Introduction – Information Types Overview In Atlas V6.0.3 Fix Pack 6, a new Information Types page was introduced. This page listed all the information types.

To access this page, complete the following steps:

1. Go to the Schedules tab and click Information Types. Initially, the page displays only those information types with status as Approved and Drafted.

2. You can search the information types by applying various filters, such as ID, Name and Status. 3. For more refined search, click the Information Types drop down and provide more details in the

filter options. The search is substring-based search.

From Atlas Policy Suite V6.0.3 Fix Pack 6 onwards, information types are not created every time they are mapped. The information types are created separately and then mapped to a local or master schedule when required.

In addition to this, editing information types repository mapping through local schedules was enabled. Also, single edit or bulk edit of the information type fields from the local schedules was disabled.

Starting from Atlas V6.0.3 Fixpack 9, certain improvements have been made to the existing information types page and within local schedules. Following sections describe these new changes in detail.

Addition of bulk edit feature to the new Information types page Earlier, only one information type could be modified at once. Now, bulk edit option is added to the new information types page. Users can now select multiple information types from the list and modify the information type fields at once.

When multiple information types are edited in bulk, only the values which are edited are overridden and rest of the values do not change.

On saving these changes, the version of the information types increments, and the status is updated to DRAFTED state if auto approval component parameter for information types is disabled. If auto approval component parameter is enabled, the edited information types are in APPROVED state directly with incremented version and the older versions become INACTIVE.

Add Filter by Local schedule/ master schedule Additional filters on information types list page are added to filter the information types by the Local/Master schedule to which they are associated. This helps in bulk editing a set of information types that are associated with a local/master schedule.

Master Schedules and the local schedules listed in the filter options are the latest APPROVED versions.

Note that only the APPROVED latest versions of the information types are listed on applying filters.

Note: If we filter using both Master and Local Schedule, then only the ACTIVE information types associated with both are listed.

Configuring auto approval Ability to configure (enable/disable) auto approval for the information types is added with the component named Auto Approval for Information Types.

Note:

• This component must be enabled when the information types are edited, or bulk edited within a local schedule.

• Information types bulk edited on information types page are also auto-approved if this component parameter is enabled.

To configure the auto approval, complete following steps:

1. Go to Admin tab. 2. Under the configuration section, click Components. 3. Select the Auto_Approval_for_InformationType component. 4. Click Edit. 5. Enter parameter value as TRUE. 6. Click Save and close.

Note: Edit/Bulk edit of information types within Local Schedules is available only if auto-approval is enabled. Below is the error message if auto-approval component parameter is disabled and you try editing information types in local schedule:

Edit/bulk edit information types fields within Local schedule - editing information types dialog Information Type fields can now be modified or updated from local schedules as well. For this, overview tab is added along with Repository mapping tab to the edit information types dialog within a local schedule.

Only the values modified during the EDIT are changed and updated to the information types and rest of the values are retained as earlier. Complete following steps to edit single information type –

1. Go to information types tab under local schedules. 2. Select the information type to be edited. 3. Click EDIT button on the top right corner. 4. Edit dialog box opens with Overview and Repository Mapping tabs and all the field values are

loaded. 5. Modify the fields of your choice. 6. Modify the repository mapping if required. 7. Enter the REASON FOR CHANGE placed at the bottom of the form. 8. Click SAVE or SAVE and CLOSE button.

Note that Title and Description fields along with the Notes on these fields are visible and editable only for Single edit. Single Edit of information type fields within Local Schedule:

1. Go to information types tab under local schedules. 2. Select the multiple information types to be edited. 3. Click EDIT button on the top right corner. 4. Edit dialog box opens with Overview and Repository Mapping tabs and all the field values are

loaded if they are common across all information types being edited. (Value is displayed as {Various} if it differs in multiple information types).

5. Modify the fields of your choice. 6. Modify the repository mapping if required. 7. Enter the REASON FOR CHANGE placed at the bottom of the form. 8. Click SAVE or SAVE and CLOSE button.

Note that Title and Description fields along with the Notes on these fields are not visible. Only the fields such as Media type, Security, Privacy, Confidentiality, Integrity, Availability, Risk weight, Usage(Purpose), Data Subject Categories, Types of Personal Data, and PA fields as configured are visible and editable.

• Single edit or bulk edit to the information types within local schedules can be done only when Auto approval for Information Types component parameter is enabled.

• Edit/bulk edit on information types page as well as within a local schedule is available to the

user only if the user has a role with the permission to update information types.

• Single information type edits as well as bulk edits for the information types is available as it was until Atlas version 6.0.3.5, except that any changes to the information types fields are saved in the information type catalog instead of just at the Local schedule level.

• If the local schedule is already APPROVED and the information types are edited after that, the

local schedule version also changes, and it goes in PENDING state and needs to be APPROVED again to be in effect.
