MISSION STATEMENT
The CIOS program mission is to promote student success and lifelong learning by providing relevant academic education and technical skills for administrative professionals to meet Alaska’s business and industry needs.
5/4/2023 CIOS Program Assessment Plan page 3
PROGRAM INTRODUCTION
The Computer Information and Office Systems program provides the knowledge and skills needed for successful employment in today’s ever changing workplace. CIOS faculty representatives meet regularly to upgrade and redesign the CIOS program to maintain effectiveness and currency in our technologically-oriented society. The program design coordinates with similar programs offered through the University of Alaska Fairbanks, Prince William Sound Community College and the University of Alaska Southeast. Program changes are made based on input from CIOS Advisory Councils, local businesses, technology, and student needs.
Program Introduction
Two faculty members teach courses in the CIOS program (one full-time instructor and one with half an administrative load) with the help of about five adjuncts each semester. CIOS courses are delivered in a wide variety of formats: all courses are offered in e-learning format with many of them being self-directed and/or instructor-led with regular class meetings. A few are offered in traditional face-to-face format. Most students taking CIOS classes are employed full-time and/or are students in other UAA programs or non-degree seeking students that want to improve their office and computing skills.
Students enter CIOS courses at various times during the semester since some of our courses are late starting or self-directed. UAA main campus faculty coordinate a course offering matrix with community campuses so students can take classes when they need them. This increases opportunities for students to graduate on time.

ASSESSMENT IMPLEMENTATION AND ANALYSIS FOR PROGRAM IMPROVEMENT
GENERAL IMPLEMENTATION STRATEGY Campus faculty will collect data from all students for each outcome, but will report on CIOS graduates only. CIOS faculty will use project grading rubrics where appropriate to standardize evaluation procedures across class sections. Faculty members (including adjuncts) have agreed to collaborate and use these rubrics.
CIOS faculty will work with staff to collect data and enter it into a prepared Excel spreadsheet for that purpose. An example is included here:
5/4/2023 CIOS AAS Assessment Plan page 11
METHOD OF DATA ANALYSIS AND FORMULATION OF RECOMMENDATIONS FOR PROGRAM IMPROVEMENT The assessment coordinator will gather data at the end of each fall and spring semester and will then meet with the department chair to review data from the associated tools and discuss recommendations for improvement. The results of the data collection, an interpretation of the results, and the recommended programmatic changes will be discussed in the CIOS Assessment Report to the department chair, associate dean, the CTC assessment coordinator, and the UAA Office of Academic Affairs every three years. Any recommended changes will be discussed with the CIOS Advisory Board and coordinated with UAA community campuses.
This plan will be implemented fall 2012.
MODIFICATION OF THE ASSESSMENT PLAN This plan has been significantly modified since the centralized assessment attempt in AY10-11. All outcomes for the CIOS AAS and OECs are incorporated into this plan in an attempt to simplify the assessment process through a “one plan/one report” approach.

Grading Criteria
FACTORS THAT AFFECT THE COLLECTED DATA: Most students in CIOS classes are working adults and/or students in other UAA programs seeking to improve their office and computer skills and are not seeking the CIOS AAS degree. Some students either don’t complete the coursework or register and never start the coursework. There are usually auditing students who do not complete the coursework. This results in a lower overall average score. The report will indicate the number of students who actually complete the assessment item and calculate a “completers only” score. These courses have seen a higher number of students completing because CIOS began enforcing departmental approval; however, that resulted in lower enrollments. CIOS is also trying to assist students with time management by having them submit progress reports that show how they intend to structure their time to meet the course requirements.
Other factors that impact the data include students who do not seek advising with CIOS faculty before enrolling in classes. This causes students to register for the wrong classes, which negatively impacts their performance.
5/4/2023 CIOS AAS Assessment Plan page 13
HOW TO INTERPRET THE DATA: To ensure students graduating from the CIOS program meet program outcomes, we will analyze CIOS-only student data, comparing semester to semester and academic year to academic year, and then make minor adjustments to scheduling, advising, or the program. We will then analyze non-CIOS student data to determine what can be done to improve student performance and completion rate.

Faculty may use a comprehensive final exam that includes a concepts and skills test, or final project scored with a departmental rubric depending on the course. CIOS A130A, 135A and 140A are 1-credit courses usually taught in a 5-week session and do not lend themselves well to a final project, so a final concepts and skills exam is usually used. CIOS A230A, 235A, and 240A are 2-credit courses taught in 10-weeks and because there is more time, a final project is used to measure the intermediate skills outcome. A sample departmental project rubric is included below.
HOW TO INTERPRET THE DATA: To ensure students graduating from the CIOS program meet program outcomes, we will analyze CIOS-only student data, comparing semester to semester, and make minor adjustments. We will then analyze non-CIOS student data to determine how to improve student performance and completion rate.

APPENDIX C: PROJECT RUBRIC, FINAL EXAM GRADE OR FINAL GRADE
DESCRIPTION: These tools can be used to measure the communications skills outcomes.
5 COMMUNICATION SKILLS

SkillsCommunicate effectively orally and in writingEffective communication using appropriate medical terminology
Medical Office Support
Oral and written communications skills that meet business standards can be assessed in multiple ways and in multiple courses. Faculty use a project rubric, a final exam grade, or a final course grade, depending on the course.
FACTORS THAT AFFECT THE COLLECTED DATA: Most students in CIOS classes are working adults and/or students in other UAA programs seeking to improve their office and computing skills and are not seeking the CIOS AAS degree. Some students either don’t complete the coursework or register and never even start the coursework. There are usually auditing students who do not complete the coursework. The first part of the test consists of 75 short answer and essay questions that students must rewrite all or part of a sentence containing proofreading errors. The second part of the test challenges students to download a letter containing proofreading errors. They must correct all errors to receive 25 points and they must submit the letter with the test. The instructor manually grades all portions of the test.

MA A101 Final Grade
Yes, we’re aware that a final grade is not considered a valid measurement because there are other factors that influence final grades such as attendance. CIOS faculty consulted with Medical Assisting faculty to verify that the final course grade for MA A101 Medical Terminology is a valid grade because learning medical terminology constitutes 90 percent of the course. This is the only way we can extract CIOS student data for this course.

APPENDIX D: PROJECT RUBRIC OR EMPLOYER SURVEY
DESCRIPTION: These tools can be used to measure the outcomes:
6CRITICAL THINKING AND PROBLEM SOLVING
Application of critical thinking skills to make effective decisions and solve problems (measured in CIOS A276 Independent project using a rubric or CIOS A295 using a rubric and employer internship survey).
AAS
7PROFESSIONAL BEHAVIOR AND INTERPERSONAL SKILLS
Professional behavior and interpersonal skills (measured in CIOS A261 Interpersonal Skills in Organizations using a project rubric)
AAS
These outcomes are measured in multiple courses:
CIOS A276 and 295: CIOS faculty advise students to take CIOS A276 Independent Project or CIOS A295 Internship in the final semester of their degree program. The independent project is used for students who are already in the workplace and their work is measured with a proposal and final report rubric. The internship is used for students with no experience as administrative professionals and their work is measured with a report rubric and an employer internship survey.
CIOS A261: A project rubric is used to assess skills throughout the course and on a major team project.
FACTORS THAT AFFECT THE COLLECTED DATA: Working closely with faculty to achieve success in the internship and independent project courses is very important. Regularly scheduled meetings and journaling assist students in recording their progress and solving problems, so very few students fail to successfully complete these courses. CIOS A261 was offered as a face-to-face course in spring 2012, and skills were measured with a final team project rubric. However, this course suffers from low enrollments, so we’re offering it online in spring 2013. This will present a challenge for accurately assessing professional behavior and interpersonal skills.
HOW TO INTERPRET THE DATA: CIOS A276 and 295 are CIOS-only students and both courses are Pass/Fail, so interpreting the data is straightforward. CIOS A261 may include non-CIOS students, so to ensure students graduating from the CIOS program meet program outcomes, we will analyze CIOS-only student data, comparing semester to semester and academic year to academic year, and then make minor adjustments to scheduling, advising, or the program. We will then analyze non-CIOS student data to determine what can be done to improve student performance and completion rate.

4. CIOS A153B is an online, instructor-led course and faculty use a project rubric to grade a final skills exam.
FACTORS THAT AFFECT THE COLLECTED DATA: Most students in CIOS classes are working adults and/or students in other UAA programs seeking to improve their office and computing skills and are not seeking the CIOS AAS degree. CIOS A251, 152A, and 153B are popular with personal interest students, so some students either don’t complete the coursework or register and never even start the coursework. There are usually auditing students who do not complete the coursework. This results in a lower overall average score. The report will indicate the number of students who actually complete the assessment item and calculate a “completers only” score.

CORPORATE SPECIFIED SKILLS
The ICSA Professional Certification Program “Through the Customer’s Eyes” is an interactive online certification program developed by the International Customer Service Association and Rockhurst University Continuing Education Center.
This program features six modules to help develop and polish core customer service skills. Students must pass all six modules with a score of 80% or better to earn the certification.
Module 1 • Why Customer Service MattersModule 2 • What Customers WantModule 3 • Essential Customer Skills, Part 1Module 4 • Essential Customer Skills, Part 2Module 5 • Handling Complaints and Dealing with Angry PeopleModule 6 • Customer Service as a Strategic Marketing Tool and Teams
FACTORS THAT AFFECT THE COLLECTED DATA: The main factor that affects this data is students completing the test on time during the course. The course is online, instructor-led and due dates are enforced. If a student does not meet the due date for taking a particular module or test, they do not receive a score and are not counted in the data collection.
HOW TO INTERPRET THE DATA: CIOS students in the CNT 165 Customer Service Fundamentals course will be counted and the number of CIOS students who earned the certification will be reported.

DESCRIPTION: This is used to measure the following:
FACTORS THAT AFFECT THE COLLECTED DATA: It is difficult to extract CIOS-only student data from this course. So far, no CIOS students have taken this course. Banner shows students are admitted to this OEC, but a survey of these students shows they completed admission to this OEC by mistake or don’t even know they are in it.
