PII from Prospective Participants

A locally hosted webpage is defined as: (1) a webpage hosted on a server outside of the NICHD, (2) a single webpage only used to collect contact information entered by a prospective participant, (3) a single webpage that is hosted within an ATO-approved environment at either the Study Center or its subcontractor, (4) a single webpage that complies with the NICHD IRB and OMB approved protocol for the Two Tier Hi/Lo Alternate Recruitment Sub-Study (ARS) Schema.

• Collection of contact information from prospective participants, including Personally Identifiable Information (PII), for the express purpose of facilitating recruitment. Approved PII information includes:– name, address, phone numbers and email

information

• Provide a link to the single webpage from the local NCS Study Center Web site/page only with prior NCS PO approval.

• Provide a link on the respective NCS Study Center Web site (for example, the “Contact Information” page) to the local webpage chosen by the respective HiLo Study Center, to house their web form for collecting potential participant contact information.

• Require the following disclaimer be displayed on the respective NCS Study Center Web site before a user is redirected to the local webpage. – External Page Disclaimer: You have chosen a link to an

‘external site.’ It is a Web site that is not maintained by NICHD or the federal government. This link is provided only for your convenience. NIH and NICHD are not responsible in any way for external sites/pages and do not endorse or support in any way products, services or information that they may describe or offer. Proceed to the Web site/page: (Study Center provides local link).

• Provide a Confidentiality statement, approved by the NCS PO, on the locally hosted webpage to address participant concerns regarding use of their PII.

• Require an approval from the NICHD CIO certifying that the web hosting environment is compliant with FISMA requirements.

• Collection of any additional information from potential or enrolled participants requires OMB and IRB approval prior to implementation.

• Use of an NCS PO-approved Study Center-specific banner on the single webpage.

• Allow links to NCS PO-approved local materials such as PDFs and brochures

• Require 508 compliance that will be verified by the NCS PO.
