WELCOME TOWORKDAY MIGRATIONS

In 2017, Workday announced the deprecation of its Cornerstone Cloud Connect integration templates in March 2019. Cornerstone’s Edge-Ready integration will replace existing functionality and further enhance it. The integration creates user and Organizational Unit (OU) records in Cornerstone, and creates completed transcripts in Workday. This integration uses Workday APIs (v29.2) and includes the following:

• Core Data Inbound: Transfers users and OUs from Workday to Cornerstone.

• Transcript Outbound: Transfers completed transcripts from Cornerstone to Workday.

CORE DATA INBOUND INTEGRATION

The Edge-Ready Cornerstone Workday Core Data Inbound Integration creates users and organizational units (OUs) records in Cornerstone. This is a one-way integration to Cornerstone from Workday via Workday APIs. This integration will allow user and OU management to be centralized in Workday. The integration will allow you to do the following functionality.

• One way transfer of OUs and Users from Workday to Cornerstone.

• Ability to trigger the integration on-demand.

• Map Workday Organization Types to Cornerstone Standard and Custom OUs.

• Define the Workday Hierarchy to use for a Standard OU.

• Deliver Summary Notification Emails to a subscribed list.

• Differentiate between Contingent workers and Employees via Custom OU.

While we encourage clients to migrate to the Cornerstone Edge-Ready Workday Core Data Inbound Integration, it’s important to make sure you are eligible to use it. Below are a few components of an ideal participant:

• Existing Cornerstone clients using Workday as the HCM system.

• Clients transferring OUs and Users from Workday to Cornerstone using the Cloud Connect Templates:

• “CSOD LMS Outbound: Orgs, Job Profiles, and Locations Sync”.

• “CSOD LMS Outbound: Workers Sync”.

• Using standard fields for OUs and User synchronization.

• None or limited customizations via Workday Studio. Please contact Workday and check if the integration was built via Workday Studio with any customizations.  

To minimize disruption and migrate to Cornerstone’s Edge-Ready Workday Core Data Inbound integration, your existing Workday configuration needs to be identified. This can be done through the following steps:

1. In Workday, search for template “CSOD LMS Outbound: Orgs, Job Profiles, and Locations Sync”.

2. Select template.

53. From “Integration Maps” tab, identify your current configuration in the “Map Values” table where:

a. “Internal Value” refers to Workday’s field.

b. “External Value” refers to Cornerstone’s mapped value.

For example,

4. Identify your Reference ID Value for the configured Workday Organization Types. This can be done by following the below steps.

a. Search for View Reference IDs.

b. Set Organization Type as the Business Object.

c. Select OK to display the Organization Types and their Reference ID Value.

d. The Reference ID Value column holds the corresponding value for a Workday Organization Type. Below is an example:

It is recommended to implement the integration on your test environment prior to your production environment. Follow the steps in the Starter Guide to configure the integration and enable it.

DO NOT FORGET to disable the Workday Cloud Connect Templates before enabling the integration.

Once the integration is verified and you decide to promote it to production, configure the production environment and enable the integration. Follow the steps in the Starter Guide.

TRANSCRIPT OUTBOUNDINTEGRATION

Cornerstone’s Edge-Ready Workday Transcript Outbound integration enables organizations to transmit active users’ completed transcript records from Cornerstone to Workday. The following functionalities are included with the integration:

• Unidirectional transfer of completed transcript records of active employees and/or contingent workers

• Ability to include contingent workers through a custom organizational unit (OU)

• Ability to exclude users from the integration based on OU and/or user custom field value

• Ability to exclude transcripts of certain trainings based on a training custom field type checkbox

• Summary and log of synced transcripts via email notification

• Daily synchronization

• Ability to run the integration on-demand

While we encourage clients to migrate to Cornerstone’s Edge-Ready Workday Transcript Outbound Integration, it’s important to make sure you are eligible to use it. Below are a few components of an ideal participant:

• Disable the Workday Cloud Connect Template before enabling the integration.

• Disable the existing Cornerstone Outbound Data Feed (ODF). This can be done by contacting Cornerstone Global Product Support (GPS) and sharing the output file name, the environment, and the log file.

Once the integration is verified and you decide to promote it to production, configure the production environment and enable the integration. Follow the steps in the Starter Guide and disable the Workday Cloud Connect Template as well as the ODF.
