THE DISCIPLINE REFERRAL PROCESS IN THE TYLER STUDENT SYSTEM
Discipline Referral
A Discipline referral is the documentation of an incident involving a student or students, that a staff member believes should be noted or that requires disciplinary action. A referral can be used to document minor incidents or to request disciplinary action from the site disciplinarian.
Tyler Student System Discipline
Online student discipline tracking may or may not replace the paper process currently in place at your school. Tyler System Discipline three step process:
1. Teacher & Staff: Create Discipline Referrals Referrals are viewed and recorded by school staff members
Created by teachers Submitted to school disciplinary officers
2. Site Disciplinarian: Create Manage Referrals & Discipline Events
Receives, assigns or accepts and reviews referrals
May return the referral to the teacher
May accept the referral for further disciplinary actions
If the referral is accepted, the site disciplinarian may create a discipline event as part of the student’s official discipline record
May escalate the discipline record to the district discipline office for further action
3. District Discipline Office: Manages Discipline Escalated & Sent To Them By School Discipline Officers

CREATING A DISCIPLINE REFERRAL: TEACHERS & STAFF
Teachers and staff may create discipline referrals in the Tyler SIS system. They may create referrals to keep track of incidents in the classroom and/or they may then choose to escalate a referral or referrals to the school discipline officer. The Discipline officer then manages the referrals deciding whether to send it back to the teacher, take action on the referral or escalate it to the district discipline office.
1. Navigate to the Discipline Referral Screen
View Maintain > Discipline Referral
OR
Click on Discipline Referral on The Favorites List
OR
Click on the Discipline Icon within the Teacher’s Grade Book
2. Click the New Referral Button
3. Search for the student that you wish to enter a Discipline Referral for
Search by: Last Name, First Name, Student ID # or SSN#
Click the Search Selected Site Button to search
4. The Student List Appears

5. Click the blue arrow next to the student’s name to select the student
6. The Discipline Referral Form Appears, complete the form
7. Date: Enter the date of the incident
8. Time: Enter the time of the incident
9. Indicent Description: Describe the incident
10. Spell Check: Spell check the description
11. Code: Select the Disicipline code from the drop down list
12. Incident Sub Code: Select the incident sub code from the drop down list
13. Funcitional Motivation: Select the functional motivation code from the drop down list
14. Room/Bus#: Enter the room or bus number where the incident occurred

15. Teacher: Teacher’s names will automatically load in to this field, if it is the teacher logged in and entering the
referral. Administrators may select the teacher from a list by using the select button.
16. Any Corrective Action Prior To The Referral: Check this box if action had been taken before this referral
17. Next: Click the next button when the form is complete
18. The Note is added
19. The Referral can remain with the teacher only as a record or be submitted to the Discipline Office
20. To Send To The Disicipline Office:
Select Course
Check the I desire to be present box if desired
Complete the My Avaliable Periods field
Click the Send to Discipline Office Button
21. Once the note is sent the following screen will display
Select New Note – to add notes
Select Return to Teacher
Select Done when complete

7. Click Next

Managing Referrals
View Maintain > Profile > Referrals
1. On the Profile Referrals screen click the blue arrow next to the referral that you wish to work with
Printing The Referrals List / Grid (Optional) If you would like to print the list before you begin working with referrals….
Click Actions > Print Referral List Verify the date printed on the report and report title, change if desired
Click Start Report
Click the Print Icon on the toolbar
The Profile Referrals Page appears Disciplinary Officer Options: Add a New Note, Return To Teacher, Assign To Admin, Admin Accepts
(Note: when returning a note to a teacher, teacher’s DO NOT receive a system notification that they have a note, e-
mail the teacher to notify them of a response)
2. Site Disciplinarian selects an entry by clicking on it and then selects the Assign to Admin (if you have multiple disciplinarians in your building) Button or Admin Accepts (new note and return to teacher are options but in the following steps we will progress as though the discipline refferal is being escalated)

Note discipline referrals may be created to track discipline without submitting them to a site disciplinarian for further action
3. The site disciplinarian sees the following screen
4. To Create A Discipline Action: Choose to Close with New Profile OR To Close The Referral Without Further Action: Choose Close/Complete
5. On the Profile Discipline Detail Screen, complete the form and at the bottom add any additional Incidents or Actions related to the event

Discipline Events: OSS or ISS
If a discipline event results in an OSS or ISS action the attendance for the student will be pre-marked. Part of the secretaries morning duties should include viewing and posting the pre-marked attendance
9. Click Done when finished and this completes adding discipline to a student’s profile
Note: Error messages will appear if all required fields are not completed and you will not be able to proceed 10. Select the row displaying the discipline that you have entered, go to the Actions Menu > Print Report > Start
Report and Click the Print Icon. Send this to the district disciplinarian for their records.
Parent / Student Contact Logs
Contact is often a result of of discipline referrals and actions. Contact entries made by teachers can be found under the Parent/Student Contag Logs
From the Home Screen click the Parent Student Contact Log Button OR Actions Menu > Go To Parent

If you have been working with a student in another area of the SIS that student will automatically be pulled up.
Click the New Log Entry to proceed
To search for another student, click the search button
Search for the student by Last Name, First Name, Student ID # or SSN#. Type in the search criteria
Click the Search Selected Site Button
Students will appear in a list
Click the blue arrow next to the student’s name to select the student

Referrals: When To Check
Referrals must be checked through out the day the site disciplinarian in charge of referrals. There is no notification of new referrals as they are placed in the system
DISCIPLINE EVENTS
Site Disciplinarians should create Events, not Referrals. You can create Referrals but it is an unnecessary step for the site disciplinarian
A dicipline event is a record in the student’s file
It is handled as a legal document
Records are created by an administrator
Discipline letters can be created within Tyler-SIS to keep parents informed
Discipline events will be listed on the Parent Portal

View Maintain > Profile > Discipline Events The Discipline Events Screen displays. If no events have been created, this screen will be blank Once you begin creating events they will always appear on this screen
1. Click the Edit button to begin working with screen
2. Select an event or click the Add Button to start a new event or click the pencil icon to edit an existing event
3. Complete the form

4. The Code field populates the State Offense field. If you choose a generic Code such as vandalism, the State
Offense field will not populate which is expected Note: The State Offense field cannot be typed in

5. Required Fields: Code, Place, Date The fields with the red asterisk are the required fields that must be completed before the system will let you close out the form, complete as much of the form as possible
4. Please be aware that we will be adding the incident sub-codes and functional modifications lists as soon as
possible
5. Comments The Event Comment needs to be generic. Specific comments are made in the student record, not in the event The event comments are not seen by anyone but the admin staff Example: The offending student pushed the victim against the wall
6. Click Apply By clicking Apply an Event ID number is created for the event This allows you to select students as Offenders, Victims, or Witnesses and associate them with the Event ID number. Add Offenders, Victims or Witnesses by clicking Add at the bottom of the screen
7. Add Offender: Other students involved in the event can be added by selecting the a

The Comment here should be detailed and student specific. Note that the comment here can be added to the
Discipline Letter

8. Date Recorded: For both the event and offender forms the time and date that they are recorded can not be
changed.
9. When Suspsensions are created they will automatically be added to a Student’s Pre-Marked Attendance
10. Search Events Throughout the year you will have many Discipline Events listed Use the Select View tab to search through the events by: Incident Date, Offender, Victim or Witness

REPORTS
Reports > Profile > Profile Reports & Letters
1. Report Title: can be changed 2. Discipline selected by default 3. Report Type: Report is selected by default, note that Letters is also an option 4. Active Children are selected by default 5. The Report options on the Selection & Sort tab allow you to run reports for specific discipline codes

6. To run a letter instead of a report:
a. Select Letter on the Profile Report Screen under Report Type b. Click Start Report c. Select the Report
d. Make any Letter / Header selections that you wish to make e. Click Start Report
