EVENT COORDINATOR
Menu details, audio visual requirements, service and function room set-up details are important elements to the success of your wedding. It is important to note that your Spruce Meadows Event Services Coordinator is the individual responsible for booking the venue, arranging the audio visual, room layout and coordinating services. Your GreatEvents Wedding Coordinator is responsible for your menu and beverage selection, linens, décor and party rental requirements, tracking and communicating all the details and ensuring that you, the client, provide all the information that is required to make your event a success. Changes to plans, requests and communications must be directed to both the GreatEvents Wedding Coordinator and the Spruce Meadows Event Services Coordinator.
GUARANTEES
It is necessary that GreatEvents Catering receives your “final guarantee” (confirmed attendance), five (5) business days prior to the event. The client will be billed based upon the “final guarantee” or the actual number of meals served, whichever is greater. GreatEvents Catering serves all alcoholic beverages in accordance to the regulations of the Alberta Gaming and Liquor Commission and all staff is trained in Pro Serve (Liquor Staff Training). Please refer to our drink menu for full details.
MENU SELECTION & DIETARY SUBSTITUTES
To be assured of your menu choice, it is necessary that GreatEvents Catering receive your menu selection and final details of the event no later than 30 days prior to the event date. All special dietary requirements (food allergies, any special meal requests) must be requested by noon, no less than 5 working days in advance of the event date.
WEDDING SERVICE STANDARD
Menu prices include china, silver flatware, ice water, wine glasses, standard linens for tables and linen napkins (specialty linens are a rental item), proper table setting, and service staff, set up and clean up. Depending on hosting venue and service requested, service standard may change. Please consult with your Event Services Coordinator for full details.
EXCLUSIVITY
All food and beverage products served at the Spruce Meadows venues will be prepared and served by GreatEvents Catering. The only exception to this would be a wedding cake.
CONFIRMATION OF BOOKING
GreatEvents Catering will provide a catering contract and estimate of charges once arrangements are finalized, payment schedule as follows: First Payment ~ 30% due upon signing the contract. Second Payment ~ 30% due 30 days prior to event. Final Payment ~ due 3 business days prior to event. GreatEvents Catering will provide a final invoice after the event and if necessary, proper adjustments will be made. Additional charges may apply or credit/refund will be provided.
CANCELLATION
In the event that the booking is cancelled with more than one (1) month notice a $500.00 portion of the initial deposit is non-refundable. If it is cancelled with less than one month notice all deposits are non-refundable.
SERVICE CHARGE AND GST
An 18% service and set up charge will be added to the total invoice, and 5% GST will be applied to the total invoice.
PAYMENT
Payment may be made by cash, check or credit card (MasterCard or VISA). A Credit Card Authorization form must be completed when using a credit card. NSF checks are subject to $25.00 service charge. Final payments made the week of the wedding must be pre-authorized.
