breathtaking countryside, varied and striking

coastline and a rich cultural heritage. Castles and

What is a

Civil Wedding?A civil wedding is a non-religious ceremony

performed by a Senior Registrar. A civil

wedding can take place in any register office or

at any approved venue of your choice in

England and Wales.

Two registrars will attend your wedding, one to

conduct the ceremony and the other to register the

marriage. You will need to ask two people, friends

or relatives, if they will witness your marriage.

Your witnesses must be old enough to understand

the ceremony and the role they will play.

Gone are the days when a civil wedding meant a

quick, impersonal ceremony performed in the

Register Office in front of a desk. In Northumberland

we have a dedicated Wedding Ceremonies Co-

ordination Team, based in Alnwick, who offer a

personal and relaxed atmosphere for your wedding

arrangements whether you choose to marry at the

Register Office or Approved Venue, where you and

your guests will have a marvellous occasion to look

back upon with many fond memories. They are

always on hand to answer any questions you may

have, prior to and on, your wedding day.

Northumberland has a huge variety of places in

which to hold your civil wedding; there are

numerous options listed throughout the brochure.

If you are marrying in a Register Office, ApprovedMarriage Venue, Church or Chapel (exceptChurch of England), you must give notice of yourintention to marry to the Superintendent Registrarin the district in which you are resident. If you livein different districts you must each give aseparate notice to the Superintendent Registrar ofyour own district.

If you are marrying in the Church of England, youwill normally have the Banns called and wouldarrange this with your Vicar.

Giving notice means making a legal declarationthat you are both free to marry each other and willrequire you to provide certain documents. You maydo this up to one year before the date of yourwedding and it must be done in person. A friendor relative cannot give notice on your behalf.

The notices of marriage will be displayed publiclyin the Register Office for a period of 15 clear daysbefore an Authority allowing your marriage toproceed may be issued.

If either or both of you live in Scotland or NorthernIreland and wish to get married in England orWales, the above rules do not apply. Pleasecontact the Wedding Ceremonies Co-ordinationTeam for further information and advice.

The law is different if one or both of you is not aBritish citizen or EEA national and subject toimmigration control. See page 7 for furtherinformation.

There is a statutory fee for giving notice ofmarriage (see page 8 for details).

Documents you need to provideWhen you give your notice, the Registrar will ask questions about you and your partner. They will ask you yourfull names, occupations, ages, addresses and nationality and whether you have been married before.

There is a requirement for you and your partner to provide proof of identity, a current passport, if available,and a full birth certificate (this will contain parents’ details).

If either of you has been married before, either in this country or abroad, you will need documents to showhow your marriage ended. A decree absolute, stamped by the court, should be produced if either of youhave been divorced in England or Wales. If the divorce took place in another country you should bring theoriginal document announcing your divorce.

If either of you is widowed, you will need to bring a copy of your late spouse’s death certificate.

Any name change documents should also be produced.

You will also be asked to provide proof of your address in the form of a bank statement or utility bill.

If you are under eighteen, you will need to bring proof of your parents’ or guardians’ consent and they willneed to fill out a form, which will be supplied by the Register Office.

Foreign documents should be accompanied by an English translation.

All these documents must be originals and not photocopies.

Register of f iceweddings

Booking your Register Office weddingOnce you have made your decision to marry at a Register Office, contact the Wedding Ceremonies Co-

ordination Team at Alnwick (telephone number 01665 602870) who can take a provisional booking up to 12

months in advance of your proposed wedding date. A booking fee is payable at this time.

Register Office weddings can take place Monday to Saturday (excluding Bank Holidays) at times to be

arranged with the Wedding Ceremonies Co-ordination Team.

You will then receive a letter detailing your provisional booking. This letter will also advise you both to make

an appointment within 28 days, with the Superintendent Registrar in the area where you live, to give your

notice of marriage and will explain the documents and fees required.

There are four offices across the county, in Alnwick, Berwick, Hexham and Morpeth. They all vary in size,

style and appearance. Further information is given on page 24.

Immigration RulesIf either or both of you are subject to immigration control, i.e. non-British or not a national from within the

European Economic Area (EEA), you will need to follow special procedures. These rules apply even if you

are a national of a country where there is normally no requirement for a visa to enter the UK.

You will not be able to give your notice to marry without the correct fiancé(e) visa or relevant stamp in your

passport, or a certificate of application from the Home Office.

www.ind.homeoffice.gov.uk. Our Wedding Ceremonies Co-ordination Team will also be able to give advice.

On your wedding dayEach office has a different layout; therefore thewaiting area where you and your guests will gatherprior to your wedding will vary.

Please help us, and other couples being marriedon the same day, by arriving at the Register Officefifteen minutes before the ceremony time.

Register Office weddings usually take place every30 minutes. As we do not want to rush yourceremony or be forced to cancel it, please ensureyou and your guests arrive on time.

When you arriveThe Registrars will see you both in private, beforethe ceremony begins, to verify certain informationand to answer any last minute questions you mayhave. They will ensure that all the information isentered into the Marriage Register correctly. At thistime the ceremony fee is also taken.

Notice of MarriageYou cannot give notice until you have booked the

Register Office where you want to be married as

this information is included on your notice.

Please note: a Notice of Marriage is only valid for

twelve months from the date on which it is given.

Also, if you decide to change the venue for your

wedding after you have given notice, you will need

to begin the process again and give fresh notices

and fees for the new venue.

The Marriage

CeremonyThis is your special day and there is no need to be

worried or nervous. The marriage ceremony in a

Register Office is quite brief, so please do not

worry about learning lines as we will lead you

through the ceremony in short, manageable

phrases.

The Registrar will record the marriage in the

Register. You and your witnesses must then sign

the Register. The bride will sign in the name by

which she was known before the ceremony.

The Registrars will then sign and, following this,

you will be presented with your marriage

certificate.

Photographs and

VideosIf you have someone video recording your

ceremony or an official photographer we ask you

to advise them to speak to the Registrar before the

ceremony to agree an ideal place to stand.

ConfettiPlease remember that there may

be other couples getting married

on the same day as you, and

therefore, in order to keep the

room tidy, please ask your

guests to wait until outside the

building before showering you

with confetti. Every office is

different so, again, we ask you to

confirm with the Registrar about

the rules regarding confetti

specific to that location.

Many of our venues will offer exclusive use of their premises and facilities. They have staff dedicated to

looking after individual requirements and will ensure the preparations and wedding arrangements run

smoothly; so everyone has an unforgettable day.

The choice of a marriage venue is very personal and each venue has something different to offer. When this

is combined with a Northumberland wedding ceremony it can provide a unique and precious experience. For

Booking your

venue weddingWhilst the majority of couplesbook the traditional Saturdaywedding, many opt for a Sundayand Bank Holiday (excludingChristmas Day). However,weekday weddings are becomingmore popular. The ceremony maycommence any time after 8am andmust be completed by 6pm.

Once you have found the perfectplace to hold your weddingceremony, and made tentativearrangements with the venue,contact the Wedding CeremoniesCo-ordination Team at Alnwick,telephone number 01665 602870,to ensure registration staff areavailable on your preferred dateand time.

A provisional booking can bemade as far in advance as youwish. A booking fee will bepayable at this time.

After you have made a provisionalbooking, details will be sent to yououtlining the date, time and placeof the proposed wedding. You willalso be sent advice on the legalpreliminaries to marriage, whatdocuments you need to produce,the fees to be paid, and what youneed to do to make it aconfirmed booking.

Notice of MarriageNotices are only valid for one year. Although you may book your venue wedding more than a year ahead,

you will find advice in your provisional booking form as to the earliest date you can attend to give notice of

marriage. Please note: if you decide to change the venue for your wedding after you have given notice, you

will need to begin the process again and give fresh notices and fees for the new venue.

After you have given notice of marriageOnce we have confirmation that you have both given your notice of marriage, your booking is then

confirmed and we will send you a Northumberland wedding ceremony pack along with a ceremony

arrangement sheet.

A Northumberland wedding, in an approved venue, enables you to choose your own ceremony. Your pack

will contain a booklet giving examples of contemporary and traditional poetry and readings. It also gives

suggestions on how to personalise your ceremony with optional vows and special words and music. Many

couples choose live music, eg string quartets, harpists, soloists, pipers, pianists etc. Music can add a

magical quality to the wedding ceremony. However, these are purely suggestions and the list is not

exhaustive. The only stipulation is that there must be no religious content.

The involvement of family and guests will give a personal touch and warmth to the ceremony.

Before the CeremonyIf you or your guests are travelling, remember to

make allowances for traffic delays, parking or pre-

wedding photographs. Please understand that the

Registrars will normally be attending other

weddings on the day and if you are late, may not

be able to proceed with your ceremony.

The Registrars arrive at the venue about 30 minutes

prior to the start of the ceremony. This allows the

Registrars to see both the bride and groom

privately, to check that the details to be entered into

the marriage register are correct.

Normally we see the groom in the marriage room 30

minutes before the wedding. If the bride is getting

ready at the venue then the Registrars will visit her in

her room. However, you can be seen together,

whichever you prefer. At this time the Registrars will

speak to all persons involved, the bride and groom,

best man, bridal party, ushers, readers, musicians,

and photographer/videographer. This is the ideal

opportunity for you to ask any last minute questions.

The CeremonyYou may be apprehensive or nervous about

saying your vows in front of family and friends.

However, the Registrars will be on hand every

step of the way to guide you through all you

need to do or say.

The ceremony will begin with a warm welcome

from the Registrar. You will be asked in turn to

repeat your marriage vows and the ceremony will

follow the format you have personally chosen.

After the ceremony, the Registrar will record the

marriage in the Register. You and your witnesses

must then sign the Register. If an interpreter is

present they will also be required to sign the

register. You will then be presented with your

marriage certificate.

ReligiousMarr iage

Church of EnglandIf you wish to be married in the Church of

England, you must contact the Vicar. The Vicar will

arrange for the Banns to be called, or a common

licence to be issued. These marriages will always

be registered by

the Vicar and

unless they ask

you to contact the

Register Office, we

would not expect

to be involved.

Other DenominationsIf you wish to be married in a church or building of

any other religious denomination, you will need to

book a date with the church and then give a notice

of marriage to the Superintendent Registrar of the

district in which you live. At least one of you must

be resident in the district where the church or

building is situated. However, if the church or

building is outside your district of residency, you

may still marry there if it is the usual place of

worship of one or both of you.

Renewal of

VowsA renewal of vows is an opportunity for couples to

renew their marriage or civil partnership vows in a

unique and personal ceremony. Although many

couples choose to renew their vows at milestone

anniversaries, the ceremony is just as appropriate

at any stage of a relationship.

It is also ideal for couples who have married

abroad and now wish to celebrate their wedding or

civil partnership with family and friends who were

unable to attend their original ceremony.

CeremonyThere may be occasions when couples wish to show

their commitment to each other but for various reasons

are unable to go through a marriage or civil partnership

ceremony. A commitment ceremony has no legal status

but it gives couples the opportunity to make a public

declaration of love and commitment to each other.

Ceremonies can be tailored to include personal vows

and readings with an exchange of rings if desired. This

allows couples to make the occasion unique and

meaningful to them.

Each ceremony will reflect the feelings which couples

have for each other and they may wish to include people

who have a special place in their lives, such as children,

friends or even a pet.

Naming

A naming ceremony is a special, non-religious way of celebrating

a birth of a child or welcoming a child into a family.

It is an opportunity for parents and supporting adults to declare,

before family and friends, their commitment to the upbringing of

the child.

Naming ceremonies can be arranged for children of all ages

and can also be used to celebrate adoptive and/or step-

children into a family and to announce the new relationship.

A Commemorative certificate of the ceremony will be signed

and presented during the event.

Changes to Your

PassportThere are so many things to organise when

you are getting married that you may forget

to notify the passport authorities if you are

changing your name. Some countries

might not accept a passport that has not

been amended even if you are taking your

marriage certificate with you. Check with

your travel agent or the country’s consulate

if you are in doubt.

You can change your passport details at any

time up to three months before the wedding,

although you will not be able to use your

passport until after you are married.

To do this you will need to apply to the

Passport Office for a new standard UK

passport. Alternatively, the Passport office

will amend your existing passport to show

your future married name.

Application forms are available at post

offices and you will also need to complete

a PD2 form, again available at post offices

or online. Once you have given your notice

of marriage, the PD2 form can be sent to

the Register Office, 27 Fenkle Street,

Alnwick, Northumberland, NE66 1HW,

where it will be signed and returned to you.

You should then send the signed PD2 form

to the Passport Office, together with the

application for the passport or amendment

to your passport.

If you are going abroad on your

honeymoon, remember to book any travel

tickets in the name you will have in your

passport at the time of travelling.

Quest ions YourQ Do I need a Rehearsal prior to

the ceremony?

A No, all queries can be dealt with by our

Wedding Ceremonies Co-ordination Team by

‘phone, fax or email. They are located at our

Alnwick office and can be contacted on

01665 602870, or e-mail

Q Will I see the Registrar before

my Venue wedding?

A On your wedding day the Registrars will

arrive at the venue about 30 minutes prior

to the start of the ceremony. This allows

them to check with the Bride and Groom

that the details to be entered into the

marriage register are correct. The

Registration staff usually speak to the Bride

and Groom separately. However, you can

be seen together, whichever you prefer.

At this time the Registrars will also speak

to everyone else involved with the

ceremony. This is the ideal opportunity for

couples to ask any last minute questions.

Q Can we welcome our guests

with a drink prior to the

ceremony?

A At a venue ceremony your guests can be

welcomed with a drink. However, food and

drink is not permitted in the ceremony

room, one hour prior to and during the

ceremony. This is not applicable to

Register Office weddings.

Q How far in advance can I make

a wedding booking?

A If you are booking a venue wedding then

as far in advance as the wedding venue

allows. If you wish to marry in one of the

four register offices we can only take a

booking up to twelve months in advance.

Q Who can we have as witness?

A Two adult witnesses are required to sign the

register. It can be family or friends, and

they must be able to understand the

nature of the marriage ceremony. If you

are in any doubt please consult the Wedding

Ceremonies Co-ordination Team

beforehand. If an interpreter is used during

the ceremony they must also sign the

register as a witness.

Q We have children, how can we

involve them in the ceremony?

A There are so many roles that children can

play to ensure that they feel part of your

special day. They could be bridesmaids,

flower girls, pageboys, ring bearer. At

venue weddings, where the ceremony is

longer, a child could read a piece of prose

or poetry. Some couples like to give a

child a gift following the exchange of rings.

Q Can guests take

photographs/video during the

wedding ceremony?

A Photographs and video can be taken

before, during and after the ceremony.

Please advise your official

photographer/videographer to speak to the

Registrar on the day.

Q How long will the

ceremony last?

A The average length of a wedding

ceremony at a venue is approximately 25

minutes, depending upon your personal

choices and number of readings.

The average length of a Register Office

ceremony is approximately 15 minutes.

Q Will I have to change my

name?

A There is no legal requirement to change

your name after the wedding; it is personal

choice and a long standing tradition. On

their wedding day each party signs in their

usual signature (name in which they

contract the marriage) regardless of any

name change they make at a later date.

Q What happens if I’m late?

A Registrars are very busy, and will usually

have other weddings to attend on your

day. If you are late for your venue wedding

the Registrars may have to leave to attend

another wedding and will try to return later

if possible. It is very important to ensure

both you and your guests are on time.

Weddings in the Register Office take place

every 30 minutes; if you are late this could

result in you not being able to marry that day.

Q What if I need to cancel my

wedding?

A Contact the Wedding Ceremonies Co-

You will be asked to confirm your

cancellation in writing.

Q We want to get married abroad,

what do we need to do?

A To marry abroad according to the laws of

that country there are certain regulations

to follow, including minimum residency

requirements and certain documents

will need to be produced. If you are

booking through a travel agent they should

be able to advise you, otherwise contact the

appropriate country’s embassy in England.

Plannerthe countdown to your weddingThere can be a lot of work involved in organising your wedding, and we know how time consuming this can

be. Listed below are some of the things you may need to consider:

As soon as possiblen Agree a rough budget, style of

ceremony and number of guests.

n Consider a few dates and book

the ceremony/reception venue.

n Contact the Ceremonies Team

and book the Registrar.

n Book photographer and/or

videographer.

n Book musicians and

entertainment.

n Arrange wedding insurance.

Twelve months beforen Contact the Ceremonies

Co-ordination Team and give notice of marriage.

n Choose your bridesmaids, best man and ushers (if required).

n Order bridal dress, bridesmaids’ dresses, groom and his attendants’ suits.

n Arrange any transport you may need to get you or your guests toand from the wedding.

n Plan and book honeymoon.

n Book caterer, if required.

Six months beforen Book florist- decide flowers for

bridal party, buttonholes and corsages, ceremony room and reception.

n Order wedding cake.

n Order invitations/other stationery.

n Speak to hairstylist/make-up artist to plan for your day.

n Set up wedding gift list.

Three months beforen Send out invitations.

n Choose and order rings.

n Have a first fitting for the wedding dress.

n Plan hen/stag nights.

n If you are honeymooning abroad,arrange vaccinations and visas ifrequired.

n Arrange to change your surname and notify passport office, DVLA, bank etc.

n Book hotel room for first night.

Two months beforen If you are marrying at a venue,

send your ceremony arrangement form and fee to theCeremonies Co-ordinator, who will usually give you a courtesy call at this time.

n Make arrangements with the venue, finalise menus; make wine/drinks selections.

n Arrange final fitting of dress.

n Finalise groom and attendants’ outfits.

n Choose gifts for the bridesmaids, best man.

Four weeks beforen Collect rings if you have not

already done so.

n Decide on hairstyle and have a practice run.

n Finalise guest list.

n Order currency for honeymoon.

n Check transport arrangements.

n Confirm all bookings; photographer, entertainment, florist etc.

Two weeks beforen Arrange seating plan for the

reception meal.

n Advise the venue/caterer of final numbers of guests.

n Confirm final arrangements with hairdresser/beauty salon.

n Collect dresses and get advice about storage of them before thebig day.

n Pick up currency and tickets for the honeymoon.

n Prepare speeches.

n Run through a rough timetable ofthe day with bridesmaids, best man and ushers, to make sure they know what they’re doing andat what time of day. Write things down and give them a copy if you feel you need to!

n Try on wedding shoes and wear them in!

The week leading up

to the wedding n Time the journey to ensure that

there will be no unexpected delays en route.

n Take the cake to the venue.

n Ensure all hired clothes are collected on time.

n Arrange that presents will be packed up and taken home afterthe wedding.

n Start packing for your first night/honeymoon. Remember your passports if you are travelling abroad!
