Case Study | Healthcare | NMS Labs Lab eliminates paper, saves over 3,000 employee hours annually The Challenge NMS Labs provides medical researchers, healthcare providers, coroners and the criminal justice system with lab test results for about 500,000 patient samples every year. Of these samples, they create about 300 litigation packets to be used in court cases annually. But, as any case can potentially be called for litigation, NMS was forced to store every testing result on paper, driving up costs for paper and storage space. This changed when NMS turned to OnBase by Hyland. The Solution Working with Paperless Solutions, an authorized OnBase solution provider, NMS transformed how it manages patient samples and litigation packet creation. Prior to OnBase, when the courts requested a litigation packet, employees physically retrieved all patient paperwork from storage. The process was time-consuming. Patients usually have multiple samples tested with reports for each stored in different departments. After locating all test results, employees manually assembled litigation packets consisting of 200 to 3,000 pages. The whole process generally took two weeks to complete. Now, employees use OnBase to review test results and create litigation packets. When the lab receives patient samples, employees scan related paper documents into OnBase. Once samples are tested, McKesson Lab electronically captures results and employees export them into OnBase, which automatically classifies and indexes the documents. The solution then creates folders for each test result so they are easily found in a single, central location - allowing OnBase to quickly generate reports when requests for litigation packets arrive. Case Study | Healthcare | NMS Labs

Lab eliminates paper, saves over 3,000 employee hours annuallyThe ChallengeNMS Labs provides medical researchers, healthcare providers, coroners and the criminal justice system with lab test results for about 500,000 patient samples every year.

Of these samples, they create about 300 litigation packets to be used in court cases annually. But, as any case can potentially be called for litigation, NMS was forced to store every testing result on paper, driving up costs for paper and storage space.

This changed when NMS turned to OnBase by Hyland.

The SolutionWorking with Paperless Solutions, an authorized OnBase solution provider, NMS transformed how it manages patient samples and litigation packet creation.

“OnBase automatically generates litigation packets with the push of a button,” said Richard George, director of Application Development for NMS. “OnBase kicks off an electronic workflow that grabs specific documents and combines them into one PDF document. It used to take two weeks to compile and now it only takes 15 minutes. Employees push a button and walk away. When they come back, the packet is ready.”

The DifferenceSaves 3,000+ hours annually: With OnBase, employees no longer spend two weeks assembling litigation packets. OnBase generates them within 15 minutes, allowing staff to focus on more important tasks like customer service.

Increases user acceptance: “Change is hard for everybody, but employees are happy with OnBase,” George said. “Every department is now asking for OnBase. We plan to implement it company-wide, including human resources, finance and purchasing processes.”

Eliminates paper storage: NMS uses OnBase for document retention, storing information for as long as necessary. Once documents pass their required retention period based on conditions set by NMS, OnBase automatically purges them from the system.

Provides instant information access: NMS staff used to walk lab results and paperwork from the first floor to the third floor. Now, using electronic folders, information is instantly available from anywhere in the organization.
