BUCS Checklist and deadlines

Preparation for Sports Fair and beyond … • Become familiar with BUCS website, especially the rules and regulations.

• Encourage team mates to take minibus assessments/drive hired cars to fixtures.

• Make sure you have planned team trials/selection.

• Find out when your fixture dates are if you do not already know.

• Ask questions if you are unsure of anything.

• Get all players to buy membership ASAP! No Membership = No playing BUCS.

BUCS Fixtures•Fixture lists on the BUCS Website, will also be emailed out to Captains on a weekly basis.

•Please ensure that you take all BUCS paperwork with you to all fixtures. •BUCS team sheets - https://www.bucs.org.uk/news.asp?section=8&itemid=15936&search

•All players must have Warwick Sport AND SU Membership before you submit team sheets, otherwise they will not be allowed to play on the Wednesday.

•All fixture confirmations, alterations and cancellations can only be authorised by Molly Browne and the oppositions Administrator.

•If fixtures are cancelled, Molly Browne will notify the relevant Captains, facilities, transport and First Aid via text/e-mail. It is the your responsibility to cancel your Match Officials for home games.

BUCS Fixtures continued• No walkovers will be given unless it is deemed absolutely necessary.

• By being entered into BUCS, you have signed up to fulfil all fixtures. Walkovers can severely hinder your clubs progression, our overall BUCS league points and our sporting reputation.

• Knockout fixtures may fall over the Easter vacation (particularly Semi Finals and Finals), so please plan around this when planning other club activities.

• Forfeiting a match will result in a minimum of a £300 fine plus potential BUCS disciplinary action.

• It is your responsibility to assist/lead your clubs other activities planning around BUCS commitments. Check dates in advance.

BUCS Rules and Regs• Please read the General and Sports Specific BUCS Rules and Regulations and

ensure you have access to them during your fixtures.

• Pay particular attention to Reg 12 Fixture Administration, which covers: • Playing Colours• Forfeited Matches • Involuntary & Voluntary walkovers• Late cancellation of matches• Playing under protest

AND Reg 15 • Postponed and Abandoned Matches

• If you play under protest and want to make an appeal, please e-mail the completed form to Molly Browne (clubadmin@warwicksu.com) as soon as possible after the game. Deadlines for appeals are 5pm on the day after the game.

• If there are any clashes with team kit, it is the responsibility of the home team to find an alternative.

Indoor Facility AllocationThis will include half an hour warm-up time

• Badminton – 4 courts for 3 hours (Desso/Main Hall)

• Basketball – 2 hours (Main Hall)

• Fencing – 3 hours (Main/Desso Hall)

• Netball – 1.5 hours (2hrs where possible) (Desso/Main Hall)

• Squash – 2.5 hours (Sports Centre Squash Courts)

• Table Tennis – 3 hours (Activity Room)

• Tennis – 12 hours per match 11:30/1pm starts (Tennis Centre)

• Volleyball – 2/3 hours (Desso/Main Hall)

• Futsal – 2 hours (Desso Hall)

• Water Polo – 2 hours (Swimming Pool)

Outdoor Facility AllocationDouble check your start times as they may be different than the times below.

• Football - 2pm starts at Cryfield

• Hockey -1.5/2hrs on Westwood Pitches 1 and 2

• Golf -10:30/11am at Coventry Golf Club (Finham)

• Lacrosse - 1pm/2pm/2:30pm starts at Cryfield

• Rugby League - 2pm starts at Cryfield

• Rugby Union - 2pm starts at Cryfield

• Tennis- 11:30pm/1pm starts at Tennis Centre (Westwood)

• American Football – 2pm starts at Westwood AFL pitch

THE TARKETT WILL BE AVAILABLE FOR FOOTBALL & LACROSSE IN THE EVENT OF BAD WEATHER OR OVER SUBSRCIPTION OF HOME GAMES.

Please collect a First aid kit from the Student Union Resources room (upper floor),on game day (deposit £20).

• Indoor Sports – cover is available through the Sports Centre

• Cryfield – additional cover is available through St Johns

• Westwood – additional cover is available through St Johns

• American Football - you require a Doctor/Paramedic present for your fixtures (BUCS regulations). Molly Browne will arrange this and confirm with you weekly

For any accidents, please e-mail the Accident report form to Molly Browne as soon as possible following the incident. Forms can be found on the Exec Resources.

First Aid Arrangements

Match Officials• It is the Club Captains responsibility to book Match Officials for home fixtures. Book

them as early as possible and ALWAYS GET CONFIRMATION IN WRITING, PARTICULARLY COST!!!!

• The Student Union will pay for your Officials, through three methods of payment (below). Please make sure that in all cases an invoice or receipt is completed. Complete a Money Request Form.

1. You pay the Official in cash on the day but ensure they complete receipt/invoice then. Please submit a Money Request Form to the Finance Office, prior to the game.

2. The Official can invoice us and we will arrange payment to be sent to them via Bank Transfer or cheque.

3. You can request the cash from the Finance Office prior to the match, but receipts/invoices must be supplied the day after the match. Failure to do this will result in the Finance Office withdrawing this goodwill gesture.

• Please text Molly Browne(07934286130) your fixture result no later than 10pm on the match day. Failure to do so will result in BUCS fines.

• You can also tweet your score to @molly_SUSports with all the info below. • Molly Browne will then submit all results onto the BUCS website for home fixtures by

Thursday 10am.

Matches called off due to bad weather•Molly Browne will liaise with our Ground staff to confirm whether or not your game can proceed.

•Generally decisions will be made by 10am on morning of the match.

•If your opposition is travelling a long distance, a decision will be made the day before, by 3pm.

•Molly Browne will contact you if your match is called off. If Molly hasn’t contacted you since your confirmation on Monday, your fixture will still be on.

•Molly Browne will cancel the facilities and notify the opposition.

•It is your responsibility to cancel any Match Officials and notify the Finance Office about not paying the money out

Away Fixtures – Transport• Molly Browne will organise all BUCS transport and it will be funded by your BUCS grant

- both fuel reimbursement and transport hire.

• Teams are required to share transport whenever possible.

• All drivers need to have at least 1 year’s experience and no serious convictions. Please register for a driver card at SUHQ Central Admin Office (original copy of your paper driving licence is required) between 10am – 3pm, Monday - Friday

• Please collect/return your hire car/minibus to/from the Sports Centre car park and Sports Centre reception.

• Check your venue details before leaving, even if you have a hired driver . This information will be on both your fixture confirmation email and on the BUCS website. Coach/bus departures will be on the Academic Loop (AL1 stop).

• If you are going to be late for a fixture ,please directly liaise with your oppositions contact. Their details will be on your fixture confirmation email from Molly Browne.

• If a match is called off by the opposition, Molly Browne will let you know asap via email/text and cancel your transport.

Transport continued•6/7 players: drive themselves (own or hired vehicle) or use public transport. To claim expenses, please use a Money Request Form and your fuel receipt. Before you can claim, you will need to submit your vehicle registration details. http://warwicksport.warwick.ac.uk/pageassets/officer/transport/Private-Vehicle-Registration-Form.doc•8-17 players: Externally driven or self driven minibuses are available (17 or 14 seats). Drivers need to be 21 and pass a minibus assessment beforehand. •More than 17 players: or those who are travelling with another team(s), you will be expected to travel via a larger minibus or coach (externally driven), this will be booked for you and pick up from Academic Loop (AL1 stop).

It is important for your team to travel using the transport method above in relation to your squad size. Should you want to travel using a method outside of your category this will be chargeable to the club, not your BUCS transport grant.

Other BUCS competition:Individual and Team Championships

All Funding Applications and proposed entry lists must be submitted to Molly no later than 3 weeks prior to the BUCS Entry deadline.

• BUCS entries are completed online via the BUCScore system.

• If you wish to enter teams/individuals you need to contact Molly Browne (clubadmin@warwicksu.com), to be set up as a "Team Administrator" on BUCScore.

• Once you have imported all the people/teams you want to enter, please contact Molly Browne again, who will then authorise the entries. All entries must have the relevant Warwick Sport and SU Membership.

• Molly will then email you a confirmation of who has been entered. After you have submitted the entry please check on the BUCS website for pre competition details.

• Please complete an Event Planning Pack for any BUCS competition involving an overnight stay and any relevant Duty of Care training.

• You will also need to request transport by submitting a transport hire form and email to clubadmin@warwicksu.com

Financial Awareness• Be selective when entering teams/individuals for Championship competitions. Enter

those who you believe will strongly contend for BUCS Points or develop as a result of competing.

• For those individuals/teams who compete, you should send a performance report of their progress in the competition to: clubadmin@warwicksu.com

• Your team’s BUCS activity will be funded by BUCS grants in line with new BUCS funding Criteria. Any expenditure outside of grant awarded will be chargeable to the club or individuals wishing to compete.

• The BUCS budget isn’t infinite – please consider this when making decisions regards your BUCS activity. Although, you have a Club Treasurer to look after the club’s finances, you too can play an active part.

• All BUCS expenditure will firstly go through your club account and then be reimbursed via your grant. Occasionally, this can take longer to do than usual, so please be patient.

Expectations of Captains• As much as you have expectations of the SU and Warwick Sport in supporting your

BUCS experience , we also have expectations of you.

As Captain we expect you to:

1. Fulfil BUCS fixtures and competitions for you and your team to perform to your full potential

2. Meet all BUCS and SU deadlines for administrative tasks – be aware of BUCS rules and regs, team sheets, submitting results, entry deadlines, financial duties, e.g. match official payments, reporting progress in BUCS championships

3. Be a good ambassador for your club and the university – your conduct both on and off the field e.g. smarts/collective team uniform to competitions

4. Enjoy your BUCS experience and be successful
