How to Perform an End of Day Close-out (EOD) Reconciliation1

This presentation will show you how to perform an End of Day Close-out Reconciliation known as EOD. Performing the End of Day Reconciliation process ensures that all mailings presented to the acceptance unit are checked in, finalized and accounted for. Transactions that are not finalized must be investigated, reconciled and reported in PostalOne.

Select Reports from the blue menu bar.

Click Generate BME End of Day Close out (Reconciliation Report).

- Review postage statements listed and select a reason code for each statement identifying why postage statement has not been finalized.

Review the postage statements listed on the Todays Pending tab. Postage statements on this report have not been finalized in the PostalOne! System and have been in the system for less than a day. Acceptance employees must research each postage statement to determine why it has not been finalized. Verify the list of postage statements against all mailings that have not yet been processed or are in the Hold Area. Select a reason code for each postage statement listed on the report identifying why postage statement has not been finalized.

Postage statements on this report have not been finalized in the PostalOne! System and have been in the system for more than 24 hours. Acceptance employees must research each postage statement to determine why it has not been finalized. Verify the list of postage statement against all mailings that have not yet been processed or are in the Hold Area. Again, select a reason code for each postage statement listed on the report identifying why the postage statement has not been finalized. These postage statements will remain on the 24 hours to 365 Days tab until postage statement is finalized or removed by the customer or acceptance employee.

- This tab lists all cleared and finalized statements. Statement Status column will show FIN for finalized.

End of Day Reconciliation ( EOD )Step 6: Check the box to certify that acceptance employee physically walked the dock area to ensure no mailings have been left on the dock. - No mailings should be left in the acceptance or dock area. Mailing in the Hold Area should be checked in and recorded on the PS Form 8075 Disqualification Mail Log until mailing can be picked up by customer.

Physically walk through the acceptance unit, including Hold Area and acceptance unit dock area. At the end of the day there should be no mailings left in the acceptance or dock area. Mailing in the Hold Area should be checked in and recorded on the PS From 8075 Disqualification Mail Log until mailing can be picked up by the customer.7

End of Day Reconciliation ( EOD )Step 7: Click Save and Close-out

To finalize an EOD Close-out Report, the acceptance employee must click Save and Close-out. EOD Save and Close out may be performed multiple times during the day. Acceptance employees at smaller offices are advised to perform EOD Save and Close out immediately after finalizing a postage statement. It will save you time of having to log back into PostalOne to perform the EOD and most importantly avoid the chance of forgetting to perform the EOD.8

End of Day Reconciliation ( EOD )Step 8: Verify EOD Save and Close-out is completed- Ensure date and time is current and shows clerks initials who performed it. RED BAR must not show when it is completed.9

To confirm that EOD was completed make sure the date and time is current and shows the Acceptance Employees initials who performed it. If the EOD is not yet performed, the EOD screen will display a RED BAR inidicating The End-of Day Close-out Reconciliation report has NOT been certified and completed. Once the EOD has been performed the RED BAR will disappear and change to The End-of-Day Close-out (Reconciliation) report has been certified and completed in BLUE font. This completes the End of Day Reconciliation process.
