    Introduction

    Welcome to the IPSF team.

    If you are a member of the Executive team, ofthe Regional Working Group (RWG) or a

    coordinator you have access to an official IPSF

    email account.

    The account access (login and password)should always be transferred during the

    handover.

    The account @ipsf.org must always be linked to

    a Gmail account.

    This guideline will help you to have your IPSF

    account ready to use.

    If you already have a Gmail account correctly

    set from your predecessor, please go directly tothe last topic: Account settings.

    Official IPSF account

    RulesKeep a professional language in contacting yourIPSF team or any other person on behalf of IPSF,

    do not use quotes, jokes or any other informallanguage.

    There is a standard signature that we use inIPSF, please refer to the topic on Set your

    signature in this guideline. In your IPSF

    signature, please only mention IPSFand eventually your Regional Office (RO) and no

    other organisations. You may NOT have anadditional signature of another organisation this

    includes your own local association one.

    The ROs are called IPSF xxRO and not IPSF

    xxRO.

    You are now representing and working for IPSF,

    which is a nonpolitical, nonreligious and non

    profit organisation. Thus, any email written on

    behalf of IPSF (external, internal, within RWG, egroups, to professional contacts etc)should not allude to politics or any religion. This is the best way for everyone as youremails have the potential to reach anyone (student, professional, pharmacist or other

    organisations) throughout the world.

    If you have to be away from internet access or be unavailable for any reason, you should

    inform the team over your group with a "before leaving" message, which states the

    reason of your unavailability, the duration of your absence and how to reach you in caseof emergencies. No one should disappear at any time without securing alternatives that

    ensure the flow of work. Your presence is crucial and absence would waste the teamsenergy.

    Send an email to [email protected] to have your password if you didnt have itduring your handover.

    NOTE : If you would like to change your password, please send the new one

    to IPSF Secretary General ([email protected]).

    Access

    You can access your IPSF account through http://webmail.ipsf.org

    You arent advised to check your emails through this link but to follow the followingsteps to import your @ipsf.org account to Gmail.

    Importing your emails from your IPSF

    official account to your Gmail

    NEVER USE YOUR PERSONAL EMAIL ACCOUNT TO IMPORT YOUR IPSFOFFICIAL ACCOUNT

    1. Sign in to Gmail.

    2. Click the gear icon at the top of any Gmail page, then Mail settings, and openthe Accounts and Import tab.

    3. Under Check mail using POP3 click the button Add POP3 email account , awindow will pop up

    4. Write the address of the account you would like to import emails from and click

    on next step

    5. Write the password of the account.

    The POP server should be mail.ipsf.org.

    Tick the first boxes underneath according to your preferences in the labeling and

    sorting of your emails and click add account.

    NOTE: YOU HAVE TO tick the first preference (Leave a copy of retrieved messageon the server)

    6. Choose Yes, I want to be able

    7. Set your senders name. Please respect the general layout: Name Surname, IPSF

    Position

    8. Choose Send through Gmail

    10.Just click close window and go to your inbox

    11.You should receive an email from Gmail Team (if not wait for few minutes), openit and click on the verification link

    12.Congratulations, you can send and receive emails as [email protected]

    Set your signature

    1. Sign in to Gmail.

    2. Click the gear icon at the top of any Gmail page, then Mail settings, and openthe Accounts and Import tab.

    3. Scroll down until Signature

    Fill it respecting the font and the size

    Name Surname

    Postition, TermRegional Office (RO) (if needed)International Pharmaceutical Students Federation (IPSF)

    'Students Today, Pharmacists Tomorrow'

    m : (+country code) mobile number

    e : [email protected] l www.xxro.ipsf.org (if you are from RWG)

    Note : You can copy paste the signature of the Chairperson of Media and

    Publications from any sent email and modify it with your personal data.

    NB: Avoid adding your personal email in the signature (risk of spams)

    Set your senders name

    1. Sign in to Gmail.

    2. Click the gear icon at the top of any Gmail page, then Mail settings, and open

    the Accounts and Import tab.

    3. Under Send email as, you will find 2 accounts

    The first is your Gmail account.

    The second is your IPSF account.a) Click make default for your IPSF account if it is not already marked defaultb) Click edit info, a pop up window appears

    c) Set your senders name as Name Surname, IPSF (or RO) Position (Please

    respect this layout)

    d) Tick Send through Gmail and then Save Changes

    e) Congratulations, you are ready to send your official emails

    Set your recovery email

    1. Sign in to Gmail.

    2. Click the gear icon at the top of any Gmail page, then Mail settings, and openthe Accounts and Import tab.

    3. Click Change password recovery options in the 'Change account settings' section.

    4. Select Recovering your password under Personal Settings. You may be promptedto reenter your password to help verify your password and protect youraccount.

    5. Click Add an email address if you don't have a recovery email address setalready, or click the Edit link next to your current recovery email address to

    change it.

    NOTE: Your recovery email should be: [email protected]

    6. Click Save to make your changes.
