Catering GuidelinesCatering ServicesGreatEvents Catering is committed to the highest standards of quality and service. The following information will assist you in planning your event.

Event CoordinatorMenu details, audio visual requirements, service and function room set- up details are important elements to the success of your event. It is important to note that your Spruce Meadows Event Coordinator is the individual responsible for tracking and communicating all the details and ensuring that you, the client, provide all the information that is required to make your event a success. Changes to plans, requests and communications must be directed to your Event Coordinator.

ExclusivityAll food and beverage products served at the Spruce Meadows venues will be prepared and served by GreatEvents Catering.

Alcoholic BeveragesAre served only in accordance with the regulations of the Alberta Gaming and Liquor Commission and all staff are trained in Pro Serve (Liquor Staff Training). Please refer to our drink menu for full details.

Menu Selection & Dietary SubstitutesTo be assured of your menu choice, it is necessary that your Event Coordinator receives your menu selection and final details of the event no later than 14 days prior to the event date. All special dietary requirements (food allergies, any special meal requests) must be requested by noon, no less than three working days in advance of the event date.

Minimum Requirements for ServiceCateringrequestsforlessthan15guestsa$5.00perpersonsurchargewillbeaddedtooffsetservicestaffcost.Pleaserefertoourcatering menus and pricing for other guidelines.

Service StandardMenupricesincludechina,silverflatware,icewater,wineglasses,standardlinensfortablesandlinennapkins(specialtylinensare a rental item), proper table setting, and service staff, set up and clean up. Depending on hosting venue and service requested, service standard may change. Please consult with your Event Coordinator for full details.

GuaranteesIt is necessary that the Event Coordinator receives your “final guarantee” (confirmed attendance), three (3) business days prior to the event. The client will be billed based upon the “final guarantee” or the actual number of meals served, whichever is greater. Unfortunately, we cannot accept any decrease in the # of guests attending, after your “final guarantee” (confirmed attendance).

Service Charge and GSTA 18% service and set up charge will be added on all food, beverage and rental items, and 5% GST will be applied to total invoice.

PaymentIf a deposit is required a deposit schedule will be provided. Term of balance due is net 15 days. Payment may be made by company check or credit card (MasterCard or VISA). A Credit Card Authorization form must be completed.
