Templates

• Provide a reusable model for documents of the same type.

• Contain formatting information, styles, and standard text for a particular type of document.

• Default template is the Normal template.It is available globally.

• Word provides built-in templates and templates online.

• All documents based on a template.

• The default file extension for templates is .dotx or .dotm.

Use Word Templates• Click the Microsoft Office Button.

– Click New to open the New Document dialog box.

• Options for Templates: – Blank and recent

– Installed Templates

– My templates

– New from existing

– Microsoft Office Online

• Click the Blank document icon to create a new document based on the default template.

• Click the Installed Templates option to create a document or to create a template based on a built-in template.

Create Templates

• Three methods to create a template:

– Create a blank template by using the default template and define formatting, styles, and placeholder text.

– Open an existing template, modify it, and save it with a new name.

– Open an existing document, modify it, and save it as a new template.

Create a New Template• Open the New Document dialog box.

• Click the Microsoft Office Button, and click New.

• Click My templates.

• Click the Blank Document icon.

• Click Template under Create New.

• Click OK.

• Format the document and insert placeholder text.

• Click the Microsoft Office Button, and click the arrow beside Save As.

• Click Word Template and save the template in the appropriate folder.

Create a Template using an Existing Document

• Open the New Document dialog box.

• Click New from existing.

• Locate the folder and document.

• Click the Create New button and a copy of the document displays.

• Format and edit the document.

• Save the document as a template.

Attach Templates

• Change the template assigned to an existing document.

• Attached template formatting and elements are applied to the document.

• Attached template styles are available in the document.

Attach a Template

• Display the Developer tab by opening the Word Options dialog box and clicking Popular.

• Click the Developer tab and click the Document Template button to display the Templates and Add-in dialog box.

• Click Attach and locate the folder and file to attach.

• Click the Automatically update document styles check box.

• Click OK.

Modify Templates

• Open the template using the Open dialog box.

• Change formatting and redefine styles.

• Save the template.

• Modify an existing template to create a new template.

– Open the template, modify the template, use the Save As command to save the template with a new name.

Organizer

• Use the Organizer to copy individual styles from one document or template into the current document or template.

– Copied styles are added to the style sheet.

– Copied styles replace styles with the same style name.

– Style names are case sensitive.

Display the Organizer

• Display the Developer tab.

• Click the Document Template button to display the Templates and Add-ins dialog box.

• Click the Organizer button to display the Organizer dialog box.

Copy Styles

• Click the Close File button on the right side of the Organizer dialog box.

• Click the Open File button on the right side of the Organizer dialog box.

• Locate the folder containing the template and double-click the file.

• Select and copy styles.

Lesson 13 Summary

• A template is a reusable model for a particular type of document. Templates can contain formatting, text, and other elements. By default, all new documents are based on the Normal template

• Word provides a variety of templates upon which you can base a new document or template. You can modify any existing template and save it with a new name. You can also modify any existing document and save it as a new template

Lesson 13 Summary

• Every document is based on a template. You can change the template assigned to an existing document by attaching a different template to the document, thereby making the new template’s styles available in the document

• To modify a template you created, open it from the Open dialog box and choose All Word Templates from the Files of type drop-down list

• Instead of modifying template styles, use the Organizer to copy individual styles from one document or template to another
