Meet the Team

Term Definition

Business Process A business process is a sequence of one or more tasks that accomplishes a desired objective. Examples of business processes are hiring an employee or paying an invoice. Actions that can be taken on a business process include Approve, Deny, Cancel, Correct, Rescind, and View.

Cost Center A worktag that identifies a unit within the system where a budget is assigned. Cost centers may roll up into a cost center hierarchy.

Related Action Possible actions available for a given report or topic, that are accessible off of the given report or topic.

Submit Action in Workday that triggers a task.

Supervisory Organization The supervisory organization (aka Sup Org) is the grouping of employees who report to the same manager. In Workday, these groupings are then built into a hierarchy that defines the reporting structure and organizational chart.

Task A business process step that you must complete. For example, task alert notifications are triggered by steps in a business process.

Tenant The instance of Workday shared by all HMFP and APHMFP employees.

To-Dos To-Dos are reminders to do something outside of the Workday system. They can be part of business processes, and have to be marked complete before the workflow will go to the next step.

Applications Icons on Workday homepage that provide access to groups of related tasks. Used to organize tasks and reports by functional areas.

Worktag Worktags are keywords that you can assign to transactions and supporting data to make their business purposes clear, and establish common relationships through classification. Worktags allow you to find information more easily, filter searches to focused results, and analyze information.

Icons GlossaryThe Icon Glossary provides a high level overview of some Icons and graphics you will see in Workday, as well as their meanings.

ApplicationsApplications are used for performing various tasks. Some Applications are added to everyone’s homepage, whereas others appear based on your specific job function and duties. There are also optional Application icons you can add to your homepage. To launch a Application, click on its icon within Workday.

Personal InformationView and update your emergency contacts, education, experience, and other information.

Inbox

View your assigned actions.

BenefitsView and change benefits choices for you, your dependents, and beneficiaries.

CompensationRequest compensation change and one-time payment. Managers can view direct-reports’ compensation.

ExpensesEnter reimbursable expenses and view past expenses.

DirectoryFind contact information for people who work at HMFP. View units and organizational charts.

PayView paystubs, direct deposit information, and tax documents.

My TeamManagers can view information about staff and initiate activities such as promotions and job changes.

IconsWorkday includes several intuitive action icons you have probably seen on other websites. Below are a few common icons you will see in Workday.

Configure OptionsClick to set preferences related to your current page.

Required FieldA value must be input in a required field before you can Submit.

Dropdown ListSelect this icon to reveal a dropdown list of items.

Filter ResultsSelect options to narrow down search results.

Related ActionBoth of these icons reveal a menu of possible actions for a given report or object.

Export to ExcelThis icon allows you to download and save a report as an Excel spreadsheet.

PrintSelect this icon to print a properly formatted version of the page you’re viewing.

Full Screen ViewSelect this icon to view a report in full screen viewing mode.

What is Workday? Workday is a leading enterprise software system. Workday provides unified Human Capital Management (HCM) and Payroll functions.

How long will this deployment take? Workday's Human Capital Management and Payroll will go-live in Fall of 2019.

What are the benefits of switching to Workday?

Workday will provide timely, cost-effective, mobile-enabled functionality to all users. The product automates practices that are currently manual. Processes will be simplified and standardized. There will be faster, better reporting options.

What Workday terms will I need to learn? Workday terminology will replace some of our current terms. A comprehensive Glossary, Commonly Used Terms, and Workday Translator are available for your reference.

Will my personal information be secure? Workday infrastructure, policies, and procedures ensure your data is secure and protected. Security threats and risks are mitigated through strong internal controls and a comprehensive security program. Workday regularly passes rigorous third-party compliance audits.

Will I be able to access Workday on my phone or tablet?

Yes, Workday is mobile friendly.

How will I learn to use the system? As we get closer to go-live, readiness and training sessions will be provided. Various kinds of training will be available basedon your role.

What web browser does Workday recommend?

Google Chrome or Mozilla Firefox are recommended for the best functionality. Workday can also be used with the following browsers:● Apple Safari latest support version ● Microsoft Edge latest support version ● Internet Explorer 9.1, 10.1, or latest support version: Since the release of Workday 27, Workday officially does not support IE9 or IE10 as standalone browsers

What is Workday replacing at HMFP/APHMFP?

HMFP/APHMFP is implementing Workday Human Capital Management (HCM) and Payroll. These modules will replace ADP, the current Human Resources system.
