Benefits and featuresEMC EmailXtender 4.8 User Cache front-end server and EMC SourceOne Email Management Offline Access client application provide:

◆ User access to archived email, online or off-line

◆ Increased performance when users access email from remote locations

◆ Significant reduction in network traffic, and reduction in load on Exchange servers and EmailXtender servers, by caching data locally

◆ Reduced Help Desk calls concerning email inaccessibility

◆ Improved efficiency in the handling of shortcut messages and attachments

The User Cache front-end server and Offline Access client application work with the 4.8 SP1 versions of EmailXtender and EmailXtender Archive Edition.

You can configure Offline Access using either the Group Policy Object (GPO) settings or registry settings.

Offline Access users can configure settings in Outlook > Tools > Options > EMC SourceOne tab, as described in the EMC SourceOne Email Management Offline Access User Guide.

To configure Offline Access in a multi-user computer environment, you must use either GPO or custom logon scripts that deploy a registry file. Refer to “Configuring Offline Access in a multi-user computer environment” on page 96.

User experience Offline Access provides a seamless experience to the user when retrieving shortcut messages in Outlook. In addition, you can configure Offline Access to cache messages on users’ hard drives so that users can retrieve messages when they are not connected to the network. No user training is required. Offline Access provides:

◆ Automatic synchronization and caching

◆ Instant resolution of shortcut email

◆ Preview pane working fully with shortcutted messages

◆ Ability to open attachments directly from the preview pane

Secure local cache The Offline Access client application uses Berkeley DB to store messages, not PST files.

The database is less susceptible to data corruption than PST files.

Messages stored in the database are encrypted.

The database has a limit greater than 100 TB.

Support for Exchangeand Outlook

User Cache/Offline Access supports:

◆ Exchange 2003 and 2007 servers

◆ Outlook 2003 and 2007 clients

Messages are deleted from the cache upon user deletion or based on archive retention policy.

Support for WindowsVista

The Offline Access client application is compatible with Windows Vista.

Cache management The administrator and the user can manage the cache by specifying:

◆ Maximum cache size (in MB)

◆ Cache retention period (for example, 1 year)

How Offline Accessworks

Offline Access works in the following way:

1. Shortcut messages are created in the user’s mailbox on the Exchange server and replicated to the OST file on the user’s computer.

2. The Offline Access Agent on the user’s computer synchronizes the user’s cache with the OST file.

3. After initial synchronization with the OST file, the user’s cache contains the contents of shortcut messages.

4. The Offline Access Extension on the user’s computer intercepts user requests to open messages.

5. If the messages are not in the user’s cache, then the Request Processor re-caches messages from the EmailExtender 4.8 server.

Offline Access Agent The Offline Access Agent on the client computer:

◆ Pre-caches messages to be shortcut.

◆ Backfills existing shortcuts (if necessary).

◆ Removes cached items that no longer exist in the user’s mailbox.

◆ Ensures that the cache size is within a few percentage points of the configured. maximum.

Offline AccessExtension

The Offline Access Extension on the user’s computer intercepts events: Read, Open, Reply, Forward, and Copy.

Compact component When the user selects the Compact option, the Compact component frees unused disk space. Compacting the cache does not compress data.

Content disposition When EmailXtender 4.8 executes corporate retention policy, specific content is deleted from EmailXtender 4.8 and Exchange servers.

EMC SourceOne Offline Access detects the changes and removes orphaned content from the user’s cache.

Front-end server components and processesThe User Cache front-end server includes:

◆ .NET Web service running in IIS

◆ A set of COM services running at OS level

The User Cache front-end is a stateless box.

It can coexist on the same box as an OWA front-end.

Server IIS configurationUser Cache server software runs in own virtual directory, which provides the ability for.

◆ Multiple virtual directories on single computer

◆ Primary (internal) and secondary (external) URLs on same computer

User Cache Server runs in own IIS application pool, which:

◆ Provides full isolation of the User Cache retriever process.

◆ Leverages IIS settings to control User Cache CPU use and bandwidth.

◆ Leverages uptime tools such as auto-restart.

The User Cache server install creates the virtual directory and application pool.

Repository LocatorThe Repository Locator service looks for all EmailXtender servers in the enterprise, using queries based on Active Directory.

Refer to “Configuring access to EmailXtender servers” on page 57.

Document Request ProcessorThe Document Request Processor (DRP) is responsible for all interactions between the client and EmailXtender servers.

The DRP:

◆ Understands different incoming priority levels of requests.

◆ Understands there are times when back ends cannot keep up with clients, and throttles the requests at the "pending queue."

◆ Prevents the submitted queue (requests passed to EmailXtender servers) from growing too large.

Synchronization processSynchronization occurs between the user’s cache and Outlook:

◆ At initial load.

◆ At the interval specified in either:

• The Cache re-sync frequency setting in Offline Access Group Policy. Refer to “Configuring the resynchronization frequency” on page 105.

• Or, if the policy is not enabled, in the Resync frequency field in the Cache Settings dialog box (Outlook Options > EMC SourceOne tab > Cache Settings). Refer to the EMC SourceOne Email Management 6.5 Offline Access User Guide.

◆ When the user requests an on-demand sync by using the Update option.

Best practicesThis section describes best practices for deploying and configuring Offline Access.

◆ Deploy the Offline Access client to all users before creating shortcuts in their mailboxes, particularly for users with Cached Exchange Mode enabled in Outlook. If you follow this recommendation, then Offline Access can build its local cache from Outlook’s cache without having to retrieve messages over the network.

◆ Set the Offline Access cache start time (Cache messages older than option) earlier than the start of the shortcut policy. During Offline Access synchronization, shortcuts must be retrieved from the archive server. If you follow this recommendation, then messages are copied from Outlook’s cache before they become shortcuts.

Also, provide a buffer of time for users returning to the office after an extended period, to ensure that messages are retrieved from Outlook’s cache.

For example, if shortcuts are created for messages older than 90 days, consider setting the Offline Access cache start time to 60 days so that messages will be copied to the cache 30 days before they become shortcuts.

◆ Set the maximum cache size large enough to hold the majority of messages within the cache period. If you follow this recommendation, then disconnected and remote users will have the messages in the local cache and will not have to retrieve them from the archive server.

By default after the initial installation, the maximum cache size is set to 20% of the free disk space. You can modify that percentage before you install Offline Access.

◆ Ensure that the setting for the Cache messages that option (All messages or Have attachments) matches the similar setting for the shortcut policy. If these settings do not match, then the Offline Access cache either caches more items than necessary or does not cache items that should be in the cache.

◆ If users do not enable Cached Exchange Mode in Outlook, then you may consider setting the Cache messages that option in Offline Access to Don’t cache any messages. Offline Access

creates a local cache file containing messages similar to Outlook’s cache. You may decide to not create a local cache for the same reason that Outlook is configured to not use a local cache file. Offline Access continues to operate, but every time a shortcut is accessed by the user, Offline Access must retrieve the message from the archive server.

When to create shortcutsInstall the User Cache front-end server and the EMC SourceOne Email Management 6.5 Offline Access client application before you create shortcuts. Make sure you define the cache large enough so that remote users will not have missing older data.

After the users’ caches are filled, you can start creating shortcuts. When an end user attempts to launch a shortcut, the EMC SourceOne Offline Access client application will resolve it locally without going over the network. In a worst case scenario (a cache dump or unexpected reset), then either a VPN connection or local access to the corporate network is required to refill the cache.

How many users to roll out at the same timeWhen rolling out User Cache/Offline Access for the first time, the maximum number of user caches you can fill simultaneously before performance degrades is 150 per User Cache front-end server. At 150 users, the IIS server starts refusing connections, and the clients start using the secondary URL.

This is based on the following assumptions:

◆ An average of 300 shortcut emails per user requesting content from the server.

◆ In the Offline Access Group Policy, the Cache message type setting is All Messages. Refer to “Configuring the types of messages to cache” on page 106.

Typically, it takes a couple of hours for a user cache to rebuild, depending on the number of messages in the user’s mailbox.

Monitor the number of connections coming into IIS; when they start dropping off, you can start pushing out the EMC SourceOne Offline Access client application to another group of users.

After the initial cache synchronization, you can support thousands of users per IIS server, if they all have their content cached locally.

Using network load balancersYou can use a network load balancer in a EMC User Cache/Exchange configuration, but it is not required. The following network load balancers are supported for EMC User Cache:

Setting session affinityIf you use load balancing, you must set the session affinity so that the user will be bound to a single server for the length of the session (typically 12 to 24 hours). This is a requirement for Exchange OWA 2003 when using Forms-based-authentication, to prevent users from being forced to re-authenticate every time they are switched between load balancers.

For Microsoft NLB, set the affinity to Single (the default) in the Network Load Balancing Properties dialog box > Port Rules tab > Add/Edit Port Rules dialog box.

EMC User Cache front-end requirementsThis section lists the system requirements for the EMC User Cache front-end server:

You cannot install the EMC User Cache front-end server on an EmailXtender server, or on a computer hosting any other messaging product, such as an EMC Archive Services for Email worker server.

Recommendation: Install the EMC User Cache front-end server on a dedicated computer.

Hardware requirements

Memory The memory requirement for the EMC User Cache front-end server is highly dependent on the number of users.

The front-end server requires a minimum of 1 GB memory (recommended: 2 GB - 4 GB).

Hard drive The EMC User Cache front-end server requires a hard drive with a minimum of 250 GB.

Free disk space The front-end server must have a minimum of 5 GB of free disk space available for the message processing directory. Refer to “About the message processing (Work) folder” on page 27.

Operating systemsTable 2-1 lists the operating systems supported by the EMC User Cache server setup.

User Cache front-end softwareEmailXtender User Cache front-end server software, version 1406 or higher, is required to support the EMC SourceOne Offline Access client software.

Other required software

The User Cache front-end server uses MAPI, so install the server software on a computer with either Microsoft Exchange or Microsoft Outlook installed on it.

Table 2-2 lists the software that the installation program must find on the front-end server.

The EMC installation program determines if the Microsoft Web Services Enhancements (WSE) and Microsoft .NET Framework are on the front-end server. If they are not, on an English operatiing system only, the EMC

About the software installation folderAfter installation, the software installation folder includes all product components needed to function.

The default software installation folder is:

About the message processing (Work) folderThe message processing folder (also known as the Work folder or the directory cache) is used by User Cache Request Manager.

For the message processing folder, the install program:

◆ Determines which system disk drive qualifies as the best available drive (the "preferred" drive) for temporary message processing.

◆ By default, suggests the default message processing folder be located on that preferred drive.

To qualify as a preferred drive for message processing, the drive:

◆ Must not host Microsoft Windows (typically, the Windows drive is C:)

◆ Must be a local drive (not network drive or mapped drive)

◆ Must have a minimum of 5 GB disk space available

If no disk drive other than the one that hosts the primary Microsoft Windows drive (in most cases, C:) is available, that drive is selected as the drive to host the message processing folder.

If no disk drive meets the 5 GB (available) disk space minimum, an error message displays and the entire installation process is terminated.

An example of a message processing folder is:

CAUTION!If you uninstalled the .NET framework V1.1 or WSE 2.0 SP3 before installing EMC User Cache, then the User Cache installer fails to properly detect that those products have been removed. If you manually uninstalled those products, then you must manually re-install them before installing User Cache.

These instructions are for a new installation. To upgrade an existing installation, refer to “Upgrading the EMC User Cache server application” on page 59.

An interactive install is one in which you use the installation wizard.

To install EMC User Cache server software interactively:

1. Outlook can be running during installation of the User Cache server software. However, you must restart Outlook after installation; otherwise, the installation is not complete.

2. Log on as administrator (local system administrator or user with local administrator privileges).

3. Download the install program from http://powerlink.emc.com.

4. Double-click ExUserCacheServerSetup.exe.

5. Do one of the following, depending on which wizard opens:

• If your computer does not have .NET Framework 1.1 or greater and/or Microsoft Web Services Enhancements (WSE) 2.0 SP3 installed, the Prerequisite Installation Wizard page opens. Continue to “EMC prerequisite wizard” on page 29.

If .NET has ever been uninstalled on the front-end server, the EMC Prerequisite Wizard may have problems re-installing .NET, due to problems with the Microsoft .NET installation.

Both .NET and WSE installations performed by the EMC Prerequisite Wizard create log files in the Temp directory. Refer to those log files if problems occur during the installation of .NET or WSE.

To install prerequisite software:

1. On the Prerequisite Installation Wizard page, click Next.

The Ready To Install page displays the prerequisite software that will be installed to the server computer. The software listed depends on what is currently installed on the server computer.

2. Click Next to display the Installing Prerequisites page, which indicates the progress of the installation.

3. When the Prerequisite Wizard Completed page indicates the prerequisite software installed successfully, click Finish.

a. Make a note of the errors listed.

b. Click Next to display the Installation Cancelled page.

The Destination Folder page displays the default locations for both software installation and message processing. Refer to “About the software installation folder” on page 26 and “About the software installation folder” on page 26 for more information about these folders.

A different Destination Folder page (Figure 2-13) opens if another User Cache or Archive Services For Email installation is detected. This page displays the current software installation and message processing folder locations. You cannot change either location. This behavior ensures that multiple EMC installations remain in the same parent folder on the disk drive.

2. To accept the default directories shown, click Next.

3. To specify a different directory in which to install EMC User Cache server software:

a. In the Software Installation Folder area, click Change to display the Change Current Destination Folder page.

4. To specify a different message processing directory:

a. In the Message Processing Folder area, click Change to display the Change Current Destination Folder page.

b. Browse to or create the message processing folder. Refer to “About the message processing (Work) folder” on page 27 for restrictions and guidelines.

c. Click OK.

The message processing folder you specified appears in the Destination Folder page.

5. Click Next to display the Ready To Install page.

The User Cache Server install program does not need to reboot the host computer unless MSI 3.1 was installed. MSI 3.1 is installed if it was not found during the installation process.

Silently installing the EMC User Cache server softwareYou can silently deploy the EMC User Cache server software across many desktops (for example, using Microsoft Systems Management Server) in an enterprise without manual steps or user intervention.

The silent installation uses the standard InstallShield parameters.

You can also use optional arguments to specify installation behaviors.

Prerequisites and recommendations◆ Before performing a silent installation, you must install Microsoft

.NET Framework (1.1 or greater) and Microsoft Web Services Enhancements (WSE 2.0 SP3). Download them from the Microsoft Web site: http://www.microsoft.com.

◆ Highly recommended: All silent installation commands should include the log file argument (/L). Silent installations have no user interface, so there is no way to determine what went wrong when an installation fails unless you specify log file creation on the command line. Refer to “Examples: Command Lines” on page 40.

Overview of procedureOutlook can be running during installation of the User Cache server software.

To install silently:

1. At a command line prompt, runExUserCacheServerSetup.exe with arguments, for example:

C:>ExUserCacheServerSetup.exe /s /v"/qn REBOOT=ReallySuppress2. If Outlook was running during the installation, restart Outlook.

Disabling the reboot promptThe User Cache Server install program does not need to reboot the host machine unless it installed MSI 3.1.

MSI 3.1 is installed if the target computer meets the MSI 3.1 installation requirements (dictated by the operating system and service pack) and it is not already installed.

MSI 3.1 provides support for future patches that can be uninstalled. It also includes the latest Windows installation technology and features.

To disable the prompt for a reboot, you can add REBOOT=ReallySuppress as an argument to the command line when starting the silent installation. If you want to use deployment solutions such as Microsoft SMS and you do not want target computers to reboot, then you must use the REBOOT=ReallySuppress command line argument.

Verifying Web site on User Cache serverThe User Cache server install program creates the EMCRetriever Web site.

After installation, verify that the the EMCRetriever Web site exists and that its properties and permissions are set correctly.

Also verify the existence and properties of the EMCRetriever application pool.

Verifying EMCRetriever Web siteTo verify that the EMCRetriever Web site exists:

1. In Microsoft IIS Manager, expand the Web Sites > Default Web Site node.

The virtual directory associated with this web site is InstallDir\User Cache Server\DRP. The files installed to that directory are listed in the right pane.

2. Right-click the EMCRetriever node, then select Properties.

The EMCRetriever Properties dialog box opens.

Verifying Authenticated Users groupTo verify that the Authenticated Users group exists and has proper permissions:

1. In Microsoft IIS Manager, right-click the EMCRetriever node under the Web Sites > Default Web Site node.

2. Select Permissions from the shortcut menu.

A dialog box appears, open to the Security tab. The title bar displays the path to the virtual directory, DRP.

3. In the Group or user names area, select Authenticated Users.

4. In the Permissions for Authenticated Users list, verify that only the following checkboxes in the Allow column are selected:

• Read & Execute

• List Folder Contents

• Read

Verifying EMCRetriever application poolDuring the installation and repair process, the install program creates (or resets if repairing the installation) an application pool named EMCRetriever, and configures properties. Most properties take default values except where noted.

If these values get changed inadvertently, you can run the Repair wizard to reset all the AppPool and IIS settings to the correct values.

To verify that the EMCRetriever application pool exists and has the correct property values:

1. In Microsoft IIS Manager, expand the Application Pools node.

The EMCRetriever application pool should be listed in the left pane.

The right pane should show that this application pool is associated with the Web site of the same name.

2. In the left pane, right-click the new EMCRetriever application pool node (Local_Computer > Application Pools > EMCRetriever), then select Properties.

The EMCRetriever Properties dialog box opens.

3. Verify that the properties on the Recycling tab are set as shown in Figure 2-25.

The application pool is set to recycle worker processes after 500,000 requests.

Enabling GZip compressionIf appropriate for your environment, you can enable GZip compression.

ConsiderationsGZip compression works well for some file types (it is about as good as PKZip), but it may not be appropriate in your environment.

Consider the following:

◆ GZip only works through HTTP 1.1, so verify that this version of HTTP is used in your firewall.

◆ GZip makes the most sense for dialup users, where it can result in improvements on the order of 50%.

◆ GZip is useful only if your system deals with many compressible attachments.

• To enable compression for dynamic files, select Compress application files.

• To enable compression for static files, select Compress static files.

Windows servicesThree EMC User Cache processes run as Windows services.

The services need to run as "local system." This is the default when registering them.

Startup sequenceAll three User Cache services start automatically.

The services have a startup dependency order:

This is a configurable option for Windows 2003 services, and is set by the installation program.

Shutdown sequenceIf you need to stop the User Cache services manually on the front-end server, stop them in this order:

1. Request Manager

2. Repository Locator

3. Request Processor - This service may take several minutes to stop.

Web serviceThis section describes the User Cache DRP Web Service, and includes the following topics:

About the Web service and .NETThe DRP Web Service is .NET based.

This Web service does not start until it gets the first client request. Since the .NET framework is loaded at that time, the first client request to the EMC User Cache front-end takes a moment to execute.

It communicates with the Request Processor and Request Manager, which run as Windows services, described in “Windows services” on page 52.

After a period of inactivity, IIS unloads the .NET framework. Twenty minutes is the default, configurable in IIS. If you are running the EMC User Cache front-end server on an OWA front-end, OMA (Exchange mobile device support) may keep the framework loaded regardless of the interval you specified.

About the DRPWebService home pageThe home page for the DRPWebService is:

where server is the computer name of the EMC User Cache front-end server.

Configuring access to EmailXtender serversThe User Cache Repository Locator service looks for all EmailXtender archive servers in the enterprise.

It bases its queries on Active Directory. Refer to “Defining EmailXtender servers in Active Directory” on page 57.

If you cannot query the EmailXtender servers through Active Directory, you must specify those servers in the registry. Refer to “Defining EmailXtender servers in the registry” on page 57.

Defining EmailXtender servers in Active DirectoryEmailXtender servers must be defined as custom recipients in Active Directory, so that the User Cache Repository Locator service can find them.

Defining EmailXtender servers in the registryIf you cannot specify EmailXtender servers in Active Directory, you must specify them in the registry:

On the User Cache front-end server, under HKLM\Software\EMC\EmailXtender\XtenderServers, create an entry for each EmailXtender server, with the following properties:

◆ Type is REG_SZ.

◆ Name is Servern, where n is a sequential digit starting at 1.

◆ Data is the name of the EmailXtender server.

Not every build or version of EMC User Cache Server will support upgrades from the previous release. Read the release notes to determine the appropriate upgrade procedure.

1. Outlook can be running during upgrade of the User Cache server software. Restart Outlook after the upgrade.

Software altered by EMC SourceOne Offline Access Table 3-2 lists the software that the EMC SourceOne Offline Access installation program alters on the client computer.

Both products include a Shortcut COM add-in used to resolve shortcuts that is incompatible with the components used by the EMC SourceOne Offline Access Client application. If this Shortcut COM add-in is detected during installation, you will be notified and it will be disabled. To re-enable the COM add-in, refer to “Re-enabling the EmailXtender Shortcut COM Add-In” on page 132.

Security best practicesTo secure the client cache:

Deploying Offline Access in an enterprise environmentFor successful deployment of the Offline Access client application, you must perform all of the following steps in order:

1. If the User Cache client application is installed, uninstall it. Refer to “Silently uninstalling User Cache client” on page 76.

If you do not uninstall the User Cache client, then the Offline Access client installation will fail.

2. Install the prerequisites for the Offline Access client application. Refer to “Other required software” on page 71.

a. Install Microsoft .NET Framework 3.0.

b. Install Microsoft Web Services Enhancements (WSE) 2.0 SP3 Runtime.

Push out Microsoft .NET Framework 3.0 and Microsoft Web Services Enhancements (WSE) 2.0 SP3 Runtime through SMS, silent installation, or other deployment tool.

If it is not already installed, the Microsoft Visual Studio 2005 C++ Redistributable Package will be installed by both the Offline Access silent install and the installation wizard on English, French, Italian, German and Spanish language systems. For Chinese, Japanese, and Korean language systems, you must manually or silently install the redistributable package specific to the supported language.

3. To configure Offline Access in a multi-user computer environment, you must use either GPO or custom logon scripts that deploy a registry file. For information about Offline Access GPO and registry settings, refer to:

• “Configuring group policy for Offline Access” on page 97

• “Registry entries” on page 116

4. Install the Offline Access client application. Refer to “Silently installing EMC SourceOne Offline Access client” on page 90.

Using Offline Access in a mixed environment (EmailXtender and EMC SourceOne

To access EmailXtender messages in an environment in which EMC SourceOne is also installed, the following steps are recommended:

1. Map the EmailXtender archive folders to EMC SourceOne mapped folders. Refer to "Configuring Mapped Folders" in the EMC SourceOne Email Management 6.5 Administration Guide.

2. Configure Offline Access to use the EMC SourceOne TCP server settings. Refer to “Configuring TCP server settings” on page 110. You can also specify TCP server settings during installation of the Offline Access client and in the Offline Access user interface.

Refer to the EMC SourceOne Email Management 6.5 Installation Guide for additional information about installing Offline Access in an EMC SourceOne Email Management environment, including silent install arguments specific to that environment.

Silently uninstalling User Cache clientIf you are deploying the Offline Access client application in an environment where User Cache is installed, you must uninstall the User Cache client application first.

Enter the following command on one line, with a space before /l*v:

MsiExec.exe /qn /x{53412F82-8F2F-4AAB-90CB-57E39E06308B}/l*v %temp%:\EMC_UC_uninstall.log

The GUID is the same regardless of the User Cache version, and the package source does not need to be available.

CAUTION!Perform all prerequisite steps before installing the Offline Access client application. Refer to “Deploying Offline Access in an enterprise environment” on page 74.

An interactive install is one in which you use the installation wizard.

To install the EMC SourceOne Offline Access client application interactively:

1. Log on as administrator (local system administrator or user with local administrator privileges).

2. Close Outlook.

3. If the User Cache client application is installed, uninstall it.

4. To access the Offline Access client setup program, do one of the following steps:

• Download the install program from the EMC FTP site.

• Consult your System Administrator.

5. Double-click ES1_OfflineAccess.exe.

6. Do one of the following steps, depending on which wizard opens:

4. If you have the EmailXtender 4.8 SP1 Client or the EmailXtender 4.8 SP1 Shortcut Add-in installed (as described in the EMC EmailXtender 4.8 SP1 Installation Guide), the Incompatible Component Handler page opens.

Both the EmailXtender 4.8 SP1 Client and the EmailXtender 4.8 SP1 Shortcut Add-in include a shortcut COM add-in that is incompatible with components used by EMC SourceOne Offline Access. If this Shortcut COM add-in is detected, you are notified and it is disabled by the EMC SourceOne Offline Access installation. (Refer to “Re-enabling the EmailXtender Shortcut COM Add-In” on page 132).

This page is informational only.

If other EMC SourceOne software is installed on your computer, or if a previous version of Offline Access is installed, then the Change button is not available and you cannot change the installation directory.

If other EMC SourceOne software is not installed on your computer, or if a previous version of Offline Access is not installed, then the Change button is available, and you can change the installation directory. To specify a non-default directory in which to install EMC SourceOne Offline Access client software:

a. Click Change to display the Change Current Destination Folder page.

You cannot install EMC SourceOne Offline Access Client in the following protected operating system folders: C:\Windows, C:\WinNT, C:\InetPub.

c. Click OK.

The destination you specified appears in the Destination Folders page.

6. (Optional) To specify a non-default location for the cache, on the Destination Folders page:

a. Click Advanced to display the Advanced Settings page.

If the cache location has been configured in the Offline Access Group Policy, then you cannot specify a cache location on the Advanced Settings page.

You should not specify any of the following folders as the cache location: C:\Windows, C:\WinNT, C:\InetPub, C:\Program Files.

The Server Settings page does not display if you already specified server settings in the Offline Access Group Policy, as described in “Configuring HTTP server settings” on page 108 and “Configuring TCP server settings” on page 110.

8. On the Server Settings page, select one of the following options to specify the type of archive server that you use:

• EMC SourceOne (for EMC SourceOne Email management environments only)

• EMC EmailXtender (for EMC EmailXtender environments only)

The Server Settings page changes, depending on the archive server type that you selected.

9. (For EMC SourceOne Email Management environments only) If you selected EMC SourceOne as the archive server type, on the Server Settings page:

a. In the Real-time message retrieval server field, specify the name of the EMC SourceOne server that is hosting the Document Management Service.

b. In the Real-time message retrieval server: Port field, specify the primary port of the EMC SourceOne server that is hosting the Document Management Service. The default value is 8001.

The real-time message retrieval server and port must be specified so that messages can be retrieved by the Offline Access Extension.

c. In the Synchronization (backfill) server field, specify the name of the EMC SourceOne server that is hosting the Document Management Service.

d. In the Synchronization (backfill) server: Port field, specify the secondary port of the EMC SourceOne server that is hosting the Document Management Service. The default value is 8002.

The synchronization (backfill) server and port must be specified so that the Offline Access Agent can populate your Offline Access cache.

Note: If you specify the same EMC SourceOne server for both ports, do not specify port 8001 for the synchronization (backfill) port. Port 8001 is also used by other EMC SourceOne clients (OWA, Outlook, EMC SourceOne Search, EMC SourceOne Discovery Manager) for message retrieval. If you specify port 8001 for synchronization (backfill), then the backfilling process for Offline Access could negatively affect message retrieval by other clients.

10. (For EmailXtender environments only) If you selected EMC EmailXtender as the archive server type, on the Server Settings page:

a. In the Primary server field, specify the URL of the Web service on the User Cache front-end server to use for message retrieval.

Use the following format, where retrieval_server is the name or IP address of the User Cache front-end server:

http://retrieval_server/EMCRetriever/drpwebservice.asmx

The Offline Access Extension uses this setting.

b. In the Secondary server field, enter the URL of the Web service on the User Cache front-end server to use for populating (backfilling) and synchronizing the cache.

Use the following format, where synchronization_server is the name or IP address of the User Cache front-end server:

The Offline Access Agent uses this setting.

Note:

• The Secondary URL can be the same as the Primary URL. However, this may affect users’ abilities to open shortcuts interactively.

• If you do not specify one of the HTTP servers, then the server you do specify will be used for both retrieval and synchronization.

• The URLs are not validated during installation.

You can silently deploy the EMC SourceOne Offline Access client software across many desktops (for example, using Microsoft Systems Management Server) in an enterprise without manual steps or user intervention.

The silent installation uses the standard MSI parameters.

You can also use optional arguments to specify installation behaviors, as described in the following sections:

Prequisites and recommendations◆ Before performing a silent installation, you must install Microsoft

.NET Framework 3.0 and Microsoft Web Services Enhancements (WSE 2.0 SP3 Runtime). Download them from the Microsoft Web site:http://www.microsoft.com.

◆ Highly recommended: All silent installation commands should include the log file argument (/L). Silent installations have no user interface, so there is no way to determine what went wrong when an installation fails unless you specify log file creation on the command line. Refer to “Examples: Command lines” on page 95.

Overview of procedureTo install Offline Access silently:

1. At a command line prompt, run ES1_OfflineAccess.exe with arguments, as described in “Command line arguments” on page 92. Also refer to “Examples: Command lines” on page 95.

2. To disable the prompt for a reboot, you can add REBOOT=ReallySuppress as an argument to the command line when starting the silent installation. If you want to use deployment solutions such as Microsoft SMS and you do not want end-user computers to reboot, then you must use the REBOOT=ReallySuppress command line argument.

3. If Outlook was running during the installation, restart Outlook.

Syntax of silent install commandThe same syntax is used for initial installs and for upgrades.

The EX_BACKEND_SERVER argument is required not only for an initial install, but also for an upgrade, even though the type of backend server does not change.

Due to space limitations, the command line syntax shown here spans several lines. Enter the command on one line. There is a space before each of the following arguments: INSTALLDIR, EX_BACKEND_SERVER, EX_WEB_PRIMARY, EX_WEB_SECONDARY, and REBOOT.

Use the following syntax to install Offline Access silently:

Configuring Offline Access in a multi-user computer environment

To configure Offline Access in an environment where several users share a client computer, you must use one of the following methods:

◆ Configure GPO (described in “Configuring group policy for Offline Access” on page 97) and push the settings out to all users.

If you use GPO, then the user cannot edit the settings in the Outlook > Tools > Options > EMC SourceOne tab.

◆ Use custom logon scripts to deploy a registry file pointing to HKLM\Software\EMC\SourceOne\OfflineAccess\Config. Refer to “HKCU\Software\EMC\SourceOne\OfflineAccess\Config” on page 117 for the settings to include in this registry file. The HKLM settings will be copied into the HKCU for each user who logs on to that computer and uses Offline Access.

If you use a registry file, then the same settings get sent out to all users of that computer. However, each user can edit the settings independently in Outlook > Tools > Options > EMC SourceOne tab, and the edited settings are saved under the HKCU for that user.

Offline Access looks under the HKLM registry key for configuration settings that have not been configured by GPO and that have not been set under HKCU. Settings found under HKLM are copied to the user’s HKCU and can be edited by the user in Outlook > Tools > Options > EMC SourceOne tab.

Configuring group policy for Offline AccessUse Microsoft Group Policy Editor and the EMC Offline Access administrative template (Offline Access Group Policy.adm) to manage user settings.

Offline Access settings managed through Group Policy are written to the registry, under HKCU\Software\Policies\EMC\OfflineAccess\1.0, as described in “HKCU\Software\Policies\EMC\OfflineAccess\1.0” on page 124.

If an Offline Access policy setting exists in the registry, then corresponding setting in the Outlook > Tools > Options > EMC SourceOne tab will be unavailable (grayed out). This is true even if the policy settings were pushed to the client computer before Offline Access was installed.

If policy settings are pushed to the client computer:

◆ While Outlook is running, Outlook will not use the policy settings until it is restarted.

◆ While the Offline Access Agent is running, Outlook should not need a restart, but Outlook will not use the policy settings until the next synchronization run starts.

Configuring the maximum cache sizeYou can specify the maximum size of the cache file on disk as the percentage of free disk space to allocate for the cache.

If this value is not configured, then at first run a default of 20% of free disk space is automatically allocated.

If this setting is not configured or is disabled in Group Policy, then the user's preferences are used. The user can change the absolute value for this setting in Outlook > Tools > Options > EMC SourceOne tab > Cache maximum size (MB) field. The user cannot change the percent value.

The maximum cache size that you specify is a target for the synchronization process. The actual cache size displayed in Outlook > Tools > Options > EMC SourceOne tab > Support Information may exceed the specified maximum cache size by several percentage points.

To specify the maximum cache size:

1. Double-click the Cache maximum size setting.

To specify how often to synchronize the cache with the user’s mailbox:

1. Double-click the Cache re-sync frequency setting.

This value must be less than the value for the Don’t cache messages older than setting, described in “Configuring the maximum age of messages to cache” on page 101.

Messages that are newer than the minimum age you specify are not cached. If this value is not set, then the default is 30 days.

If these settings are not configured or are disabled in Group Policy, then the user's preferences are used. The user can change this setting in Outlook > Tools > Options > EMC SourceOne tab > Cache Settings > Cache messages that are older than (days) field.

To prevent the log files from filling the hard disk, logging is disabled when the disk free space reaches 20% or less of the total space, regardless of the size and number of log files you specify.

Deleting log filesYou can delete old log files at any time, even if Offline Access is running.

You cannot delete the current, active OfflineAccessAgent.log file until you shut down the Offline Access Agent.

By default, all policies are set to Not Configured (Disabled).

Policy settings take precedence over the user settings in HKCU\Software\EMC\SourceOne\OfflineAccess\Config and in the Outlook > Tools > Options > EMC SourceOne tab. HKLM\Software\EMC\SourceOne\SecurityThis registry key contains one value that stores the encrypted security key for EMC SourceOne.

HKLM\Software\EMC\SourceOne\TraceLogsThis registry key contains several subkeys, one for each Offline Access component. The values in a subkey controls trace logging for that component. Do not edit trace log registry settings unless directed by EMC Support personnel.

To specify logging settings, refer to “Configuring log files” on page 113.

Registry entries modified during installationDuring installation of EMC SourceOne Offline Access, the value of HKEY_LOCAL_MACHINE\SOFTWARE\Microsoft\Office\Outlook\

Addins\ExOutlookAddin.ShortcutAddin\LoadBehavior is changed from 3 to 0 to disable the EmailXtender Shortcut Add-in.

The original value of 3 is replaced during uninstall to re-enable the Shortcut Add-in.

Incompatibility with EmailXtender Shortcut COM Add-inRun the EMC SourceOne Offline Access client installation in Repair mode if, after installing EMC SourceOne Offline Access client, you install the EmailXtender 4.8 Shortcut COM Add-in (using the separate EmailXtender Shortcut COM Addin Install program or the EmailXtender Client Install program).

The EMC SourceOne Offline Access client repair disables the Shortcut COM Add-in.

Updating server settings after EMC SourceOne Offline Access installationIn EmailXtender 4.8 environments, to update the primary URL or the secondary URL used by EMC SourceOne Offline Access after installation, do one of the following steps:

◆ Edit the Primary Server URL and the Secondary Server URL fields in one of the following locations:

• The HTTP server settings in Offline Access Group Policy. Refer to “Configuring HTTP server settings” on page 108.

• The Server Settings dialog box. Refer to the EMC SourceOne Email Management 6.5 Offline Access User Guide.

◆ Run the EMC SourceOne Offline Access installation in Repair mode.

In EMC SourceOne environments, to update the primary server port or the secondary server port used by EMC SourceOne Offline Access after installation, edit the TCP server settings in one of the following locations:

• The TCP server settings in Offline Access Group Policy. Refer to “Configuring TCP server settings” on page 110.

• The Server Settings dialog box. Refer to the EMC SourceOne Email Management 6.5 Offline Access User Guide.

Uninstalling EMC SourceOne Offline Access client softwareTo uninstall EMC SourceOne Offline Access client software, run the EMC SourceOne Offline Access Uninstall wizard in Uninstall mode:

1. You must close Outlook before you uninstall EMC SourceOne Offline Access client.

2. Log on as administrator (local system administrator or user with local administrator privileges).

3. In the Windows Control Panel, select Add/Remove Programs.

4. Select EMC SourceOne Offline Access.

5. Click Remove.

6. In the Support Info dialog box, click Remove to start the uninstall wizard.

Re-enabling the EmailXtender Shortcut COM Add-InTo re-enable the EmailXtender Shortcut COM add-in:

1. Uninstall the EMC SourceOne Offline Access client application, as described in “Uninstalling EMC SourceOne Offline Access client software” on page 132.

2. Run the EmailXtender client install or the Shortcut COM Add-in install in Repair mode. Refer to the EmailXtender 4.8 SP1 Installation Guide.

The uninstaller program automatically re-enables the Shortcut COM Add-in.

Uninstalling Outlook If you install Offline Access, and then you want to uninstall Outlook, you must uninstall the Offline Access client software first.

About failover behaviorIn an EmailXtender 4.81 environment, if the secondary URL server goes offline while a synchronization is occurring, the Offline Access client continues trying to retrieve messages. There are two reasons for this behavior:

◆ The synchronization must continue to process all messages because, even though the User Cache front-end server is unavailable, the Offline Access client may be able to retrieve some messages from the OST.

◆ The User Cache front-end server may be unavailable temporarily due to network issues.
