Enable Zip ScheduleUser will need to check “Enable Zip Schedule” flag in Zip Schedule Settings tab of My Org Admin.

There is a configuration at Org Level to control the shift offer timing functionality:
-> Until Shift Start-> Until Shift End-> Until X minutes before Shift Start-> Until X minutes before Shift End
• By default the value “Until Shift Start ” will be remain as selected.
• Shift Offer button will remain hidden if any of the above (4) parametersmet.
• These parameter is only for employee initiated shift swaps. Managers willbe able to edit, assign or offer shifts until Shift End time is met.

If the user selects “Until shift start”, then the user can offer the shift to another eligible employee until that shift is started.
If the user selects “Until shift end”, then the user can offer the shift to another eligible employee until that shift is ended.

Until X minutes before Shift End
If the user selects “Until X minutes before shift start”, then the user will have to enter the amount of time in the “X minutes offset from shift start/end time” which will determine the time user can offer the shift before the shift start time.
If the user selects “Until X minutes before shift end”, then the user will have to enter the amount of time in the “X minutes offset from shift start/end time” which will determine the time user can offer the shift before the shift end time.

• There is a configuration level at Org Level to control the amount of timeprior to time off and temporary availability request date.

• By default, the values of these parameters will remain 0.

Email ID in eHR –• The correct email-id must be present in the employee HR record.
• The employee (crew and manager) can login into the zip schedule with the same email address present in the HR record.

Installing Application:Install the app “Altametrics ZipSchedules” from Google Play store or App store.

Activating Account:After installing Altametrics ZipSchedules, open the app and click on “Activate Account”. This will re-direct user to the sign up screen.

If the email address is not configured in the application, then the following pop-up message “Email Id is not active for any organization. Please contact Altametrics administrator” will be displayed.

Enter the same email-id that was entered for the employee in the HR record in the eRestaurant. Click on “Proceed”. This will send a mail to the specified email ID with a one-time temporary password.

Enter the email ID and temporary password to login into the Zip Schedules.

Successful login to ZipSchedules using temporary password will redirect the user to Change Password screen where user will have to create a new password.

After updating the new password, the user will again land to the new login screen. The user can now login with email-id and updated password.

Org Selection Screen –
When an employee at multiple organizations logs in with his credentials, she/he will be redirected to the Organization selection screen. User can select the Organization in which she/he wants to login to view the schedules.

With the email ID and the new password, the user can login to the application. If the login credentials are correct, the user will navigate to the ZipSchedules dashboard.

• If the employee is shared on more than one store, then clicking on the site icon (top right corner) will display all the stores on which the employee is active.
• By default, the home store will remain selected.

Forgot Password –• User can reset the password in case he/she has forgot the password by clicking on
“Forgot Password” option on the login screen.
• The user will receive a temporary password on the registered email address.

My Schedule Menu -• On My Schedule screen, the user can see his/her shifts for the selected week
if the schedule for that week has been posted / approved (configurable). • The user can go to My Schedule from the sidebar menu and My Schedule tab
on the dashboard

Shift Offer Functionality• User can offer his/her shifts to other eligible employees using the Shift Offer
button as highlighted. • Shift Offer Screen can be opened on clicking the Shift Offer button where all
the eligible employees for accepting the shift will be listed, along with their scheduled duration for the day below their name. User can choose from the list of employees (single or multiple) to whom the offer is to be sent.
• The user(s) to whom shift has been offered will receive a notification in “Needing Action” section (Refer to slide 58).

Time Off -• It lists all the Time-Offs that has been approved by the Manager, and the ones rejected.
Approved and rejected Time-Offs are displayed in this screen (Screen 2). • Employee can add new Time-Off request using the Add button. The employee can add
full day time off or partial day time off as per requirement (Screen 3).• Once the time off has been added or edited, the manager will receive a notification to
approve or disapprove the time off requested (Refer to slide 57).

Pending Time Off – This tab has all the Time-Off requests raised by the user, which have not been approved/disapproved by the Manager yet. One can go to the Pending Time Off screen and edit (or Cancel) the request.

Availability -This menu shows the Availability of the employee. The employee can add new availability using the ‘+’ icon, for any particular day.

Delete and Update Availability• For deleting an approved Availability, the employee needs to tap on Availability
string which displays a pop-up with Delete button, tapping on which sends a request for the same.
• Similarly, the employee can change the value in the same pop-up and tap on Update to send a request for editing the Availability.
• On performing any of the above actions, the request first goes to the Pending Availability Screen, until it is approved/disapproved by the Manager.

Pending Availability Tab• It displays the modifications in Availability requested for, along with the
approved Availability. • It remains blank if there is no modification requested. Added request is
displayed with a question mark beside it (Screen 1). • On deleting an approved Availability, the request will be displayed with a cross
sign beside it (Screen 2).

Temporary Availability -• This menu displays the Temporary Availability of the employee. • It lists all the Temporary Availability requests that have been approved by the
Manager, and the ones rejected. Approved and rejected Temporary Availability requests are displayed in this screen.
• It allows the employee to add new Temporary Availability request using the Addbutton.

Pending Temp Availability Tab-
• On adding or editing any Availability, it first goes to the Pending Availability Screen, until approved/disapproved by the Manager.
• This tab has all the Temporary Availability requests raised by the user, which are waiting for the Manager’s approval.
• One can navigate to the Pending Temp Availability screen and edit (or Cancel) the request from there.

On Schedule Tab, Manager can view the schedule of store for the week which she/he selects from the calendar, or by moving forward/backward using the side-arrows.

On opening a shift (by selecting), manager can view the shift details and an Options button wherein the manager can perform following actions, namely,
-> Assign to other employee -For Assign to other employee, Manager gets to select one employee from the eligible employees’ list. The shift then gets assigned to that selected employee.
-> Un-assign and Offer to other employee -On selecting Un-assign and Offer to other employees, the shift becomes an unassigned shift, and its offer is sent to the selected eligible employees from the Eligible employees list. On performing this action on any Multi Job shift, it splits the shift in Unassigned shifts tab into the ones it was constituted from, and separate offers are sent for them.
-> Delete Shift -On selecting Delete shift, the shift gets deleted from the Schedule.

Employees Menu -• On clicking on the Employees section, the manager will be able to see the list of
employees with their respective job codes and other details. • The email-ID, pay rate, etc will also be shown when the user clicks on any
particular employee. • This is configurable whether the user wants to show/hide the pay rate of their
employees.

Contacts –• This tab lists all the employees along with their contact number and e-mail id.• The manager can only view the screens. These are non-editable fields.• This section will not be visible to crew employees.

from calendar. One can edit an existing note, or can also add a new note in case if none is present.

Manager Dashboard -
The zip schedules dashboard for manager will be different as compared to the manager employees.

Unassigned Tab-
• On Unassigned screen, the manager can see all the unassigned shifts of the store for the selected week, and schedule the employees as per their availability.
• On opening a shift, the manager can see the Options button with which she/he can assign , offer the shift to any eligible employee and can even delete the shift.

Audit Trail Capturing in Schedule –
• Managers can view the audit trail for zip schedules action in crew schedule under audit trail tab.
• If any of the action has been performed by the manager through mobile or web zip schedules, then the device name (mobile/ web) with the user’s name and mail-id will be captured in the audit.
• The audit trail will capture the following actions taken by the manager :-
