Grid Purchasing (Mass Line Entry)The grid makes entering items of the same style very easy especially if the items will also include VAS items.

The grid takes advantage of our item number configuration by allowing you to choose from the various options within an item for bulk ordering.

Begin starting a new order. Complete your header as instructed in previous modules and move over to the Items tab.

You may key the Pre-Fix; but no other information will be brought into the grid.

Click the Grid icon.

Notice the Pre-Fix was pre-populated.

Select the warehouse where the product is to be pulled from.If you already have a style (not a SKU) in mind, you may key it in the style box.If you do not know the style, you click the magnifying glass icon.

If the style you key has 3 options; the system will ask you to select the first option prior to opening the grid.

Once the first option is selected, the grid will automatically populate with the quantity available for each item, breaking out the remaining option with the item using the x and y axis. Also notice that DS items are listed. As usual, no LEX VAS can be added to a DS item. N/A items cannot be ordered, these are canceled or transitional with no available inventory.

If you need product from a fulfillment center in addition to LEX, you will need to create a second grid for the additional warehouse.

Fill in the QTY # field for the quantity you want. Notice the available quantity is listed below each entry point.

The “# per line” feature allows you to add the same item on multiple lines. For example,

You have an order where a customer needs several polo’s for his agency, the VAS will all be the same except for the name on the shirts. Each officer gets two shirts each.

In the example below:

The “# per line” feature tells the system that you need a total of 10; but break the 10 into 2 lines with 2 on each line.

So the system will create 5 lines of 2.

The “Break-in-to” feature should be evenly distributed. The system will provide a warning if your qty. and #per line cannot be evenly distributed. Any remainders will create an additional line.

If you are not sure which line has the discrepancy, click the warning link and it will take you to the appropriate line.

The quantity in the Per Line field cannot exceed the amount in the quantity field.

Once you have all of your item quantities and any per line quantities needed; Click the button.

The system automatically takes you into the GRID VAS screen.

If you do not need VAS for your items, click Cancel.

If you need to add VAS, select the VAS Application you want to add.

The first grid group on an order is “A”, If you add another grid, it follows in alphabetical order, so the next grid group would be “B”

After you have made any other modifications to the order you may book it as usual.

Note: Orders created with the grid may be copied, but none of the lines created on the new order will be part of any grid.

Next, Let’s do a Grid order with VASThe customer wants item SW439 in Black for his team, They want an Garment Embroidery to be the same for all of them, but they want individual names on monogrammed on them. Each officer will receive 2 shirts.

Begin starting a new order. Complete your header as instructed in previous modules and move over to the Items tab.

Click the Grid icon.

Select the Prefix, Warehouse, Style and the Color/Finish when applicable and the grid will populate.

Select the quantities for each size you want to include with your grid and the # per line so that we can break the items into lines so that we can monogram the items (2 per officer)

Once the grid is filled out with the correct information, click Add Items.

GQ will take you to the Grid VAS screen where you can choose to have the vas the same or make individual modification at the line level for each.

For the Garment embroidery, they will all be the same. Select Garment Embroidery.

Locate the VAS item you want by typing inside of the Search-down box. Then fill in the servicing location and other required information.

All items will inherit this VAS.Click Save & New Application to add the monogramming.

Since the monogramming will have different names, we will need to use the check box next to the line that will be different than the others.

Click Save to modify the monogramming lines for each garment.

Click Save when you have completed the individual VAS.If I happen to miss a line; GQ system will show me the following hyper-linked message.

After saving the Grid VAS, I can modify the pricing of all Grid lines in one place.

Click Save to add this grid to your order.

Complete your order as usual.

Magnifying Glass for the Grid

The search icon allows you to search for product using new criteria to filter.

Definitions

Position to Style Code – Begin at the keyed style code and go up from there.

Status Choices – Active, Transitional, Cancelled or Placeholder

Merchandising Category – The section of the catalog with the same name. Example: Duty Gear

Category – The division within the Merchandising category. Example: Nylon Duty Holsters

Sub Category – The specific Brand within the Category. Example: Bianchi Nylon

VAS Application- should not be used here since you cannot enter VAS without an item.

Key Word Search – If you do not know the Style, you can search with Key Words.

AKA – Also Known As

Separating items from the rest of the Grid

Items can be removed from the grid individually by modifying the VAS on the line.

I will modify line 2 above

Line 2 is no longer in the grid.

To verify, click the Grid VAS button.
