not visible if the Bank Reconciliation Level is set to Store.

Update Batch Number for Bank Auto Adjustments (BAL70-39)

The Bank Reconciliation procedure creates an auto adjustment because the deposit values in the store and bank don’t match but are within the defined threshold. The bank reconciliation procedure now uses the same Batch Number as the original transaction. If there are multiple deposits from different batches, the lowest batch number is used.

Reconcile Two Bank Side Entries (BAL70-41)

Bank Reconciliation recognizes consolidation of multiple entries on the same side.

For example:

Store side: no one store is marked for reconciliation

Bank side: three deposits (amounts $20.00, -$15.00, and -$5.00) are marked for reconciliation

Since the checked difference on the bank side is zero, a user will not be prompted for a mismatch or the inability to reconcile.

Update GL Child Tables When Reconciling (BAL70-42)

When an adjustment is made to the store deposit transaction through Bank Reconciliation, a GL adjustment is made. The GL child tables are now reflected with the same information.

Auto Reconciliation (BAL70-43)

The Bank Reconciliation process has been modified so that stores that have audit issues are not auto reconciled.

New Display Window Setup screen (XBRADMIN) (BAL70-44) A new Administration screen has been created for XBRADMIN to enable/disable options that are available for customers to configure in Transaction Add/Edit Setup. This includes tables, transaction types, record types, etc.

Customer Access to Display Tables (BAL70-76) Customer administrators can now modify the configuration and layout of the following screens in the Transaction Add/Edit Setup window:

Aging Procedure (BAL70-45) To increase performance, the aging procedure was modified so that zero dollar balances, as indicated by all time fields being equal to zero, are not posted to the aging table.

New Balance Login Screen (BAL70-56) The Balance login screen has been changed to a more vibrant and relevant image.

Log Query Runs (XBR70-37) XBR’s logging functionality for both the XBR and Balance has been enhanced to log and track each query by date and User ID. This allows for reporting on frequently used queries as well as the activity levels of each user. The query duration is also tracked to evaluate query performance. A new query classification called "Query Tracking" has been created along with 11 Adhoc queries that report on query and user activity.
