Our numbers have now grown to more than two hundred clinicians and we aim to make our fifth conference a stellar and significant event which is reflective of what we have achieved as a collegiate.

So, having duly analysed all of the feedback from our previous conferences and garnered state-of the-art information from the event industry, we have put together a program which we believe will stimulate academically, engage socially and refresh energetically.

Memo from AlanHi all, As you will undoubtedly know by now I have stepped into the role of CEO of Dental Partners through my Chairman’s role, following Mike’s exit in early February. As such I am spending more time in Southport getting to know the team and I plan to be more visible than I have been to everyone in the Group. In the next couple of weeks I am looking forward to attending the Practice Managers conference in Fiji and a Clinical Advisory Committee meeting in Adelaide. To assist in the change Malcolm Lean has been made Group General Manager to coordinate the day to day activities of this growing and very busy organisation. In addition I was delighted to invite Dr Tony Bubear to join the Dental Partners Pty Limited board of directors to provide a leadership clinical role to the board and to the organisation. Tony, who is also Chairman of the Clinical Advisory Committee, will play an important role in ensuring we have a dentist who sets policy and is involved in the governance of the organisation that we all belong to. Building a great organisation, that we are all proud to belong to, and that has a shared vision, values and is respected; takes a team and it is never the product of one person. Sometimes that is forgotten or lost in the busyness of business, and so I have spent time in recent weeks listening to our teams. This will be an evolving project and to that end I would love to hear from you so please don’t hesitate to call or email me on my contacts below because I would like to know what it is that you would like to see us doing more of, or less of, and how we can be more relevant to you and to your practice.

Competition Winner: Michelle HenryMichelle’s winning suggestion:“It would be great to have ideas on how to fill unbooked chair time, types of calls to make.”

• Firstly let’s make sure that you are up to date with recalls and where possible reschedule the patient in for their 6 monthly review, before they leave, this saves times and money and helps to educate the patients on coming regularly for their dental checks, it also helps to fill appointment books.

• Secondly, review your incomplete treatment patients – your software system should run a report that helps you locate these patients – it may be a good report to go through with their treating dentist, before making any calls. When you call the patient, make sure that you have their recent chart and notes in front of you and that you are ready to answer any questions they may have – also remember to ask the patients permission to call them again in 2-3 months, if they don’t make an appointment then and there – this way your next call is not a “cold” one. If the treatment required is extensive, why not offer them a complimentary (free) 15 minute consult, just to review treatment and perhaps arrange a payment plan for them – please check with the treating dentist before offering this. Also confirm that these patients have a follow up recall date on file as well –another avenue to contact these patients at a later date.

• Review your cancellation lists and call any patients who had to reschedule and did not rebook – especially the ones who were booked for treatment, so their treatment doesn’t become more complex etc.

• If cancellations are a chronic problem, you could implement a cancellation or no show fee – but this needs to be carefully thought about and implemented perfectly – speak to your PSM if you would like more information on this.

• Send confirmations 48 hours ahead, not 24, this will allow you more time to fill an empty spot, than just a few hours.

• Always offer patients the chance to go onto your “Priority Standby List”, that way if patients do have to reschedule, you have a ready made list to start calling.

• If you have many free appointment times, review your current marketing – your PSM will be able to help you with ideas on what might be suitable for your practice – “Marketing” covers a broad range of areas and can be fun and innovative and really get the team on board.

A good note to remember – don’t worry about having your appointment books filled for weeks in advance – just focus on tomorrow and the day after, that’s all that matters.

Performance ImprovementsPlease find below some of the best 1% improvements since our PM conference in March. We are all so proud!

• This week I have been creating my own procedure folder for reception – it’s got sheets of “how to do...” and where to find certain files on the computer and samples of our patient documents etc, so that everyone on reception can work well together.

• We had our first team meeting this week! We had created an agenda and everyone participated, we held the meeting over lunch so it was nice and relaxed but really beneficial.

• Getting our patients updating their medical forms because our appointments are so short it has been a challenge to get forms to patients before we take them in and out of their appointments.

• Making sure every Hyg pt leaves with a recall card already filled in.

• Organised hygienist instruments into specific packs to help with the smooth running of her day.

• Spoke to the staff about stress in the workplace and how to manage this.

• Did a procedure on how to handle nausea and vomiting incidents for staff or patients.

• Created a morning huddle checklist.

• This week I started checking all the patients without a recall and putting them back on recall where appropriate.

• Last week we discovered the morale boosting power of a coffee run!

• We give certain patients a complimentary Colgate bag with a toothbrush, brochure, mouthwash, toothpaste all freebies from Colgate apart from

the toothbrush and our patients love it.

• We have a list for morning tea so we know how everyone likes their coffee & tea, so when someone has time to make it they can.

• We have changed our referral system & are now emailing the referral & OPG and giving the hard copy to the patient to take with them to the Oral Surgeon.

• Reducing Debtors – going through the list, contacting patients via phone/letter or email to remind them about their overdue account.

• Ensuring sterilisation procedures between both locations are the same. This allows for staff to work between both sites with no confusion to the process.

• Getting the morning huddle right – smoother huddle = smoother day.

• On Wednesday we did a dental presentation at a baby’s club with Terry White pharmacy. There were about 15 mothers we spoke to and on leaving another 4 arrived. It was a very successful morning and I hope to organize more sessions with preschools in the area.

• I am going through the work safety manual at our staff meetings, one stage at a time. It helps to reinforce good common sense when things can go wrong.

• We have cleaned out our stock cupboard. We removed all old stock and reorganised and labelled all areas to make it very efficient now to find what anyone is looking for (including our dentist!) We have areas specific for crown and bridge work, impressions, RCT, Local Anaesthetic, xrays, barrier, restorative and miscellaneous.

RECOGNITION OF OCCLUSAL DISEASE

During function, upper and lower teeth touch for no more than eight minutes each day. During chewing, a bolus of food usually keeps them apart. They also touch during swallowing and speech.

When parafunction occurs, this eight minutes can extend into hours. This is occlusal disease.

SOME SIGNS AND SYMPTOMS OF OCCLUSAL DISEASE

• Fractured cusps and fractured restorations. Cusps only break due to excessive and unrestrained force.

• Heavy wear facets on cuspid teeth often accompanied by group function on bicuspids and molars.

• Dentine hypersensitivity. Most dentinal sensitivity can be related to occlusal trauma.

• Hypermobility of teeth. Second molars often exhibit mobility despite adequate supporting bone. This is often easily remedied by re-establishing occlusal harmony.

• Abfraction has a number of causes, one of which is occlusal disease.

• A scalloped tongue. Indentations on the lateral border of the tongue almost always indicate a clenching habit. This is usually accompanied by a hypertrophic ridge along the intercuspal plane of the cheek tissue. Patients will often complain of cheek-biting.

• Worn and faceted incisal edges on anterior teeth. This always, in the absence of trauma, indicates occlusal problems.

• Patient complaining of headaches. Especially on waking of a morning.

• Inability to hold the mouth open during dental procedures.

• Clicking, popping and clunking sounds from jaw joints.

• There are many more signs and symptoms of occlusal disease, but these are common, easy to recognise and equally easy to explain to the patient.

Key Performance IndicatorsAmanda Bubear

We are all familiar with the term KPI or Key Performance Indicator, but not all of us utilise these indicators effectively. Most of us track daily production, but there are a number of other useful KPI’s which can be quickly and easily obtained through existing reports in your practice software. Tracking KPI’s not only helps analyse practice performance, but, just as importantly, can provide an insight into the patient experience.

Statistics pertaining to new patient numbers, cancellation rates or treatment plan acceptance, enable a practice to evaluate patient perception and highlight potential concerns. Knowing the effectiveness of the recall system, and having the ability to quantify diagnosed but, as yet, untreated conditions, identifies the need for some refinement of management systems. Such refinement can be tailored to highlight service, simplify communication and streamline delivery. The outcome will be a stronger and more satisfied patient base which will demonstrate both loyalty and the confidence to refer.

Simply being aware of the reports and running them, however, is only the first step. The question then becomes what to do with the results?

DP has created a simple spreadsheet as well as guide-lines, specific to your practice software Oasis and D4W, which will track KPI’s on a

weekly basis for each clinician. We can then help you analyse the results, identify any trends, and assist with supporting and rewarding your team based on the information collated.

I was born and raised in Sydney Australia.

When I first started working at Narwee I was 18 years old as a dental assistant/ manager, I have been working at the same practice for 12 years. You can say I’m part of the furniture!

In 2008 I was introduced to Mike and Cath and Dental Partner’s team, soon after we integrated with DP.

My journey in the past 5 years with DP has been awesome, they have helped me grow and learn so much that has put my management to another level. I have had many challenges and many changes at the practice, now I’m working with 2 new dentists and 2 DA’s, both dentist have recently joined our practice.

The challenges have been challenging but with the support from DP it’s a relief.

I hope to keep growing in my practice and grow my management and knowledge to the highest levels and to see all new and exciting changes in the near future.

I am proud to be part of an amazing team, Thank you Dental Partners for an amazing experience.

I grew up on the Central Coast of NSW in a gorgeous beachy place called Umina and attended the schools there. I started trampolining when I was just 7 years old and loved it instantly! I represented NSW at the State Titles many times and also Australia at the Pan Pacific Titles in New Zealand when I was just 10 winning a silver medal. I left the sport when I was 16 and concentrated on my studies and became a Sports Remedial Massage Therapist. I moved to Queensland when I was 20 and have since made the Gold Coast my home.

I am married to a wonderful man Dean and we have 2 children. Kye is 14 and loves rugby league, skateboarding and surfing. Ethan is 5 and loves to swim, play Spiderman and is starting school this year! I enjoy keeping fit with Pole Fitness and Aerial Skills and enjoy spending time with my family and friends. I began my dental career in 2003 for a few years before heading back to massage for a short while. After my second child I returned to the Dental Industry and since joining Totally Teeth I haven’t looked back. I have a wonderful team who are hardworking, innovative and caring which make this practice a joy to come to work to each and every day. It’s fair to say that I love my job!

I was born and grew up in the southern suburbs of Sydney. I moved to Brisbane in 1982 and moved down to the Gold Coast in 1988 where I met my husband Bob and we have been living here happily since then. We love travelling and are now planning our 3rd trip to Africa in April. I enjoy getting up early (5am) and taking our dogs for a nice long walk to start the day I also enjoy reading and spending time with friends.

I started work with Dr Coyne in 2004 as receptionist working only 2 days a week. When Dental Partners took over in 2008 I then went to full time. We are a small Specialist Prosthodontic Practice and it is great to see the difference in the patients when they have finalised treatment. As one of the original DP Practices it has been amazing watching the growth of the Company. I love the fact that everyone is friendly and always willing to help out if I have any problems and also the security of being part of a large organisation.

My first taste of dental nursing at Narooma Dental Surgery was actually during work experience in November 2010 as a requirement of year ten at Narooma high school. I had always been interested in dentistry I was thrilled to get this opportunity.

I was offered a job in January 2011 and started not long after, I also started a correspondence TAFE course around this time for dental assisting certificate three.

My interest in dental nursing and all things dental has never faded but grown stronger with all the knowledge I’ve gained from all my great colleagues at Narooma Dental Surgery over the past two years. They’ve always welcomed me and made me feel equal part of the team even though I’m only 17 years of age.

I’m looking forward to many more years of dental assisting and forever expanding my knowledge and skills within the field.

I am a Tassie girl, born and raised in Hobart.

I have been lucky enough to work at Dr Chau’s dental practice for 16 years! I started in 1996 as a full time Dental Assistant.

I enjoy all aspects of working in the surgery. Six handing for Dr Chau is always a favourite.

Over time I have had held many roles and responsibilities in the practice including working in the steri, assisting reception, rosters, ordering, recalls and I am currently 2IC. This is keeping me very busy!

I have seen a huge amount of growth and change in the practice. When I started there were four Dentists, we now have nine Dentists and nine surgeries. We are a very busy practice, with a large patient base and we see about 25-30 new patients a week.

We have wonderful patients, some families with four generations coming into the practice, I love seeing the children so happy to come in, not waiting to be able to have their turn in the chair.

The one thing that has not changed is how much I enjoy going into work. I have made many great friends with my fabulous work colleagues, with about 30 staff there is always something exciting/interesting/funny going on in everyone’s lives to catch up on.

I work 3-4 days a week which enables me to enjoy precious time with my very busy gorgeous children, Harry and Daisy. This year we finally convinced my husband to add another addition to our family… Coco, an active Maltese-shiatsu. I have recently gone on a health kick and have found an enjoyment of running. (This is to help me keep up with Dr Chau at work).

Hilary Peppin Caledonian Dental

(Invermay TAS)

Hilary has been a team member at Caledonian Dental for eleven months. She enjoys skiing, particularly Apres-Skiing, although she has broken her little toe while doing this.

Hilary is also a champion Guinea Pig breeder, with her favourite Guinea Pig being Schnookums who took out the blue ribbon at the Longford show this year.

Dental Partners is interested in our people Therefore, we endorse and utilise the program “UBalancer” that assists our people gain a sense of work/life balance and increase effectiveness.

More about UBalancer:

Dr Robyn Young, completed a PhD in Brisbane in 2009, looking into Life Balance in owners of small businesses. Her findings led her to the development of an exciting and innovative software program, called UBalancer. UBalancer was introduced to Dental Partners through Alison Lalieu, consulting for one of our practices, Exact Orthodontics.

A number of our Operations and HR team at DPRC have now been introduced and completed the program with founder Dr Robyn Young.

Working through this program ourselves has highlighted how we may lack awareness around how we are spending our days in and out of work settings, and thus lose efficiency. UBalancer online helps us to raise self-awareness, clarify priorities and facilitates the setting of goals and action plans.

We now all strive to use the program to work towards positive outcomes for the wider Dental Partners team – You!

DP in the Community

Northside Orthodontics is a proud supporter of the HEAL Africa project.

HEAL Africa is a non-governmental organisation founded by Congolese orthopaedic surgeon Jo Lusi in response to the ongoing conflict in the Democratic Republic of Congo. It aims to restore health, build hope and help create a better future for all people in the nation. HEAL Africa works with individuals through its full-service training hospital in Goma and community-based initiatives in public health, community development and conflict resolution. It has 31 safe houses and partners with over 90 remote clinics and hospitals. The Mercy Fund is a specifically designed project to provide services for patients who come to the hospital without funds to pay.

Northside Orthodontics recently had the privilege of hearing Heather Kelly, an active ambassador for the foundation, speak about the desperate situation in DR Congo and the work HEAL Africa is doing to help alleviate the suffering. Northside Orthodontics is donating proceeds from all toothbrush/floss sales to provide a small business loan to a family, to enable them to provide education for their children. Any funds on top of this will be donated to a fund which provides help for those not able to pay for hospital treatment.

It was exciting to see the response of staff who have personally provided three family loans and three cleft palate operations.

Totally Teeth - Endeavour Hills

A huge congratulations to the team at Endeavour Hills Totally Teeth who held an open day to raise money for a little girl called Leah – Leah is 6 and is unable to walk and talk, due to her brain not growing - because her condition does not have a medical diagnosis the family get very little support for her equipment etc – the chair she is sitting in in the photo below was $8000! A great day was had by all with sausage sizzles, face painting, colouring competition and goodie hygiene bags for everyone. It was a very cold day, so the weather was against them, but they raised $750.00 for Leah.

An apple a day keeps the Dentist away?

The Totally Teeth practices across the Gold Coast had their fair share of apples during this year’s Oral Health Week. To help spread the message each practice was given the challenge of giving away 100’s of apples in some creative way to their local community.

The core of the competition was to spread the message of the importance of good oral hygiene and to give away to our community some fun and laughter. We called our competitive game, the oral health week challenge, and each practice had their own unique and creative way to spread the seeds of our message, share the love and create smiles! 1000 apples were handed out amongst

schools, in local public parks, at the beach, sporting venues and even to the entire staff of the Southern Cross Media building, Sea fm and Gold Fm.

It was tough peeling through the entries, but Tugun Totally Teeth came to fruition, and were our winners. They won the highly sought after ”Shield award” which is now proudly displayed in their practice, and they were also delivered a happy Friday, party hamper. Dr Krupa the Tooth Fairy and Dr Greg Dguid the athlete and their dedicated team, arrived at sunrise and greeted the early morning health fanatics with apples, toothbrushes and their own unique exercise regime. A big thank you to the apple of our eye, Roxy at Southport Totally Teeth for helping supply crate after crate of apples from her family fruit shop, picked freshly from the early morning markets.

Congratulations Rebecca!

Dental Partners are very proud to announce that Rebecca Milfull was awarded the Hygienist of the Year by the Dental Hygienist Association, ACT. Rebecca joined the team at Capital Periodontics in Canberra eight years ago after graduating from Adelaide. She has also been an ongoing participant in the DHAA ACT during this time.

Montessori One of our DP team members recently travelled to South Africa and visited a Montessori preschool in the Transkei, one of the poorest regions of the country. The Ikhaya Labantwana Montessori school has been set up by Dawn Brochenin and supported by the Coffee Shack local backpackers hostel in Coffee Bay. Dawn saw a need and has tirelessly worked to fulfil it with only donations of finance and labour from friends and wellwishers to help her achieve the project. Our DP team member read books to the school children and shared lunch with them and was touched by just how smart these little kids are. One young girl aged 3 was able to name and point out all of the continents on a map and then choose from a box of individual letters the right combination to form words such as “jug”, “ball” etc next to a picture of the item. In English! English is not even this young girl’s first language. The Montessori preschool gives these kids a chance to kickstart their education, become engaged with learning and see a future outside of the boundaries of their poor community.

Our DP team member was so touched that she came back and talked to the TT team about what they could do to help. With the support of their suppliers the TT team came up with some oral health bags for the kids with

toothbrushes, toothpaste and instructions on how to care for their little teeth. Dawn and the kids were so grateful for the goodie bags they sent us this photo:
