  • Thank you for being an Ayrshire Cancer SupportAfternoon Tea fundraiser! You couldn’t havechosen a better local charity to raise funds for.Ayrshire Cancer Support provides practical andemotional support for people affected by cancerin Ayrshire. As a local charity, with an army ofalmost 400 active volunteers, we make sure everypound you raise is well spent – going directly toevery person in Ayrshire who needs our help.

    We have put together a fundraising pack, to help youorganise your event, raise as much money as you can, andhave fun along the way.

    So give yourself a big pat on the back – you are about tomake a big difference to someone’s life.

    What your money pays for:

    £50 pays for a 100 MILE JOURNEY to a life-saving hospitalappointment for someone who is unable to travel alone

    £500 provides bereavement COUNSELLING FOR 5 PEOPLEwho have lost a loved one due to cancer

    £1000 pays for 40 HOSPITAL VISITS, where our specialised team providescomplementary treatments in a hospital setting, to hospital inpatients

    £5000 pays for 140 COMPLEMENTARY HEALTH THERAPYAPPOINTMENTS to help alleviate the symptoms of cancer. Thesetreatments could include massage, a proven technique which can helpreduce symptoms like neuropathy

  • ORGANISING YOUR EVENTStart planning – choose your event!Congratulations you’ve already got this sorted! Joining in with Ayrshire’s biggest afternoon tea is a great way to getfriends or colleagues together whilst helping others at the same time. Now you just need to decide what kind ofcelebration you want to have. Pinterest and other social media sites have lots of inspiration, or feel free to check outour pages.

    Decide what kind of theme you want: perhaps a traditional cream tea party, a Mad Hatter’s Tea Party, an office lunchbreak, or a community celebration at your local church or park where everyone brings their favourite teas and goodies.

    Choose a dateYou can never plan too early. Start with a date – check out whether there are any other events on the same day whichmay mean people can’t come. Let people know to “save the date” – even if you don’t quite know what you’re doingyet, let others know to put the date in their diaries.

    Choose your locationThink about if you want to hold your celebration in your home, a community hall, or even consider partnering with yourlocal tea/coffee shop or restaurant!

    Set a target and watch it growSetting a target is a great way to encourage people to increase their donations. You could set your target at £250, whichwould be 500 miles of patient transport journeys! Just remember, every single penny you raise helps.

    There are lots of ways you can use your celebration to raise funds including:

    Ask for donations

    Charging a flat door-fee for the event

    Charging by the item (ie per cup, pot, bottomless cup, goodies, all-inclusive)

    Putting out a donation box for additional donations

    Having a prize raffle

    Set up a “Just Giving” profile on ACS’ “Just Giving” page, found at www.justgiving.com

    Gift Aid – anyone who donates and is a registered UK taxpayer can sign a form (enclosed) whichallows ACS to reclaim 25% of your donation

    Match funding – check with your company or employer – often they will match the funds you raise

    And many more! (see appendix)

    Preparing - getting set upAsk for help – from family, friends, co-workers, or Ayrshire Cancer Support.

    Often a small group of friends or work colleagues can really help create a buzz and the awareness of interested parties.Ayrshire Cancer Support can help provide advice on your event.

    How to promote your event and get the word outGet the word out to your circle – friends, family, church/religious group, company e-mail/internet, Facebook,newsletters, newspapers, community websites and pages, and encourage invitees to bring along family and friends.

    Don’t forget to tag Ayrshire Cancer Support on social media and we can help share your event.

    Action - having fun!Don’t forget to have fun! The best events are always fun, anything you can do to make sure the event is rememberedand enjoyed will help not only raise the profile of the charity, but will keep people talking about it for weeks to come.

    Cash If you have collected lots of cash, (we advise that you do not carry large sums of cash in person), this can be brought to our Dundonald Road centre for counting.

    What else is in the pack?Poster template. Fill in your date, venue and time and pin up your postersto attract a crowd.

    Donation Box – a small donation box is included. If you plan to host a larger event and would like a collection bucket or tin, let us know and you can collect one from one of our centres.

    Literature – enclosed is some literature about the charity. This will help you tell your participants what we do, why you care and how much we need your support.
